L E T T E R

Those doctors that stand out of the crowd, those doctors that make history, are born in organizations like IFMSA Dear IFMSA Family, With the heart at my sleeve and the biggest smile on my face, I have decided to finally chase my dream. I am Andrea Falconi, a 5th year medical student at Universidad San Francisco, in Quito- Ecuador. Just a few years ago, I was entering med school, thinking it was something easy to do. First year started and things were not easy at all. I had to stop seeing my friends and family and exchange the trips and vacations for long nights of studying and midnight coffee. Okay, that was something I got used to. Next year, endless nights started and somehow, I also got used to that. What I never got used to, were the bad moments. I was being drowned by bad grades and stressful moments that lead to big fights with my family and friends. Such were those moments that I even decided leaving medicine for another career. The week I had my papers ready to be signed by my dean and my parents, so I could finally change of career, one of the older students contacted me about an opportunity to go to a Regional Meeting in Colombia. He told me that due to a lastminute cancellation there was a free spot, in this international meeting of medical students by an organization that at that moment, I couldn’t even pronounce.

Unforgettable. Life Changing. Eye Opener. Are the words that I use to describe the experience I had in Colombia. I fell in love instantly with the federation, which gave me the opportunity to become a better, a different doctor. Motivated because of my experience, that year I joined my local committee as an active member. In the next year, I went for the LEO position, then another year passed and I went for the NEO position and now, I am here as Regional Assistant of the Americas, without believing how time has passed and how things have change from a few years back. Now the long nights have been changed by Online Meetings and working parties. Those frustrated moments have been changed for frustrating moments fighting the database or finishing reports. Those moments, were I felt I was not intelligent enough, that medicine was not for me, have been change for IFMSA moments. IFMSA moments, that has make me understand, that those doctors that stand out of the crowd, those doctors that make history, are born in organizations like IFMSA.

What Colombia was for me, an experience that made me understand that medicine is not only about books and grades, that is what I want to work on. I want to create life changing opportunities for our students, were they will be able to understand the importance of global health and open their eyes to new cultures and health systems. I want to work on a committee that will be strengthen by capacity building opportunities, were limitations will become strengths. I want people to believe that even though we are students, we can still build an optimistic perspective of the future. Without believing it was possible as a LEO, now as an RA, I think I am closer to my dream more than ever. I believe I still have so much more to offer to my SCOPE committee, I believe that although there are so many things I need to learn, I’ve got the stamina and passion that it takes to become a Director. My father always tells me, that my biggest limitation for my dreams should be the sky, and now motivated by his words, I am building my dream, presenting each one of you, my candidature for the SCOPE Director 2017-2018 term. I assure you that you will count with my best version for this position, a motivated, hardworking, creative leader IFMSA has created. You will count with an enthusiastic person that has a mind full of ideas, willing to work intensively and with passion for this committee that I love. Once again, I am asking you to support me not because of all of the things I can do, but because of all the things I eagerly want to. Annual Working Plan My Annual Working Plan, is based of the SCOPE Strategic Plan itself. The idea is to continue with the same path as previous directors, by continuing with their work and also bring new ideas to the table. The Annual Working Plan, is based on three big pillars, the ones that are connected and will complement each other. Of course, the only way to complete this project is by giving it my full time and passion, were I want to work together with a team, were we will improve our exchanges for our NMOs, NEOs and students.

Student´s Handbooks

Quality The Backbone of Exchanges- making this one of the biggest priorities within my term. Overall, what we will be working for is the improvement of exchanges to assure our students an experience were they will, improve their medical skills and knowledge, learn more about global health and count with the recognition of their universities.

Capacity Building 1. TNETs- Training new Exchange Trainers a. Work together, to be able to bring this type of trainings to the Regional Meetings, b. Goal: Increasing the opportunity for NEOs, LEOs and Exchange People to become a trainer 2. PRETTs – Professional and Research Exchange Training for Tutors a. With the help of the TNET trainers, do short webinars for tutors were the most basic topics from an exchange will be explained b. Goal: Improve Academic Quality and the experience of the students by capacitating tutors on our exchanges 3. PRET- Professional and Research Training a. Work with all of the RA´s in each region to promote this type of events b. Goal: Capacitate the exchanges teams of the NMOs and ease the work of our National Officers

Academic Quality 1. PDTs & UATs a. Update the manuals for these trainings and create a new version, were topics from the rest of the committees (SCOME, SCORP, SCOPH, SCORA) will be included


b. Promote the use of the Handbooks, the ones that will count with improvements such as i. Translation to more languages (currently just 3 languages available) ii. Work with more external organizations (We will join forces with the LME) c. Goal: Improve students experiences in their exchanges, by preparing them to a different health system and culture. d. Goal: Work together with other committees to strength the bonds between each other, and give our students a more global view of situations.

Evaluation Forms 1. Through PDTs, improve the knowledge of students about this document. 2. Update the LEO manual, were more information about the Evaluation Form will be included, making sure that they understand the importance of it and can share this with all of the students 3. Before the August Meeting 2018, send a report to each NMO about their statistics regarding Evaluation Forms 4. Goal: Is to give each NMO, specially to the NEOs an objective overview of their exchanges, which will help them overall to improve them by working on their weak points

Academic Recognition 1. As previously stated, we will want to work with more external organization in handbooks for different departments 2. We will work on more formal ways to approach deans at universities, by creating a template letter done by the IFMSA President and SCOPE Director 3. Goal: Help NEOs approach their deans to improve the recognition of universities and hospitals for our exchanges.

ACCESSIBILITY Cultural understanding is the main objective, were students and professional will cooperate between each other, helping this improve the process of learning more about health education and medical systems.

SCOPE Active NMOs 1. Help them Step by Step with a To Do List of the things that they have to do and examples to guide them through the process 2. Goal: Help ease the process for new NEOs, making sure that fewer mistakes are made and that they can complete the documents efficiently

Promotion and Visibility 1. Continue with the translation of Flyers made by the previous SCOPE Its 2. Enforce the use of the Sharing Folder + share great documents in the NEO Server 3. Goal: Let NEOs all of the documents available for promotion of their exchanges, which will help them during reunions with externals.

Exchanges Opportunities 1. Visa Problems a. Help NMOs with a template letter to contact representative’s officers or embassies b. Continue with the work of the SWG regarding visa problems to continue with their work 2. Unused AFs a. Re-activation of Trilateral Exchanges i. Inform the NEOs prior to the March Meeting, to see NEOs interested and start working with them ii. Goal: To give more opportunities to students and open new exchange opportunities for the NMOs iii. Goal: To promote the collaboration between NEOs and reduce the number of unused AFs by the NMOs 3. Ease the Application Process a. Such as the Contact Information Sheet, do a similar document with the Special requirements of the Exchange Conditions of each NMO b. Goal: To avoid returned AFs by other NMOs, by knowing the special documents needed for an exchange in advance, students can prepare themselves better and do things on time 4. Fair Outgoing Selection Process a. Share, based on the MM17 report, the best examples of student’s selection process, to give ideas for the NMOs in general b. 101 Manual of how to do a fair outgoing selection process i. NEO Buddy System- important for New SCOPE Active NMOs c. Goal: Make sure all of the students have the same opportunities to go for an exchange

ACCESSIBILITY We want to follow the Strategic Plan of SCOPE, by giving the NEOs an Objective overview of their exchanges and at the same time, measure the impact of them on the students. We know that a lot has done in this area, so a lot of the work will be improve what has already done.

Strategic Goals - Sustainability of Exchanges a. Handover i. Make sure that all of the NEOs are prepared once they get to their position ii. Easy to Follow guide – ‘Ikea Receipts List“ iii. Do a short most frequently asked questions list for the NEO position iv. NEO Folder 1. Share with the NEOs a table of contents of all of the documents available in the folder 2. Goal: Make sure that the new NEOs now the importance about it and all of the documents that it has v. Goal: To improve the workload of NEOs, by giving them a precise guide on how to do their work without being overwhelmed from the beginning vi. Goal: To make sure all of the NMOs, have a fair handover process, that will aloud the NEOs to work productively from the beginning b. Finances i. Develop a toolkit/manual in collaboration with the Small Working Group on Finances and experienced NMOs, with a guide that will give them ideas to the new and younger NMOs on how to fundraise and make a budget ii. Provide webinars and trainings in the RMs and GAs with the help of other organizations such as AISEC iii. Goal: To work intercultural between NMOs to improve the sustainability of our exchanges and work on external collaboration with other students organizations

Impact Meassurement 1. Ask NEOs, through a report, the actual situation of each of their NMOs a. The first will be done at the beginning of our term i. It will help us determine the Strengths and Limitations


b. The two that will continue, will be done before the General Assemblies, through the same NEO report i. We will be able to see if there have been improvements or not in their NMOs ii. Will help the whole SCOPE IT and the RAs to know the things that they have to work on c. Goal: To make sure that we will help NEOs improve their exchanges, by a most personalize way through the help of the whole SCOPE IT

Database a. Determine the most common problems and search for solutions by talking directly with the company b. Small database form, the one that will be filled each time that there is a problem i. Goal: To help the General Assistants with the work, by asking for all of the information necessary to fix the problems ii. Goal: To create institutional memory so later of the term we can talk to the company about the most frequent problems

Managing of Work The experienced I’ve had in SCOPE, has let me understand that everything revolved around a good team. I believe that our exchanges have become so great and recognized because of all of the work of hundreds of National Officers and thousands of Local Officers. That is why, I believe that the most important feature in a Director, should be a leader. A leader, that will be able to work both Internationally with SCOPE IT and NEOs and help their NEOs work Locally with their LEOs. I understand that the position of Director has a great amount of work overload, that is why I will leave med school for a semester, to make sure that all of my focus and work will be given to IFMSA and the SCOPE committee.

SCOPE International Team 1. Involve the International Team on the Annual Working plan, hearing to their suggestions and new ideas 2. Work with the Regional Assistants and the General Assistant, by helping them create a personal plan of action based on the Annual Working Plan. 3. Prepare both RAs and GA for the General Assemblies, working together, so we will do great at the event 4. Promote PRETs and TNETs through the Regional Assistants in all of the regions 5. I want to become a team with my SCOPE IT, being communication a key element

NEOs 1. Being always available and approachable to talk about doubts or problems that the NEOs may face through their term 2. Motivate NEOs through the Regional Assistants for International Events, such as Trainings, Regional Meetings or General Assemblies 3. Empower NEOs to work on the International Level, by joining Small Working Groups Opportunities and Webinars 4. Work with them to ease the work, by actualizing or creating new documents depending on their needs
