Motivation Letter “Life is a motivation, if you want to lead the pack, work harder than the pack.”
With the belief that life is a motivation and every day is a new challenge, with my belief that my motivation after 3 years of hard working in OSSS and my enthusiasm to contribute more have only increased, It’s with my utmost honor and pleasure that I submit my candidature for OSSS President, for the term 2016 – 2017. First, allow me to introduce myself, my name is Ahmed Mohamed Farid, I am a fourth year medical student at Faculty of Medicine, October 6 University. I am the current Secretary General & Treasurer of my local committee; OSSS. This candidature represents the culmination of a long, 3-year journey of dedication, passion, and love for the association, which I am honored to present and lead one of its most honorable members, with the optimism that it will gain your trust and faith in my capability to run it efficiently for the upcoming term. I am a medical student whose life has totally changed once I attended my first IFMSA-Egypt th General Assembly in IFMSA Egypt 5 Winter Camp, in February 2014, after being amazed by the unforgettable IFMSA SCORAngle experience that showed me that IFMSA is more than just an ordinary students’ activity and the best is yet to come. I still believe that my first GA will be the most unforgettable GA for me, where I have met medical students traveling from all over Egypt to participate in sessions, attend trainings and support their candidates in the elections during that GA. During this GA, my motivation to work within IFMSA was born leading me to explore and know more about the federation and the medical students who constitute such huge federation. Since then, led by my motivation and enthusiasm, having OSSS as my first priority, inspired by certain figures I have learned from, I worked tirelessly sparing no effort to achieve the best. And now, after leading my local committee and with my continuous motivation, enthusiasm and energy, I believe that I will contribute more to OSSS by serving as the president. So, that’s why I am still here, I believe that I have the experience, strategic leadership, project management, organizational development and handling professional staff. Being selected, I will ensure the sustainability of our assets; work on increasing and improving them. It is time to work smarter not harder, we have the potential to do so many things, but not at the same time. Prioritizing our energy and time means that what we do is done wholeheartedly.

It is also time to be strategic, having our strategic plan for the upcoming years made by the next team utilizing all available experience & motivation from all members where we will have to set up solid mechanisms to execute and evaluate our work since the first day. We will also have to asses our needs and seek if we need to reform any part of our structure, ensuring the best interaction between the standing committees and the proper proactive capacity building to get the best outcome of our work, in addition to evaluating the performance of our team. So, my decision to run for presidency, is based on my belief that I have all what it takes to serve the federation, having the experience, motivation, enthusiasm and vision. Preliminary Plan of Action
Allow me to summaries my preliminary plan of action through the term into a chart to be easily understood and to deliver the message required.
In the next few pages, I will describe in details each main topic and its sub-topic and what is the proposed methodology to reach the highest and the most efficient possible outcome.

§ Administrative Work o
Constitution & Bylaws: - I will make sure that OSSS Constitution & Bylaws are always comprehended and implemented in the most proper way all through term as well as following the bylaws during different activites and the plenaries during the Local General Assemblies.
o
OSSS Mission: - We have huge capacity and potential to do so many things at the same time, that’s why each year, OSSS has many activities. Unfortunately, this mission had been wrongly promoted the we are a charity organization more than a scientific one. I will work on empowering the incorporation of the scientific aspect in most of our activities. Enhancing the role of our currently established research team and working to make sure our frequently designed surveys and projects are following proper scientific standards. Through this term, I will work closely with the Team of Officials to evaluate all the activities and make sure that they are following OSSS mission delivering a comprehensive overview for global health issues to future physicians and to be in line with the anticipated goals.
o
Financial Management: - OSSS has faced many ups and dows regading its financial managment Having the opportunity to serve as OSSS treasurer for one term, will definitely be directly supporting the newly elected treasurer, will work hard to make sure of the proper handling of the financial support for OSSS activities to meet the mission and vision of our association. So working on improving its financial status, and during this term I will continue the collaboration with the Treasurer, VP and the Fundraising Team to increase our financial resources in order to provide more support to our activities.
o
Profiling & Reporting: - Since I have served the association as its Projects Support Division Director & Secretary General & Treasuer, I have been familliar with the profiling and reporting system through their different aspects, We have to improve our profiling and reporting system that will reflect a great image to our externals and other local and national affliations, so during the next term, I will work closely with the Secretary General to improve it more in order to place OSSS within the most professional organization as it deserves.
o
Quality Assurance: - A continuous feedback and evaluation system will ensure the quality of work done within OSSS by the team of Officials, the teams and the local coordinators. Ensuring the mechanism of evaluation and reporting to provide to the members and the participants a fuirtfull sessions fulfilling OSSS’s mission and vision.
o
Exchange Programs: - I plan to work closely with the exchange team to ensure the quality of our exchanges both the outgoing and incoming divisions. I also plan to work with both the exchange team and the VP to get sponsorship and external partners that will enable us to improve the quality of our hosting facilities and participation in the national weekends.

§ Internal Affairs o
Capacity Building: - OSSS Man Power / Human Resources is the key for a better association we are dreaming about and as the quality of our federations’ outcome depends mainly on how skilled of its members so we have to build a skilled, qualified, representative members. So I am planning to give the capacity building enough time and effort to guarantee a second and third line of experienced officers for a sustainable and long term strategy plan. In order to overcome the transition that happens sometimes when it comes from a generation to another. I will do this through; developing capacity building strategies for the assocoaition that shall be monitored and evaluated regularly to ensure its quality. These strategies will be according to the needs of each members’ filled application and I will follow up on its implementation with the Training Director & the Vice President.
o
Recruitment & Equity: - OSSS represents all medical student in O6U and in order to ensure that, I will work on implementing regular based recruitment campaigns online and physically. This will be planned during the begining of each semster and organized with all Team of Officials. I will also make sure of the availability of orientation materials in addition to social media campaigns and presentations orienting members about the triangular based structure of IFMSA, IFMSA-Egypt & OSSS; giving to the member the efficient amout of information needed.
o
Meetings & Camps: - Ensuring that members coming to participate in the standing committees sessions and attend trainings to improve their skills and to define their personal abilities. So, I will make sure that the meetings are well organized to make sure that all participants are getting the highest benefits and ensure the quality of the sessions and the trainings with the relevant officials.
o
Monitoring & Evaluation, SWOT Analysis, Needs Assessment & Reform: - I will continue the evaluation system of all the structure of OSSS, evaluating the performance of the Team of Officials, the managment teams, the local coordinatoors, the support divisions, the projects and the whole structure of OSSS. Also performing SWOT analysis and needs assessment and looking into the possibility of a structure reform based on the outcomes of the above mentioned processes.
o
OSSS Strategic Planning: - Working trielessly for the past 4 years in the association helped me to visualize the importance of creating a strategic long-term plan of action to maintain our development steddy and progressing forward. Different Team of Officials with different goals and aims made the scattered view we see today, but what about uniting our goals, our aims and our objectives, updating our vision and mission according to needs and aspirations during the next years. This strategic plan should be well communicated and promoted with including each standing committee perspective. This strategic plan can help the Team of Officials during next years to create their annual working plans and identify their priorities and expectation of the members as the beginning of the term.

Members Involvement: - I will work on increasing the involvement of all members within all the decision-making process in OSSS General Assemblies and keeping them updated with all the ongoing actions. Regarding the invovlement of members to the national & international level, I will spare no effort to provide assistance as much needed to the capable members who are to well-represent the association, I’ll act as support, aid and link channel to provide all help needed for the members.
o
Standing Committees and Evaluation of Activities & Impact: - I will work closely with the Local Officers to make sure that all the activities are following our mission and in line with the anticipated goals, and at the same time prioritizing our activities in order to cause a real impact instead of dividing our resources and capacities in different directions causing less total impact. I will also encourage the collaboration and interaction between standing committees through conjoint sessions and projects, to decrease the total cost and benefit from the doubled outcomes.
o
Managment Teams: - Re-evaluation and reforming to get the best outcome of managment, as some of them have been facing problems through the last terms. I will work on improving and provide support to the managment teams through out the help of profesional and specialized trainers in specific field to level up the knowledge and the resources needed to empower different managment teams.
o
Research: - Seeing how much important the research system is during the last term, I have build a complete overview of a stable Research division which will be a main priority within OSSS and we will work on training our members on research and implementing research within all our activities.

§ External Affairs o
External Representation: - A good external representation necessitates a clear identification of the potential partner organizations who share the same fields of interest with the association and maintaining the contact with them. Getting to identify those organizations and share with them our updates and profile that include information regarding our board, activates, and accomplishment which will definitely boost our impact as a students’ organization. So I will be working with all the team of officials to build and strengthen our network of externals and constantly update them with our accomplishments. I will focus mainly on agencies and other NGOs who share the same fields of work especially benefit from last year collaboration with some Students’ activities in O6U.
o
OSSS Branding, Marketing & Public Relations: - After launching our new website, I will make sure we maintain the best online representation in addition to widening our externals network. I will also work on empowering the public relations team with collaboration with the VP.
o
OSSS Alumni & Extensive Experiences: - I will continue to work closely with the Vice President to develop close contact to OSSS Alumni, former team of officials & extensive experiences to ensure continuous contact and getting them always involved.

IFMSA-Egypt National General Assemblies Meetings: - As a head of delegation, I will ensure the best representation of OSSS within IFMSA-Egypt meetings, througlthy the mentioned mechanism before on capacity buidling to the members to well prepared and to develop and statitical SWOT evalution after the meetings.
o
Opportunities: - I will continue sharing the opportunities with all members to ensure their national / international exposure and to ensure the smooth access of medical students to opportunities that will improve their skills.
o
October 6 University: - Throught the past 5 years OSSS has reached a great milestone being the only medical students’ represtation in October 6 University and I think It’s time to develop long term strategies and partnerships with the University’s office, building this mutual trust and cooperation have given us the best representation granteed from the Faculty’s office and also from the University’s Office. So I will spare no effort in maintainning this collaboration and to requess access to different needs that will develop our association.. I will continuously work to build bridges with October 6 University as students’ organization that represents different sections of motivated active students.

§ Team of Officials o Ensuring the best Communication within the TO. o Allocation of Tasks. o Support, Motivation & Empowerment to all TO members. o Team of Officials Meetings being held regularly to discuss all plans and ensure regular reporting. o Evaluation & Monitoring: - I will work with the TO to produce a detailed timelined plan of action that will be regularly updated with the progress made by the TO to be easily tracked by Executive Board Members. It is essential to develop a mechanism and identify clear key success indicators to evaluate the team of officials work throughout the term. This can be also done through the feedback system to guarantee quality assurance and sustainable performance of team of officials throughout the term.
