It’s Natural that the 84th South Central Regional Conference will provide incredible opportunities for growth and development, interactive workshops and forums, powerhouse speakers, sisterly networking, not to mention the celebration, recognition, election and plenty of inspiration as you continue Launching New Dimensions of Service. In addition to the scenic beauty of The Natural State, you’ll find challenging golf courses, historic sites, world-class museums, natural springs, amazing festivals and the world’s only public diamond mine! The capitol city is home to a thriving New South culture that offers a vibrant nightlife, bigtime entertainment, world-class attractions and a booming dining scene with the best Arkansas restaurants serving up dishes from all over the globe--there’s nothing little about Little Rock…. and there will be something for everyone to enjoy including the Honey Do’s and our Honey Don’ts.

As you review the conference registration package, please don’t overlook the changes to the conference itinerary for some of our traditional conference events and you can never discount the possibility of a Sensational Surprise for all to enjoy. Please note all the requested deadlines as due to anticipated demand and a few space limitations, some conference experiences may sell out. You have traveled from far and near to participate in the wonderful activities planned in Arkansas’s capitol of Little Rock. Under the leadership of South Central Regional Director, Soror Chelle Luper Wilson, South Central Region chapters are creatively implementing Launching New Dimensions of Service with great energy and excitement. During this conference, we encourage all sorors to participate fully by taking advantage of the training that has been made available to us to ensure that our chapters have a successful program year. Also, please pay particular attention to the International Finance, Nominating and Constitution presentations in this crucial Boule year. Being fully engaged Regional Conference attendees will prepare us to effectively run our chapters, and help develop us as leaders within our sisterhood and respective communities. Most importantly, at this 84th South Central Regional Conference, we will have an opportunity to fellowship with Sorors we have not seen in a while, and will celebrate chapter and individual Sorors’ accomplishments. Special thank you to Regional Director, Soror Chelle Luper Wilson, conference host chapters of the Arkansas Cluster, Conference General Chairman Cora Davis, and Conference Co-Chairmen Tjuana Byrd and Jasmine Gregory. Their tireless efforts will ensure a successful conference for everyone to enjoy. January 13, 2016 Greetings Sorors of the Sensational South Central Region! On behalf of the Amazing Arkansas Cluster of Alpha Kappa Alpha Sorority, Inc., it is with great pleasure that we welcome you to our 84th South Central Regional Conference here in the Natural State. A state -- home to an untold number of diamond mines -- that naturally reflects the brilliant treasure of leaders in our great Sorority, where we will celebrate “Diamond Dimensions of Sisterhood and Service.” Arkansas, a state that embraces its rich history from Little Rock Central High School to the Clinton Presidential Center, as well as celebrates its diverse, vibrant and exciting future. Arkansas, where the Cluster concept was envisioned in 1969. Arkansas, home to two regional Directors. Arkansas, a jewel in the South Central Region’s crown and Arkansas, a state where sorors “step up” to provide leadership and fellowship –it’s natural.

In this year 2016, here in Little Rock, we invite everyone in pink and green to shine like a diamond and light up the Riverwalk as our awesome journey continues. As General Chairman, I am truly grateful for all of the hard work and dedication that the Co Chairmen and the entire Planning Committee have rendered to ensure the success of this conference. Be prepared to learn; be engaged, challenged, excited, and inspired during our weekend in Little Rock. As we prepare to say farewell to our Sensational South Central Regional Director, Soror Chelle Luper Wilson, who has shined brightly like a diamond during her four years of leadership and who has led us to new heights, let us use this time to celebrate our accomplishments and prepare ourselves to continue to “step up” to lead and serve by taking advantage of the certification classes, workshops and fellowship opportunities. “Coming together is a beginning. Keeping together is progress. Working together is success.” – Henry Ford. January 13, 2016 Dear Sorors of the Sensational South Central Region: I am anxiously awaiting your arrival at the 84th South Central Regional Conference in Arkansas—the Natural State, where you can find clear lakes, free-flowing streams, magnificent rivers meandering bayous, delta bottomlands, forested mountains, abundant fish and wildlife, and even diamonds at the only public diamond mine in the world. These serve as perfect inspiration for our theme, “Diamond Dimensions of Sisterhood and Service—It’s Natural” Come early or stay late and explore more of what Arkansas has to offer. Congratulations to our South Central Regional Director, Soror Chelle Luper Wilson on her final Regional Conference. We are excited that you will be right here in Little Rock surrounded not only by sorors, but also by family and friends in Dr. Wilson’s hometown as you convene your last conference. As the home of the 13th South Central Regional Director, Soror Mary Louise Williams and the 19th South Central Regional Director, Soror Carmelita Smith, the Arkansas Cluster history is rich, and our leadership legacy is well established. Meeting: south central will celebrate legendary men and women whose stellar service moved their communities & our country to diamond dimensions! Held on Thursday, apr 28 at 8:00PM, the public meeting replaces the public luncheon and is open to the public.

Think HBCU Pep Rally: the energy will be high and anticipation off the charts on Friday afternoon as we rally to support our beloved HBCUs. With music, challenges, & more there will be many chances to show your school spirit and continue to think hbcu!

Arkansas attractions are as diverse as the landscape in the natural state.. from African-American history, arts and culture, nature, sports, urban outdoor adventure, a Presidential library and everything in between.

Workout on the water: start the day at riverfront park with Piloxing, Zumba, yoga, cardio dance and other workouts led by certified soror trainers on Friday and Saturday mornings.

What is the Graduate Advisors’ Certification? •

LEVEL I – an introductory training for candidates for Graduate Advisor, Graduate Advisory Committee Members, sorors in chapter leadership positions who have never been certified and sorors who have allowed their certification to expire (certifications expire after three years on December 31). LEVEL II – an intermediate training for candidates for Graduate Advisor, Graduate Advisory Committee Members and sorors in chapter leadership positions who are seeking to recertify within the effective period of their certification.

The postmark deadline for submitting documentation and fees for any 2016 Regional Conference is February 1, 2016. The postmark deadline for submitting documentation and fees for the 2016 Boule is April 4, 2016.

Additional Information • •

Sorors must be registered for the conference at which the Graduate Advisors’ Certification Training is to be received. Certification and recertification expire after three years on December 31; you must be recertified prior to your expiration. Sorors who fail to recertify prior to her expiration will have to complete Level I training. If a soror cannot attend the certification training on the dates/location originally indicated on her application, she may request to transfer her registration to a subsequent Regional Conference (at the discretion of the Regional Directors) or Leadership Seminar provided it is for 2015. A soror must submit a request for transfer in writing or by email within six weeks prior to the original conference date. Requests should be submitted to International Graduate Advisors’ Certification Training Committee, c/o Elaine Singh Post Office Box 469, Glenwood, IL 60425. This workshop will focus on the role and responsibly of the chapter and the individual soror in the archiving process. WK02: Launching New Dimension of Connection: Being the Voice through Voter Education Registration Mobilization and Participation A workshop to assist Chapters in developing Connection Plans that will galvanize membership to become a united force for change at the local, state and federal levels through Alpha Kappa Alpha’s Voter Awareness Program, “Be The VOICE”. Learn strategies to increase African American voter participation. Hear best practices from Chapter Connection Chairmen through peer/chapter exchange. Audience: Chapter Connection Chairmen and/or sorors serving on the Chapter Connection Committee WK03: Launching New Dimensions in Chapter Bylaws This workshop will discuss the content and composition of bylaws and the process for amendment of chapter bylaws. WK04: Financial Workshop 101: Managing Chapter Financial Operations using Financial Fundamentals This workshop is designed for all chapter financial officers; and it will review financial fundamentals required for effective chapter financial operations. This interactive workshop will cover the responsibilities of the financial officers and how to be efficient in the planning, handling, and reporting of chapter's finances. Workshop includes information on budget development, auditing, and recommended internal controls. Each soror plays a critical role in ensuring the sorority creates and maintains a culture that encourages lifelong active membership. The movie script will feature the roles and responsibilities of the undergraduate Membership Chairman, Basileus, resource committees and the Graduate Advisor during MIP, the Alpha Kappa Alpha Mentoring Program, strengthening the graduate-undergraduate relationship and membership best practices. Audience: Undergraduate sorors and Graduate Advisors WK07: Launching into Orbit! Year Two of LNDS This workshop is designed for program chairmen and program committee members. Chapter implementation tactics regarding each program target, including the ASCEND signature program, will be discussed including, but not limited to, goals, objectives, chapter activities and partnerships. We will review, discuss and share best practices realized by chapters during the first year of “Launching New Dimensions of Service” and review program reporting expectations. This interactive workshop is designed to broaden the understanding of chapter operations and expectations of every member for a stress-free chapter assessment and evaluation. WK10: Family Feud: Sorority Addition Workshop America’s favorite television show, Family Feud, with a splash of sorority life with our star hostess; and your very own South Central Region Representative and undergraduate members on the Directorate. This workshop will allow Graduate Advisors/Council and undergraduate sorors a chance to test their knowledge on various topics such as sports, fashion, social media, and AKA. The goal of this workshop is to create a fun and exciting environment for graduates and undergrads learn more about our generational differences while building sisterly relationships with one another. WK11: The Alpha Kappa Alpha Brand 2.0 Building on the “The Alpha Kappa Alpha Brand” workshop, this workshop will help sorors understand how to effectively preserve and grow the Alpha Kappa Alpha brand within and outside of the Sorority. • Strategies and tips for using the Alpha Kappa Alpha brand to promote chapter and Regional activities. • Best practices on how to appropriately represent the Alpha Kappa Alpha brand personally and professionally; within and outside of the Sorority. REGIONAL CONFERENCE WORKSHOPS (CONT’D) WK12: Poised and Polished…Launching New Dimensions of Protocol I Every soror should be knowledgeable about our sorority protocol. This workshop provides an overview of general protocol guidelines, procedures and practices of Alpha Kappa Alpha Sorority, Incorporated®. The content will give sorors a thorough review of the Soror Code of Ethics, appropriate attire for Rituals/AKA events, chapter decorum, gifts and courtesies, correct titles, and terminology. All attendees should bring a copy of The Official Guide to Alpha Kappa Alpha Protocol 2015. Audience: All Sorors WK13: Protecting our AKA Homeland from Risk Risk is not just about hazing. This workshop will provide sorors with tips and strategies to manage and balance risk encountered by chapters. Sorors will analyze areas vulnerable to risk in chapter operations and programs. This analysis will include an interactive examination of reputational risk, operational risk, events and fundraising risk as well as financial risk. Objectives: 1. Identify risk factors that can impact chapter operations and programs 2. Understand balancing risks 3. Provide risk mitigation strategies Audience: Graduate sorors FR01: Launching New Dimensions in Finance Proposed 2017 & 2018 budgets that will be voted on at the 2016 Boule in Atlanta will be discussed. REGIONAL CONFERENCE WORKSHOPS (CONT’D) WK14: Protocol Escorting Matters in Launching New Dimensions of Service The role of the protocol escorts is an integral part of successful Alpha Kappa Alpha Sorority, Incorporated® events. Sorors will be provided with the responsibilities of protocol escorting; the duties and tasks before and during the events will be explored. Additionally, sorors will receive information from VSGs, Former Directorate Members and sorors who have served as escorts giving them ‘real life’ situations. All attendees should bring a copy of The Official Guide to Alpha Kappa Alpha Protocol 2015. Audience: All Sorors WK15: Protecting Our Legacy Protecting Our Pearls: An Honest Conversation About Hazing This workshop is designed to foster interaction and discussion about the foundation of Alpha Kappa Alpha “to cultivate and encourage high scholastic and ethical standards.” Through case studies, sorors will examine the importance of seeing hazing as more than just the incident. It is about beliefs, environment and behaviors. Objectives: 1. Identify the values of Alpha Kappa Alpha Sorority 2. Understand the definition of hazing 3. Increase awareness that hazing has no place and no purpose in the sorority 4. Understand the ramifications of hazing 5. Understand responsibility at every level Audience: Undergraduates sorors WK16: Let's Do It Right Do the Right Thing Elegant, meaningful, sacred, a celebration of Alpha Kappa Alpha! Sorors will be reminded of the importance of each of our revered Rituals and how to "Do Them Right". We will explore the beauty and meaning behind each ceremony that bind us together as sisters focusing on our most requested ceremonies. We will also provide an update to the Newly Revised Rituals Handbook. Audience: Rituals Chairmen, Rituals Committee Members, and Chapter Basileus WK17: Just Like A Sista: The C.U.R.E. for Discord In this sisterly relations workshop, undergraduate and graduate sorors come together to receive a prescription that strengthens sisterly relations. This C.U.R.E. will keep us in harmony when we are in discord. In this interactive and engaging workshop, sorors learn how to better Communicate and Understand each other so we can harmoniously work together. Sorors will nurture our ivy as they recognize, Respect and Embrace the values embodied in our Soror Code of Ethics. Audience: All Sorors are welcome WK18: Strategic Planning: Execute and Evaluate for Success Plan! Execute! Evaluate! The three TOGETHER equate SUCCESS! The chapter’s strategic plan is the roadmap that defines where the chapter is, where it wants to be and how it will get to its destination. This workshop will define the next steps in the strategic planning process after the plan has been developed and will provide helpful tools to execute and evaluate outcomes and provide feedback to the chapter’s members. Audience: Chapter Strategic Planning committee chairmen or members of the committee, chapters Standards committee chairman or members of the committee WK19: New Dimensions of Philanthropy This workshop will focus on ways in which donors, members and chapters can support the Alpha Kappa Alpha Educational Advancement Foundation, Inc.’s (“EAF”) mission of promoting lifelong learning. Attendees will become “Pilots” of EAF’s launch to New Dimensions of Educational Excellence by effectively and knowledgeably representing EAF at the Chapter, Cluster and Regional levels. INDIVIDUAL REGISTRATION • • • • • • • • •

One online form for each soror, child, and guest attending the conference should be submitted. Only registered, financial sorors may participate in conference activities. Neither financial nor non-financial sorors may be guests of registered financial sorors at the conference. Registration materials and forms are available for download via the South Central Region website. Registration may be paid with Visa, MasterCard, American Express, Discover credit cards or debit cards with the MasterCard or Visa logo. We will not accept mailed payments for individual registrations. Registration confirmations will be sent via E-mail. Please provide an e-mail address where indicated. Once your registration has been submitted, very limited modifications will be allowed. Adding activities to your existing registration can be done before March 15, 2016 We encourage you to take your time so that your registration is submitted as accurately as possible. Group/Chapter Registration will be available online. Payments can be made via credit card, debit card, Chapter Check, Cashier’s Check or Money Order. Group registrations are not considered CONFIRMED until payment is received and applied to the group registration record. Only the authorized chapter officer who remitted the Group Registration will receive the registration confirmation for the group. All chapter checks, cashier checks and money orders should be made payable to: “Alpha Kappa Alpha South Central Region”

CHAPTER FORMS • • • •

Governance-based Chapter forms cannot be processed online. Chapter forms are located in this Registration Booklet. All completed forms must be mailed to the appropriate parties by the noted deadlines. Registration confirmations will be sent via E-mail or US mail.

LATE REGISTRATION • Late registration will be assessed a late fee of $50.00 for sorors and $25.00 for guests. • Late fees apply to graduate and undergraduate members as well as guests.


REGISTRATION INSTRUCTIONS (CONT’D) REFUNDS • Refund requests must be submitted in writing only to the Regional Tamiouchos and postmarked by March 15, 2016. Requests postmarked after this date will be approved on an individual basis. Refunds will be considered and processed after the conference bills have been paid. A processing fee of $35 will be assessed and deducted from the refund amount. • All refund requests should include your contact information, address to send refund, and documentation supporting your request as needed. • If a refund has been requested through your credit card company, then please notify the Conference Pecunious Grammateus. • There will be no refunds on meal functions after March 1, 2016 • There will be no on-site refunds. • All refunds will be issued via South Central Region check.

KITS, MERCHANDISE AND CERTIFICATES • Kits will be reserved for pre-registered sorors. Kits are not guaranteed for late registrations. • Conference merchandise will not be exchanged onsite. • A registered soror unable to attend the conference may request the Chapter Basileus or Graduate Advisor (Undergraduate Chapter Only) to pick-up her registration packet. The following information will be required upon registration check-in: • A signed letter from the absent Soror, giving permission to release her packet • The Soror picking up the packet will be required to present her financial card and sign a confirmation letter. • Only the Chapter Basileus will be allowed to sign for an absent Soror’s packet if she does not send a letter. • Registration materials and souvenirs will not be mailed.

SUBSTITUTE REGISTRATION • A soror may substitute for another soror by submitting a written request signed by the original soror, designating the name of the substitute soror and signed by the Chapter Basileus. This document must be presented to the Registration Committee Chairman or her Registration Committee Designee upon arrival at the conference. • Substitution for a graduate delegate with a pre-approved alternate requires a written request from the Graduate Chapter Basileus or the Undergraduate Chapter Basileus and Graduate Advisor.

SEATING AT MEAL EVENTS • Golden Sorors and other special guests will have reserved seating at the front of the room for each meal function. • Seating at meal functions for other sorors and guests will be on a first-come, first-served basis, except for the Closing Gala which is based on time of registration.

ONSITE CHECK-IN/REGISTRATION EXPERIENCE WHEN YOU ARRIVE To check-in and receive your registration materials, you will need the following:

OFFICIAL DELEGATE AND ALTERNATE INSTRUCTIONS List the names of your chapter delegates and alternates to the 84th South Central Regional Conference on the Official Delegate Registration Form. The Chapter Basileus, prior to registration, must certify all delegates and alternates for the Conference. Any changes in the list of official delegates must be mailed to the Regional Director postmarked on or before Tuesday, March 1, 2016, or submitted to the Conference Registration Chairman, Soror Marguerite Flannigan, by 12 Noon, Friday, April 29, 2016, during the conference.

In either case, the only person authorized to change delegates or alternates is the Chapter Basileus and the change must bear her signature. For undergraduate chapters, the Graduate Advisor is authorized to change delegates or alternates.

Please complete and mail the Official Delegate Registration Form to the Regional Director. This mail must be postmarked on or before Tuesday, March 1, 2016. Any Official Delegate Registration Forms postmarked after this date will result in the delegates not being certified to vote at the Regional Conference. NO EXCEPTIONS.

UNDERGRADUATE/GRADUATE EAF AKAPOLLO TALENT SHOW General Information: All Chapters must be in good standing with the Sorority and financial at all levels to register to participate in the Step/Talent Show Competition. All members of the step team and individual participants must be registered participants of the conference and have paid their EAF dues for 2015. All participants must purchase an AKApollo ticket. Required Documents for Team/Individual Participants to Submit: 1. A completed and signed EAF AKApollo Talent Show registration form; and 2. Payment of a $25 non-refundable chapter registration fee for undergraduate participants and payment of $50 registration fee for graduate chapters. Please mail payment to Soror Linda Reed Regional Tamiouchos, 2015 Overview Ln, Garland, TX 75044-7301. The deadline for the application and payment must be postmarked by March 1, 2016. Authorization Rules: 1. If you are an Undergraduate Chapter, you must obtain approval from your Graduate Advisor and the Regional Director before you proceed with performing for AKApollo. 2. Graduate Chapters wishing to compete in the Stepping Category must meet the criteria as listed in Graduate Guidelines for Stepping, submit the Authorization To Step Request Form, and receive approval from the Regional Director before their participation is confirmed.

Performance Rules and Regulations: 1. Step team performances may not exceed 6 minutes. A one point deduction for every second over time will be taken. Performers will automatically be disqualified at 7 Minutes (time starts once movement or music begins, including skits or dancing). An official time keeper will be present. The 6 minutes does not include your set up and breakdown time. 2. Talent performances may not exceed 3 minutes. A one point deduction for every second over time will be taken. Performers will automatically be disqualified at 4 minutes (time starts once movement or music begins, including skits or dancing). An official time keeper will be present. The 3 minutes does not include your set up and breakdown time. 3. The Judges Coordinator will oversee the fairness of the competition between all participants. Judges will be WELL informed of the IMPORTANCE of their role, so NO MISTAKES are made.

UNDERGRADUATE/GRADUATE EAF AKAPOLLO TALENT SHOW (CONT’D) 4. All music must be on one labeled CD. There must be an assigned person to assist the DJ during your team’s performance. They should be included in the group’s total participant number. CD’s will be checked with the DJ during your stage time. However, you are asked to keep your own CD until your performance. PLEASE BURN YOUR MUSIC ON A CD-R as well as on a USB. Please bring multiple copies of your music. The DJ is not responsible for music that is not properly recorded. 5. Only the number of members reported, will be admitted with the team. Groups/teams will be counted upon arrival and are strongly encouraged to arrive together. Show order will be predetermined. 6. The use of profanity, sexually explicit material or distasteful conduct will result in disqualification. 7. Organizational pride and respect for affiliate National Pan-Hellenic Council organizations must be exhibited. Any malicious intent or slander of another National Pan-Hellenic Council organization will result in immediate disqualification. 8. Pyrotechnics or any types of special effects that are a fire hazard or weapons are prohibited. Special equipment needs should be e-mailed to Soror Laura Martin at lmartin1908@gmail.com no later than April 3, 2016. No tickets will be sold after registration. All tickets must be pre-purchased!
