Welcome to MentorNet The North West Mentoring Scheme would like to welcome you to our bespoke online platform which facilitates the matching of mentors and mentees. MentorNet has been designed to enhance the quality of the service you receive and provide an easier, more effective way of managing your mentoring relationships. For the scheme, MentorNet allows for the documentation and reporting on those mentoring relationships registered through us.

When you register with the North West mentoring Scheme you will be given access to MentorNet via a unique username and password. How to Log in to MentorNet Once you have completed your registration form to the mentoring scheme, your application is processed by the mentoring team: If you are a mentor, you will be sent your log in for MentorNet upon completion of the mentor development training. If you are a mentee, you will be sent your log in for MentorNet when a member of the team has approved your application. Once you receive your log in details, you can access MentorNet via the North West Mentoring Scheme website at www.nwmentoring.nhs.uk and select the MentorNet tab. You might like to make a note of your username and password here for reference: username:

If you experience any problems logging in, please use the password reminder facility that is below the log in box and you will immediately be sent a new password direct to your inbox.

Using MentorNet as both a mentor and mentee If you are registered as a mentor and a mentee, you will see the 'mentor view' by default when you initially log in. A link in the top header will allow you to 'switch to mentee view' and 'switch to mentor view' as required. If you are registered as a mentor only, but would also like access as a mentee (or vice versa), navigate to the 'My profile' tab on your home screen, and click the link near the top of the page to make your application. Your application will be subject to approval by an administrator, and you will receive notification when your application has been approved or declined. Page | 4


Mentor View Managing Mentoring Relationships:

Always keep your profile updated.

If you are already a mentee on the Scheme you will have one log in and can switch from mentor to mentee view easily.

Once you have logged in to MentorNet you will be taken to your home screen, which summarises your various mentoring commitments and prospects, and offers tab links to 'My profile' and 'Resources' (see above). Please complete as much information in your profile as you can around your approach to mentoring and your experience as a mentor. This information will be displayed to potential mentees and may help them to decide if you are the right mentor for them. Your mentoring relationship records are categorised into current mentees, new requests, and waiting list. Each of these is represented by a tab at the top of the page, and the tab also indicates the number of entries in each category, for ease of reference. From the 'My mentoring' tab on your home screen, you can initiate actions appropriate to the category of mentoring relationship. A relationship record contains all of the key information used to document and report on your relationship with a mentor, and updating a relationship is a key part of the functionality of MentorNet. Any mentees requesting your support will be listed here.

For current relationships, you can click 'View/update relationship' to manage that relationship record. Mentoring Requests: Mentoring requests awaiting a response are listed under the 'My new requests' tab. By clicking on the 'Review' link you can view a summary of the mentee who has made the request, and then choose to approve the request and begin a mentoring relationship, move the request to your waiting list, or decline the request. In any case the mentee will be e-mailed to inform them of your decision. If more than 30 days have passed since your request was made, an option will be provided to send a reminder to the mentor. Alternatively you can cancel your application at any time. Closing a relationship: Only a mentor may close a relationship, although as a mentee you may update the expected end date for reference. After completion of a mentoring relationship, you will be asked to assign an overall score to the relationship, for reporting purposes, and you will be given the opportunity to provide closing comments. Once a mentoring relationship is completed, it is shown under 'Past mentoring' on your home screen. You can click 'View details' to view a summary of the relationship including any sessions, documents or notes which were saved/shared throughout the period of the relationship. Page | 6


Access your mentee profile from your mentor profile:

Already registered but want to be a mentee too?

If you currently have a mentee that is outside of the Scheme but you would like to make it a formal mentoring relationship, please ask your mentee to get in touch with us, or register with the Scheme via the website. They will be able to find you and then you can both use this great system to manage your mentoring.

Mentee View Managing Mentoring Relationships:

Always keep your profile up to date as this is what helps you search for a mentor.

Search for a mentor! You current mentors will be stated here. All requests you send will be stated here.

Once registered and logged in, you will be taken to your home screen, and the 'My mentoring' tab will be displayed by default. The 'search for a mentor now' button at the top of the page will take you directly to the search form, and below this is displayed a summary of all your current, past and pending mentoring relationships (if any). The two other tabs on this home screen are 'My profile' and 'Resources'. The 'Resources' tab contains general documents which are provided for the benefit of all mentees, while the 'My profile' tab displays a summary of your profile as it currently stands, and offers you the option to update it. Your profile contains all of the information that was provided during your initial registration, and is used to match you more efficiently to appropriate mentors, so it is important to keep this information up to date. You can also upload a photograph of yourself, or change the password that you use to access MentorNet. An 'Update your profile' link is also accessible in the banner at the top of the page whenever you are logged in. Searching for a mentor Back on the 'My mentoring' tab, click the 'search for a mentor now' button to begin your search for a mentor. The search form is structured along the same lines as your profile form, and is pre-populated with your existing profile information in order to make your search as quick and as accurate as possible. You may alter any of the search terms listed, but please note that doing so will only affect the results of your current search, and will not permanently update your profile. You can click the 'Next' buttons or click directly on the 'About you', 'Objectives' and 'Logistics' tabs to move through the search form. When you have finished setting your search criteria, ensure that you are viewing the final ('Logistics') tab, and click 'Search now'. Mentors who fully or partially match your search criteria will be listed on the screen, and they will be displayed in order of relevance for your convenience. If a mentor appears to be a potential match, click the 'view full details' link next to their name. A 'Mentor details' screen will appear, showing the mentor's full details and an option to request a mentoring relationship with that mentor. If you decide not to request mentoring from that mentor, you can return to the search results listing, start a new search, or click on the 'Home' link in the top banner to return to your home screen. When you request a mentoring relationship, your selected mentor is alerted by email, and when they next log into MentorNet they will be able to review your request and decide whether to accept you as a mentor, decline your request, or place you on their waiting list for mentoring. In any case you will be notified by e-mail when they have made their decision. In the meantime your request will be listed under 'Mentoring requests' on your home screen. An accepted mentoring request will be listed under 'Current mentoring'.

Already registered but would like to be a mentor?

If you would also like to become a mentor, please use the option under the My Profile tab to register as a mentor – no need to complete another application form!

Mentor and Mentee Functions Managing your mentoring: Arranging Session Dates: Arrange your meetings. Can be evidence towards your CPD. Please tick this box once your relationship has ended.

Upload any documents you might want to share with your mentee.

You may propose session dates/times for your next meeting; up to three dates/times may be proposed in any single update. Your mentoring partner will be prompted to review your proposed session dates/times and either accept them or reject them. Likewise, any sessions proposed by them will be displayed for you to accept or reject. Confirmed sessions may subsequently be cancelled by either mentor or mentee. Any proposed sessions whose dates pass without them being confirmed will be deemed by MentorNet to not have occurred. Please note that the session dates confirmed via this screen are used to calculate your total mentoring hours figure, which is recorded on an on-going basis and used for reporting by administrators.

Sharing Documents: You may upload documents or write notes relating to your mentoring relationship; for each document or note you may choose to share it with your mentoring partner or to keep it private and accessible only by yourself. Any documents or notes you have already uploaded will be listed on the screen, and you may change their shared/not shared status or delete them as required. Documents and notes shared by either mentor or mentee will also be listed, and you may view or download these as required. When you have finished using MentorNet, click the 'Logout' link in the top banner, or alternatively close all of your browser windows
