2012/13 Co-Op/Host Agency Guide
5 Compelling Reasons One
of the first issues that an agent must confront when starting their home based travel agency is whether to use a host agency or go independent. There are substantial benefits enjoyed by both paths and each individual must decide what is best for their business. Generally, agents newer to the travel business choose to go with a host agency or franchise option, while established agents tend to elect operating independently. However, this is constantly changing in today’s environment where technology and new distribution opportunities are evolving. There is not one right answer for agents who are considering this aspect of their agency, but there are several benefits to each route. To make matters even more confusing, some agents work with multiple host agencies, while others make a decision to work through a host agency for some transactions and to operate independently for others. As you can see, finding your way through the maze may require some free thinking on your part. Each individual business has its own unique challenges and opportunities and the right answer for you may be completely different than for anyone else. Following are 5 compelling reasons to consider each option and hopefully they will allow you to arrive at a suitable conclusion and objective.
Joanie Ogg is a 35+ year travel industry executive that has been recognized by all facets of the travel industry. Compelling Reasons to Use a Host Agency
1
Support and Community: I suspect that the number one benefit of working
through a host agency is that you have a built-in support network and a community of other agents also working through the host that you can connect and network with. Operating a home based travel agency can give one a feeling of isolation and by having a cadre of agents in a similar situation, it can really help eliminate the isolation factor. Also, having seasoned agents to draw from for their experience and knowledge is a great way to greatly improve your viability to your clients.
2 3 4 5
Operational Relief: Most new agents don’t understand the burden of accounting,
bookkeeping, filing, banking, managing finances and the myriad of operational duties that makes a one-person operation so challenging. Using a host agency that does most of the more complex operational tasks behind the scenes frees up the agent to sell more travel. Most host agencies will offer automation and a simplified operational interface with the agency. This benefit alone will make a huge potential impact on an agent’s productivity.
Commissions: Most host agencies gain overrides (extra commissions) based on
their network’s productivity with any given supplier. As an example, a host agency may earn 16% commission from a cruise line by virtue of the network’s productivity. Even on a 70/30 commission split an agent may make more working through a host than directly with a supplier at the normal 10% commission (16% x .70 = 11.2% commission). Since profit is the objective of every agency, this is a major consideration.
Consumer Technology and Leads: Many host agencies offer consumer websites that
are branded around the individual agent. The host keeps the content current, which leaves the agent more time to sell travel. Some host agencies offer consumer leads to their agents and this is an excellent solution for experienced agents that know how to close sales. Leads can become a very important aspect of a host / independent relationship.
Ease of Entry: Especially for newer agents, a host agency can make it possible
to start selling travel immediately. Since all aspects of the agency are fully developed, there is no need to spend time organizing an operation, contacting and negotiating promotional programs with suppliers, creating a website and other
Co-Op/Host Agency Guide 2012/13
51
2012/13 Co-Op/Host Agency Guide Compelling Reasons to Go Independent of a Host Agency such tasks that a host may provide you from day one. If you are newer to the industry and want to get started selling travel efficiently a host agency or franchise option may be your perfect solution.
Establish Your Brand: If you are specializing in a narrow niche of travel establish-
ing your brand and value proposition within the industry will help you create the relationships that are so necessary for your success. Suppliers of niche travel products are quite anxious to work with agents that specialize in their niche and will directly enable you to effectively sell their products. By working directly with these suppliers you can offer your clients a level of service that you may not have been able to accomplish working through a host agency.
2
Commission: By operating directly with suppliers you will not be splitting commis-
sions with a host agency. If you are specializing in a narrow niche, suppliers may offer extra commissions as an incentive to receive a disproportionate revenue share within your niche. Because of your specialization productivity overrides may be much easier to achieve because of the narrow focus of your business. While you may lose the advantage of a network’s revenue when it comes to overall commissions, you may gain exceptional commissions based on your own productivity.
3 4 5
Co-ops and Consortia: By operating independent of a host agency you may elect to join one of the industry Co-ops or consortia to gain both marketing support and higher commissions. Many host agencies depend on one of these groups for their higher commission levels that are split with their agents, but you may be able to join directly and retain the full commission. Grow Your Business: Once you have established your business it becomes quite
easy to then grow it in any number of directions. You can add independents of your own by acting as a host agency or add employees depending on what your needs become. By having existing supplier relationships it becomes realistic to think that by expanding your revenue with them, you may also expand your commission level and promotional support package, as well. This will all lead to greater profitability and success.
Control Your Business: By operating independently you have complete control
over your business and may change directions upon a moment’s notice. This plays an important role when world events affect the very nature of the travel industry. You have complete financial control over your business and may choose with whom you do business giving you an element of security in difficult financial times.

10 Reasons Why You Should Cruise of Travel Solo Traveling solo has its advantages Solo travel pushes the envelope for most people. We’re a “couples” society for the most part and those that hit the road by themselves are sometimes looked on as a bit odd. Or brave. Or adventurous. For me, the last two adjectives are the most accurate. Traveling solo doesn’t mean an all-night singles party and a singles’ cruise isn’t the same as cruising solo. Why I prefer to cruise or travel solo... Sherry Laskin Travel Writer/NACTA Webinar Moderator www.cruisemaven.com
I started traveling solo at the ripe old age of 12 when my dad pre-tipped the train attendent to look after me on a three-day trip aboard the Santa Fe Super Chief from Chicago to Phoenix. It must have left an indelible mark on my memory because I didn’t stop there. I’ve learned a lot about the joys of solo travel and I’d like to share this with you in hopes of giving you the confidence boost and enough great reasons to get you to cruise or travel solo. A few months ago I wrote about how to travel solo. Now here are my reasons why you should try it, even if only once. Warning…parts of this may be considered PG 13, oddly funny or totally hedonistic. We solo travelers tend to be that way.
8
10.
Do what you want, when you want. No more having a long, drawn out debate. You’ve dreamed about swimming with dolphins but your Significant Travel Companion (the STC) would rather squeeze into borrowed, too-small aqua shoes and hike the waterfalls. Someone usually has to acquiesce.
9.
Meet new people everywhere you go. One of the most revered memories I bring home after a trip are the people you meet along the way. But, if your STC isn’t outgoing or worse still…doesn’t like or feel the need to socialize with total strangers but you do, there goes a valuable opportunity to meet new, possibly life-long friends. You’ll be stuck. Best case scenario; you’ll both meet the same people, and you, being the social one, willl simply end up lugging a dead weight around with you for the duration of the trip. Solo travel, anyone?
8.
Get invited to join others. I’ve learned to request a table for one when I’m on a cruise. When I’ve asked for a table seating ten or the singles/solo table, I’ve still been seated with four newlywed couples. A table for one solves the problem very nicely. You’ll find that people at close-by tables kind of look at you with a quizzical eye as if to ask, “why is that person dining alone?”
November 2012
9 Be prepared because out of nowhere the maitre’d may come over and say that table so-and-so would like to know if you would join them for dinner. You can of course accept and suddenly have eight dinner companions that actually want you to join them. If this isn’t something you’d like to do on a nightly basis then this is the perfect opportunity to meet new people yet graciously mention that dinner is the time that you like to reflect on the day’s events or something like that. However, it’s important to note that I’ve met lasting friendships on several long cruises this way and I gladly learned to do my day’s writing at a different time so that we could meet for cocktails and dinner. The same can apply to shore excursions and on tour buses. Great way to meet people and you can see as much or as little of them as you’d like.
7. 6.
Sleep with the TV on all night. Or nap when you want without interruption. Need I say more. You choose the restaurants. One of my favorite memories is of wandering around Civitavecchia in search of a small restaurant for lunch. After passing by a Subway store and a couple of tourist joints, I found an out of the way cafe where for sure I was the only American in the place. Had I been with someone, we might have ended up at Subway or at a place mobbed with tourists. Bring your e-reader, smartphone or something to do should you find that you feel a bit self-conscience.
5.
Homestead without having to claim-jump. No more having to divvy up the drawers, negotiate the hangars, section the closet or create a mini-Maginot Line on the counter top. Hang up all of your clothes, if you wish. Line up your toiletries in the bathroom instead of always rummaging through your hanging tote kit. Totally unpack for the duration and not have to fold and stack half of your clothes on closet shelves.
4.
Take your time in the bathroom. Whatever you’re doing in there, take your time. Take a longer shower after a strenuous day exploring ancient ruins. You won’t have to worry about putting anyone out to
Co-Op/Host Agency Guide 2012/13
have to find a public bathroom either! (“Are you almost finished in there?”)
3.
The electric plugs are all yours. Two people traveling together usually means one laptop, two cameras, two phones and two phone chargers, maybe a tablet or e-reader and on and on. Usually there are only two or three available outlets to use to charge eight or nine devices. No more having to do rock, paper, scissors to see who gets to charge what electronic device first. They’re all yours!
2.
Look over all of your terrific stuff you’ve bought. You can display all of your shoreside purchases on the empty bed or sofa. Shopping for woolens in Norway? Maracas in Mexico? Italian leather in, well, Italy? It’s so much fun to unpack your treasures and set them out while you decide who will get what souvenir when you get home.
1.
And my number one, totally ridiculous reason to travel solo? You can build a zoo with your towel animals! If you haven’t cruised lately, the towel animals that your room attendent leaves on your bed at night are getting pretty fancy. At one time, the towel monkey on a hanger attached to a ceiling tile was considered extreme. Now there are elephants, ducks, manta rays and pigs with snouts. It’s actually fun to set up a display and take a photo of all of them on the last night of your cruise. And no one to say, “Oops! So that’s where my towel is!” and destroy the terrycloth critter. N.B. If you find yourself talking to any of these adorable yet inanimate creatures, maybe you’re just not cut out to be a solo traveler. Yes, I’ve gotten a little silly here with the towel animals, but only to emphasize my point. Solo travel, whether by choice or necessity, isn’t for everyone. I’ve known people who would rather fall off the earth than even sit in a restaurant by themselves let alone take an escorted tour or a cruise. But if you should ever try it, you’ll find that traveling solo instills confidence and will drag you out of your comfort zone. Solo travel imparts a sense of wonder and satisfaction in knowing that you could actually go it alone and have the most wonderful time ever.

NEST is the industry’s first and only marketing group dedicated solely to homebased travel agents. We exclusively embrace the home-based travel agency business model, focusing our efforts on helping entrepreneurs achieve greater success financially, professionally and personally by championing solutions just for them. NEST is a marketing company serving two primary clients: the home-based travel agent and the preferred travel supplier. Agencies join as members and book directly with suppliers (using their own CLIA, IATA True or ARC number), maintaining their agency ownership, commissions and client base. We’ve built a solid network of top-producing, home-based entrepreneurs. We’ve set the bar high and require certain levels of sales and a commitment to continued growth and profitability. NEST agencies must meet the following criteria: 1) homebased; 2) independently owned and operated; 3) registered to book directly with suppliers; and 4) generate a designated, minimum amount of preferred supplier sales. In return, they receive a full spectrum of marketing, sales, technology and operational support through a close-knit community. Special services for members: Retain your identity by booking directly with preferred cruise lines, tour operators, resorts, etc., and receive specially negotiated, higher commissions. We are not a host agency. We give NEST agents the ability to be more competitive with exclusive discounts, value-added amenities and group dates, as well as building their name and credibility with preferred suppliers. You can expand your marketing with turnkey direct mail and e-promos (JOURNEYS consumer travel magazine, and NESTDirect consumer direct mail program).Gain huge efficiencies with cruiseexpress (our direct-connect cruise booking engine that is your simple, single-source to make cruise bookings) and NESTHotels (our Web-based booking engine with an inventory of over 90,000 properties worldwide).Use our Extranet to connect with suppliers, other NEST agents, specials, and training schedules. Earn thousands of dollars extra with our NESTRewards program. You also have access to our Acclaim Meetings company to help you prosper in the meetings and incentives sector; and our Well-Being Travel to assist you in profiting in medical travel. Goals for members: We help leading home-based travel agencies achieve greater success financially, professionally and personally by championing solutions and opportunities exclusively for them. Travel Experts has grown slowly but surely over two decades, as its program is not a good fit for every agent. Conversely, the company is extremely selective in those agents it accepts. Travel Experts is owned 100 percent by Susan Ferrell. Her philosophy, and that of her management team and support staff, is that their Independent Contractors are their clients. The company views them in the same way that any business owner views his or her best client–making sure they provide what their clients need and thinking ahead to how to best serve them. Travel Experts understands that each agent is an entrepreneur, and the company is truly respectful of the business they have built. Above all, the Travel Experts team works to foster a relationship that will last for years. Travel Experts is a member of Virtuoso, ASTA Premium Member, CLIA and NACTA. Travel Experts has over 220 Independent Contractors. Many come as referrals from existing agents. Their selection is based on sales volume, their vision for their business, their approach to client relationships and their references. Most of its Independent Contractors

As a Virtuoso agency, Travel Experts offers its marketing programs. Interest coding and advisor personalization allow Independent Contractors to speak directly to their client’s travel preferences and lifestyle. Virtuoso members receive thousands of dollars in free supplier-funded marketing every year. A full-time tech expert on support staff will assist with any technical issues that Independent Contractors may encounter. An extensive Intranet website featuresvolumes of information. In addition, the company has a site for archiving RFIs (Requests for Information) with search capability, and utilizes ThinkTank software for regular discussions and information sharing. An extensive menu of sales reports for Independent Contractors and/or their clients is provided at no charge. There also is no charge for training. When an Independent Contractor joins Travel Experts, he or she is invited to the company’s office for a few days at the company’s expense. During that time they meet the staff, go through the company handbook and website, participate in Sabre training and receive an introduction to Virtuoso. On a weekly basis, Travel Experts offers supplier presentations, Sabre and/or tech updates broadcast to all Independent Contractors via Webex. There are also unlimited educational opportunities available through Virtuoso. Independent Contractors are encouraged to participate in anything and everything Virtuoso, including Regional Meetings and Travel Mart, which Travel Experts partially underwrites. At Travel Mart, the company has brainstorming sessions or supplier-sponsored get-togethers for just the Travel Experts attendees. The monthly fee for membership is $550. Independent Contractors receive 100 percent commission. For More Information www.homebasetravel.com • info@travelexperts.travel (800) 274-2544

Could you share with our readers some chunks of wisdom about what they should or should not be looking for when they choose a hosting partner? When choosing a Host Agency, look for one that: •Is large enough to give you the benefits of strong industry ties and support, but not so large that you get lost in numbers. • Will not attempt to steal your clients • Is financially stable •Has been in business a long time and pays commissions on time, every time •Ask if you are allowed to work directly with supplier BDMs. Are you isolated and/or limited to the questions you can ask a supplier?

That interest has manifested itself in an expanding demand for tours incorporating a social or technical theme. WATA’s new platform dedicated to Destinations & Special Interest Tours is designed to provide the inspiration upon which outbound travel agencies can depend on for their future trading.
World Travel Management grams, no variable costs, no initial fees with possible later reimbursement. We have one low monthly fee. Period. Even that is waived with a modest level of sales. As your sales increase past that initial point so does the percentage of the commissions you keep — up to 80%! We have many agents who never pay a monthly fee, and are earning bonus commissions every month!

You’ve got choices.
The list of host agencies keeps growing. Some are dedicated hosts such as World Travel Management, totally focused on their affiliated travel agents. Some are large conglomerates and franchises with a correspondingly large corporate identity. Others are travel agencies with a few outside agents. How do you choose which is the best fit for you? Just as you qualify and evaluate the best option for your clients, you must first evaluate your own needs. Then you can decide which host agency gives you the level of support plus value added tools and services you want. Remember, you got into this business because you enjoyed selling products that made dreams come true. You want a host agency that makes your dreams possible.
Our ONLY business is supporting you, the travel agent. Our industry has never been more competitive than now. Our membership in Vacation.Com gives our agents access to the best direct mail program available, and we pay bonus commissions to agents using it. We give you a professional worldtravelmgt.com web address. Our extensive agent-only website has preferred supplier information, GDS updates, important forms for customization and downloading, and our own bulletin board for information exchange, trip reviews, blocked group space notices. We set you up with logins to over 100 online booking engines. We even do the invoicing for you. Involvement with our agents does not end there.
