st step to planning a The firs wedding is to set your budget. You can’t move forward with booking anything until you know exactly how much you can spend. It is important to remember that the dream wedding you have in mind may not be the dream wedding you can afford so be prepared to compromise on some things, to allow for others to flourish. First establish how much you think you and your other half would be able to put down on your wedding. Then sit down with your in-laws-to-be as well as your own parents and ask them if they would like to contribute. This can be an awkward conversation for some but keep in mind that it can also be a real privilege for parents to be able to contribute to the event. After you have tackled these conversations you will
have a better idea of the amount of money you have to play with. Before you book anything, make sure you read the fine print about deposits and refunds. If you decide later to cancel or alter any of the arrangements with your venue, caterer, photographer, chauffeur, will you get your money back? Make sure all quotes are gst-inclusive and not added later when payment is required. Be aware that extra time and distance to your venue can incur increased charges for transport, photographer, celebrant and catering. Once guest numbers are confirmed with the caterer you will be charged per head for that number even if someone doesn’t attend on the day. Standard marquee hire may not include linings and a dance floor. Hire of tableware cutlery and glasses may incur loss and
breakage fees. You may also need insurance cover with some companies. If you hire a hall, you may be expected to pay for commercial cleaning following the event and you can be charged for overtime by the band and/or the venue. Delivery charges may be additional to the cost of your flowers or cake and suit alterations or gown fittings may not be included in the purchase price or clothing hire fee. Even postage of fancy-sized envelopes for your invitations
costs more than standard sized ones. Make sure you get all quotes, agreements and confirmations in writing and keep them as a record until the wedding is over and all payments have been made. Tip: Always over budget! It is better to have money left over at the end than to fall short, so allow yourself some breathing room to ensure less stress come wedding day.

Express your personalities Choosing a theme will help with your planning, and make that perfect day more memorable for you and your guests. Your theme will also dictate the colours and styles for your dresses, flowers, grooms attire, invitations, decorations, transport cake and more. Your venue could also be a key to choosing a theme. This year industrial is ‘in’ with venues being held in old sheds, retro spaces and warehouses. These venues tend to be a blank canvas where couples can create a unique and alternative look showing off their personality. Another theme that never goes out of fashion and makes the most of our beautiful Bay of Plenty is the beach or lakeside wedding. Traditionally a more casual style of dress with a seashell theme, maybe even tropical
flowers followed by cocktails and a seafood barbecue. A vintage themed ceremony offers plenty of scope for the imagination. Select an exquisite dress or design from a previous era and artfully mix with contemporary accessories and add table settings and decorations to match your selected era. A wedding set in an orchard, vineyard or garden could suggest a rustic theme with boutique wines, or cider, followed by an interesting photo shoot. A spring wedding might suggest fresh spring flowers such as daffodils or autumn gives scope for hues of latte and peach. Creating a mood board or scrap book is an effective and fun way of visualising how certain colours and textures would look together. You can add pictures of bouquets, centrepieces, dresses, shoes, accessories and cakes.

Choose a celebrant that suits your personality Selecting your celebrant is a very personal choice. You will need to take into consideration your religious beliefs, the style of ceremony that you want to have, not to mention the personality of the celebrant who will lead you. Make sure you choose someone who will make you both feel at ease throughout your ceremony as it can be the most important (and nerve-racking) part of the process. Some celebrants are very sombre and traditional, while others can be more flamboyant and humorous. It is important to think about what type of personality suits you both best and this will lay a foundation for exactly who will make your shortlist. From there you’ll want to chat to them and ask some questions to ensure they are the perfect match for you both.
Once you decide you should then be offered a personal consultation to plan the ceremony and discuss vows, readings and poems. The celebrant should also attend to all paperwork and legal aspects required.

Set the mood with your music Your wedding will require many different tones of music and you will want to choose songs that are meaningful to your relationship and set the right tone for your theme and vision. Throughout the day you will have key moments, which will involve a specific choice of song, and there will be other times that you won’t mind so much but will need a playlist or background music. Key moments to consider music for are: • Walking down the aisle • Signing the marriage documents • Walking out of the ceremony • Grand reception entrance • First dance • Father daughter dance Aside from these moments keep in mind that there
is a large importance for background music at the beginning of your ceremony as your guests are being seated, and at the end as guests mingle. There will usually be a time for socialising before dinner and for the reception as guests are enjoying the
evening, prior to your late night entertainment. From here it is dancing time where you can flaunt your choice of DJ, band, or singer for the dance party to follow the events of the day and get everyone up and strutting their stuff.

It’s time to say ‘I do’ The ceremony is meant to be the most meaningful part of your wedding day. It is the main event where you and your other half declare your love for each other, say vows, exchange rings and seal it all with a kiss. Your chosen theme will play a big part in the ceremony. If you are having an outdoor ceremony, ensure you have a wet weather option for the big moment as the last thing you want is to be caught in the rain. Traditionally, the bride is escorted by her father, while the groom waits for her up the front. The order of appearance generally starts with the family making their way to their seats, before the groom enters and takes his place up the front. You can either have the groomsmen walk the bridesmaids in or have them stand up front before the groom enters with the bridesmaids entering one by one. Lastly we have the entrance of the bride. The celebrant sets the scene for the ceremony by welcoming everyone. They will take a moment to highlight the significance of the vows, and can also be a reminder of your duties and roles in marriage. The exchange of the vows are your promises to each other, and you may repeat the familiar “to have and to hold, for better or for worse” vows, or recite ones you’ve written yourselves. The giving and receiving of a ring is a custom of many cultures and formally seals
the marriage. Symbolically the unbroken shape of the ring recognises the unbreakable vows of marriage and is intended to be worn for a lifetime. The Pronouncement of Marriage is where the celebrant makes it official with a statement of “I now pronounce you husband and wife” or, “I now pronounce you married in love and in life”. Signing of the legal documents, depends on the celebrant and your personal preferences, however most people like to do this after the kiss. While this is happening there is usually entertainment of some sort, which can come in the form of a reading, musical performance or having your song of choice played to the guests. At the close of the ceremony you will exit together as a married couple. This is the time for confetti if you are having any, and most people choose an upbeat song to walk out to which can add to the atmosphere and create a magical ending.

Favours to take away are given as a gesture of appreciation to guests from the bride and groom normally after the ceremony. Traditionally they were known as bonbonniere and were small trinkets made of crystal or porcelain. Later on sugar almonds became fashionable and they are still a tradition in Italy and elsewhere. Today favours could include personalised soap, chocolate, wine, jam, herbs and spices, cupcakes or macarons. Thereâ&#x20AC;&#x2122;s no limit to what can be done and even
you guest book can be as unique as you are. Presents for bridesmaids and groomsmen tend to be more traditional such as necklaces and earrings, but there is a huge range of things like monogrammed bags, ring dishes, champagne flutes, bottle openers and so on. Table Nothing says elegance and adds wow to the reception than a beautiful table setting If you have a look in mind, work with the experts at the venues and with your florist. Venues will often offer table decoration as service, with you paying for any particulars such as flowers. With table decorations, think simple so as to avoid a cluttered look. Even if it seems like a minimal approach on each table, when the whole room is set it will look more coordinated than over killing the accessories. Decide on either flowers or a runner. If going for a runner, a trend is to personalise it with design or wording. Tall vases make great centerpieces. Fill with water and place fresh fruit or flowers at the bottom and floating candle on top, or hang crystal drops inside the vase. Twigs either natural or sprayed white or silver bring the outdoors in. For a vintage
look, make loose country style bunches of flowers jars. Candles add a romantic ambiance and can make for an easy centerpiece in a vintage or coloured bottle. Fairy lights on white sheeting are a beautiful

Time to relax and let the celebrations begin A large portion of your budget will be allocated to your reception so your choice of venue needs careful thought. There are many options when it comes to where you can enjoy your reception so have a scout for what suits your theme and needs and set up multiple viewings so you get a great idea of what is out there. Think about the closeness of the reception venue to the ceremony, the time of day, type of food and entertainment you’d like. Would you like a formal sit down meal with table service or a buffet (which might be more cost effective)? Visit your shortlisted reception venues and check what is included in their price
per head. The functions team should give advice on how much alcohol to order per head for toasts and meals. If you’re on a tight budget, ask if you are able to bring your own alcohol. If you are hiring a marquee you may need to factor in the hire of crockery, glassware, table linen and toilets, lighting, heating, flooring, tables, and chairs. There are local hire companies offering everything from vases to chair covers, candelabras and more. When deciding on a venue you need to consider a number of factors: • How many people will be attending? Is there enough room for everybody? • Do you want the ceremony at the same place as the
reception? (This could save time and money.) • Is there a wet weather option – for both your ceremony and reception? • Where is the venue located? Is there guest accommodation, transport and enough parking? • What time of year are you getting married? Weekend weddings in the typical high season (November to March) will need bookings very well in advance. Ask about
mid-week or winter season options, which may offer you a big cost saving. • What does the fine print say? It pays to find out exactly what is included in the price quoted. Some places charge more for things like set up or tablecloths. You should expect to receive a contract that includes everything you have agreed on, including payment terms, deposit information and cancellation policy.

Enjoy good food and wine For some people the venue will come with its own catering however for those venues who don’t, finding the best caterer for you can be hard work.The catering that you choose to provide will be an important part of the day, the type and style of catering that you select will need to fit in with the style of the wedding that you are planning. Ensure that you engage the services of a professional well established company and select a menu and service style that fits in with your overall theme and budget. Decide on the style of food that is going to suit your wedding as well as type of service for your meal. There are many different ways to get food to your guests. This can come in the form of a buffet, plated meals, or even the latest fad of platter mains that are delivered to the table and shared around. Cheeseboards
and grazing tables are another alternative, where guests can help themselves throughout the evening when they want. Questions for your caterer: • Can we sample your food? Is there a cost for samples? • Can we swap and change from different menus that are available? • Do you have testimonials from recent clients that I can view? • When do you need to have the menu confirmed? • When do I need to confirm final numbers? Ask friends and workmates for recommendations, consider not only your likes and dislikes but those of your guests – ensure that you provide options for those with special dietary requirements (allergies, gluten free, dairy free, lactose-intolerant, cealiac, vegetarian and vegan).
Tip: After all the dancing and partying consider a midnight snack bar. The trend at the moment is the pretzel/donut bar. Get creative and have the pretzels hanging on a wall or hook.

Mums are the best! Tradition says that the mother of the bride chooses her outfit first, but it’s also become customary to discuss choices with the mother of the groom beforehand if you wish. Wait until the bride has decided on the wedding style and colour theme so that you can coordinate your outfit accordingly. Look at a dress style that is appropriate to the style of wedding, whether casual, semi-formal or formal. The time of day can also dictate whether you wear short, cocktail length or a floor length gown, or whether you wear a hat. Pick a colour range that complements your natural colouring, the season and the wedding party. You can either select the same general colour palette but a different tone, or go for the diametrically opposite shade on the colour wheel.
