Hawke’s Bay - the ultimate conference destination
T
he Wine Country region provides a glorious bounty of sublime food and wine, gorgeous weather, panoramic landscapes and superb recreational opportunities. Hawke’s Bay is undoubtedly one of the most sought-after regions in New Zealand for business or leisure.
Hawke’s Bay is brimming with confidence and excitement. Solid rural traditions underlie an energetic modern economy characterised by an internationally-acclaimed wine industry and spirited newgeneration entrepreneurs offering progressive modern industries, crops ranging from olives to saffron, and many other specialist food products. Industry is supported by strong infrastructural resources including one of New Zealand’s busiest ports,
a well-serviced airport and the East Coast’s largest tertiary institution. A top choice for those seeking new opportunities, business or lifestyle, the Bay is also one of New Zealand’s hottest tourist destinations and unrivalled in variety. Sophisticated luxury, challenging adventure, laidback leisure or family fun, it has something to please all. Within a compact space visitors can pack their schedule with anything from Hawke’s Bay showcase events, enjoying internationally recognised historical architecture or perhaps calling into a café or art gallery, touring wineries, orchards and farms, or taking ‘time out’ fishing or golfing, or experiencing the thrill of white water rafting.

Conferences 2015 For the conference convenor, it all adds up to an easily accessible away-from-it all atmosphere where delegates can unwind from everyday work stress and concentrate on business. Venues range from classic Art Deco or Spanish Mission buildings to wineries and country lodges to large scale city convention centres. There’s a full range of professional support services so all-in-all Hawke’s Bay is well equipped to meet the needs of a huge variety of gatherings, whether small, private board meetings or conferences for hundreds. In value for money terms the region ranks highly with venues and services well-priced in comparison with larger centres. It’s not surprising then that Hawke’s Bay has a growing reputation as a conference centre. Its blend of cosmopolitan appeal with pressure free, friendly atmosphere guarantees organisers opportunities to stage an event that will long be remembered.

Planning essential C
onferences are like stage shows, requiring meticulous planning and coordination so everything happens on cue, from the overture, the launch, usually a spectacle in itself these days, to the gala dinner or techno extravaganza grand finale.
Sponsorship, speakers, accommodation, entertainment, food travel, publicity, equipment… all have to be finalised within budget and to a tight time frame, a process that can take months or even years of planning. With hefty financial investment and organisational reputations at stake, conferences are potentially stressful and certainly among the most demanding of challenges for the director. Professional event organisers handle the task with practised ease, but highly successful events can also be organised in-house. The key is a purpose formed committee that provides continuity and the wisdom of experience by including people

Conferences 2015 previously involved as well as visionary newcomers, and assigns everyone clear responsibilities and deadlines. To maximise impact, their first task is establishing clear goals for the conference. Is it to inform participants of latest developments in their field, to reinforce the company or organization’s philosophy, or set a new direction? Is it a product launch demanding a public profile, will it encompass other events such as award presentations or an organisational anniversary? Defining the purpose sets the framework for deciding the conference length, its participants, their number and also the theme. Novel or serious,
the theme transforms the conference from a series of sessions into a ‘happening’, distinguishes it from everyday work, stimulates interest and makes it memorable. Themes could include Broadway glitz, or Art Deco elegance, 70’s retro revival, a night at the Oscars, the options are as wide as the imagination will allow. The next task is setting the conference date, avoiding clashes with other events that could draw on the same pool of people or resources such as venues, transport, speakers and entertainers. Having determined date and venue, programme planning begins.
