PREFACE Kerala State Institute of Design (KSID) was established for the purpose of creating a vibrant design community in Kerala through synergistic partnership between the artisan community, professional designers and the general public. As part of the design education stream, the last semester of the 5 semester PG Diploma Programme, is a thesis/ graduation programme. This would mean that students are requested to work on a real life project with any industry/ design studio to get an actual ‘hands-on’ experience. Projects can be of any kind, however students must work on a sustainably large real life design project independently or in an institution to present as their “Graduation Project”. This would need to suffice the needs of academic purposes. This would include the entire design process as follows: • Research • Ideation and Conceptualisation • Prototyping and testing • The final Product range/deliverable • The Document

ABOUT KSID Kerala State Institute of Design (KSID), a design institute under Department of labour and Skills, Government of Kerala, is located at Chandanathope, about 8 Kilo meters from Kollam city. It was established in 2008 with the support of NID Ahmedabad and is one of the first state-owned design institutes in India. The faculty development programme and curriculum development for the design programmes of KSID are provided by NID Ahmedabad. KSID currently conducts Post Graduate Diploma Programs in Design developed in association with National Institute of Design, Ahmedabad. The Kerala State Institute of Design (KSID) was established for the purpose of creating a vibrant design community in Kerala through synergistic partnership between artisan community, professional designers and general public. The institute was later merged with Kerala Academy for Skills Excellence (KASE) on 1 April 2014. KASE is the apex agency for all skill development activities in the state of Kerala. One of the most important objectives of KSID is to promote design education. To realise this objective, KSID is offering Post Graduate Diploma programs in Design which were developed in consideration of Design Programmes at National Institutes of Design (NID) and Indian Institutes of Technology (IIT).

INTRODUCTION The time is very important in every business. The maximum and proper utilization of time can determine the quality of the work done by the respective firm. Also the wages of the employees are decided by the amount of time they were working for the firm. The project brief was to design UI / UX of a studio management web application and its mobile version. The project client is Liquid designs India private limited (LDI Graphics Private Ltd.) Objectives of the Project are; 1. Design studios of any size (1-100 people team) should be able to manage jobs, schedule and assign tasks to internal and external team members. 2. A team member should be able to plan his own day/week and share it with others in the team. 3. The app should be able to create reports based on performance and other parameters. 4. The app should help in creating estimates, quotes and invoices. 5. The app should be able to track time of the people active on job. 6. People should be able to use the app from out of an office on their hand held devices. 7. The features, ease of use and design should surpass all the other similar apps in the market at this time. According to the brief, the UX should be super intuitive and easy to use by every level of team member. It should not be overwhelming and the user interface should be minimal and modern.

LDI GRAPHICS INDIA PRIVATE LTD. Liquid Designs is a creatively led visual communication studio based out of Gurgaon. LDI graphics India private Ltd. work with brands with a vision. They’re experts at developing visual identity and providing digital design solutions, which are instrumental in creating brands that stand out and grow. Over eleven years, Liquid designs worked with more than forty brands across fifteen industries in five countries.

TIMELINE The timeline of the project was 15 weeks. The entire project was split into 6 phases including research, wire framing, interface designing, prototyping and testing. The research and design process will cover in the 14 weeks and testing of the application is done in last week. The testing of the project will happen after every phases to ensure the efficiency of the application.

Targeted audience

Hierarchy levels and the roles

Every design is made for a group of audience. Understanding the mind of users will always improve the efficiency of design. In this context the users of the application are mainly the employees or designers in the design hub or studio. There are also other classes of audience which can be categorised as external users. The designers from the studio are internal users whereas the clients and freelance designers, those who are related to the respective projects comes under external users who can also log in to the application to add the works and suggestions to the big project. Thus, the major part of targeted audience is well in touch with the design field and are very used to the applications. There is no anonymity among them.

The levels of authority are present in every firm. Similarly, in a design studio also, there are several hierarchy levels. In the case of LDI graphics studio, the hierarchy flow can be divide into three levels namely, Admin – Project head – Designers. Among these levels the superiority flows from Admin to project head and from project head to designers. Since the hierarchy levels are defined, it’s not necessary that the communication flows only in these directions. There will be exclusion of project heads in some situations. And there should be proper communication between all levels of a design studio without any obstacle to achieve good results in works they do.

Requirement study As explained in the brief, the application should be focusing on better studio management. The application should also assist in creating estimates, quotes and invoices. Time logging should be another essential part of the project. The freelancers are quoting the payment according to the hours which they work on the project. So the application should be a stage for those to log the working time and update the progresses. If the works happening in a design studio need to be made excellent, then the communication between all the people in the studio need to be smooth. A design can be made relevant when it has more opinions including critics and positive suggestions. None of the best designs are made in isolation. Thus the application should also act as a proper channel of communication. The potential of a person will improve with inspirations. The application interacts with each and every employee on a daily basis. So it could also try

to inspire the employee in any manner. Along with that, the application can be stage for appreciations. Appreciations can help to make an emotional attachment among the employees to the company or studio which will indirectly pushes the potential of an employee. Understanding the work flow The workflow of a design studio is very different from the workflow of any other firms. A client project can be divided into many sections which are handled by different designers. Many of the projects are approached as team works. So within a studio space, the entire team of designers are split into different small teams working on different projects. The admin is either assign the project to a project head or he himself break the project to separate tasks and assign to different designers. In case of transferring the project to project head, the separations of tasks are done by the project head and he/she will update the progress of the proj-

ect to admin. The admin is mainly dealing with the clients. So when there are a lot of projects, the role of project head to assist the admin is very important. The frequent feedback from the project head or admin about the work is very essential before proceeding the work to next level. Behaviour of the projects When we talk about the behaviour of the projects, it is closely associated with the crucial time frames. This is a competitive world where time plays a very important role in every businesses and markets. The projects should be maximum efficient within minimum time

frames. The maximum duration of a project in LDI graphics is about 2 to 3 weeks. Sometimes the clients may have wanted further changes and project hang on. Along with the pressure of time duration, the changes suggested by the clients may not be as good as what the designers suggested, but still they have to work on the client’s suggestion. The normal working hours can be stretched in order to meet the satisfaction point. Thus the design studios may not have a proper working hours’ schedule. Sometimes the designers need to work till night or early in the morning for the submission of project on time to the clients.

INTENSE RESEARCH Personal interviews The second phase of research grows from background study and overall understanding of the project to in-depth learning of the requirements and existing scenario of managing the design studios. The thoughts of the designers in the design studios are put into this phase. According to the client, the core purpose of having a studio management app is to mark attendance and improve efficiency by logging the working hours and sharing the updates. They also wanted to minimise the usage of several platforms for several purposes to one platform for all the needs. For the admin, such an app will help to appreciate the performing employee and it will also help him to focus on the struggling areas. From the employee perspective, they believe the studio man-

agement app will improve the communication between the co-workers and the standard of work will improve in parallel. The suggestions from the part of employees is that to make the time logging easy and simple, so that it won’t feel like a burden or they won’t forget to log the time. Apart from the designers and interns from the studios, the suggestions and opinions from the employees of various firms have taken as the part of the project. They mostly talked about the way they plan their work to accomplish it on time. The usage of sticky notes to write down the tasks are followed by many employees. They find it very easy to plan the work. Once the task is accomplished, they can cut the task from that list. People also use notebooks and notepads to plan the work similarly on a daily basis. In other firms, they have this big sketch board, where the

The admin will get a clear picture of the finished task and accomplished task while seeing these boards. And there are other firms which use online time management apps to plan the work and time logs. Understanding the similar applications There are several work management apps available on Internet in these days. Most of them focus-

es on accounting firms with too many options on money management and time management. The case study of few studio management apps are done as a part of the project research such as; Hubplanner, Paymo, Streamtime, Asana, Freshbooks, Toggl etc The overload of informations, ambiguous graphs, non - intuitive experience designing are few of the drawbacks of the existing apps. Also the admin doesn’t have the control to prioritise the work of team members.

Asana is web-based software-asa-service designed to improve team collaboration. It focuses on allowing users to manage projects and tasks online without the use of email.

DESIGN PROCESS The next phase after the research is design process. The user experience and interface design is evolved through the design process.

Brainstorming The research phase ended with giving a proper background understanding about the need of the application and what are the objectives of the same. Now the design process starts like painting on an empty canvas. The brainstorming stage is to put down every aspects and approaches to the design process of the web application. Also the analysis of general information is done in this stage of design process. What makes a web design successful and how to start designing a web application are two important questions need to be answered before starting the process. Like the phrase ‘beauty is in the eye of the beholder’, effec-

tive web design is judged by the users of the website and not the website owners. There are many factors that affect the usability of a website, and it is not just about form how good it looks, but also function how easy is it to use. The flow chart or the navigation chart should be prepared first. The discussions with admins, designers and interns of different firms/studios gave a clear picture of hierarchy prevailing in the studios. The goals of these people in different levels are different. The suggestion of creating separate interfaces for different levels is took forward since it reduces much ambiguity and efforts for the users. The route of design process is determined while brainstorming. The flowchart will provide better


idea about the functioning of the application to start designing the user experience. Later it will pave way to interface designing and prototyping. The testing of the application is very important in every stage of the designing.


Flowchart The flow chart defines how complex or simple is the application. The number of clicks, interactions or effort put to achieve a need, determines the complexity of the design. The user should achieve the intended need in very minimum interactions. In order to prepare the flow chart, the needs and wants of users should be kept in mind. According to this scenario, the class of users are divided into two, namely the superior class and ordinary class of users which is admin/project head and interns/designers respectively. Within these classes there is also another division for primary and secondary needs classification. The primary needs for an admin or project head could be assigning new tasks to designers, checking the progress of ongoing projects, viewing the time tracks and performance of each employee. These are the things that an admin would do each time he/

she logging into the website. The secondary needs are also as important as the primary needs but these are not as frequent needs as the primary ones. Adding new people to the firm, viewing calendar milestones, checking the shared resources etc. could be categorised under secondary needs of admin. Similarly, viewing the tasks assigned and logging the working time should be primary focus of an intern or designer. The homepage should provide the details of tasks assigned, the progress of project, and the updates of designers on each projects. There should also be easy navigation to view the extras, like creating invoices, quotes and reports. The chat room, files sharing, calendar view, search bars, settings should also have viewed in the screen. The challenge of the UX and UI design is to include these navigation options and still need to make it feel simple and minimal.

UX design / Wire framing Wireframes are important for multiple reasons. One of them would be that they, the wireframes, focus on functionality, behaviour, and priority of content. Once those things established, designing the product becomes a lot easier. Also, the wire framing helps to plan the layout and interaction of the interface without being distracted by colours, typeface choices or even copy. Keeping in mind, the human psychology and cognitive ergonomics while creating the wireframe or user experience design would improve the efficiency of the application.

Since the audience of the application are designers and people who are very advanced with the field of design, the usage of icons could be encouraged. Similarly, the project progress, task assigning etc. could be graphically represented to make the interfaces clean and minimal. The inspirational quotes or other things to improve the interactions also should be designed in the user experience design phase. There were several explorations and wireframe mock ups made before finalising the actual UX of the application which are as follows;

Above twenty dashboard options were drawn with different approaches until one is finalised. The reviewing of each approach helped to make the next drawing better than before. The aim was to make the UX much simpler than any other similar application. The inspirations are taken from the other applications in the research process.

The UX strictly focuses on the requirement of the design studio. Therefore the features are limited for any other firms to use this application. The application gives emphasis on planning the time and creating reports as per the brief of the client. From the perspective of an admin, it will normally pushes the productivity of the firm.

Interface designing User interface design is the most important phase of web designing. The background functioning and the navigations, placement of icons, graphs and charts etc. are designed in the user experience designing phase. Now, the interface design focus on the look and feel of the screens which interacts with the user. The choice of colours, typeface, appearance of graphs, charts, icon styles etc. is determined while designing the interfaces. Good user interface design facilitates finishing the task at hand without drawing unnecessary attention to itself. “Many user interfaces are designed with a focus on usability and efficiency. Users should be

able to achieve their goals as efficiently as possible, without focusing too much on the user interface itself. In that sense, a well-designed user interface becomes effectively invisible to those using it. In other words, they interact directly with the ‘reality’ the design portrays without reckoning on the point that, for example, thumbing button icons through the glass screens of their handheld devices is responsible for producing changes in what they see. However, usability and efficiency might not be the only measure of a well-designed user interface; a user interface might be designed to create a fun and pleasurable experience for users instead.”

The interesting observation while creating the interfaces was with the colors. The background of the designer’s softwares such as Adobe photoshop, Adobe illustrator etc. has the dark background colors. Since the application is used by the designers, the background color of the interface was modified into dark blue.

Color, Typeface and Icons I selected the colors from the color scheme which inspired from the mood of a creative studio. The creative thoughts are associated with the vibrant colors. The primary color is set to dark blue which will appear as the background of the interface. Other vibrant colors will appear as the secondary and tertiary colors. Also, the team members are defined with a color code which will appear on the top navigation bar

of every screens. The task assigning to the team member will be appearing in the respective color which the team member choose as his or her color code. Similarly, the dashboard of the team member will show the same colored task bars. In the interface of the team member, personal projects or tasks are differentiated with another color. The icons set created for the application also follows the common color scheme.

The typeface used in the application is Segoe UI, which is a google font. The Segoe UI type fond is best known for its use in Microsoft. It is a web safe font and very popular fonts for people who work in ‘Microsoft Office’ soft wares. The Segoe UI gives a professional feel to the application. It is very elegant and legible fonts to be used in Web application. The font is sans serif. The font size for body contents are set to 16 pixels which a standard font size for the desktop. The bigger pixel sizes creates disturbance for the user to read the content.

The Icon style used in the application is fill color style. The strokes are not used in creating icons. Few icons that should be highlighted are only created with strokes. The search icon, Add project icon, Time log icons are few of those important icons that needs to stand out. The Icons also follows the color scheme of the application. The icons are put to 35 * 35 pixels. The normal standard sizes for the icons are (16 * 16) for small icons, (24 * 24) for medium icons and (50 * 50) to (70 * 50) for small profile pictures. The icon sizes should be resized a bit more than the medium standard icon size in order to fit in the application’s interface. The Notification bell icon is dynamic. The icon will be large when there is any unread notification. Similarly, the bell icon set to normal size when the notification is seen by the user.

Name and Logo “TICKER” represents the time element of the studio management application. Unlike the other applications of the same genre, Ticker focuses more on the prioritization of tasks on the basis of time. The logo of the application is developed from the name of the same. It represents the clock needles and also a “tick” symbol is visible in the logo

The first page of the application asks the person to sign up, log in or take a trial run. A new user to the application needs to sign up with his email and create a

password to continue. An existing user can just log in with his password. The trail option serves a user to just try out the features of the application.


The dashboard is created after setting up the profile. It will differentiate the user as an admin, project head or team. Also the

color tag is decided while setting up the profile. The option for changing theme also included in profile settings. The user have

the personalize option to change the dark theme to white theme.


This is how the dashboard of the admin or project head looks like after creating the profile and adding the tasks. Currently, the ongoing tasks are shown in the

dashboard. The more tasks assigned to the respective person will shown as the arrow moves along the dashboard, over the task bars.


The task window opens when the project head drags and create a task to a team member. It will be in the same color as the task bar. It provides the options to brief

the task and assign the time. Also the more members can be added through this window itself.

The further editing of the profile can be achieved through profile settings option. The email notification can be turned on in this window. Any team updates or

task completion will be notified through mail when this settings is turned on. The client invitation to view the project progress is send through profile settings.


The project page shows a quick progress status of the projects. The files sharing and team status is also shown in the project page.

The mobile version of “Ticker” was an extended part of the project. The mobile interface is not that interactive for both Admin and team member. The Admin will be able to view the ongoing tasks and completed task on the dashboard of Ticker - mobile. The following features are included in the mobile version of application; • • •

CONCLUSION Time is a very crucial thing in this modern competitive world. And it will be the thing that we are little cared about. We will only realise the value of time after we lost it.
