facts facts EFAPCO’s 5th Congress was ‘Green’ in content and venue The European Federation of the Associations of Professional Congress Organisers (EFAPCO), lived upto its promise of a ‘Green’ Congress in a Green Venue’ at the federation’s 5th congress at the Estoril Congress Center (ECC). The congress was environmentally sound both in the programme content and in the exclusively computer-based registration and communications procedures that had been followed. Even hotel-to-centre transfers were kept to a minimum in the highly walk-able resort on Portugal’s Atlantic coastline. Underscoring the green credentials of the congress and its setting, one of the highlight sessions, offering a sustainable vision of the industry’s future, was delivered by Pedro Rocha dos Santos, Director of the ECC. His ‘Green’ meetings complex hosted the congress, the federation’s General Assembly and an IMEX-MPI-MCI Future Leaders Forum, which attracted over 40 of the brightest students in the international meetings and incentive travel industry from across Spain and Portugal. Some of the interesting sessions included a session lead by independent Financial Consultant, Mariana Abrantes de Sousa who spoke about the enduring value of face-to-face events in the era of Facebook and global futurist, Rohit Talwar with his animated predictions about the shape of corporate and association meetings over the next decade and beyond. Other sessions looked at how the positioning of destinations depended on development of their air links and how the use of scientific techniques could have an impact on attendee behaviour and performance at meetings.

India to soon offer Visa-on-Arrival facility to 13 more nations The number of nations whose citizens can avail of Visa-on-Arrival (VoA) in India is likely to expand, to include 13 countries largely from Europe and Southeast & Central Asia. The decision was motivated by a review by the PMO to encourage more tourists to come to India. According to the matter under discussion, the countries that could be offered this facility would include Malaysia, Thailand, Brunei, Spain, France, Germany, Sweden, Russia, Ukraine, Kazakhstan, Brazil and South Africa. The Home Ministry will now be working out the details on this proposal by keeping security issues in mind, particularly by utilising information-sharing agreements with ASEAN and the European Union. At present, there are 13 countries whose nationals can avail VoA in India and this includes Finland, Japan, Luxembourg, New Zealand, Singapore, Cambodia, Indonesia, Vietnam, Laos, Myanmar and the Philippines. This list however misses out on the populous nations that can be tapped to increase India’s number for inbound tourists.

European Pavilion at GIBTM Building on the success of GIBTM 2011 this year’s Global Meetings and Events Exhibition for the Gulf will host a European Exhibitor Pavilion designed to accommodate European businesses expanding their business reach into the Gulf region. Qatar Tourism Authority withdraws from GIBTM to focus on restructuring exhibition plans

GIBTM 2012 will host a dedicated Qatar Pavilion with key exhibitors showcasing the growing opportunities and facilities related to the Qatar Meetings industry. Qatar’s events industry has been under the spotlight since the country won the rights to host the 2022 FIFA World Cup last year. This has lead to a huge investment in tourism infrastructure. Qatar’s MICE industry has been developing over the last few years with the addition of conference centres such as the newly opened Qatar National Convention Centre (QNCC) which adds some 40,000 sqm of exhibition space and a range of conference, meeting and banqueting spaces to the city’s inventory. QNCC will be one of the key exhibitors showcasing their facilities at the Qatar Pavilion at GIBTM. In addition to QNCC, the Qatar Pavilion will host exhibitors like Qatar Airways, Doha Marriot Hotel, Moevenpick Towers and Suites Doha, SwissBelhotel Doha, Qatar International Tours, Qatar International Adventures, Retaj Hotels & Hospitality, W Doha Hotel & Residence, QMDI - Qatar MICE Development Institute and Renaissance Hotels. Qatar will invest $20-25 billion in tourism infrastructure by 2022 and the MICE industry is a key element in Qatar’s plans for expansion and development. “Excellent flight connections together with spacious exhibition and conference venues equipped with state-of-the-art technology to luxurious accommodations and specialised freight forwarders, all make Qatar an ideal location for regional and international business meetings and events”, said Lois Hall, REED Travel Exhibitions Manager GIBTM .

This year’s GIBTM will feature a Qatar Pavilion hosting various exhibitors from the Gulf nation’s business travel and meetings sector, in place of an official Qatar Tourism Authority presence. The Qatar Tourism Authority (QTA) has announced it will not be taking part in this year’s event, to be held in Abu Dhabi in late March, choosing instead to withdraw while it restructures its international promotional plan. Attention for the year will instead be placed on holding a roadshow aimed at Gulf Cooperation Council (GCC) countries, which will focus more on the leisure market during Eid holidays. Soha Moussa, Head of Promotions and Organizing Abroad Exhibitions for the Qatar Tourism Authority commented, “GIBTM remains an event that is very much a part of our plans for the future. At present we are seeing significant growth in the numbers of people coming to Qatar for business purposes and this was acknowledged at the recent World Travel Awards where the country was recognised as the World’s Leading Business Travel Destination. On this occasion we have decided that while we consider the long term direction of our exhibition programme, the investment will be better placed into attracting visitors into Qatar for leisure purposes. This will be addressed with a roadshow that we are planning for a little later in the year.”

Royal Orchid unveils ‘Regenta’ brand for Convention market Bengaluru-based Royal Orchid Hotels, which currently operates 20 hotels with 1,800 rooms across India in the upscale and midscale segments, has announced a new brand, ‘Regenta’, with an eye on the weddings, conferences and events market in the country. The newly launched Regenta Hotel and Convention Centre in Delhi is spread across six acres of land with 50 rooms, extensive lawns and banquet halls. The property is owned by Anant Raj Group and has been taken on lease by Royal Orchid.

IndiGo launched 12 new flights in February South Africa Tourism takes MICE to India In addition to the annual roadshow which was from January 30-February 6, South Africa Tourism will for the first time organise a MICE roadshow in India which will be held in August 2012. This roadshow is of particular significance as a large section of tourism from India to South Africa is incentive driven and offers the opportunity to explore evolving markets within India that hold great potential for the destination. This roadshow will provide the right opportunity for trade partners from India as well as South Africa to come together and forge profitable business ties. Three new cities have been included this year due to the potential we’ve witnessed in these geographies. The registration procedure has already begun.

IndiGo has launched 12 new flights starting February 1 and 10, 2012. The airline will now operate seven daily and direct return flights between Delhi to Bengaluru and four daily and direct return flights between Delhi-Ahmedabad and DelhiLucknow. The airline has also introduced daily flights from Bengaluru to Jaipur, Bengaluru to Lucknow, Goa to Ahmedabad and their fourth flight from Delhi to Goa via Ahmedabad

The concept has been launched in Denmark, Norway and Sweden; and Finland is just around the corner. It is all about serving food that keeps blood sugar level stable and supplies optimal nutrition for the brain, providing benefits for both delegates and meeting organisers alike. Research has shown that eating the right food at the right time improves our ability to learn and concentrate, promotes quicker reactions and lowers stress levels – all factors that can impact on the quality of a meeting. Philippines slashes Manila’s international terminal fee

Rotary International Convention in Thailand will see more attendees

All international tourists travelling via Ninoy Aquino International Airport (NAIA) in Manila, starting February 1, departing international passengers at the NAIA will have to pay only PHP 550 instead of the usual PHP 750 terminal fee. Connie Bungag, Media Affairs Chief, Manila International Airport Authority (MIAA) confirmed that the reduced fee would be implemented as the Security Development Charge Program (SDCP) has come to an end. The 5-year programme, SDCP which started in 2007, increased the terminal fee to PHP 750 per passenger bound for destinations abroad. Moreover, as per MIAA General Manager, Jose Angel Honrado, PHP 200 security fee was only implemented in the Manila airport. Generating about PHP 700 million annually, the programme funded the acquisition of surveillance cameras and brand new X-ray machines that can detect drugs, bomb or explosives and other organic materials. However, SDCP did not apply to Oerseas Filipino Workers (OFWs).

2012 Rotary International Convention, a global humanitarian organisation and the Thailand Convention & Exhibition Bureau (TCEB), together with government and private associations will be welcoming over 38,000 guests from all over the world during May 6-9, at the IMPACT Arena Exhibition and Convention Centre. This year’s convention is expected to break the previous attendance record, with the largest number of pre-registered participants in the history of the rotary convention. The expected draw of over Baht 3,000 million in revenues will help contribute to the country’s MICE and tourism industries. Rotary members from all over the world will get together to further enhance their practice of voluntary service in accordance with Rotary ideals. The primary purpose is to exchange information, cultures and advance network among Rotarians. This year’s concept is to create happiness through smiles, with the slogan, ‘The Land of a Thousand Smiles’, symbolising the Thai culture of always extending goodwill to those who come to visit. It will also help to present Thailand in a different light under the campaign, ‘Believe in Thailand’. The mascots of the 103rd convention are Nong Yim and Nong Yam, a Thai boy and girl in traditional loincloths.

South African tourism ropes in Jonty Rhodes as its brand ambassador in India Former South African cricketer Jonty Rhodes, who is the fielding coach for Indian Premier League (IPL) team ‘Mumbai Indians’, will wear another hat in India. He has volunteered to promote South African tourism in India as brand ambassador. In 2011, nearly 85,000 Indians visited South Africa. This was nearly 18 per cent more than the previous year’s number of 72,000, she said. For South Africa, India is now a core segment to attract tourists and Rhodes has a great fan following in India. “We are taking India seriously. With 62 officials from South Africa (compared to 32 last year) on a roadshow to is a testimony of the importance this country is for us,” said Hanneli Slabber, Country Head, South African Tourism.

AIBTM hosted buyers 2012 numbers surpass 2011 The Americas Meetings & Events Exhibition (AIBTM), Reed Travel Exhibitions’ premiere provider for the US meetings and events industry, announced today that it has more than 50 Hosted Buyer Group Coordinators committed to AIBTM in Baltimore, June 19-21, 2012. AIBTM 2012 is a three-day event, with one full day of education and two days of exhibitions. It already has 25 per cent more Group Coordinators signed than for the whole of last year and are still in their preregistration phase for the Hosted Buyer Program. Each AIBTM exhibitor is eligible to apply to be a Group Coordinator. The programme empowers exhibitors to ensure that the prospects they want to see are at AIBTM. Group Coordinators receive the same VIP treatment as Hosted Buyers. They have the opportunity to meet face-to-face with top clients through AIBTM’s online Pre-Scheduled Appointment system and they enjoy complimentary travel and accommodations when bringing a qualified group of 10 or more. Among the AIBTM Hosted Buyer Group Coordinators confirmed for AIBTM 2012 include key hoteliers like Hilton, Hyatt, InterContinental Hotels Group (IHG), Marriott, Melia Hotels International, Shangri-La Hotels and Resorts, Sofitel Luxury Hotels and Choice Hotels International. Major U.S. market CVB’s such as the New Orleans Convention and Visitors Bureau, Meet Washington State (formerly Seattle CVB) and Visit Orlando will also bring hosted buyers. Space is still available and AIBTM is actively accepting applications for Hosted Buyer Group Coordinators. Online applications will be live later this month.

AIBTM increased show floor space to meet demand AIBTM is just four months away and already the event is increasing its exhibition space to accommodate supplier demand. Approximately 80 per cent of exhibitors that are currently signed on are returning from last year. Of those, 30 per cent have increased their floor space for 2012. Following AIBTM’s success at the inaugural event in 2011, one-third of returning exhibitors already booked for 2012 have expanded their floor space, including Hilton Worldwide, Panama Tourism Authority, Meet Washington State (formerly Seattle CVB), Dominican Republic Tourism Board and EMBRATUR Brazilian Tourist Board. In addition to those returning, more than 20 per cent of AIBTM 2012’s show floor will include brand new exhibitors. AIBTM is happy to welcome new organisations such as Carlson Hotels, Visit Pittsburgh, Moroccan National Tourism Office, the CVBs of New York State, Long Beach CVB, Palm Springs Desert Resorts CVA, Yosemite Mariposa Tourism Bureau and TUI Event Management. Some of the most recently confirmed returning exhibitors include Cvent, Yosemite Mariposa County Tourism Bureau, the Hawaii Visitors and Convention Bureau, the Ireland Tourist Board, the Detroit Convention Bureau and the Barcelona Convention Bureau.

Business travellers to benefit from the recent Hungary Tourism and VFS Global tie-up In a move to provide a high level, customer-oriented services to applicants for their visa application process, The Embassy of Hungary announced its collaboration with VFS Global, world’s largest outsourcing and technology services specialist for diplomatic missions and governments. The Ministry of Foreign Affairs of Hungary and VFS Global signed an agreement for outsourcing Hungary’s visa processing in India, a move which is expected to fasten visa application process. VFS Global will start by setting up the Hungary Visa Application Centre (VAC) in New Delhi which will be operational from early March, 2012. This network may also be expanded to other cities in India in a phased manner. VFS Global, apart from this new association in India, already serves the Hungarian government similarly in UAE & UK. VFS Global will be responsible for accepting and processing applications for Hungary visas from applicants residing across India. The key features of the centre will be longer operating hours, dedicated website for easy access, visa information including visa types, applicable fees and application status, professional and responsive staff committed to handle applications and visa queries, separate submission facilities for travel agents and individual submissions, dedicated call centre, email support and door-step delivery of passports. The service would attract a nominal service fee of INR 520, payable at the VAC at the time of submitting the application. The office will remain open from 9 am to 4 pm keeping in mind the convenience of the applicants. It is expected that this arrangement will certainly boost Indo-Hungarian business relations by providing for a more hassle-free environment for business-travellers of major Indian multinational investors at the first place. In this spirit, the Embassy of Hungary in New Delhi has been striving for providing an outmost business-friendly visa procedure and this co-operation with VFS Global would enable the Hungarian Government to take a step further in achieving this goal

Traversing Through the Island of Gods Day 1 Welcome to Bali Upon your arrival at the Bali airport, a tour guide will be waiting for you at the main gate, holding a placard. After a warm welcome the guide will take you directly to your hotel for check-in. During the transfer the tour guide will give you some brief information about your hotel, its surroundings and about Bali city – he will explain your programme for the following days and set-up its timing as per your convenience. Day 2 Full day sightseeing designed as an orientation on the insights of Bali featuring its natural, cultural and artistic aspects. The tour begins with a stop at the village of Batubulan where you will attend a cultural performance of Barong and Keris Dance, which depicts the story of the eternal battle between the good and the evil. Proceed to the artisan villages of Celuk, Mas and Ubud, known as the centre of Balinese gold and silver jeweler industry, wood carvings and art paintings respectively. Drive up through rural villages and vast area of beautifully terraced rice fields in Tegal Lalang and drive by hundreds of village temples before a visit you visit the 17th century holy-spring Gunung Kawi temple at Sebatu. Suntec Singapore announces key management promotions Suntec Singapore promotes Ong Wee Min to the position of Chief Commercial Officer and Arun Madhok to the position of Chief Operating Officer Suntec Singapore International Convention and Exhibition Centre (Suntec Singapore), an internationally acclaimed award winning venue has announced the appointment of two key management positions. Ong Wee Min has been promoted to the position of Chief Commercial Officer from his previous role of Director, Commercial. In this role, Ong will lead the centre’s sales and marketing activities for the various market segments as well as manage a team of highly qualified professionals. He will also hold commercial responsibility for Suntec International, an entity that provides a wide ranging portfolio of services focussing on the MICE industry that include sales and marketing representation, venue management, consultancy services as well as franchising and brand transfer opportunities. Marriott International eyes Asian MICE market with senior appointment Marriott International announced the appointment of Paul Rushton as Regional Director of MICE Sales Asia Pacific in a bid to capitalise on the burgeoning MICE market in the region. Rushton is responsible for the design and implementation of sales and marketing strategies for capturing a profitable share of the emerging MICE business for all Marriott branded hotels in Asia Pacific. Based in Singapore, Rushton has an experience of 25 years in the hospitality industry and his footsteps have covered leading hotels in Jakarta, Dubai, Bangkok, Sydney and Singapore.

Organising MICE Zelam Chaubal Director Kesari Tours Did you see a rise in MICE/business tourism in 2010-2011? What do you think will 2012 be like? Definitely, by 30–40 per cent. Except for the recession years of 2008-2009 there’s been a growth in every organisation and we are expecting at least 30 per cent growth in 2012 as well.

Can you identify a particular sector/industry which is seeing more of MICE travel?

There’s the insurance, health care, auto & agro sectors. Actually, all network and chain businesses for instance Amway, are growing well. Conferences and conventions are attracting larger numbers and hence adding to MICE share in the pie. Take for instance the Rotary Convention. They’re expecting 15,000 people in Thailand this year, of which we’re handling over 250.

Which are the most popular domestic and international destinations?

For domestic destinations, the more internationally recognized ones like Goa, Udaipur, Jaipur, Kerala are popular. Pune is a new destination that is coming up now. In the international segment there’s Thailand, more and more people want to see the ‘Rest of Thailand’ now. There’s also Malaysia, Singapore & Indonesia. For corporate with larger pockets Amsterdam, London and Paris are also popular.

How involved is a client when it comes to designing an event?

In the MICE segment, if you view the corporate side every dealer is a guest, or top management. So yes, each and every detail is mapped out by the client. And from our side, the corporate is our client and their event is our responsibility. I’d say, ‘They care and we take care’.

Describe the involvement of your company when you get over with the responsibility of organising a MICE tour. Like I said earlier all the details are provided to us by the corporate house and we execute them. Whether its advice for the season, venue, budget, hotel or organising sightseeing, gala dinners or taking care of ground arrangements etc. We do it all.

Do you use an event management company which executes the meeting/conference or is it done ‘in-house’?

Yes, sometimes we outsource. In special cases if corporates define a particular company they share a relationship with, we use them too.

Have you had to deal with any kind of emergency situations?

Of course, while conducting MICE it’s always a 24x7 ordeal. Though pre-planned there are always hiccups. I remember this one group that we took to Malaysia and one of the flights from South India didn’t take off. All the arrangements had been made for a 2 day trip and we were grasping at straws to redo bookings and the gala dinner preparations. Thankfully, we were able to extend their trip by a day and everything fell into place. But not before a few hair raising conversations and frantic finger work outs.

Do you organise more incentive trips or meetings and conferences? There is more incentive trend in India.

Can you talk to us about any memorable MICE tour that you have organised? What makes it so special?

We managed a group of 550 people for TATA AIG where we handled all ground arrangements for the first time. From picking up people from remote locations and bringing them to the metros to arranging their hotels and airport pick-ups and drops. We executed it flawlessly, despite a shortage of manpower and I’d have to thank my team for managing the show.

Have you had to go out of your way to fulfill unique demands of a MICE group?

Accomplishing a perfect experience for MICE is unique in itself, you have just three days to make a favourable impression whether it’s the corporate working to create that experience for its management and clients or us for our clients. It’s a cycle that we need to work on continuously. Our motto is, ‘Get it done’.
