ANKARA VOLUNTEER TEAM First of all, let us remember the twelfth anniversary of our birth that we say that we are not children and want to be called younger, and also perhaps the most rebellious years of our lives. Let's consider the tiny world set up of dreams, joys, sadness between the school-house life. You have to remember that our emotions were much more intense in youth-adult step we have taken during this period than the period when we are adults. We never talk when we fight with our best friends, and behave to them like an enemy; our anger was very big. After we made peace, we hug each other with love as if we did not fight at all; our love was big. In those years of adolescence it was very painful for us to say goodbye to childhood. Ankara Volunteer Team was founded in September 2009 within the alumni association Middle East Technical University in order to help our siblings living this period more difficult due to financial problems in Ankara. Ankara Volunteer Team has opened a window in our lives between home and school. Older brothers and sisters have been their guests in their own homes for two hours every week. Volunteers who are taken from the METU Campus and driven with the buses of Yenimahalle and Çankaya Municipality are working really hard to share the university culture, their knowledge and experiences with their little brothers and sisters. Our volunteers help our siblings with their lessons and chat about the weekly announced subjects. Moreover, some of our volunteers meet a group of children in primary school in the region and do some practice that help them to improve. Ankara Volunteer Team has taken out our younger brothers and sisters from their houses, cities and organized several activities such as theatre, opera seeing, children festival and summer camps and has achieved to take out our volunteers from their campuses by weekly visits to the houses of younger brothers and sisters. The children watched plays for the first time with their older brothers and sisters, they went to the sea for the first time and they learned how to swim with the support of their brothers and sisters. Ankara Volunteer Team is more than a social responsibility project, it's a sharing which increases people's awareness towards to its achievements and goals. It is our wish that the responsibility of our brothers and sisters' education and social progress which is neglected by the actual responsible ones will be completed by our volunteers' big will.


ANKARA VOLUNTEER TEAM Regulations for Internal Affairs and Responsibilities

AIM Article 1: Management and operation of Ankara Volunteer Team are held by this statute. DEFINITIONS Article 2: Definitions used in statute are determined as Ankara Volunteer Team “AVT”, METU Alumni Association “Association”, university students “Student”, university graduates “Grad”, Ankara Volunteer Team members “Volunteer”, the unit of the highest responsibility of Ankara Volunteer Team “Brain Team”, management, decisions and implemantetion unit of Ankara Volunteer Team “Core Team”. . EXTENT Article 3: The contents of this statute consist of management units and forms of execution of projects.

PROJECT SUGGESTIONS ANDPROCESS Article 4: Projects implemented by Ankara Volunteer Team are based on universitysociety collaboration. Article 5: Before the application of a project proposal, a person proposing petitions to Think Tank of AVT. Think Tank examines suggestion. The proposals supported majority are removed to Core Team and the process of the project is started. A volunteer making a proposal becomes a member of Core Team with the decision of the Project application. While the project implements, the volunteer, a person related to content of Project and Think Tank cooperate. Each phase of the project and meetings are carried out within the knowledge of Think Tank. Article 6: Before long-term projects start applying, management process of the project is determined in written. (The program of project must be based on “University-Home” Article 7: Before small-term projects start applying, the outline of time is determined in written. (The outline of the Project must be based on “Children’s Festival”.)


VOLUNTEERS Article 8: The volunteers of AVT include students, alumnis, alumnis and the beneficiaries related with the project or the persons who want to support the projects. a. Volunteer: Students takes responsibility in the stage of project implementation. b. Volunteer Family: The people apart from students who want to support the project constitutes volunteer family. c. Leader Family: The people apart from students supporting the projects at the stage of pr覺ject implementation constitues leader family. 癟. Junior Core: The volunteers who are at the level of primary and secondary education and also the beneficiaries of this projects constitute junior nucleous.

BEING A VOLUNTEER Article 8 appendix.a. People who want to be volunteer in AVT should attend the AVT workshops and the related project educations. Article 8 appendix.b. People who want to be volunteer in AVT apart from the workshop or project education periods can join the team by consent of Brain Team.

DROPPING OUT THE VOLUNTEER Article 8 appendix.c: The volunteering can be dropped out in two ways. When the volunteer want to give up his/her duties and/or the duties in Core Team or Brain Team, his/her volunteering drops out. In addition, in the projects and administartion units, the volunteers who mention clearly the biased ideas about the political and religious issues, who make discrimination of ethnic, gender etc.., who act in contrast with the principels and the aims of the team, are removed from the from the team by the consent of Core Team.


DUTIES AND RESPONSIBILITIES OF BRAIN TEAM Article 9: Brain team is the top executive organ. Brain Team includes the crew supervisors who are in the Core Team. In the first meeting of each era, 7 membership of the Brain team share the duty of ‘GENERAL LIABILITY’ of the project implementation period. Article 9.appendix: The duty of General liable is to represent all the volunteers in official relations, press briefings and the representative situations. General Liable has no title of making decision alone. Article 10: The General Liability eras are defined in terms of September- October, November, December, January- February, March, April, May- June. In the July and August months, the duty of general liability is continued by the member of Brain Team determined by the Brain Team in last meeting.

Article 11: The teams and team managers are organised and selected in accordance with the requirements of the Core Team. The decision of the establishment of a new team is decided in the Core Team. As of February 17, 2011 teams and areas of responsibilities are defined in the following format. Topics are discussed and the recommendations, changes to the brain team then the final decision is issued by the core team. a.Volunteer Team-Book - Arranges activities about the voluntary participation. - Review the number of volunteer monitors, increase / decrease the status. - Organizes activities to raise solidarity between volenteers -Takes the general feedback about the AGT from volunteers. - Makes calls for the creation of Library of AGT. - Generates a list of basic books, transportation is provided to the beneficiaries of the project works. - Negotiates with bookstores, libraries, publishing companies.Organizes activities to make the donation. - The team is composed of three members. Team members are selected from core team.


b.Education&Event&Entertainment Team - EEE is responsible for each work of education. - EEE is responsible for all activities within the team for team building activities. - During the advertisement events, organising stands, announcements, brochures etc. re controled by EEE. - Parties, Summer Camps, Children Festival, Volunteer Day are responsibilities of EEE. - EEE examines proposals for new events. Events that are approved by Brain Team are sent to the Core Team for the final decision. - The team consists of four people. Members are selected from Core Team. c. Information-Archive-Press Team - IAP is responsible for all documents and correspondences. - IAP is organizes regular meetings with media companies. - AGT Magazine, Notifications are responsibilities of team. - IAP prepares a monthly “newsletter AGT� (or notifications) and AGT Magazine is published twice a year. - Number of members of the team is determined by the team leader. Members are selected from the Core Team. - AGT volunteer database, website, e-mail system are responsibilities of technics. - Work graphical design is responsibility of the technics. - Team can organize technical training when it is needed. - The team consists of five members. (17.02.2011) - Two representatives are selected for the brain to participate in the weekly meetings.


d. University- Home Team - The team is responsible for the University-Home Project. - The team determines the strategy in order to spread the project and holds meetings. - The team consists of at least nine members. Members are chosen from the Core Team. - At least one or at most three of responsible region members join the Core Team. If there are three over regions , at most three region responsible members join the Core Team alternately or permanent.

e.University-School Team -They are responsible for the University-School Project. -In order to achieve the spread and the implementation of the project through all the regions and schools in Ankara, they do negotiations with the people in charge according to a plan. -The team consists of three persons. The members are chosen by the "Core Team". f. External Relations Team: - It is responsible of relationships between Ankara Volunteer Team and METU Alumni Association. - It perpetuates the contact with METU Alumni Association and share necessary reports and information with Administrative Board of METU Alumni Association. - It arranges meetings with other non-governmental organizations. - It has a conference with public and private organizations to introduce Ankara Volunteer Team and enter a proposal to cooperate with them. Then, convey the process to the Core Team. - It is composed of 3 core team volunteers. g. Supervising & Counselling & Solidarity Team - It is responsible for communication between teams and continuity.


- It controls the implementation of AGT work regulations. - It is responsible for assesing and reporting complaints about an event or a person. Prepared reports are submitted to Brain Team and then Brain Team make a decision. - The team consists of three people. The person who previously took part in Brain Team stands for election. - After identifying the candidates, the members of the team is selected by the core team by voting closed. - The team manager is determined by team members in first team meeting. - The team does not have a right to vote, it has right to speak. The team can bring a desicion making in the meeting of Brain Team on the agenda of the Core team . - ( 3 members of Core Team create this team with temporary assignment up to the summer camp 2011). PARTICIPATE IN THE CORE TEAM Article 12: a. Core Team members can be renewed at the beginning of each semester, the execution of projects related to the effective implementation of projects as volunteers in different times, except for those who want to take responsibility in the Core Team joins AVT. b. Participants in the summer camp are located in the AVT as a member of Core Team. c. Volunteers, who have the new idea or who want to take more responsibility apply the appropriate team in the period of implementation of projects. d. In order to join in the core team, the approval of the team and decision of the Brain Team are needed. TO LEAVE THE CORE TEAM Article 13: a. A volunteer who does not take responsibility for the execution of the projects and does not have necessary time may voluntarily leave from the Core Team. b. A volunteer who does not participate in the Core Team or Team meeting 3 times naturally leaves from the Core Team. c. Advisory Team applies the Brain Team and the subject is decided.


THE FORMATION OF BRAIN TEAM

Article 14: a. Members of senior management are determined within the Core team members.Each crew determines the next period’s responsible person of their crew by agreement at the last meeting of current period.(can be a person within the crew or a member of other crews.) b. If more than one crew member willing to be responsible and if the crew can’t make an agreement,the subject is moved to the agenda of the core team.

Article 14appendix.a.In case of disaccord within the crew, crew members vote for candidates to determine the responsible for next period. Article 14appendix.b.Responsible of the crew is voted by secret ballot by Core team members. (Before the meeting,list of Core team members arranged as voter list by the responsible person of AVT at meeting time with the help of Brain Team.And a selection committee is generated among Core team members apart from candidates.) Article 14appendix.c. University-Home crew is the largest crew of AVT in terms of number of members.Next period’s responsible person is determined with the participation of the region responsibles and the region units. For example, under the leadership of Yenimahalle region responsible , the next period’s region responsible is determined in the consensus. Other regions also determines the same way. After determining the region responsibles,new region responsibles league together and determine three members for brain team among them in the consensus.In case there is no agreement,Core team members determine three member for brain team,with the method which is described in “Addition to Article 14”.


FORMAL MEETINGS Article 15: a. The Core Team members meets at least once a month.

b. The Brain Team members meets at least once a week.

All crews meet twice a month in itself

d. All volunteers meet at least three times a year. (beginning of first semester-the volunteers who participated passed year are expected to attend-,beginning of second semester and AVT Foundation Day) . Article 15appendix: Meeting dates are determined within the monthly calendar at the beginning of each month. Each meeting, one of the participants of meeting keep a report,and at the same day this report is sent to Core team members as feedback.


ANKARA VOLUNTEER TEAM CORE TEAM

University-Home Team, Yenimahalle Group Ankara Volunteer Team initiate the University-Home Project in Yeni MahalleKarşıyaka region last year and then our project expanded towards Çeşme and Yakacık regions. On Saturdays volunteers meet in METU Sunshine Café at 12.00 and go to Çeşme and Yakacık, on Sundays volunteers meet the same café at 11.15 and go to Karşıyaka region with the buses of municipal corporation. Siblings and their parents host the volunteers in their houses gladly. Throughout 2 hours, volunteers and siblings tell each other what they did last week , they commune about the topic of the week such as ‘jobs’,’ sport’ ,’ environment’, ’music’ ‘ technology’ ,’science’ etc. and volunteers help their siblings about the lessons and examinations. After two hours, volunteers come back to METU with the same buses and they are expected to write a short evaluation about what they did this week during two hours and they can write suggestions to improve Ankara Volunteer Team. We, as Yeni Mahalle group, hold a meeting every two weeks.We discuss the problems and we try to solve them. Our purpose is matching proper volunteer-sibling and volunteer-volunteer ( as a partner) and in this way decreasing the number of problems. University-Home Team, Cankaya Group One of the sulfields of University-Home Project is Cankaya region which determine their siblings(brothers/sisters) by work with Todam. Cankaya region match their volunteers who wants to support AGT with previously determined homes. Saturdays and Sundays volunteers meet in METU- Sunshine at 11:45 and go to Akşemsettin and Yenilik Primary Schools by benefiting from the opportunities of the government. After 2 hours with siblings, volunteers come back to the school and write the evolutions of the week. In addition to that; Çankaya region work with EEE and Volunteer & Book in order not to deprive of the siblings to opera, ballet shows and different kinds books. University-School Team University- School is one of the main projects of AVT . In this project, volunteers go to the primary schools in order to teach speed reading and drama to children. Our purpose is explaining the university culture to our brothers and sisters by using these methods. Volunteers improve not only their siblings’ skills but also their personal development. Now, about 30 volunteers are in this project and they go to 4 schools every week. University-School Crew, who are responsible for coordination of the Project, includes 3 core team members. They organize volunteers’ activity, overcome their problems and plan programs weekly. Also, they work with other crews for helping them.


Education & Event & Entertainment Team 4 manned team is responsible for Ankara Volunteer Team’s all activities and entertainments. For continuity of volunteering, this team arranges the introduction of “ Kafe Gönlümün Gönüllüsü” at least two times per a term. This team also prepares Opera,Theatre and bale events for cultural advancements of brothers, 24 April METU Children Festival and also AVT Summer Camp for Project Assesments and Improvements. Volunteer & Book Team Main tasks of ANKARA VOLUNTEER TEAM’S Volunteer&Book Crew are advertising team and collecting books for our brother and sisters.Crew members try to inform about Ankara Volunteer Team as many people as possible by using advertising materials like flyers and posters.In addition to that,crew members are responsible for collecting basic information of volunteers and arranging database.With the help of other crews and volunteers Book&Volunteer Crew will help new people to join team,and achieve the goal of creating a big AVT Library.

External Relations Team The team of external relations conducts the relationships of Ankara Volunteer Team, especially with METU Graduates Associations, and the other institutions with which AVT works and will work together. The team keeps in touch with the Association and reports the important information to the Board of Management of Association. Besides of it, the team regulates the meetings with non- governmental organizations in behalf of AVT. The aim of the External Relations is to accelerate other teams’ studies by carrying out the bureaucratic procedures.

Information & Archive & Press Team The team of information-document-press ensures Ankara Voluntary Team’s fast and effective communication and data flow. It saves the original reports of activities, trainings and seminars in archives and the soft copies on the computer. It is responsible for all areas related to technology. It gives information about all announcements and activities to the media such as newspaper, TV etc. using the most effective methods. Supervising & Counselling & Solidarity Team AVT has a dynamic system to ensure continuity within the management structure . It is responsible to operate regulations for the implementation as Supervising, it is needed to maintain and spread information for each team in the core team as Counseilling; there should be cooperation within the core team as a as Solidarity, 'consists of volunteers took part in the Brain Team.


EVENTS: A. Summer Camp In camp process, Core Team members evaluate previous semester projects and develep new projects. Also they update existing projects and determine future strategy .If the conditions are suitable, children who have involved in the Project will join camp process. Project planning is determined under the leadership of general coordinator by Ecuation&Event&Entertainment Team. Non-formal educations and intra-team meeting are carried out during the summer camp. B. The Magazine “Gönlümüzce” This is the biggest publication of Ankara Volunteer Team following the bullettins published in the action term. The activities and events of AVT are announced in the end of the first term and after the summer camp every year. Including the activities of first term, the delivery of “Gönlümüzce” starts in the Volunteer Day arranged for the beginning of the second term. As to the second issue makes its debut with the first seminar in the beginning of the next first term. In the content of these publications the writings from volunteers, siblings and parents are given a place. Also the support is requsted from the graduates. Two volunteers from Core Team are determined as responsibles from this Project. All the teams have different responsabilities related to this publication. The main object of this project is contributing the introduction of AVT by a demonstrated, thought-provoking and easily readeable journal. The journal of “Gönlümüzce” is carried out by the support af Alumni Association and municipal authorities. C. Children Festival With the project, the week of April 23 each year, an activity for bringing together children and young people who benefiting all of our projects is organized. Organization team consists of Junior Core Team and under the responsibility of Team Training & Events & Entertainment Junior Core Team provides the determination and implementation of the festival events that will take place on festival day at the stadium. Children's Festival is organized by children, youth, volunteers will guide them on issues that they need. Parents and the leader / volunteer families who want to join are also involved in Children's Festival. Preparations begin at the beginning of March every year, a common garment is prepared for the event, the place of event is arranged the correspondence is done. Festival's preparation plan is evaluated by the Brain Team before the start of the event. The realization of the event is provided under the leadership of all core team members of AVT and the participation of all volunteers.


University-Home Project

Name of the Project: Ankara Voluntary Team “University-Home Project�

Aim of the Project: This Project aims adjusting university culture to the society, and especially children who are attending 6th or 7th grades as well as their sisters or brothers (if any). During this project, 2 hours in a week, university students (at least 2 volunteers) support these children at their home in terms of their social and academic development. Application of the Project: The core team of the University-Home project includes 9 people, 2 of which are responsible from two different areas and rest of them is responsible from subareas of these two areas. Furthermore, there are other volunteers who are not necessarily in the core team and each of them is responsible from at least five homes. They remind volunteers the project hour and place each week before two days of the project day via e-mail and phone and send them application for that week. Volunteers who are responsible from subareas are expected to carry this process out regularly and properly, distribute the application forms to the volunteers, take back and type these forms, visit and introduce the project when needed, and communicate with parents, pioneer families and volunteer families. Volunteers who are responsible from the area get the information from subarea responsibles regularly, support them in order to maintain the application of the project in all subareas in a harmony and inform the brain team about their area and the process. General Introduction: The Evaluation Meetings are done regularly in order to be informed about the running of the project home by home and keep in touch with the volunteers consistently. Moreover, application guides have to be applied each week at the home. People responsible for the area provide these regulations in the control of the team that they have responsible. Homes in which the project will be applied are determined by pioneer families. Family Application Forms are given to the pioneer families. Thus, the form can be transmitted to the families who want to benefit from the project. After collecting all application forms, they are evaluated together. Pioneer families and the people responsible from the area come together and determine the families who need this project most. The number of new homes is determined according to number of the current volunteers. Then, matching between volunteers and families are made after volunteers are trained.


University-School Project

Name Of The Project: Ankara Volunteer Team “University-School Project�

Aim Of The Project: This Project aims giving faster reading techniques, basic drama techniques and English courses to the students in primary schools and being spread in other primary schools.

Application Of The Project: Team of this project includes three people who are from core team. Responsibles for school, team and area are determined seperately.

General Introduction: New applications can be performed when needed. However, it is necessary to decide renewal as a team, so think tank and teams come together. Their approval and decision are required to choose each new school. UniversitySchool Project is carried out at the same time with University-Home Project.
