January 2014 Dear Headteacher/Principal and Head of Art It gives me great pleasure to invite all Specialist Schools, Colleges and Academies to take part in the twelfth Annual National Students’ Art Exhibition under the patronage of The Royal Society of British Artists. This exhibition will be held at The Mall Galleries, London, from 8 – 12 July 2014. The opening ceremony will be at 3pm on Tuesday 8 July 2014. We will be exhibiting in all three Mall Galleries in order to accommodate the increasing number of outstanding pieces of art submitted. There will be a press preview on Monday 7 July, 6 – 8.30pm. You are invited to submit work for consideration. The exhibition is open to all current students and there is no theme. All work submitted will be assessed by a committee of five, which will include senior RBA members. Certificates will be awarded for two categories of work to celebrate achievement: A. Those whose work is "selected to be exhibited at the National Students Exhibition". B. Those whose work is "not selected but highly commended". This is a wonderful showcase opportunity for Specialist Schools, Colleges and Academies and is part of an inspirational vision on behalf of the Royal Society of British Artists. A DVD of this year’s show is included in this pack; please share this with your students and Art Department. Within this booklet are the Conditions of Entry forms together with a schedule of timings for submissions. Please complete the Intent to Submit form and return to us by Friday 22 February 2014 if you would like to participate. The easiest way to submit all forms is by using the electronic version of this booklet which can be found at: www.astorcollege.org (follow link through ‘News’ to National Students’ Art Exhibition, 2014). The absolute deadline for work to be delivered to the College, at your expense, is Tuesday 24 June 2014. Selection for the exhibition is Wednesday 25 June. All works submitted will be returned to you at our expense by private courier. We do hope that you are able to participate in this highly prestigious show. The RBA wishes to recognise and support excellence and creativity in all schools. During the show the President will select a number of artists who will become RBA Scholars and they will be invited to exhibit their work in the Annual RBA Exhibition in March 2015 alongside some of the best artists in the country. Submit your Intent to Submit form online at www.astorcollege.org (follow link through ‘News’, National Students’ Art Exhibition, 2014) or by post, fax or email. Please note that online submission of Intent and Exhibitor Details is preferable. Hand written forms can be difficult to read and lead to incorrect details on certificates, wall labels and in catalogue. We regret we cannot re-print certificates should incorrect details be submitted. As soon as possible Select work for submitting taking into consideration the criteria set out in The Conditions of Entry. Maximum submissions – 10 per school. From May onwards Work can be sent as and when ready: but no later than 24 June 2014: Package securely (SEE SECTION 3 in Conditions of Entry) and arrange your courier to deliver framed or fit for gallery work to Astor College, Dover, CT17 0AS as soon as possible but no later than 24 June 2014. In the corner of each package please write 1 of 2, 2 of 2 etc as appropriate and include name of your school. Please take care when filling in Exhibitor Details (preferably online), student names are often incorrectly spelt and we cannot reprint certificates or catalogues. Make 2 copies. Copy 1 keep intact and place in with any of the work sent, copy 2 separate each record and attach to the back of relevant piece of work. Work will be opened and catalogued. You will be informed immediately if any damage has occurred in transit and permission sought for our technicians or framer to repair. There is no charge for technician work and a very reasonable charge for re‐framing or glazing which will be quoted before work commences. Any work submitted which is selected by the panel but requires work to make it fit for gallery will be discussed with the Head of Art. The cost is minimal. The RBA panel meet to select work for the exhibition. Letters/emails, certificates and invitations to be sent out to Headteachers/Principals/Chief Executives following selection choices. Conditions of Entry National Students’ Art Exhibition under the patronage of: The Royal Society of British Artists 8 July to 12 July 2014
Please read the following conditions of entry carefully:

Work should be that of current students at time of Intent (22 February 2014). The work should be framed and glazed unless submitting a canvas stretched over a solid wooden frame. Please see page 13 for details of our framer. Work should be mounted or framed in such a way that mirror plates may be screwed into the reverse of the frame by The Mall Galleries technicians (please see Fig1 and 2). There should be no fitments on the back when sent to Astor College as the hanging will be done by the Mall Galleries. Please note ‐ Ikea , Nielson and composite frames very often arrive damaged and beyond repair even when packed well and are often not suitable for fitting mirror plates to, please do not submit work in unstable frames. The students’ work is often damaged when these frames and glazing break in transit. We will request your consent to repair works for exhibition at a very reasonable cost which will be sent on to your school for payment after the exhibition. Fig 1

Please fill in the Exhibitor Details Form either online (preferred) or clearly in capitals. Make TWO complete copies. Place one complete Exhibitor Detail Form listing all work submitted into the package and the other set cut into individual records and secure the relevant record for each artist to the back of their work. National Students’ Art Exhibition
We are pleased to offer a framing service for pieces entered into the National Students’ Art Exhibition for 2014. The service worked well in 2012/13 and we are extending it this academic year to offer an even closer collaboration for 2014. Your entries should be made via Astor College in the normal way but we will be working closely with the college to prepare the work for the Exhibition in London. Using our service has a number of advantages. It is often cheaper and safer to send artwork in a roll than it is to send a large frame by post or courier. We are located very close to Astor College and all work is transported to and from the college free of charge and will be guaranteed to make it back to the college in time for selection with prior agreement through the College (paceo@dfamat.com). If you are on a tight budget we can often produce better results if you leave the choice of frame to us. Pricing General prices for can be given but please note that frames are individually made to suit the artwork. Factors influencing cost are: Style and size of moulding With or without mount With or without glass (or styrene/acrylic) Fragility of the art Depth ‐ e.g. three dimensional objects requiring deep or box frames Size of artwork. (Pieces with dimensions exceeding 1.5 metres are cut by hand and are, therefore, more expensive to frame) Example Prices These prices are given as a guide only and are based on our current prices at the time of writing (August 2013). For exhibition work we generally price each job after we complete it which usually gives a lower price than shown here ‐ the more we frame, the cheaper the cost. Sizes given have been selected to give a price comparison and are NOT standard frame sizes. Each frame is individually made to suit the artwork and you should not feel constricted to working to a set metric (or imperial) size. If you would prefer to have a fixed price quote before framing, please ask. Although we do not necessarily need to see your work before quoting, please see the section on Quotations for Framing for the information required. Useful Tips for Framing There are a number of things that you can do when sending artwork for framing that will save both time and money and will result in a better presentation. Some artists have a very definite idea on how they want their work presented. If you are one of those people, be as clear as you can on colours, styles, widths, mounts, etc. Please remember, however, that when we are doing exhibition work time is often short and there is not always enough time to order‐in specialist materials. We are happy to choose the framing options for you if you prefer. Over 50% of our exhibition customers let us choose their frames for them. Collages and mixed media work usually need to be mounted in a shadow frame (where the work is held back from the glass using spacers). This necessitates the use of deeper frames so please remember this if specifying a specific moulding for your work. Exhibitor Detail Forms are fitted to the back of work when it is sent in for selection. If the work is going into a glazed frame, we have to remove the label to put it on the backing board. It is important, therefore, that you think carefully about how you attach the label. In most instances, low tack masking tape is the best option but even this can cause problems on items such as photographs, tissue paper and other fragile media. When sending artwork in tubes, do not roll too tightly and try to roll on the short edge so that you use the shortest tube possible (the shorter the tube, the less likely it is to be bent in transit). Quotations for Framing If you would like a fixed price quotation for your work before you send it off for selection we need to know the following: 1 The overall size of your artwork including any window mounts (if required). 2 The medium used (stretched canvas, watercolour, etc). 3 Is your artwork three dimensional (such as mixed media with raised or uneven surface)? 4 Style of frame you would like (plain wood, coloured, gold, silver, etc.). Do you want mount boards? You may wish to have your work mounted on a specific colour of card or, more normally, you may want your work framed by a window mount. Do you want your artwork glazed? We can use 2 mm glass for frames up to A1 size. Above that we normally need to use styrene (a type of very clear acrylic). Styrene is much safer than glass but more expensive.
