Best Attributes of a Dental Practice Management Software (DPMS) by Debra Horn When evaluating Dental Practice Management Software (DPMS) for your practice, there are many considerations that affect your business in both the short- and long-term. In this piece, we’ll discuss the qualities and capabilities to look for when evaluating a practice management solution.
Access to Your Data
Know who will hold the keys to your data. You may assume it will be your practice (it is YOUR patient data, after all), but many DPMS providers will lock down your data and the access to it. This is especially true of those hosting your data online. If you were to ever consider moving your

data to another software, for example, there may be a hefty fee. Additionally, they may not export ALL of your data for transfer.
Converting to Another DPMS
If you are considering a transition to a different DPMS, you’ll want to be able to see your own data in the new platform. Check to make sure the new software vendor you’re considering will do a free trial conversion. Seeing is believing, and being able to see and manipulate your own data in the new platform will help you evaluate the look and feel before you complete the switch. Ask about the conversion staff and their process. They should provide tools and resources
during the transition to help you evaluate the test conversion and check for issues, ensuring a smooth and complete final conversion.
HIPAA Compliance
Your DPMS is an important tool to help your practice be HIPAA Compliant. It should follow HIPAA guidelines and standards for security and privacy, and have physical and electronic safeguards in place, including encryption. The software should allow display customization (think schedule view for your staff vs. somewhere the patients may be able to see it), and security settings for each DPMS user in your practice with access to PHI.
Expandability
Think long-term, and think big! Make sure your DPMS will grow with you. You may start off as a single practice, but your DPMS should be scalable to handle additional practices as their own entities (for customization and reporting needs, etc.), while maintaining visibility and access for the organization as a whole.
Does it meet your needs?
Evaluate how you really want your practice to function. Are you currently, or do you want to be paperless? Look for charting with multiprocedure charting efficiencies, electronic billing and automated recurring payments for your patients, and integration with the clearinghouse of your choice for benefits eligibility, electronic claims and attachments, and ERAs. Consider how you communicate with your patients. Does your DPMS offer a patient portal for secure, HIPAA-compliant communication, and online payment options? In this very mobile age, it should have options for 2-way texting, automated recall, appointment reminders and confirmations, and online scheduling. How does your location operate? If you have several locations, they may operate slightly differently. Look for customization options in your software to accommodate these differences. This is especially important if youâ&#x20AC;&#x2122;re acquiring another practice that has been using a different software. Youâ&#x20AC;&#x2122;ll likely want to have them under the same

DPMS “umbrella.” A highly customizable software will translate into faster ramp-up times, minimal loss of productivity, and better function overall for all of your practices.
Do You Have Choices?
Many DPMS vendors also offer imaging solutions, dental supplies, electronic claims, or patient billing. If they offer these, you may become subject to “vendor lock.” They may require that you use their products, or buy consumables from their vendor. This can mean you’re using an inferior product or service, paying higher prices, or have less options for your practice as you grow and your needs change.
What Does the Interoperability Look Like?
What Happens After You Sign Up?
What kind of resources and customer support are offered by the DPMS vendor after you have become a customer? Check to see what training and learning tools are available, and what free or inclusive resources are provided for your practice as you start, and continue to use the software. How is their customer service? Ask for references, and check their online reviews. Ask about their technical support process and response. If you have an urgent issue that needs troubleshooting, or have a patient in the chair and a question about something in your DPMS, time is of the essence. The right vendor will be one that shares that urgency and works with you to resolve your issue promptly.
Those eight syllables are a fancy way to say “plays well with other software.” This ties in with choice, and is all about how you operate, and the things you may want to connect to your DPMS to enhance and grow your practice your way. Imaging software, clearinghouses for e-claims, attachments and benefit eligibility, automated backup services, credit card processing services, patient reviews, and reporting dashboards are all examples of other software or services you may want to use in concert with your DPMS.

Terms
Open Account to qualified buyers. We invoice each shipment. Invoices are due by the 10th of the following month. All past due invoices will be charged a 1 1/2% finance charge. Please return the payment stub from each statement to ensure proper credit for each invoice that you are paying. Returns
The original invoice or invoice number must accompany all goods returned. Special order returns will be subject to MFG’s restocking fees and handling charges. Items subject to FDA Regulations may not be returned for credit if seal is broken.
Equipment
Orders over $10,000 require a signed purchase agreement and a 15% down payment. The balance is due on or before delivery of the equipment. Atlanta Dental has many equipment financing options. The warranty on labor for new equipment is 6 months. The warranty on parts for new equipment is as stated by the manufacturer.
