Get new team members onboard and off to a great start Larry M. Guzzardo Have you ever opened a door only to find out you were in the wrong place? Maybe the hall closet instead of your bedroom? Do you remember how that felt? Imagine being a new team member in your office; would you want them to feel like they made a mistake and were in the wrong place? If a new team member has an unclear perception of what is expected of them, it is going to cost your practice in many different ways: ➢ lost productivity and confusion by your current team that can never be recovered, ➢ time that could be more profitable running your practice, ➢ and the domino effect of even one negative person dragging down the performance of others.

Taking steps to create a positive environment for your new team member is a proven way to reduce stress in the practice and it creates a smooth transition for a long-term relationship. Whether team members are new to dentistry, new to your practice, or changing departments, their productivity can be enhanced with a thorough onboarding program. The new team orientation is the bridge that takes the new team member from the old way of doing things to the new way. Starting off on the right foot encourages the new team member’s desire to continuously improve performance, teamwork, participation, and learning. An office that includes an onboarding process as part of the training schedule helps new team members understand what is expected of them in their new office and why. Your onboarding process should give everyone who comes to work in your practice the opportunity to make a choice. Not after they have started, but before. You do this by making sure they feel comfortable in their new environment with a proper orientation! How well your new team members are able to reflect the teamwork in your office should not only depend on them, but on how well teamwork is communicated to them at the beginning of your working relationship. A “new team member onboarding process” is how you communicate this to them. What are the most important things that a new team member needs? First, they need knowledge of the Doctor’s practice philosophy and an understanding of the procedures performed by the Doctor. Second, they need clarity concerning the relationship between the hygiene, chairside, and business office team. The new team member should know the responsibility assigned to each area and the line of communication. Third, the team member must know what the Doctor expects from them. When team members have knowledge of the Doctor’s philosophy of dentistry, they can professionally

This tour should include introductions to co-workers and a short explanation of their responsibilities. Ideally, time should be allotted for the new employee to have brief interviews with everyone as a way of becoming acquainted with them. Featured Article performance evaluation for team members in the practice over a year does not provide enough feedback for a new team member who needs more frequent re-enforcement, direction, and encouragement. The best time for the Doctor to give regular feedback is while the new team member is in their initial stages of employment and tasks are being completed. This allows the Doctor to provide specific suggestions for improvement if necessary. Do not assume that because a team member has a solid work record or prior experience they do not need guidance or direction. The time spent with them also provides them with support and lifts their self-esteem as they are finding their place on your team. Make sure they are settling in, answer their questions, and review their responsibilities and training schedule. Meetings with them let them know you’re behind them right from the start. Time with the new team member should be scheduled daily for the first week, then once at the end of the second, third, and fourth weeks. Have them document their understanding of your expectations and review with you the objective for meeting those goals. At the end of the first three months, schedule a performance planning and review session to evaluate the team member’s overall performance and to plan any additional training.

Teach new team members as much as possible about your practice and encourage them to learn. Be available and approachable. You must take the time to listen to your team. Encourage them to use you as their sounding board. The problem may seem trite or small; however, it’s usually extremely important to them. Listening is motivating. Unmotivated team members are certainly not happy and will begin to think they are in a position where there is no place to go or feel unappreciated. To understand these feelings, listen to discover the strengths of your new team member. Watch and look for tasks they enjoy. When you see them do something well, let them do more of it. Then as their confidence builds, introduce them to more challenging and different situations. Help them to see the tangible results of their work. Believe it or not, team members welcome the chance to learn new skills on the job. Give them creative challenges and opportunities to collect proof of their value to the practice. As team members are urged to take more responsibility for managing their careers and because they face the prospect of numerous job changes, it follows that they should assume more responsibility for getting onboard. New team members are likely to be entering a practice today that will place a premium on soft skills, flexibility, and an ability to think and solve problems. In an evolving work world, sheer experience is no longer the status quo for authority and high productivity. The ability to innovate and to learn are increasingly at a premium as practices seek team members who are free of preconceptions and can provide fresh ideas. Things are changing so rapidly that it’s no longer the case that being well schooled in a particular skill is most important. Today, practices are looking for a fresh point of view without the baggage of the old way of doing things. More often we see that team members, who develop “soft” skills such as communication skills, often rise

Digi-Flo™ Automatic Switching Manifold/Alarm The Digi-Flo™ Automatic Switching Manifold/Alarm is an automatically controlled system. It is designed to safely and economically deliver nitrous oxide and oxygen gases to dental operatories. Regulators control the gas line pressure at 50-55 psi, and a pressure relief valve protects the gas lines and equipment against excessive line pressure. In the event of line pressure changes, the alarm system provides audio and visual alerts.
