Deposits and payments
Bookings are confirmed only once all the ancillary documentation is signed. The company reserves the right to cancel the event if the payment conditions are not upheld.
- 25% - to be paid upon confirmation of event
- 50% - to be paid 45 days prior the event
- 15% - to be paid 15 days prior the event
- 10% - to be paid within 14 days from event date
Should the company wish to pay on invoice, an account between the two entities needs to be in place prior to the event. A credit application form is to be filled and sent to the hotel latest a week prior to the event. The credit terms for payment are for a maximum of 30 days from event date.

Cancellations
Should the event be cancelled for whatever reason, any deposit paid shall not be refundable and may not be transferred in favour of third parties. In case of cancellation of the event within 7 working days or less prior the event, full cancellation is applicable.
Prices
All mentioned prices are inclusive of 18% VAT. Prices are applicable till the 31st December 2024. AX Caterers reserve the right to revise all prices to reflect any increases in taxes. Prices indicated in the signed contract will be the final price and no other discounts will be applicable unless listed in such contract.
All prices mentioned are inclusive of the outside catering package which includes 5hrs service (starting from the commencement of the welcome drink), cutlery, crockery and table linen, tables and chairs for seated events, buffet setups with skirting covers, bistro tables (1 bistro for every 30 guests), ice and proportional supervisory and staff levels. Prices quoted are not inclusive of venue hire.
Staff Overtime
An overtime charge of €450.00 per hour or part thereof applies after 4 hours of service, excluding setting-up and dismantling times. Such charge is applicable for the extension of use of staff. Overtime for beverage is charged according to beverage package.

Number of guests attending
€160.00
Our events team have to be notified with the exact number of guests attending the event by at least 72 hours before the Event. The number of guests confirmed must be equivalent to the one which the number indicated at the booking stage, with a - 10% allowance. The confirmed price of the event is conditional to the confirmation of the amount of guests indicated at booking stage (- 10%), in default of which the caterer shall retain to right to revise the confirmed price for the event.
Menus
Whilst every care will be taken to produce the exact menu agreed, the caterer reserve the right to alter a particular ingredient or item on the menu if it is not available and replace it with a suitable alternative. Every endeavour will be made to inform the client of any changes in advance.
Leftover food
The caterer is responsible for the quality and freshness of the food served to your guests. In accordance with Health and Food Safety Legislation we are not able to release any leftover food.
Dietary requirements
While some of our menu items do not contain nuts and/or gluten as a main ingredient, the said items are prepared in a kitchen where nuts and gluten-containing ingredients are used, therefore contamination of these products may occur and there may be traces of nuts and/or nut oil and/or gluten or any allergies containing ingredients present, even if the description and/or menu item does not specify such. AX Caterers cannot guarantee that all products are nut free and/or gluten free and therefore cannot be held responsible for any issues resulting from any food allergies, also those deriving from consumption of mustard seeds, sesame seeds, celery, onions, garlic, chili and dairy.
Damages
In the event of any damage caused by guests, the customer will be responsible for all expenses incurred as a result of such damage.
Staff Meals
Any staff meals required can be provided, charged at a rate of 35% of the event food menu price per person inclusive of water. Number of staff is required latest 3 days before the event.
Liability
The caterer will not be held liable for non-performance of its obligations when such non-performance is attributable to labour disputes or strikes, accidents, riots, national emergencies, natural disasters, acts of God, and other causes which are beyond the reasonable control of the Hotel and prevent or interfere with the caterer’s performance.
Registration of items that are not property of AX Events
AX Caterers or AX Events shall not be responsible for the security and safekeeping of your property and shall consequently not be held responsible for any missing or lost items left at the venue.
PR
Should you wish to release PR on your event, it would be most appreciated should you credit the caterer as ‘AX Caterers’.
Agreement
Payment of any fees and charges for the catering service provided by AX Events and AX Caterers shall be deemed to be an acknowledgment and acceptance of these terms and conditions.
