Executive Meeting July 5, 2005 Executives:

Meeting Called to Order The meeting was called to order by the Chairperson, Ashley Steier at 5:10 pm (6 voting)

Acceptance of the Agenda It was moved that the agenda be accepted as distributed. Carried

1.3 General Reports Executives & Director Grace Budiono • Grace explains that 2005 Orientation’s flow will change. Instead of bringing students to the outside area and then to the amphitheatre, students will leave the gymnasium directly for program orientation, and then to the BCIT Expo (SE 2 & Courtyard). The theme will be a Hawaiian theme. • Over 3700 bags will be handed out to students with the Orientation Link, Handbook, and other goodies. • Ashley states the importance of having all executives volunteer on the Tuesday Orientation, and also to stuff the bags. • Todd wants to know the possibility for Chairs to talk to their schools. Ashley will look into it with Grace.

Andrea Charlton Andrea is presently working on the recruitment of over 200 volunteers. Executives will need to volunteer during the Shinerama campaign, and in recruiting volunteers. Templates for presentations and DVD available for all executives. Shinerama Schedule: Aug 31 – Car Wash by ACE; BBQ every Wednesday in the Courtyard; September14 – Social Auction by AMA; September 23 - Shinerama Party by AMA; and September 29 - Event Day. Last year 70 teams were registered; this year’s goal is 100 teams.

Ashley Steier Ashley is presently attending all convocation ceremonies. He also attended the CCSA conference, and Health and Dental Provider (G&A). RFP was sent to various travel agencies to lease the old campus travel room. It is anticipated that the space will be rented for September.

Ashley is also working on the following: Executive Retreat; Policy and procedures update; attended Educational Council and Alumni Association meetings; Residence move in days. Ashley gives an update about the pub patio situation. Last year, Council past a motion granting $10,000 for the upgrade of the patio, BCIT came up with a quote of $33,000. This issue will be brought forward to Council in the upcoming months when further analysis is done.
