4.1 Meeting called to order The Chair person, Brian Harvey, calls meeting to order at 5:30 pm 4.2 Guest Speaker ďƒ˜ The guest speaker Kathleen Bird The president of the Legacy Club, Kathleen Bird has introduced herself and the Legacy Club. It was announced that the Legacy Club has taken a new direction/project this year: to create an artistic photo collection of different programs. Set Reps were asked about their potential

interest in the participation. Set Reps expressed their opinions where and when the pictures should be better taken. Questions:  Would you be able to send us the instructions for photos you need? Yes.  When do you need them by? The end of February, the latest.  Where did you plant a tree? Outside the SE6 building. We have a sign there, mentioning that is was planted by the BCIT Legacy Club.

 The guest speaker Karl Tegenfeldt The guest speaker Karl Tegenfeldt has introduced to the Set Reps the Academic Appeal. An academic appeal is a way for students to have decisions about their academic standing at BCIT reviewed. The different stages and time limits in the academic appeal process were discussed, such as informal review, formal grade reassessment, decision review boards, institutional appeal Tribunal and etc. It is the students’ responsibility to know about their rights. Questions:  What is meant by 20 business days after the final marks are posted? Do you mean school days or outside days? I will have to check.  Can we use step one and meet with the instructors? You can always approach them; however, there is no written policy.  If students are in the stage 3; would they be allowed to go to the next class? Yes, they are entitled until the decision is made. Set Reps were advised to contact Karl or Brian in case of any questions or issues. Karl’s office hours are every day from Monday to Friday from 8:00am till 4:00 pm in the Uconnect Resource Center, SE02-286. The advocate is provided by the BCITSA as a tool for students who are in conflict. 4.3 Set Rep Forum  Heating issue in NE1. Brian will investigate.  It is surprisingly difficult to find a recycling bin around the Campus. The issue has been already brought to the attention of the BCITSA. BCITSA is working on it.  What plan do BCIT and BCITSA have regarding recycling issue? Brian will investigate.  BCIT Net Impact club is looking for funding for BCIT Bicycle Community. If you are a cyclist or you would like to be cyclist, BCIT bike community would like to increase number of people getting to school with no automobile use. Set Reps were invited to participate in the survey for the BCIT Net impact Club (Facebook- bike community).  Still issue with bike lockers. Not available to rent for 2 months. Pool Tournament has been received. Set Reps were invited to sell tickets for the Pool Tournament, which will take place in the Professor Mugs Pub on February 10, 2012 at 5:30pm. All schools and campuses are called to participate in the competition. The competition is opened for 16 teams. A team should consist of male and female. The Pub will work later that date till 11:00pm in addition, door prizes will be offered. Entrance fee is 8 dollars which includes Burger and Beer. The tickets can be purchased in the main office of the BCIT Student Association. Questions:  Where is the reception? SE02, second floor, near the microwaves.  What is the situation with volunteers? It is preferable to have two volunteers to sell tickets out at the door and referees. People will be rotating.  When does it start? At 5:30pm.  How and where to give money for tickets? Come and see Bev in the BCITSA main office.  How many teams are allowed? 2 teams per school. If you would like to submit a team, please make sure that it is the best one, for the reason of limited number of teams. Prizes for the top 3 teams will be provided.  What time should volunteers come? At 5:15pm.  Do we get a free- entry? Brian will investigate.  Do we do top ticket sales? Brian will look into it.  Can we organize a pretournament? Yes, you are welcome to do it this Friday for instance.  What is the price for the event? 8 dollars per ticket, 10 dollars at the door.  First Aid Classes: First Aid – come January. Students can register for first aid courses provided by St. John’s Ambulance at 20% discount for the BCIT students. (Excludes level 2 & 3 – those are 5% off). 4.5 Notices  Set rep awards Set Reps were reminded about the $500 dollars Set Reps award, which Students Association proposes to the most outstanding Set Rep from each school. The form is on the website. The deadline is in March/April. The applications will be reviewed by the executives.  Elections Set Reps were explained the role and the responsibilities of the position of the Chair of the School of Transportation, Construction and the Environment. It is re-elected each year. The position is 500 dollars per month and gives discounts in the Stand Central, Gear Up stores and the Professor Mugs Pub.  Fire Drills The dates for the fire drills are the following: January 18, 2012: SE40, 41, 42, SE30, SW09, SW01, 02, 03, 05 January 19, 2012: SE16, SE10, 14, 09, SE12, SE04, SE08, SE02, 06 January 25, 2012: SE01, NE16, 18, 20, 22, 24, 28, NE02, 04, 06, NE21, 23, 25, NW05, 06 January 26, 2012: NE03, 07, 08, 09, 10, 12, NE01, NW01, 03  Recreational Services-45 minute massage for $10.00 cash. West Coast School of Massage students in tandem with BCIT Rec Services proposes to students this opportunity. Set Reps were advised to sign up every Monday for the following Monday (they book one week in advance). 6 practitioners are available on Mondays only.  Buildex Buildex Vancouver-is one of Canada’s largest tradeshow and conference. Next show of Buildex Vancouver is on February 8&9, 2012 at Vancouver Convention Center West.  Distracted Impacted Set Reps were invited to the “Distracted Impacted” event on January 23-24, 2012 any time from 10:00am till 2:00pm. 4.6 Next Meeting Next Meeting is scheduled for Thursday, February 16, 2012, from 5:30pm-6:30pm in Council Chambers. 4.7 Adjournment The Chairperson, Brian Harvey adjourned the meeting at 6:30pm.
