Registering an Account as an Employer
Beginning your journey on the Apprenticeship Service begins with registering an account.
The registration process is straightforward and secure, requiring only basic company information plus your unique PAYE scheme and Tax office reference number.
Once these details are provided and the agreement between yourself and the ESFA is accepted, your account will be set up and ready to use.
Top Tip: Ensure you have your PAYE scheme and Tax office reference numbers at hand before starting the registration process.
1. Visit the Apprenticeship Service website
2. Click on the “Sign In” button
3. Click on the “Create a GOV.UK One Login” button
4. Create a secure login password
5. Click the “Set me up” button
6. Check your email for a confirmation link
7. Click on the link to confirm your identity
8. Enter the code from the email and click “Continue”
9. Add your PAYE scheme and Tax office reference numbers
10. Review the agreement between yourself and the ESFA
11. Accept the agreement and click “Continue”
12. Confirm that all the details entered are correct.

Adding a Training Provider
This is a crucial step in managing your Apprenticeships.
By entering our UKPRN number, you can grant us permission to add Apprentice details on your behalf.
This collaborative approach ensures a smooth and efficient process, reducing administrative burden on your end.
Please Note: You still have the final approval record to complete.
1. Log in to your Apprenticeship Service account
2. On the home screen, scroll down to the “Apprenticeships” section
3. Click on “Your Training Providers”
4. Select “Add a training provider”
5. Enter our UKPRN number - 10001000
6. If Themis is already added but lacks permission, click on “Change permissions” and grant permission to add Apprentice details and advertise vacancies on your behalf
7. Confirm the permission to add an Apprentice, advertise vacancies, and click “Continue”.

Approving Apprenticeship Details
Ensuring the accuracy of Apprenticeship details is paramount. The Apprenticeship Service provides a user-friendly interface allowing you to review each Apprentice’s details thoroughly before approval.
Top Tip: Thoroughly review the apprenticeship details before approval to ensure the apprenticeship details and apprenticeship standard is correct.
1. Log in to your Apprenticeship Service account
2. On the home screen, scroll down to the “Apprenticeships” section
3. Click on “Your Apprentices”
4. Select the name of the Apprentice to view their details
5. Review all the details and ensure their accuracy
6. Click “Yes, approve and notify training provider” to confirm the details
7. Save and submit to proceed to proceed.
Please Note: This needs to be approved prior to the apprentice’s enrolment

You have Approved your Apprenticeship Record
Your Training provider will be notified that you have approved the record the apprentice record. A trainer assessor will be in contact to book in the apprenticeship sign up
1. Log in to your Apprenticeship Service account
2. On the home screen, scroll down to the “Apprenticeships” section
3. Click on “Your Apprentices”.
4. Select the name of the Apprentice to view their details. This allows you to view all of your live apprentices.

Once this record is approved and the sign up of the apprentice has taken place, this will allow the incentive payments to be triggered in the relevant month, where the employer is eligible.
