How to use it The purpose of the BCG matrix is to identify high-growth prospects by categorizing the company’s products.

Instructions 1. Draw one large square on the board. The vertical axis indicates the rate of market growth, while the horizontal axis indicates the relative market share. 2. Divide the square into four equal quadrants. Write down the name of each product on a separate Post-it® Note. In deciding which quadrant the product should go into, consider the rate of market growth and market share. 3. The product will fall into one of four zones, thereby determining its potential and suggesting further action to take. These zones are: «Question marks», «Stars», «Dogs» and «Cash Cows». 8

Strategic action Stars are products with the best market share and which generate the most cash. It is advisable to invest in Stars. Cash Cows are the leaders in the marketplace and generate more cash than they consume. Companies are advised to invest in Cash Cows to maintain their current level of productivity. Dogs are products with both a small market share and a low growth rate. These products are prime candidates for discontinuation. Question Marks are products with high growth prospects but a low market share. They should be analysed carefully in order to determine whether they are worth the investment required to grow market share.

2 Project Risk Management Analysis (Probability and Impact Matrix)

How to use it This model, also known as the Probability and Impact Matrix, is used to classify risks on the basis of the impact they will have on the project and the probability that will occur as a result.

REFERENCE The origins of SWOT Analysis are difficult to pinpoint. SWOT is most often credited to two Harvard Business School (HBS) Policy Unit Professors, George Albert Smith Jr and C. Roland Christensen who came up with the idea in the early 1950s. Later in the 1950s, Prof.Kenneth Andrews of the HBS Policy Unit, developed its usage and application. The HBS unit continued to develop SWOT during the 1960s into the tool we use today.

How to use it This analytical model is used to determine the competitive position of the company. It focuses on the comparison of the current business model with the maturity of the market sector it is in, helping you to compile the perfect portfolio.

Instructions 1. Draw a matrix on the board as shown on the diagram. The vertical axis reflects the four stages of market development, while the horizontal axis shows the competitive position of the business. 2. List the company’s businesses on Post-itŽ Notes. Analyse and rate the businesses in relation to the axes of the matrix and distribute notes across the five fields. 3. How to use it «Kanban» is a technique for lean and just-in-time production. It helps to gather information about the Company’s existing projects and related activities to vizualise the phases of the project and to track the progress of each participant in the team.

Gantt Chart How to use it Gantt chart is a type of bar chart that illustrates a project schedule. It shows the start and finish dates of the terminal elements and helps plan, coordinate, and track specific tasks that are needed to complete the project.

Instructions 1. List the tasks involved as well as the objectives of the project on the left hand side of the chart. Along the top, draw a suitable time scale.

The first Gantt chart was devised in the mid 1890s by Karol Adamiecki, a Polish engineer. Some 15 years later, American engineer Henry Gantt, devised his own version of the chart that became widely known. Gantt’s name therefore became associated with charts of this type.

2. Each activity is represented by a bar (in this case made up of Post-it® Notes). The position and length of the bar reflects the start date, duration and end date of the activity.

Ishikawa Diagram, also called cause and effect diagram, allows us to clearly and systematically analyse the consequences of the relationship and to study the causes of the situation.

Instructions 1. On the right side of the board identify the problem/ the effect of it. 2. Identify potential categories of causes that may have led to the problem. 3. Represent these categories of causes as bones that branch off from a main arrow (or fish backbone). Brainstorm all the possible causes of the problem, jotting down each idea on Post-itÂŽ Note and stick it onto a branch of the appropriate category. Causes can be written in several places if they relate to several categories. 4. Analyse the picture, identify the factors that can be influenced.

The «5 Whys» Method How to use it The «5 Whys» is an effective tool that uses questions to explore the cause-and-effect relationships that underlie a particular problem.

Instructions

1. Formulate the key problem, write it on the Post-it® Note and stick it to the centre of the flipchart. 2. The primary goal of the technique is to determine the root cause of a defect or problem by repeating the question «Why» (5 times is just the rule of thumb). As you do so, write down all causes that come up on Post-it® Notes and attach them under the problem. 3. Each question forms the basis of the next question. 4. Continue until you have found the root cause of the problem. 5. In groups discuss methods for dealing with the root cause and resolving the problem.

Affinity Diagram (KJ Analysis)

How to use it The Affinity Diagram, or KJ Analysis, is a business tool used to organise ideas and data. The tool allows ideas generated during brainstorming sessions to be sorted into groups, based on their natural affinities or similarities, for review and analysis.

Instructions 1. Define a problem to be solved and write it down on a flipchart or whiteboard. 2. Each participant jots down one thought, idea, fact or concept related to the problem on a Post-it速 Note. 3. Group these ideas, facts or thoughts together according to their affinity to similar concepts. 4. Make a one-line heading that describes the essence of what is contained in all labels in the group on a separate Post-it速 Note. Use different colours of notes. 5. Remove the original single ideas and fact notes. Group together titles with similarities. Circle the newly originated groups. Draw lines to indicate the connections between the groups.

Evaluation of Problem Solving Solutions How to use it This technique helps to understand which solutions should be implemented for long-term success as well as to evaluate their positive and negative aspects.

Instructions

1. Define the problem to be solved. 2. Divide the board into three columns. 3. Write down possible solutions to the problem on separate Post-it® Notes and place them in the centre, as shown in the diagram. 4. In the left hand column «Supports», next to each solution, stick the notes with factors that support choosing that specific solution i.e. the positive effects of discussed solutions. 5. How to use it This type of problem solution analysis allows you to focus your attention on factors that are preventing you from solving a problem.

Coming up with Creative Ideas

16 Brainstorm Method How to use it This group creativity technique is used when there are problems, that do not have a single solution and which may require an unconventional approach. The most effective solutions may come from generating as many creative ideas as possible in as short time as possible.

REFERENCE In 1939, advertising executive Alex F. Osborn, began developing this method after becoming frustrated by employees’ inability to develop creative ideas individually for advertising campaigns. He began hosting group sessions and discovered a significant improvement in the quality and quantity of ideas produced by employees during these sessions.

Instructions 1. Choose a topic for discussion. 2. Give participants 3 minutes to come up with ideas. Every idea is written down on a separate Post-itÂŽ Note and stuck anywhere on the board or wall. Any criticism or evaluation at this stage is excluded. 3. Sort and combine ideas into categories and topics. Rate the proposed ideas. Focus and discuss the group of ideas that seems most appropriate.

17 Synectics How to use it This problem solving method is often used when searching for innovative and creative solutions in advertising communication.

Instructions 1. The basis of the methodology is “brainstorming”, however to generate ideas, Synectics uses 4 types of analogies: a. Direct analogy is the simplest kind. Here the aim is to look for similarities or parallels between one idea, object or situation. b. Symbolic analogy is the use of images, comparisons and metaphors that reflect the essence of the matter under discussion. c. Fantastic analogy involves the use of fictitious images or situations that help detect false or excessive restrictions that impede the flow of ideas. d. Personal analogy encourages participants to empathise with the subject of discussion. Here we introduce ourselves as subject or part of the object in question. 2. Choose a different colour Post-it® Notes for each analogy and write down each idea. Divide the ideas into meaningful groups and discuss.

18 Focal Objects Method How to use it The method allows to generate new ideas by connecting properties or attributes of random objects to the original object. By bringing together seemingly non-matching objects, something new can emerge. It is used in the search for the modification of an existing product, creative advertising as well as for training the imagination.

Instructions 1. Select the object (focal object) to be improved. 2. Select 3-4 other objects at random. You might try opening a book at random random to find them. 3. For each of the random objects write down a few specific features. 4. Match these features to your prototype. New combinations obtained in this way can be further developed. 5. Save all interesting ideas.

Mind Mapping

REFERENCE Invented in the late 1960s by British psychology author, Tony Buzan, Mind Maps are now used by millions of people around the world. The use of diagrams that visually «map» information using branching and radial maps can be traced back centuries, even as far back as the 3rd century.

How to use it Mind maps are used for creation, visualization, structuring and classification of ideas, as well as for learning, organizing, problem solving, decision-making, or ever for writing articles.

«Fast Boat» How to use it The method allows you to collect feed-back about product or service from employees, customers (or clients) in a positive atmosphere in a short time.

Instructions 1. On the board draw water, a boat with a sail and an anchor. 2. Explain to the group that the boat represents the theme or project you want to discuss and that you all want the boat to be able to sail as fast as possible. 3. Ask participants to write down on separate Post-it® Notes factors that prevent and factors that help the boat move forward (i.e. to to have a better product). 4. Participants should stick notes that help the boat move forward onto the boat. The more the note helps the boat sail, the closer it is stuck to the sail. 5. Factors that are not beneficial should be stuck to the water. The stronger the negative effect is, the closer they go to the anchor, and the more they prevent the boat sailing forward. 6. The factors written on Post-it® Notes, can be saved and used at later stage for deeper analysis.

The «Dress for Success» Game How to use it The game encourages active group communication and teaches participants how to analyse their «public persona».

Instructions 1. Write down on Post-it® Notes different character labels, for example: «I can not hear», «I am rich», «I can solve all problems», «I like to argue», «I’ll give you money», «I have everything», «You can trust me» and similar. 2. Stick a note in front of each participant so that everyone else sees the inscription written on it, except its owner. 3. Games for Children’s Parties Guessing Game

Prepare something that can be counted, such as candies and place them in a jar. Give each participant a Postit® Note and a pen, then ask a question: «How many candies are in the jar?». Each participant must write his or her answer on a Post-it® Note. Award a prize to the one whose guess will be closest to the correct number of candies in the jar.

Stick the Tail on the Donkey Before the party, draw a donkey on a large sheet of cardboard. Ask each guest to write his name on a long Post-it® Note. Blindfold one of the participants and spin him or her in place. Turn the person to face the donkey and ask him or her to stick one note on the donkey, where the tail should be. The «Who am I?» Game Participants sit in a circle. Everyone writes the name of a famous person or a fictional character on a Post-it® Note and sticks it on his neighbour forehead. Each participant in turn asks questions to discover his or her identity.
