Gym Reimbursement Program

W
hat is the Gym Reimbursement Program? The City of Weatherford has a Gym Reimbursement Program for the organization-wide purpose of having happy and healthy employees. This program is available for all Full-time employees. It’s a reimbursement program, where employees are cut a non-taxable check the third week of the month following the month the check was “earned”. How do employees earn their reimbursement? That’s a simple answer - you workout at least seven times in one calendar month! The reimbursement is for a gym membership or a subscription service that provides workouts or fitness classes to the employee. Subscription services that are allowed would be something along the lines of a Peloton membership, Beach Body membership, etc. However, the city does not reimburse the cost of employees buying equipment or gear for working out in the gym or at home. Employees are responsible for making sure that their checkin counts are turned into finance by the second week of the month. If you reach your seven check-ins early, you may turn them into the shared folder “GYM CHECK IN LOGS” in the shared folder on the network. This log can showcase more than seven check-ins, but must have at least seven in order to receive the reimbursement. Along with turning in the check-in logs, employees are responsible for proving that they are the account holder for the gym membership or subscription membership and that they are currently paid up and current with the gym or service. You may submit a screengrab from your bank showing the payment to the gym, but we recommend blacking out your account numbers, balances and other purchases for your own privacy. Just ensure that your name is on the account page, the gym name and amount are visible on the screengrab submitted. The proof of payment should be turned in at the same time as your check-ins. If your gym doesn’t have a digital check-in or check-in tracker service, employees may create a log, track dates they check in at the gym and have the gym owner or an employee at the gym sign that form stating that they have been present and have a current account. Note that if you turn in a check-in sheet this way you still need to turn in proof of payment. Check-in sheets should be submitted to the shared folder listed above. The gym membership program allows for reimbursement of up to $40/month for gym membership or subscription service. What that means is if your gym membership is $30/ month the employee will receive a check for $30. If your membership is $90/month the employee will receive a check for $40. *Note - even if your gym has a deal to send check-ins and proof of payment to the city for employees, it is the responsibility of the employee to ensure that their check-ins and payment proof has been submitted to finance. **Weatherford Fitness sends a list of check-in for employees on the CITY plan and proof that their accounts are current.

Ingredients: • • • • • •
1-1/2 pounds lean ground beef (90% lean) 1 large onion, chopped 1/3 cup all-purpose flour 1/2 teaspoon pepper 2-1/2 cups chicken broth 1 can (12 ounces) evaporated milk

Directions: 1. In a large skillet, cook beef with onion over medium-high heat until no longer pink, 6-8 minutes, breaking beef into crumbles; drain. 2. Stir in flour and pepper; transfer to a 5-qt. slow cooker. 3. Stir in broth and milk. Cook, covered, on low for 4-5 hours or until flavors are blended. 4. Stir in cheeses until melted. Top servings with remaining ingredients.

Information on policies and benefits! Human Resources Department Over the last few years, we have seen the city grow in our internal systems. Advances in software like Cityworks and Munis have helped us to streamline work and innovate our operations as a whole. As this innovation moves forward we are striving to ensure that our employees are updated and educated on changes that affect their work and retirement. Our Human Resources Department has been working to update our policies and procedures to best fit the needs of our employees. Please see below for reminders on where to find different resources and information for all full-time employees. In 2020, we brought back our Employee New Hire Orientation to help new employees become better oriented with the organization from the start, allowing employees to fully understand the city’s common goal of building a strong community across all departments and positions.
Munis and ESS Adding Munis allowed us to streamline our Finance and budgeting process and currently, our HR and Utility Billing pieces are in development/implementation. Our Employee Self Service (ESS) allows employees to use the paycheck simulator, view current personal information (including email addresses where pay stubs are sent). Employees can review their total compensation including employerprovided benefits and view their W4 (federal tax withholdings).

TMRS Retirement website You can access your TMRS (Texas Municipal Retirement System) retirement information anytime at: https://www.tmrs.com/MyTMRS/ Logon (please note that this site is maintained and run by TMRS and not the city of Weatherford). This site allows you to check your membership summary, check/edit your beneficiaries, view vesting date, view retirement eligibility and run estimates based on program and estimated retirement date.
TML Health Benefits website For employees wanting to check for “in-network doctors”, view information like Member ID, plan number and more please check out the TML (Texas Municipal League) Health Benefits Pool website. You can also request an ID card for insurance, find forms, contact TML, view recent claims and more! Head over to: https://tmlhealthbenefits.org/ (please note that this site is maintained and run by TML and not the city of Weatherford).
Temporary Employee Policies For employees wanting to view our Temporary Policies, please note they are in a folder on the internal shared drive (J:\Temporary City Policies). We will update everyone when this changes!
Upcoming projects We are currently working to update a place/way to provide our policies in an easy-to-access way for employees both at work and remotely. This will be shared with all employees via city emails and in the next issue of the Employee Edge.
Human Resources is still working to schedule out more retirement and financial wellness seminars to help best set all employees up for success now and in the future.
