Tax Tips for company drivers

L

ast issue we talked about writing off expenses for the Owner Operators. Similarly, W-2 employees have some options to write off traveling expenses as well. Specific requirements for substantiating deductions are required to deduct expenses. Employed transportation workers can be reimbursed or write off business expenses for Meals, Lodging, and Mileage. Furthermore, the company where you are employed may have a plan for reimbursing traveling expenses. The IRS accepts either an accountable or non-accountable plan for compensating employee expenses. First, before we begin you must substantiate all business related expenses for meals, lodging and mileage with documentation. Taxpayers are required to maintain an account book, diary, log, trip sheet or similar records, as well as documentary evidence to substantiate the amount, time, place and business purpose of the expenditures. The importance of substantiation cannot be over emphasized especially in the area of travel. The taxpayer should completely document these expenses as they occur to secure the deduction. When expensing meals, transportation workers are allowed a special rate when being reimbursed for these expenses. A transportation worker is defined as; directly involved in moving people or goods from one place to another. Plus, the worker is required to travel away from home to areas with different federal per diem rates during any one trip. This definition is essential when claiming the per diem meal rates. Normally, an employed individual can claim only 50% of the cost of meals. However, a transportation worker can deduct 80% of meal expense if they are subject to Department of Transportation (DOT) hours of service rules. Most commonly drivers use a per diem rate of $59.00 per day for meals. Remember, the per diem rates are determined by the area you travel. For example, if your travel area is California, the Santa Monica area was a per diem rate of $71.00 per day. Consequently, a transportation worker would use the higher rate when submitting expenses to employer or writing the expenses off on your tax return. Following that, by using the standard rate of $59.00 you would be reimbursed $48.00 per day for meals. ($59 x 80%) The per diem rates are revised on October 1th for the next year. As a result, for the last three months of the years, taxpayers can use either the per diem rates effective October 1 of the preceding year or the revised rate effective October 1 of the current year. Be careful when accounting for lodging

expenses. When a trucking company reimburses drivers for lodging, and the driver is sleeping in their truck, the IRS determined that the reimbursement would be included in their wages. This is due to the fact that the driver did not incur an expense. Furthermore, a per diem allowance for lodging may only be used by employers for determining employee reimbursements and income exclusion if paid under an accountable plan. (discussed later) Employers can use a high-low method to simplified per diem rates for lodging. The method only was two sets of rates. High cost; $194 and all others $113 per day for the 2014 tax season. The same rates must be used for all trips during the year. If your employer does not have an accountable plan; actual receipts are needed. Lastly, employed transportation workers can be reimbursed for mileage on personal vehicle, if used for business purpose. Employed Drivers are eligible to deduct vehicle expenses using either the standard mileage method or the actual expenses method. Although this is true, if your employer has more than five vehicles in used at any given time actual cost must be used. When calculating mileage expenses, the standard rate is 56. cents per mile for 2014 or the actual cost of fuel, repairs, tires, insurance, oil, and depreciate expense deducted at .23 cents per mile. Now that we know what expenses we can deduct, we must know what plan your employer has in place for reimbursing travel expenses. There are only two plans an employer can adopt, Accountable and Non-Accountable plans. The plan the company implements will determine if the reimbursed expensed will be taxable or non-taxable. The ACCOUNTABLE plan is very simple, reimbursements made to an employee under this plan are not included in the employee’s income and the employees do not deduct the expenses on their tax return. The employee is reimbursed dollar for dollar of all business receipts submitted to the employer for reimbursement. The second option is the NONACCOUNTABLE plans. In a non-accountable plan reimbursements made to an employee are treated as taxable wages and reported in box 1 of Form W-2. The employee deducts the expenses on form 2106, subject to the 2% of Adjusted Gross Income limitation on Schedule A. To conclude, business expenses such as Meals, Mileage and Lodging can be reimbursed or written off as business deductions for individuals that receive income from their employer thought a W-2, if you meet the qualifications. The Importance of a Pre-Trip Inspection By Keith E. Brown Altom Transport Director of Recruiting

ere at Altom Transport, our focus is in the hiring, safe operation and profitability of our PROFESSIONAL drivers, both company and owner operator. As a specialized tanker carrier, we take great pride in having a driver force that is accomplished, professional and detail oriented. The ‘detail oriented’ aspect for a driver at Altom Transport is a critical component for daily success and it all starts with a proper PTI each and every day. It is a mandatory action not only for drivers associated to Altom Transport, but also per DOT and FMCSA rules and guidelines. The importance of a solid PTI all comes down to three things. Compliance, Safety and Profit! Compliance Failing to perform a thorough pretrip inspection can result in points on a CSA score. CSA scores are accumulative and therefore once you reach a certain point amount then you are at great risk of having you CDL revoked. This could threaten your career, and it’s something that’s easily avoidable as long as solid PTI’s are performed. Our drivers are well aware that their CDL is a PROFESSIONAL LICENSE, the same as that of a doctor, airline pilot or CPA. As such, they take the proper steps needed to protect it. Safety Every one in the industry is well aware that poor PTI practices either directly or indirectly lead to accidents, both minor and major. It is now well established

that one primary purpose of the CSA program was to identify and eliminate carriers and drivers who simply would not put Safety as a primary concern. Profit What good does a solid PTI do if you do not have the skills needed to maintain or repair the equipment operated? Sitting around waiting to get needed repairs almost always costs the professional driver money. The wheels need to be turning as they say. MAKE SURE TO DO YOUR HOMEWORK WHEN CHANGING CARRIERS

verybody knows the reputation homework has but doing your due diligence can make or break you when swapping carriers. First, you need to be sure that changing carriers is the right decision for you and your family. Ask yourself why is it that you want to make a change. Is it home time, more miles, ready for the next challenge or no longer feeling the love? Whatever it is, just be sure to time your move just right. Remember making a move will become a permanent fixture on your work history and could follow you for up to ten years; so do your homework so your next move will be your last one. Once you have decided that making a move is the right decision, make a list of what is most important to you. Do you want to own your own truck and become an owner operator? Do you want to go from short haul to over the road? Having it written down and knowing what you want prior to contacting a recruiter will save you both time and frustration. Ask prospective carriers about their driver turnover rate. I believe the answer will speak for itself. The higher the rate, the more of a red flag it raises. After you feel you have decided which a carrier you would like to drive for and spoken to the recruiter, I recommend that you talk to as many of the carrier’s current drivers as possible to determine if what the recruiter said matches up to what the drivers tell you. has great familiarity on how the carrier operates and could be the best source of firsthand knowledge. Tips I have learned in my experience: Never make a decision after an overly emotional event. Usually things are not as bad or as good as they seem right that second, so do not let emotions cause you to make a knee jerk reaction that you might later regret. When you do call and talk to a recruiter, make sure you are not driving and talking on your cell phone at the same time. This is an important call and you do not want to be distracted and miss important information. Plus driving and talking on your cell phone is a safety hazard. Those who are cash strapped while transitioning between carriers have a much higher failure rate than those who have prepared for the move and have saved a cash cushion. Read the between the lines and check the fine print when a sign-on bonus is involved. Most of these bonuses look good in an advertisement but end up not being as great as they seem. Bottom line is, it is your work history, so be diligent in protecting it as it follows you for up to ten years. Do your homework and if you decide to make a change in who you drive for, make sure it is a good move. •

What to do about truck driver back pain… Dr. Bryon Coker, D.C. 815-503-1052 With long distance truck drivers suffering low back pain at four times the national average, you definitely could use some help. And if I can’t provide handson, then a bit of solid information might make you able to help yourselves. Information is always half the cure. Sitting on the lower end of the spine all day isn’t good for it. The spine has twenty-four brick-like bones (vertebrae) stacked on top of one another, which are cushioned by perfectly designed elastic pillows (the intervertebral discs). The discs are awe-inspiring pieces of architecture. They not only act as springs, thrusting the vertebrae apart, they act as spinal connectors gluing them together. The more vigorously they spring their segments apart the more tautly they hold them secure, creating the whippy, tensile rod that can bend over double to pick up a sock and spring straight upright again.

Quite simply, the more water a disc holds the healthier it will be and the better it will perform both shock-absorption and segmental connecting roles. When a disc loses water and dehydrates it loses its elastic qualities and becomes instead rigid and inflamed. In extreme cases, when the disc height can be seen as visibly shrunken on X-ray, the vertebra sitting on top of that disc can develop another potential problem: Sometimes in an unexpected awkward action (when your body is caught off-guard because your muscles haven’t prepared your spine properly) you can injure your back because the connector qualities of that disc aren’t good enough. This, in a nutshell, is how spinal problems get worse.

Ten percent of disc fluid is lost within the first two hours of sitting but the good news is that sitting with a better alignment, of the spine in an ‘S’ shape instead, retards the rate of spinal ‘settling’. Something as simple as sitting with a relaxed lumbar hollow in your lower back, your shoulders aligned over your pelvis, can make the world of difference to your day.

Although your knees will complain to start, within a week or two they will love it and in no time you will have better knees too.

Just a few degrees of backward angulation of the seat back helps un-load the discs and keep an ‘S’ bend, not a ‘C’ bend Fortunately truck seats have improved markedly over recent years, However, there is nothing to recommend the very poor ergonomic arrangement where skimpy, poorly-sprung drivers’ seats exist in combination with almost horizontal steering wheels. These have a horrifying effect upon any spine. They cause drivers to slump over the wheel all day, almost steering through their forearms, while their spines steadily dry out and bow deeper. What to do about truck driver back pain – spinal decompression exercises Spinal decompression should be done both through your driving day and at the end. Ideally, drivers should squat at 2 hourly intervals (or more often if you are stiffening again). To do this you get out of the cab, hold on to the front fender and with your feet together, heels flat, knees wide apart, lean back as you squat, trying to get your bottom down
