DM2: DATA-DRIVEN SERVICES •

Many cross-media campaigns originate with a personalised, Variable Data Print (VDP) component. VDP is simply producing printed pieces with different text, images, personalised images and graphics, tailored to each recipient. Preferably, in a cross-media campaign, the print piece is linked to other media, such as web and mobile.

Whether it be short or long run printing, black and white printing, statements, letters or flysheet printing for direct mail, or full colour rich graphical variable data printing, the Bowden Print Group has the solution for you.

LINK On-Line Ordering and File Creation Portal: Create, view, proof, submit, control stock and manage digital assets… all on-line! We have a bespoke on-line ordering solution tailored to suit clients’ needs for an improved workflow to multiple sites. Our on-line solution enables you to maintain your brand integrity and monitor and manage your print requirements. All items can be made available on-line, even items we have not produced. Your regularly printed products are stored electronically in our Web-2-Print system. Your authorised staff can log in via the internet and place orders for products as they’re needed. Design format, paper stocks, colours, prices etc. are all programmed into the system and won’t change so your brand integrity is assured, and rogue print ordering is eliminated. Additionally, your management has access to full reporting making it completely transparent and manageable. Our ordering process can be either via your dedicated Bowden Print Group Account Manager or via your personalised on-line portal. Your ordering method does not affect your required timelines. We adjust all order dates to those specified. We also consider transit times and advise if this needs to be factored into your required delivery expectations. We have our internal delivery driver for all local deliveries. Urgent orders despatched within 24 hours will not incur additional delivery fees.

PROCUREMENT Brand Management The Bowden Print Group understand that your brand is a significant component that differentiates you from your competitors. With this in mind, it’s important to be consistent in the use of your brand and when branding your print. Our print services are calibrated to the FOGRA standard for colour matching. All of our workflows are designed to keep consistent colours across all print options. We know that presenting a consistent brand experience is important. If your brand’s foundation, including your device logo, name and importantly your printed materials, are inconsistent, it may confuse your customers and turn away potential opportunities. Our Online Ordering and Print Portal, LINK, can help make it easier for your procurement and marketing team to maintain consistency. The purpose of this policy is to confirm our commitment to meeting the quality standards expected by our customers in the delivery of the products and services that we supply to them. Our quality system is based on and intended to meet the requirements of ISO 9001 Our quality objectives are to: • •

ENVIRONMENTALLY CERTIFIED - EMS 14001:2015 – NUMBER 603593 To apply a common environmental management methodology throughout the company, the Bowden Print Group have employed external consultants to assess and approve “Minimum Environmental Requirements”. The requirements enable standardised practices throughout the company, regardless of their activity, the geographical area where they operate, and the applicable legal requirements. Optimal product recycling begins in understanding the overall impact that arises from recycling issues. We evaluate all processes’ ecological effects over the whole life cycle of the product using a ‘cradle to the grave’ methodology and ECO Mapping. These results help the company employees choose and develop alternatives early on that offer the greatest ecological improvement over the product’s whole life cycle. The Bowden Print Group management team considers the Bowden Print Group’s environment-related operations, such as recycling and emissions trading, and the company’s continual improvement in its manufacturing processes to promote to show the greatest possible responsibility and concern for the environment. We are doing our part for the environment by implementing “green” practices that help minimise the overall ecological footprint and contribute to more sustainable livelihoods by decreasing energy needs and increasing water conservation. We are constantly challenged to improve the sustainability of the technologies, processes and materials employed in our operations, and we can show examples of environmental impacts reduced by such initiatives. The recent review of all processes will identify improvements in the use of power and fuels. A packaging review will aim to define the environmental implications of materials and practices in packaging.

ENVIRONMENTAL POLICY Bowden Print Group recognises that all its activities have a potentially harmful impact on the environment. Bowden Print Group accepts social and moral responsibility for a continual improvement of our impact on the environment beyond current legislation and other requirements we subscribe to. We will make conscious decisions to ensure the environment is a key consideration in all activities undertaken by Bowden Print Group. We will: •

Favour prevention of waste over reuse before recycling and disposal to landfill

Strive to reduce pollution and minimise the environmental impacts and costs of our operations

Train and motivate our employees to understand their environmental responsibilities and participate actively in our environmental programmes

WH&S POLICY At Bowden Printing Pty Ltd (“the Company”), the Health, Safety and Welfare of all employees, contractors, while carrying out work for the company, and visitors are of equal importance to all other business activities. All employees agree to work together to ensure a safe workplace. We have a duty to “ensure health and safety” which requires a person to eliminate risks to health and safety, so far as reasonably practicable, or if not reasonably practicable, to minimise risks so far as reasonably practicable, to the extent which a person has the capacity to influence and control the matter, or would have that capacity but for an agreement or arrangement purporting to limit that or remove that capacity. To meet this policy’s objectives, we are committed to regular discussions with employees to ensure that health and safety issues are regularly reviewed. Health and safety are most effective when a joint owner, manager and employee approach identifies and solves problems. We are committed to continuously improving WH&S by addressing hazards and reviewing outcomes.

POLICY REVIEW The company undertakes to review this policy as required to meet the needs of the Work Health & Safety Act (SA) 2012 as amended from time-to-time.

RISK MANAGEMENT CONTROLS The Bowden Print Group is committed to protecting its information assets and recognises that it has a fundamental responsibility to safeguard information from unauthorised or accidental modification, loss or release. The Bowden Print Group is dedicated to creating and maintaining an environment where: •

Information will be protected against any unauthorised access

Confidentiality of information will be assured

The integrity of information will be maintained

Availability of information for business processes will be maintained

Legislative and regulatory requirements will be met

Business continuity plans will be continually developed, maintained and tested

Information security training will be available for all employees

All information security risks and incidents are managed

The ultimate responsibility for information security rests with the Chief Executive Officer. The Bowden Print Group staff, contractors, consultants and third-party users who have access to the Bowden Print Group’s information must comply with this policy. The Bowden Print Group seeks to take and manage risk in ways that will generate and protect shareholder and key stakeholders’ value. Management has developed a risk identification, analysis and mitigation process involving an annual review of the company’s risk profile and risk management activities. As part of this review, the company’s internal compliance and control system is also reviewed based on a methodology for evaluating internal controls’ effectiveness using our QMS and EMS Certification Compliance Structure. The risk profile is analysed in the context of the company’s strategic objectives and operational activities, covering all material risks of a financial and non-financial focus. The process produces a risk report that identifies key business risks and determines responsibility for the risk mitigation activities for each of these risks. The process is designed to ensure internal operating and external risks are identified, assessed, addressed and monitored to minimise risk in achieving The Bowden Print Group’s business objectives. Continual improvement methodologies create an environment of continual review.

INFORMATION SECURITY MANAGEMENT SYSTEM POLICY Information and Information Systems are critical to the efficient operation of the Bowden Print Group. So we must strategically and tactically direct operations to create, process, transmit, and store information, ensuring its protection at all times. This policy aims to ensure that the Bowden Print Group creates and manages all information assets, including clients, supplier and staff (personal and health) information. Keeping these assets secure is vital to our operations and our reputation. We must also recognise that information resides in other than electronic forms which also require protection. Information security is not just something we do; it is organisational culture and deeply embedded in the Bowden Print Group’s business. This policy describes how the Bowden Print Group will establish, implement, maintain and continually improve its Information Security Management System (ISMS) to ensure the confidentiality, integrity and availability of its digital information and systems. Our ISMS policy is built on the ISO/EIC 27000 Information Security Management Systems standard. This policy describes how the Bowden Print Group will design and manage a system for governing our digital information security, including detailed responsibilities. It does not, however, exhaustively list the documents that comprise the ISMS. All policies, standards, procedures and controls apply to staff employed by the Bowden Print Group including full time, part-time, casual staff, consultants, contractors and vendors based at 26 Hindmarsh Avenue Welland SA 5007 and, where appropriate, govern the use of all information assets including, but not limited to, buildings, computer processing facilities, computers, computer media, telephony (including mobile devices and fax) and paperwork.

It may be at rest or in transit within the digital information systems used by the Bowden Print Group or communicated to an external party Digital information systems – The Bowden Print Group software, hardware (including servers) and networks used to store, transport, manage and access digital information Independent review - an assurance review of the ISMS performed by a third party, independent of the Bowden Print Group management Information Security Management System (ISMS) - a framework of policies, guidelines and procedures for managing the risks related to digital information and systems

RESPONSIBILITY All staff are responsible for: •

Supporting the successful functioning of the ISMS through familiarisation with and adherence to the ISMS, including all policies, procedures, guidelines and other supporting documentation comprising the ISMS

Participating in applicable information security training and awareness programmes; and

Supporting ISMS audit processes. The Management Team is responsible for

Providing information security advice

Managing and operating the ISMS, including monitoring and reviewing information security incidents and identifying vulnerabilities

Reporting significant incidents to the management team and providing recommendations for resolution

Ensuring independent reviews of the ISMS are conducted; and

Implementing improvements to the ISMS

The CEO is responsible for: •

Implementing information security controls

Allocating resources for ISMS implementation and maintenance; and

Coordinating the independent review of the ISMS

Members of the Management Team must: •

Ensure that information security policies and objectives are compatible with the Bowden Print Group’s strategic direction

Ensure the integration of ISMS requirements into Bowden Print Group processes

Ensure that the organisation provides appropriate resources to maintain the ISMS

Communicate the importance of effective information security management

Direct and support Bowden Print Group staff to contribute to the effectiveness of the ISMS

Ensure that the ISMS achieves its intended outcomes; and

Promote the continual improvement of the ISMS

METHOD The Bowden Print Group must establish, implement, maintain and continually improve an ISMS that fulfils the requirements ISO27001: •

Consider the Bowden Print Group’s purpose and the scope of its operations

Consider the internal and external issues and parties relevant to the Bowden Print Group’s purpose and the scope of its operations

Be based on ongoing, comprehensive, and consistently applied risk assessment and treatment of the Bowden Print Group’s information security environment

Consider at a minimum those controls laid out in the standard, including the establishment of an information security policy

Incorporate relevant objectives identified in risk assessments and organisational strategies

Be supported by the necessary resources

Be consistently communicated internally and externally

Be documented appropriately at every stage of establishment, implementation, maintenance and improvement; and

Be monitored and reviewed internally at the necessary levels of the organisation at the required intervals

RISK ASSESSMENT AND TREATMENT The ISMS must be based on a comprehensive assessment of risk relating to the Bowden Print Group’s digital information and digital information systems, focusing on those risks and opportunities that must be addressed to: •

Ensure the ISMS can achieve its intended outcomes

Prevent or reduce undesired effects; and

Achieve continual improvement of the operation of the ISMS

This risk assessment and treatment will be in line with the Bowden Print Group’s Managing Risk Framework

INFORMATION SECURITY OBJECTIVES In addition to the minimum controls mandated by the standard, the Bowden Print Group must establish measurable digital information security objectives that: •

Are consistent with relevant internal and external information security policies, procedures and guidelines, as nominated by the Chief Executive Officer

Take into account digital information security requirements, and results from risk assessments and treatment plans; and

Are documented, communicated and current

These objectives must be defined in the appropriate Bowden Print Group policy, process or guidelines, including: •

What will be done

What resources will be required

Who will be responsible

When it is completed; and

How the results will be evaluated

RESOURCING, DOCUMENTATION AND COMMUNICATION The Bowden Print Group must ensure that the ISMS is appropriately resourced. This includes ensuring that staff undertaking duties about the ISMS are appropriately trained and experienced. The ISMS must be documented and applied in line with the Bowden Print Group’s legislative responsibilities and internal policies, including the: •

Privacy Policy; and

Records Management Policy

The Bowden Print Group must develop and document a methodology for communication of the ISMS that considers the full range of parties which will require access to its information.

MONITORING AND REVIEW Monitoring and review are fundamental to the effectiveness of the ISMS, which shall be evaluated and documented through: •

Ongoing adaptation as new risks are identified

Management review of the ISMS at planned intervals; and

Independent review of the ISMS when external auditing and recertification processes are in place

CODE OF ETHICS: GLOBAL COMPACT UNITED NATIONS (UN) GLOBAL COMPACT In July 2009, the Bowden Print Group became the first Australian company in the printing industry to join the UN Global Compact. As a leading South Australian company with social responsibilities, we have announced our will to actively participate in solving global societal problems such as labour, human rights, environment, and anti-corruption. UN Global Compact’s ten principles can be categorised into human rights, labour, environment, and anti-corruption. The main point is to protect international human rights and make efforts not to violate those rights, uphold freedom of association, guarantee the right to collective bargaining, and abolish all forms of forced labour, child labour, and labour discriminations. It also contains responsibilities to prevent various environmental problems, develop green technology, and abolish all forms of corrupt activities such as extortion and bribery. The Bowden Print Group, which has already been carrying out various programs in human rights, labour, and the environment, has taken this opportunity to join the UN Global Compact to internalise corporate responsibilities in conducting business operations. We’ve been implementing programs to organise internal procedures, establish a CSR Risk Management System, create a corporate-wide CSR focus, create an agenda for CSR related tasks, and aim to encourage employees to donate and participate in volunteer works.

As Benson Radiology has grown, Bowden Print Group has provided efficient management of its extensive printed material range.

Case Study 1 – Benson Radiology CHALLENGE: Benson Radiology required an efficient ordering solution that aimed to: •

Reduce administrative cost and time in placing orders

Eliminate errors when ordering

Develop a user-friendly IT program application

SOLUTION: The Bowden Print Group, together with Benson Radiology, developed a personalised, efficient ordering solution to meet these needs while also keeping Benson Radiology’s brand integrity. The main benefits to Benson Radiology included greater efficiency in placing orders for printed material while reducing the room for errors. Existing Excel spreadsheets were replaced with an easy-to-use on-line ordering program. A unique feature of the ordering programme includes the branding of Benson Radiology on their personalised, secure website exemplified within electronic folders containing colour visual images of the item being ordered by the user. Additionally, the system also allowed Benson Radiology to confidently print and warehouse larger stock quantities to keep costs of production down. The results of the solution included: •

City - Bay Fun Run – and the team that keeps it running! In November 1973, Mr Bob Clarke established the first City-Bay Fun Run in Adelaide along with a volunteer committee. Back then only 1,600 enthusiastic runners took on the 11.5 km run. Fast forward to 2019, with over 26,000 participants taking part in this fantastic annual community event.

Case Study 2 – City - Bay Organisation CHALLENGE: To provide a full print solution covering a range of information that needed to be conveyed to the City - Bay participants before and on the day of the event. Liaising with key staff including the Race Director, Event Coordinator, Expo Manager and Administration Manager to work through a timeline to get print collateral required delivered on time. This included working with the Corporation of the City of Adelaide and the City of Holdfast Bay Councils for signage approval, installation, and printing the 28-page registration booklets for the 26,000 participants. SOLUTION: Utilising the Bowden Print Group’s Print and Print Display services, all the City-Bay Fun Run’s needs were easily achievable. With the addition of specific equipment to produce outdoor signage, Bowden’s team has the skillset to produce all types of outdoor signage. The Bowden Print Groups’ Print Display service utilises an Eco-Friendly HP Latex 360 7 colour printer. Items like corflute signs, outdoor vinyl banners, banner fence mesh and flags can be printed quickly, efficiently and with very short lead times.
