WELCOME TO THE STAMPEDE The Renewable Energy Stampede & Green Living Fair is produced by The Texas Solar Energy Society and the Texas Renewable Energy Industries Association. These two non-profit organizations have been collaborating for over 10 years bringing you the very successful Renewable Energy Roundup in Fredericksburg each fall (over 7,000 in total participation 2009). In an effort to further our mission providing products, services and information to the public, about renewable energy and energy conservation we are expanding this year and offering the Stampede in Salado in the spring. Our goal is to present the latest technologies and services to consumers with information on Renewable Energy, Sustainable Building and Living, along with Organic & Sustainable Gardening and Farming. The family friendly atmosphere in the park-like setting of the Salado Civic Center offers a relaxing environment for folks to come and enjoy a weekend of learning. Visitors can browse through the many commercial and educational exhibit booths, watch demonstrations, view and drive renewable fueled and electric vehicles, listen to featured speakers, and even participate in programs for children. Specialized tours and extended workshops will be available for an added fee. Salado, Texas, located in Bell County between the cities of Waco and Austin, on I-35 is in a perfect proximity to major cities to will ensure good attendance at the Stampede. Our remarkable reputation, along with our large assortment of exhibitors and speakers, will bring a quality visitor who is prepared to do business on-site. Finally, our endless promotional efforts, including major advertising and public relations work, will maximize attendance by building buzz about the event effectively reaching all key markets in Texas. Salado's main street and vicinity is a lively marketplace with over 60 shops and artists' galleries. For the perfect escape enjoy the hospitality of one of Salado's many historic lodging facilities. Salado is located in the competitive electricity market area of the state and is served by the transmission and distribution company Oncor, which provides incentives for Renewable Energy Installations. It is also within day trip proximity of several municipal utilities and electric companies that offer incentives. Commercial businesses, government agencies and nonprofit organizations involved in or providing information on

HBE will provide an official exhibitor's packet following acceptance of your Exhibitor Application. The package will contain rates and ordering information on drayage, additional furniture, and other rental needs, labor to install and dismantle exhibits (should you desire), special sign service, audio-visual services, and freight handling services, which may be arranged though HBE at prevailing rates. Shipping and storage information will be in the package. Please note that The Stampede will remain open, rain or shine. Outdoor booth spaces do not include any type of shelter. Exhibitors must provide their own shelter. The following company offers 10x10 and other size tents in the Salado area. Alexander Tent Company, Austin, 512-821-1994 Exhibitor is responsible for any damage to The Stampede grounds and provided chairs and tables due to negligence.

All exhibits are outdoor and most on grassy areas. Large displays and vehicles will be located on asphalt. This is an outdoor show. Prepare accordingly. ELECTRICITY There is a limited amount of 110V electricity available. There is a $30 charge for 110V electricity hook-up or $100 for 220V if requested on the Exhibitor Application/Contract. On-site requests for such service will incur an additional 50% charge. Exhibitors must supply their own extension cords. Electrical outlets will not be located directly at your booth. You will need to provide several three wire #14 ground, hard usage type cords (#2 wire extension will not be allowed). Access to any electric outlet other than that provided for their specific booth will not be allowed. Power needs to be limited to less than 2000 watts. Requests for additional power or for 220V hook up will be handled on a case-by-case basis. The Stampede will provide an on site Electrical Trail Boss to assist in monitoring and accommodating your electrical needs. RESTROOMS There are permanent restroom facilities in the Civic Center Building. There will be portable restrooms at various locations on the grounds. PARKING Parking for the public is available on back and side streets, in nearby municipal lots and up and down Main Street at no cost. Exhibitors are asked to park in designated areas. There will be a complimentary shuttle running before, during and after the event to help facilitate access to your vehicles. Van Bibber street will be converted to one way traffic during the Stampede. The street must remain open to thru traffic. SECURITY The Stampede grounds (Civic Center) will be fenced with controlled access. There will be security on the grounds during the event, starting Thursday, April 15, thru closing Sunday, April 18. Exhibitors are urged to insure their property against fire and theft. Cartons containing valuables should not indicate contents from the outside and should not be left on the grounds overnight. SIGNAGE Exhibitors must provide their own signs. Any Stampede provided signs at individual booth spaces are intended for proper booth placement and identification only.

Exhibitor Grounds Access/Parking

Upon arrival, exhibitors should check in at Access Gate #1 on Van Bibber. Park and walk to the gate prior to pulling in. Van Bibber will be open converted to one way traffic for this weekend. The street must remain passable for thru traffic (there is a residential area down the street). Parking will all be designated in remote areas. Exhibitor parking lot maps will be distributed at check in. There will be a complimentary shuttle running to assist with access to your vehicles before, during and after the fair.

Exhibit Set-Up

Thursday, April 15, 9 am – 6 pm Event tent set-up continues. Exhibitor Set-up begins. Vehicles are allowed access on grounds only with advance arrangement. Friday, April 16, 8 am – 6:00 pm Exhibitor Set-up continues. Vehicles are allowed access.

All exhibitors must report to the Exhibitor Check in at Access Gate #1 to pick up exhibitor badges and to verify space assignments prior to booth set-up. The maximum number of exhibitor badges provided for any one booth is eight. Should an exhibitor set-up in the wrong space, he or she agrees to move to the correct location without protest. Exhibitors are responsible for their own labor arrangements to set up and tear down their exhibit. The Stampede does not provide such services.

Flyers/Handouts

Exhibitors may distribute flyers, handouts and other materials from their booth space only, and these must pertain to their exhibit. Exhibitors may not randomly place flyers, signs, posters, etc anywhere on the Civic Center grounds other than in their own exhibit space.

Special Displays

Any exhibit that is proposed but does not match well with a designated exhibit location or standard exhibit space or combination of spaces must be approved for inclusion based on agreement reached between The Stampede and the exhibitor.

Pets

Pets will not be allowed on Civic Center grounds unless they are aids to the impaired. Owners of such personal assistance animals are responsible for controlling their animal, cleaning up after it, and for the safety of others in attendance.

Exhibit Takedown

Exhibitors will be able to remove their exhibits from the Civic Center on the following schedule and not before: Sunday, April 18, 3:30 pm – 6 pm All articles, materials and debris must be removed from the Civic Center by 6 pm Sunday. Please remember we are striving to be a zero waste event. Recycling bins are available for your use. Any items left on the Civic Center after 6 pm will become the sole property of The Stampede. We reserve the right to dispose of such property in any manner appropriate.

Exhibitor Clean-Up

At the end of the event, Exhibitors must clean up their own space. All trash, and recyclable materials, such as flattened cardboard, paper etc. should be placed in proper bins or carried out. We are committed to leaving the Civic Center clean and undamaged.

Pollution

Exhibitors are responsible for handling and removal of any damaging materials associated with their exhibit. They will be charged for any expense incurred by The Stampede and/or the Civic Center for damages resulting from such materials.

The Texas Solar Energy Society (TXSES), The Texas Renewable Energy Industries Association (TREIA), the REPC & SEPC Planning Committees, the Village of Salado, Salado Visitor Bureau and their agents or employees shall not be responsible for any loss, theft, or damage to the property of the exhibitor, his or her employees or representatives. Further, the aforementioned parties will not be liable for damage or injury to persons or property during the term of this agreement from any cause whatsoever by reason of use or occupancy of the exhibit space by the exhibitor or his assigns, and the exhibitor shall indemnify and hold harmless these aforementioned parties from all liability which might ensue from any cause whatsoever. 1. The Stampede Event Planning Committee (SEPC) reserves the right to refuse exhibit space to exhibits that fail to meet Stampede Exhibitor Guidelines, or which would in any way detract from the purposes, dignity and intent of The Stampede. 2. The space contracted is to be used solely for the Exhibitor whose name appears on the contract and it is agreed that the Exhibitor will not sublet or assign any portion of his space without written consent of the SEPC. Subletting of a space will involve additional fees equivalent to 50% of the booth cost. How this is split between parties is up the Exhibitor. 3. Exhibitor shall abide by any Stampede-provided instructions for parking of vehicles and trailers in the vicinity of the Civic Center and Village of Salado. 4. The Stampede is not responsible for unattended booths. 5. Exhibitor shall comply with the designated hours for exhibit setup and takedown, and with Stampede issued instructions for ingress and egress of the Civic Center grounds. 6. Sound devices, including but not limited to speakers, video players, and radios, are subject to approval of the SEPC and if allowed, must be controlled so as not to interfere with others. The privilege for use of such sound devices may be revoked at any time. 7. Exhibitor shall not construct or display objects that physically impinge on another exhibitor’s designated space, or that act to block normal physical access to, or visibility of, another exhibitor’s display. 8. Unless otherwise prearranged, exhibitor actions to attract visitors to their space or demonstrations of their products or services must be confined to the exhibitor’s assigned space.

9. Persons staffing an exhibit will conduct themselves in a professional manner, taking every precaution against possible injury to visitors, guests or employees. 10. Exhibitor staff must wear a Stampede exhibitor badge at all times. The badge allows unrestricted personal ingress and egress from the Civic Center. No one exhibit will be provided more than 8 exhibitor badges. 11. Exhibitors shall not bring alcoholic beverages within the fenced boundaries of the Civic Center. 12. Exhibitors shall comply with the laws, rules, regulations and codes of the State of Texas, Belton County, the Village of Salado, and The Stampede. 13. The SEPC reserves the right to require to cease and desist, relocate or be moved from the grounds any exhibitor, exhibitor’s representative or exhibit involved in any act or practice that, in the opinion of the SEPC or its agent, is illegal, objectionable, interferes with the performance of other exhibitors, creates a health safety, or fire hazard, or violates any rules stated herein. 14. It is mutually understood and agreed that no alteration or variation of the terms of this Exhibitor Agreement shall be valid unless made in writing and signed by the parties hereto. 15. Exhibitor agrees to comply with all Stampede Guidelines, Rules and Policies. All matters not covered in these, and any disagreements between parties to this Exhibitor Agreement, are subject to the decision of the Stampede Event Planning Committee and/or The Stampede Organizer acting in their official capacities. Such decisions shall be considered final.

The deadline for submitting speaker applications is February 15, 2010. The Stampede offers free ongoing talks on the grounds, the purpose of which is to educate the public on all aspects of sustainability and green living. If you are knowledgeable in a particular field and would like to share your knowledge with others, please tell us about it by completing this form or online at www.renewablestampede.org. We expect to receive more applications to speak than we have available time slots. Speakers and subjects will be selected on the needs of the program. The deadline for submitting speaker applications is February 15, 2010. Speakers will be notified at the earliest opportunity after that. Presentations eligible for CEU’s are encouraged and are given preference. These lectures are held in tents. A new presentation will be scheduled every 60 or 120 minutes. The lectures are open to all Stampede visitors at no additional charge. Introductory level talks should not be highly technical, but sufficient to excite interest and provide the lay person with a basic understanding of the subject matter. Advanced level talks should assume a basic understanding exists and should move the subject matter to more in-depth, practical applications. We expect 120 minute talks to address both levels. The Stampede policy limits presentations that are overtly commercial. One tent in which commercially-oriented presentations will be allowed. Priority scheduling in this tent will be given to our exhibitors. If you wish to utilize this opportunity, please note this below. The other tents will retain their educational, non-commercial character. A/V equipment will be available, but again, please remember that these talks are held in tents, which limits the quality of visual presentation. The best results are achieved when using LCD projectors. A laptop computer and LCD projector will be provided in each tent. All regular spaces are sold in 12 x12 increments (figure your price according to the schedule on the application). There are no discounts for multiple spaces. Trailer & Large Structures – Space has been allocated for those with oversized displays including all trailers. You will be located in the Trailer and Large Structure Exhibit Area on pavement.
