Even if there is one particular space you really want to lease, be mindful that the more options you have, the more leverage you maintain. Don’t get emotionally vested to any particular space early on and save yourself the disappointment of either not getting it or paying more because you wanted it so badly. There are usually multiple space available that will be perfect. When identifying the perfect space do your homework ahead of time; know what is important. Factors that matter may include: location, cost, extra charges, amenities, public transportation, parking, space configuration, condition of space, tenant improvement dollars, utilities, technology, common areas and the building’s condition and maintenance (as well as too many more to mention). Now, identify your options. Once you have a short list of possibilities, you will need to analyze each deal by identifying its total value. Landlords approach it from this angle and you should as well.

To do this, take the annual rent (remember, this increases each year by fixed escalations and taxes) multiplied by the lease term, minus the free rent, minus tenant improvement capital that the landlord is giving you to improve the space. This shows you your real total cost and allows you to properly value each opportunity. Once you have actual cost of each it is time to negotiate. Negotiation is an art. The best deals are generally win-win. You need to know just exactly how hard you can push the landlord without risking the possibility of losing the deal. Knowing what deals have recently been completed helps with this. Brokers can usually send you a list of recent deals in or around a building that you’re interested in. If you have that information, it’s a good starting point. The more you know about recent, similar deals to yours, the better equipped you are to achieve a favorable deal. Information is the key to getting a landlord to come down. Once you have identified “the” space and negotiated terms, you will want to have your lawyer review the lease form on your behalf. After the lease is signed, the leasing process is complete and the move begins.
