Leasing a new office space generally requires you to locate a handful of spaces that can work for your company and then measuring them against each other so that you can maximize your negotiating position. Even if there is one particular space you really want to lease, be mindful that the more options you have, the more leverage you maintain. Don’t get emotionally vested to any particular space early on and save yourself the disappointment of either not getting it or paying more because you wanted it so badly. There are usually multiple space available that will be perfect. When identifying the perfect space do your homework ahead of time; know what is important. Factors that matter may include: location, cost, extra charges, amenities, public transportation, parking, space configuration, condition of space, tenant improvement dollars, utilities, technology, common areas and the building’s condition and maintenance (as well as too many more to mention). Now, identify your options. Once you have a short list of possibilities, you will need to analyze each deal by identifying its total value. Landlords approach it from this angle and you should as well.
To do this, take the annual rent (remember, this increases each year by fixed escalations and taxes) multiplied by the lease term, minus the free rent, minus tenant improvement capital that the landlord is giving you to improve the space. This shows you your real total cost and allows you to properly value each opportunity. Once you have actual cost of each it is time to negotiate. Negotiation is an art. The best deals are generally win-win. You need to know just exactly how hard you can push the landlord without risking the possibility of losing the deal. Knowing what deals have recently been completed helps with this. Brokers can usually send you a list of recent deals in or around a building that you’re interested in. If you have that information, it’s a good starting point. The more you know about recent, similar deals to yours, the better equipped you are to achieve a favorable deal. Information is the key to getting a landlord to come down. Once you have identified “the” space and negotiated terms, you will want to have your lawyer review the lease form on your behalf. After the lease is signed, the leasing process is complete and the move begins.

Leaving A Legacy With Commercial Real Estate By Walter Davis
Watching my two children open the many gifts they were blessed with from friends, family and their parents, over the holidays raised a question for me. What can I give my children that they can enjoy when I’m no longer around? What can I give them that they can share with their Children’s, Children’s Children? The answer for me is Commercial or Income Producing Property. Namely small to mid-sized Commercial Real Estate. By small to mid-sized I mean assets whose value is in excess of $1 Million. I understand that Commercial assets is not as exciting to my children as the new leap pad games they received for Christmas but it’s certainly the gift that will keep giving. In this article to we will explore three advantages to building a legacy with Commercial Property.
my mentors used to say “You make money in real estate when you buy not when you sell... you must Buy Right!” Quoting him here is not as impressive without the Southern accent over the word ‘Right.’ What he meant is that buying a property must be done strategically with the goal of making money in the forefront. You must be able to leverage the money you use in a deal. Leverage occurs when money is borrowed at a certain interest rate that is less than the rate of return of the property. Leverage enables a commercial asset to pay for itself. What better asset to have than an asset that not only produces income but produces income in excess of its expense. Leaving such an asset for the generations that follow you is powerful.
Income producing Real Estate in general is a great long term investment because of the high demand. As an investor in Apartment Buildings, I need only point to the basic needs of life, food, shelter and clothing, to justify that there will always be a need for shelter. Of those three needs, the need for shelter is, in my opinion, most important to the average individual. The Bureau of Labor Statistics, 2011 Consumer Expenditures News Release reports that the average American spends 26% of their income, before taxes, on housing. As we examine our own economic spend plan housing is undoubtedly the largest bill for most of us. This further supports the claim that real estate is in large demand.
Lastly, Commercial Property, namely property whose value is in excess of $1 Million, can more often than not support itself. The income produced from the monthly rents can be used to pay the mortgage and hire a staff of professionals to maintain the asset. Of course you can do everything yourself (Not Recommended) but if the property makes enough income to hire a professional lawyer, accountant, landscaper, property manager etc. why wouldn’t you? More importantly, if your Children or your Children’s Children are passionate about something else and don’t want to be full time real estate investors they can hire professionals to manage the asset that funds your legacy.
Next, Income producing assets are great long term investment because of the principal of leverage. One of

Too often businesses rush into new commercial spaces at the end of their lease and find themselves stuck in a space that simply does not work. It’s too small, it’s too costly, or the location is poor. It may seem like these issues are simple to avoid, but without the proper preparation, these missteps are easily and often made. If your lease is due to expire in the next year or two, start assessing where your company stands, and whether it would benefit from a relocation. The idea is to find where your business can improve and can that improvement come from a new commercial space? Here are some basic questions that you should start asking yourself as that lease expiration begins to loom. WHAT DOES YOUR BUSINESS NEED? Whether your current lease was for three years or ten, the company’s needs have changed. Technology alone has advanced leaps and bounds over the past few years and likely your business model along with it. Perhaps with the ease of telecommuting you don’t need as large of a space for employees, or maybe with increased productivity you can afford to hire additional staff. Your critical first step is to set up a meeting with upper management to discuss a vision for the future. How will the company change and what additional needs will those changes create? Think about how many employees will be relocating, the day-to-day tasks that will be carried out, and the type of clients or associates to whom your business must be accessible. In this meeting you need to look ahead to where you want the company to be and how a new commercial space might get you there. HOW COULD YOUR COMPANY IMPROVE? Often discussed during business relocation are the chances for improving the company. This can be anything from greener lighting, to modular cable installation, to an improved outside space for curb appeal. What don’t you have in your current office that could improve operations or company image, and what improvements could you make to current standards? It’s important to not only consider how to improve your business on the inside, but what design improvements could improve your business on the outside. Exterior improvements could be creating an office design that integrates company branding or installing a more prominent sign outside the building. These types of changes can make your business more appealing to clients and improve overall profits. HOW CAN MODERN DESIGN HELP YOU ACHIEVE YOUR GOALS? If you are considering expansion into a larger space to accommodate more employees or more shared spaces, you should actually think small. With latest design innovations, companies can fit into smaller spaces with the same or more employees. Will customers still be able to easily access your services? Is parking readily available and conveniently located? More importantly, is this region an area where your business can grow? Are you perhaps closer to important resources and potential clients? Location is everything, and you don’t want your business stuck in an unappealing neighborhood for the duration of a five- or ten-year lease. WHAT’S A REALISTIC BUDGET? Perhaps this is the first question that comes to mind as you consider business relocation, but it is not a viable question until you have considered all of the requirements that will ensure the future success of your business. Aside from tallying up the necessary enhancements and deducting efficiency improvements, you will need to consider improvement allowances, monthly rent charges, taxes, and insurance. Work with a real estate broker to find the best lease agreement that fits your budget. Also be sure to read the fine print to ensure that the improvements you want to make to the space are permissible. A mistake in budget projection will affect your entire move, causing delays and unforeseen expenses. Creating a realistic budget is the main reason you should give yourself plenty of time prior to your lease expiration to plan the move. Relocating is the time to start anew and improve, and as the first step, finding the perfect commercial property should be top priority.
