Wedding Venue 101 Five things to consider when booking the location of your big day. by L I B BY WA L L

When you’re on the hunt for the perfect wedding venue, asking the right questions is crucial. Columbia Country Club’s event coordinator, Kristi McCann, and the University Club’s event and wedding planner, Megan Morris, weigh in on five things to consider before signing on the dotted line.

1. Come prepared. “We have couples come in who are so excited about getting engaged, and they get anxious about booking a venue before they’ve talked in-depth about their wedding,” Kristi says. Couples should establish a vision, theme, and baseline knowledge about the wedding. “A prospective date, anticipated guest count, and planned budget should be decided on before contacting vendors,” Megan says.

2. Ask about catering constraints. “Many venues provide their own catering and have restrictions on outside food,” Kristi says. “Other spaces are just a venue and hiring an outside caterer is a must.” With so many different scenarios, asking about catering is an essential first question for vendors. “This is also the time couples should clarify if they can create their own menu,” Megan says.

3. Know the role of the venue coordinator. Kristi says: “Lots of brides and grooms get confused about what a venue

coordinator does. The duties of a venue coordinator vary greatly from those of a wedding planner. An easy way to explain it is that a venue coordinator’s responsibilities are focused more on the back-of-house operations, while wedding planners typically focus on front-of-house matters, such as flowers, entertainment, and décor.” Couples should consult the venue coordinator on site upfront to fully understand their duties.

4. Understand space restrictions. “Most sites have some rules and restrictions,” Kristi says. “If you have a vivid idea, it’s important to run it through the venue.” Some typical restrictions include: no open flames, no glitter or confetti, and limitations as to what you can put on the walls.

5. Have a tentative timeline Some venues allow people to come in and decorate the space a day early — others will charge. Kristi says, “Having a rough timeline and discussing it with your venue coordinator or wedding planner will ensure you’re not hit with unexpected fees or surprising time restrictions.” While embarking on the venue booking process, never be afraid to ask, ask, and ask again. Wedding Reception Itinerary Timeline and tips to throwing a seamless soirée.

E

veryone wants their wedding remembered fondly, and a little organization helps the evening run smoothly. Although events will vary from wedding to wedding, here are some tips for a reception timeline.

Cocktails & Hors D’oeuvres Cocktails kick off the reception and should last about an hour to get people mingling. TIP: If a gap between the ceremony and reception is inevitable, be considerate of the amount of time between the two events. Give people time to do something else or run home to ensure they won’t be awkwardly hanging out in the lobby of your venue.

Newlyweds’ Arrival The newlyweds are announced for the first time as husband and wife. Some couples choose to have their first dance now. Alternately, you can wait until after dinner.

Champagne Toast & Speeches The toast usually takes place after everyone is seated or once the first course is served. Traditionally, the best man starts the toasts and gives his speech, followed by the maid of honor. The couple responds, and then parents and other guests can say a few words.

TIP: Do the toasts during dinner — while you have a captive audience. Encourage those making toasts to keep it brief but heartfelt.

Dinner If you’re having a buffet, the DJ or emcee will instruct the tables when to stand up. TIP: In general, no more than 30 minutes or so should pass between cocktail hour and dinner.

Music & Dancing Once tables are cleared, be the first ones out on the dance floor, cueing guests to do the same. If you have any other activities planned — bouquet toss, garter toss, or whatever you’ve dreamed up — this is the time. TIP: Plan on tossing your bouquet? Get an additional bouquet from the florist so you can keep your original as a memento.

Cutting the Wedding Cake Traditionally, it’s considered acceptable to leave a wedding once the cake has been cut. While this rule may have gotten lost over time, many still abide by the concept. Don’t schedule cakecutting too late, and be considerate of older guests or those who may want to leave earlier.

Final Song & Goodbyes Select a song that will leave a lasting impression. If you’re making a grand exit, do so at this point. Your coordinator will usher the guests to the foyer to bid you farewell. WEDDING G U I D E
