20 Ti ps For Tour Planners
by Larry Plachno, Editor20 Tips on Meal Stops
Now that the pandemic is behind us, we a r e s e e i n g s e v e r a l n e w t o u r p l a n n e r s a n d operators joining the industry Some decided to change jobs during the pandemic while others retired from their regular jobs and decided that they would like to get into bus tour planning We welcome them to our industry and wish them success
Possibly because of this number of newcomers, we have received several questions about bus tour meal stops recently Most of this is logical, but the following may provide some suggestions and answers to those who have questions or are new to planning bus tours
General Suggestions
1 D e v e l o p a G e n e r a l P l a n A g o o d place to start is to consider having a standard meal plan or policy One you might consider is “We will provide time for three meals each day even if their cost is not included in our bus t o u r ” A g o o d f r i e n d o f m i n e r a n a b u s t o u r company geared primarily to seniors. He mentioned that in many cases, the travel for mom a n d d a d w a s p a i d f o r b y t h e k i d s a n d t h e y wanted to see their parents eat well Hence their policy was “We provide a good dinner every night and a good lunch on mostly alternate days ” If you work with student tours, you might want to have a different plan for them since students are more likely to want breakfast than seniors
2 . G o i n g G o u r m e t . Ye s , t h e r e a r e gourmet tours where the cuisine is a major part of the itinerary. However, not every tour p a t r o n i s i n t e r e s t e d i n o r w i l l i n g t o p a y f o r g o u r m e t m e a l s I n a d d i t i o n , y o u d o n e e d someone with appropriate knowledge to plan these bus tours
3 Foodie Tours While not necessarily gourmet, meals are an important part of the bus tour The Brooklyn Pizza Tour is a good example, but there is a wide range of other options In addition to actual meals, you could base a bus tour around ice cream, sampling cheese or even pastry. I have even heard of bus tours for vegetarians
4. Timing for Meals. When planning a bus tour, watch your timing for meals This is particularly important for lunch I remember one of our tours where we were running late and did not reach our lunch stop until 1 p m There were obvious grumblings from some of the passengers
General Options
There is a wide range of food stops for bus tours Here are some of the most popular and most obvious
5. Buffets. Easily the most popular option f o r b u s t o u r p l a n n e r s i s a g e n e r a l b u f f e t I t o f f e r s t h r e e a d v a n t a g e s : 1 ) S i n c e y o u a r e charged a flat fee per person, you can include this meal in the price of your bus tour; 2) You save time on ordering and cooking since the food is ready to eat; 3) There should be enough
variety so that every passenger will find something they like
6. Family Style / Private Room. When a buffet was not available, we have had good luck working with a restaurant to provide a private room for our group with a family-style meal or mini-buffet providing some choices
T h i s a g a i n w o u l d a l l o w y o u t o i n c l u d e t h e price in your bus tour
7 . B r e a k f a s t a t t h e H o t e l . I f t h e h o t e l / m o t e l w h e r e y o u a r e s t a y i n g o f f e r s a breakfast, you might want to include that Our experience is that for many adults their breakfast is a cup of coffee and maybe a doughnut. However, we have also discovered that where breakfast is offered, many will take advantage of it The biggest problem is a crowded breakfast room 30 minutes prior to departure I would encourage the breakfast for student tours since they are more interested in breakfast
8. Dinner Theaters. Dinner and entertainment theaters are highly recommended for bus tours They provide both entertainment and a meal Today there are a wide range of entertainment theaters to choose from with several themes and even a biblical theme
9 . R a i l a n d S a i l . B u s t o u r p a s s e n g e r s love to ride on trains and boats Many of them offer a meal while traveling, thus accomplishing two things at the same time This is a big advantage for tour planners since it eliminates the need for an additional meal stop
1 0 . S h o p p i n g a n d O u t l e t M a l l Fo o d Courts. When faced with a long drive all day,
many tour planners will search for an outlet mall or shopping mall that will be reached at lunch time This gives the passengers a chance to get off the bus and stretch their legs, use the restrooms at the mall and eat at the food court. You will also find there will be passengers who forgot their toothpaste or deodorant and welcome this as a shopping stop
1 1 . B o x L u n c h e s a n d F a s t F o o d Stops. This might be more appropriate on charters than on tours I would prefer a real food stop on a bus tour, but this may be the most viable alternative under certain circumstances If you need to bring food on the bus, I would suggest that you be prepared with several large garbage bags and a roll of paper towels to clean up afterwards.
12. Turning Your Group Loose. If circumstances dictate, you can turn your group loose for lunch on their own Mall food courts are an obvious location, but there are others At one time there was a big parking lot just north of Adventureland in Altoona, Iowa situated between a few fast food restaurants Bear in mind that the food needs to be within reasonable walking distance
What to Look For
What do you want to look for in a meal stop? At the risk of being somewhat self-serving, I might mention that places listed in BUS T
a l w a y s a g o o d b e t I f they place an invitation in BUS TOURS MAGAZINE, you are pretty much assured that they can handle bus groups and welcome them Otherwise, here are things I would look for
1 3 . C h e c k o n S i z e . I s t h i s p l a c e b i g enough to accommodate your group? Does it have the staff to handle 50 people at once?
14. Check on Cuisine. I happen to like both Asian and Mexican food, but not every tour passenger does Hence, make sure that your meal stop offers food for everyone This, again, tells you why tour planners like buffets
15. Check on Bus Parking. It is so easy for people to recommend a restaurant without realizing that we need to park a 45-foot bus I remember once being talked into driving a
45-foot bus to a suburban Chicago restaurant
When we left the restaurant, the parking lot had filled with cars and I spent several minutes getting the coach out of there without dama g i n g a n y t h i n g S o m e t o u r p l a n n e r s l i k e Cracker Barrel both because they generally have bus parking and do not serve alcohol
16. Payment Required. Make sure you find out what type of payment the restaurant wants Some will still take a company check although virtually all will take credit cards
Other Thoughts

Yo u c a n theme food to a tour without turning it into either a gourmet or foodie tour On a tour to M a r y l a n d , I w o u l d t r y t o f i n d a p l a c e t h a t optionally offered crab cakes In Philadelphia you might want to stop for a Poor Boy sandwich In Louisiana, there are places that offer Creole or Cajun cuisine Of course, Texas would offer the opportunity to stop at a steak place
18. Meal Packages with Attractions or Lodging. You might want to take the time t o l o o k a t a n y m e a l p a c k a g e s o f f e r e d b y attractions or lodging If nothing else, they simplify things by eliminating the need for a separate food stop.
1 9 . B e w a r e o f B r o k e r s . I n r e c e n t months we have heard an increasing number of disaster stories from tour planners who worked with brokers I personally would never want someone between me and my bus tour stopping places I once arrived with a group in Columbus and discovered that our lunch reservations had somehow been cancelled We are told that buses arrive and either the location is not suitable for bus groups or there is no reservation. On checking with the broker you discover that they are located on the other side of the earth Once again, I suggest using the places that place their invitations in BUS TOURS MAGAZINE
