Building Trust & Understanding

A Guide to Collaborating with Indigenous Communities on Events

As the Director of Events at the University of Manitoba, I have had the honour of working closely with our local Indigenous community in planning a wide range of events. These haveincludedceremonialgatheringssuchas sunrise pipe ceremonies, conferences such as the Blueprint for Indigenous Education, and large community gatherings, like the opening of the National Centre for Truth and Reconciliation.Throughtheseprojects,Ihave hadtheopportunitytospendtimewithand

learn from our local Elders and Knowledge Keepers, engaging in many discussions about ways in which our communities can come togetherinaspiritofharmonyandrespect.As a result of these experiences, I have gained a deepappreciationforthetraditionsandsacred values of our indigenous communities. In an effort to support other event planners seeking to collaborate with Indigenous communities, I would like to share some tips for achieving successfulandrespectfulpartnerships.

Before embarking on the planning process, researchthecommunity'shistory,values,and customs,andbepreparedtoaskquestionsand learn more. Avoid making assumptions or relyingonstereotypes.Rememberthateach indigenouscommunityisuniqueandhasits distinctcustomsandtraditions,soapproach each project with an open mind and a willingnesstolearn.

Itisimportantforeventplannerstounderstand that asking members of the Indigenous community to participate in their events requires sensitivity and respect. Ceremonial actslikehonoursongsandblessingsarenot performances but rather deeply meaningful and sacred traditions that should be approachedwithcareandreverence.Asking anElder,KnowledgeKeeper,orDrummerto participateinaneventshouldnotbetreated likeabusinesstransaction.Instead,itshouldbe doneinawaythatshowsrespectfortheir cultureandhonourstheirtraditions.Thiscould involvepassingtobaccoandaskingfortheir consideration or reaching out through a community leader or organization. It is importanttorememberthatthesetraditions havebeenpasseddownthroughgenerations andareconsideredanintegralpartofaculture. Planners should approach these sacred practiceswithrespectandsensitivityandbe preparedtoadjusttheirplansifnecessaryto honourthewishesoftheparticipant.

Effective communication is important when working with any group, particularly when working with Indigenous communities. Transparencyisessentialtobuildingtrustand understandingbetweentheplannerandthe community. Take the time to listen and understandthecommunity'sperspectiveand clearly communicate the event's goals and objectives.Avoidusingjargonthatmaybe unfamiliar, and use inclusive language that honoursculturaldiversity.

Indigenouscommunitiesoftenhavesacredsites thatholdspiritualsignificance.Educateyourself aboutthelocationandmeaningofthesesites andtakecarenottodisturbthem,evenifit meanschangingoradaptingyourplans.Involve indigenouscommunitymembersintheplanning processandseektheirguidanceandwhereyou needtobecautious.

Involvecommunitymembersintheplanning andincorporatetheirideasandinputintothe event.Thisnotonlyhelpstoensurethatcultural traditionsandcustomsarerespectedbutalso helpstobuildstrongerrelationships.

ManyIndigenouscommunitiesfacesignificant economic challenges and are marginalized. Makeaconsciousefforttoensurethatthe community benefits economically from the event.Hirelocalworkersandbusinessesto support the event and provide fair compensationfortheircontributions.Consider working with local organizations and community leaders to identify ways to maximizetheevent'seconomicimpact.

Indigenous communities often have a deep connection to the land and a strong commitment to environmental sustainability. Worktominimizetheenvironmentalimpact andpreservethelocalecosystem.

Finally,takethetimetounderstandthe"why" and"how"ofculturaltraditionsandceremonial practices. Ultimately, the key to planning successfuleventsforindigenouscommunitiesis toapproachtheprocesswithhumility,respect, andawillingnesstolearn.Bytakingthetimeto understandtheculturaltraditionsandpractices ofthecommunity,involvingmembersofthe community in the planning process, and ensuring that economic benefits are shared withthecommunity,eventplannerscanhelpto createmeaningfulandimpactfuleventsthat honourandcelebratetherichculturalheritage ofIndigenouscommunities.

Innovation Meets Tradition: How hala Inc Brought This Epic Celebration to Life

The Royal Agricultural Winter Fair, also known as The Royal, is an annual 10-day event that celebrates the best in agriculture, local food, and equestrian competitions from across Canada. EstablishedinNovember1922toshowcaseCanada'sverybestinagricultureandequestriansport, itisnowtheworld'slargestcombinedindooragriculturalandequestrianshow.AsaCanadian RegisteredCharity,TheRoyalcontributestothecountry'srichtapestryacrossvariousfields.

TheRoyalAgriculturalWinterFair’s100thAnniversaryGalawasamilestoneevent,markingthe returnofthefairtoToronto’sExhibitionplaceafteratwo-yearhiatus.Theeventwasproducedby halainc.,aTorontobasedeventmanagementfirmthatwonthecompetitivebidtooverseeallevent

coordinationandmanagement.TheGalawas the Royal’s first fundraising gala ever and celebrateditscommitmenttoremainCanada’s leaderinshowcasingCanadianagriculture,local food, and equine excellence. The event welcomed1,000Royalpatrons,politicaland philanthropic community leaders, and Loyal Royalsforanighttoremember,filledwithmany specialmoments.

TheeventwasheldonNovember2,2022,atthe historicHeritageCourtatExhibitionPlace.The evening began with a cocktail and dinner reception.Thecocktailreceptionwasheldina beautifully decorated space, with communal lounges, branded photo opportunities representing both the Agricultural and EquestriansideofTheRoyal,andperformances byJUNOAward-winningartistSammyJackson. Guests enjoyed an open bar and gourmet passedcanapés

Thedinnerreceptionwasheldinthe50,000 square foot Heritage Court, which was separatedfromthecocktailreceptionbyfloorto-ceiling black and gold draping with uplighting.Theguesttransitionfromthecocktail receptiontothediningroompaidtributetoThe Royal’srichhistory.Carryingonacentury-old tradition in their scarlet tunics and feather bonnets, the award-winning St. Andrew’s CollegePipesandDrumsledguestsintothe dinnerreception.

ThemainfaçadeinHeritageCourtwasformally theexteriorentrancetotheCoca-ColaColiseum. Thebrickfaçadefeaturingswagmotifsand Doriccolumnsprovidedabeautifulcanvasfor the immersive 3D projection mapping with visual content that told the rich and distinguishedhistoryofTheRoyal.Thetables weredrapedwithrichblackandgoldsatin linensandwhiteflorals,

Emceed by treasured Canadian television personality, Rick Mercer, guests enjoyed a unique and unforgettable Canadian culinary experiencecuratedandpreparedbyacclaimed ChefMichaelBonacini,ChairoftheCulinary& Hospitality Committee of The Royal. Guests wereservedamulti-coursemenuwithwine pairingthatcelebratedCanada’svastnatural bounty, while also integrating several more unexpectedingredients.

Afterdinner,theeveningcontinuedinsidethe Coca-ColaColiseumwheredinnerguestsjoined another500+guestsforTheRoyalShowcase presentedbySiriusXMCanada.Special SFX lighting,gobosandmovinglightscreateda spectacularambianceintheColiseumforthe show. Hosted by Rick Mercer, the Opening Ceremony Showcase delivered an unprecedentedarrayofspecialperformances and collaborations never seen before. The showcasepaidtributetoTheRoyal’svastand

vibrant100-yearhistorywithaneveningof heritage,musicalperformances,andatributeto Canada’soutstandingfarmers,growers,and producers.

Theeventrequiredawell-organizedstrategic plan to deliver a successful Gala that paid tribute to 100 incredible years since the inceptionofTheRoyalandcelebratedACentury ofChampions.Thehalainc.teamovercame severalchallenges,includingworkinginaunion venue, significant delays with load-ins and lightingset-upduetolabourshortages,andthe complexityoftheshowwiththreebands,60 horses,30dogs,agoat,an18-piecepipeand drumband,apoet,2violinists,1operasinger,3 equestrianriders,1anthemsinger,andintricate collaborations.

Sustainabilitywasakeyfocusthroughoutthe event. Chef Michael Bonacini, Chair of the Culinary&HospitalityCommitteeofTheRoyal,

introducedthemulti-coursemenuthatcelebratedCanada’s vastnaturalbounty,whilealsointegratingseveralmore unexpectedingredients.Thoughtfullyincorporatingadiverse arrayoftastesandtexturesfromcoast-to-coast,thisfarmto-forkexperienceshowcaseddeliciousflavours,artfully presentedandwithafocusonsustainabilityandzerowaste. Disheswerepresentedbyateamofpassionateyoung cooksandculinarystudents,offeringgueststheopportunity toconnectandengagewiththestoriesbehindeachplate.

Diversityandinclusivitywerealsoimportantconsiderations.

The Gala featured a diverse range of performers and collaborators,includingIndigenousperformersandaspoken wordartist.TheRoyalalsoprovidedaccessibleseatingand parkingforguestswithdisabilities,andworkedtoensure thatallguestsfeltwelcomeandincluded.

JK:What’syourphilosophyregarding event planning, and how do you approacheachproject?

JL: My philosophy is centered on creatingameaningfulexperiencethat theaudiencewillneverforget.It'sabout presentingsomethinginauniqueand innovativewaythatcreatesexcitement andleaveslastingmemories.Myteam and I focus on defining the key messagesandobjectivesoftheevent andthenworkoncreatingexperiences that support those goals. This can include immersive technologies like mapped projection, augmented and virtual reality, as well as creative displays,installations,design,food,and entertainment.

Ourgoalwithanyeventistocreate engagement.Whenpeoplehavean emotionalconnectiontoanevent,they are more likely to share their experiences with others. This can increase brand awareness, word-ofmouth marketing, and create a strongersenseofcommunityamong attendees.Co-creationitselfcreatesa senseofengagementandinvestment intheevent.Thisultimatelyleadsto higherlevelsofinteraction,makingthe eventmoredynamicandimpactful.

JK: How do you incorporate technologyintoyourevents,and what role do you see AR/VR playinginfutureevents?

JL: Augmented Reality (AR) and Virtual Reality (VR) are going to revolutionizetheeventsindustry,as theyenableplannerstocreatetruly immersive and game-changing experiences.Oneofthecoolestways ofusingthistechisthroughvirtual andaugmentedrealitytoursofevent spaces, allowing attendees to explorethevenueandinteractwith virtualelements.Thisisparticularly usefulforlargeorcomplexvenues, enablingattendeestonavigatethe area more efficiently and discover interestingeventsandexperiences.

ARandVRcanbeusedtoenhance entertainment,bringpresentationsto lifeandcreatepowerfulimmersive experiences.SpeakerscanuseVRto createa3Dvisualrepresentationof their topic, while VR effects can bring the audience closer to the performer,allowingforup-closeand personal interactions. JL: Balancing creativity and innovation with practicalconsiderationslikebudgetandlogistics isacrucialpartofsuccessfuleventplanning.To achieve this balance, we use a systematic approachthatintegratestheevent'screative visionwiththeproject'sconstraints.

Thefirststepistoensureweunderstandthe client'svisionandgoals.Wealsoconduct extensiveresearchtoidentifyinnovativeideas andtrendsthatcanbeincorporatedintothe event. Once we understand the creative vision, we work to identify the practical considerations,suchasthebudget

andlogisticalconstraints.Thisinvolvesbreaking downthecreativeintospecificelementsand identifying the resources required for each component.Wethenworktoidentifyinnovative solutions that can be achieved within the constraintsoftheproject.

Throughoutplanning,weconsistentlyreferback to the creative vision, and constraints are revisited to maintain the right balance. We collaboratewithourvendorsandpartnersto identifycost-savingmeasuresandstreamline logisticstomaximizethebudgetandresources available. JL:Theeventsindustryisconstantlyevolving,andIsee some significant and exciting developments shaping whatourindustrywilllooklikeinthenextfewyears. We’vealreadytalkedaboutAR/VRanditspotentialto revolutionize the game; I am really excited about augmentedrealityexperiences,personalizedAI-driven recommendations,andchatbotsthatcanproviderealtimeassistancetoattendees.

Sustainability,whileobviouslynotatrend,isacritical elementofwhatwedo,andit'sbecomingmorevitalthat eventpeopleembracethisasakeypriorityandcontinue to evolve their understanding of the importance of savingourplanet.

IhopeourindustrykeepstalkingaboutEDI,andweget toaplacewhereinclusivityanddiversityineventsisnot somethingthatisaddedonbutanintegralpartofevery planner'sdeck.

JL: To succeed in the events industry, you must be passionateaboutyourwork.Eventscanbechallenging, but if you are genuinely passionate about bringing peopletogethertocreatepowerfulexperiences,youwill bemotivatedtoovercomeanyobstacle.

Thebestwaytolearnabouttheeventsindustryisby gettinghands-onexperience.Volunteer,intern,or createyourevent.Everyexperiencewillteachyou somethingnewandhelpyoubuildyourskills.

Beingaproblemsolverandfindingsolutionstoany issue is essential. This requires creativity, being resourcefulandstayingcalmunderpressure.

Buildingsolidrelationshipsiscriticaltosuccessinthe eventsindustry.Takethetimetonetwork,buildyour reputation,andestablishtrustwithyourclients.

Remember that the events industry is all about creatingexceptionalexperiencesforpeople.Keep thatattheheartofeverythingyoudo,andyouwill bewellonyourwaytoasuccessfulandrewarding careerineventplanning.

Uponarrival,guestsweretransportedtotheheartofParis, withtheEiffelTowerasthefocalpointsurroundedby historicalmonuments,Parisiancafés,andasnow-covered park.Itwastrulyanimmersiveexperiencelikenoother!

ThestreetsofPariswerebustlingwithactivityasguests immersedthemselvesinthemagicalatmosphere.They exploredtheiconicmonuments,savouredthedelicious Frenchcuisine,andmingledaroundthecafés,soaking uptherelaxedParisianwayoflife.

Theeventwasatestamenttothecreativityandingenuityof theeventteambehindit,whoneverlostsightoftheirclient’s keyobjective–designaneventthattransportsgueststoan iconicdestination.

This is the story of how FREE PEOPLE Marketing planned and executedaFortifiedKitchenPartyforDeloitteCanada,overcoming dauntinglogisticalobstaclestohostagatheringof1200guestsina spectacularandchallenginglocation.

WhenvisitingNovaScotiainsummer,yougetinvitedintokitchens andbackyards;it’sacoastalthingthatthisareaisknownfor;relaxed, chillandwelcoming.Thiswasthefeelingoflocalhospitalitythatthe client wanted to create for their event, a chance for guests to reconnectafternotbeingtogetherfor4yearsandgivethelocal partnersaneventthatshowedofftheverybestHalifaxoffersand makethemproudtobehostingthePartnerMeetingintheircity.Large yetintimate,showcasingthebestinMaritimefoodandentertainment, from donairs to Rappie Pie, bagpipers, drumming circles, guitar strumming,highlanddancersandHalifax'sfavouritedanceband.And theywantedtohostitattheiconicCitadelHill.

Halifax’sCitadelHillisatrueiconofthecity, andtherewasnobetterplacetohostthe biggestKitchenPartyHalifaxhaseverseen!

The Citadel also presents the epitome of challengingeventlogistics.It'safortbuiltin 1856meanttokeepoutinvaders,whichmeans thatanythingcominginorouthastwooptions: eithergoupastonestaircasetunnelorthrough themaingatethatislessthan8feetwideand only9½feethigh.BeingaParksCanada property, it has to be publicly accessible between9amand5pmeachday,soanything youbringinduringthesehoursalsoneedstobe cominginoroutduringthesehoursandmust beloadedandcarriedbyhand.Machinerycan only enter outside the hours of operation. Powerisextremelylimited,andsoisrunning water.Andtherearenocateringfacilities.

ParksCanadawouldneedtoapprovetheuse ofnotonlythespecifiedeventarea,withinthe fortwallsbutalsoadditionaloutsidespacefor theeventforequipment,overmultipledays.To assesstheproject'sscopeandneeds,they conducted extensive meetings with vendors andcreatedtodeterminewhattheirneeds wouldbesothattheycouldadvocatewith ParksCanadatosecuretherightspacesand access.Oncethiswasdoneandthelocation wassecured,theybeganbuildingtheframe.

WorkingcloselywithParksCanadaandtheir tentingsupplier,theyselectedtheappropriate tentstoaccomplishtheirgoals.Thisfirststepof establishing tenting plots was critical to providingthefootprintdesigntheywouldbe workingwith.Theyhadtocommissionasite surveytoidentifyundergroundpower,gas,and communicationlines.Rightfromthestart,this survey identified major challenges with the tentingvision.Becausethishadneverbeen done before on these grounds, obstacles continuedtorevealthemselvesuntil2months prior.Thedesignrequiredanalmostcomplete redoofthedecorplanandlayout,astheshape ofthetentshadshiftedtoaccountforthe undergroundutilities.

The design for the Kitchen Party centred around showcasing the local food and beverage.Eachfoodstationwascreatedtobe itsownthemedkitchen,andtheindividual kitchen decor was chosen to reflect each cuisine being presented, as a reflection of different cultures and food in Halifax and aroundNovaScotia.Clearrooftentingwas usedtoimmerseguestsinthevenueitself,and unique gathering spots were created using Yurts,andfurniturereplicatingtypicalMaritime backyardswithkitchentablesandchairs,fire pits,andlawnchairsemulatingthe“hanging out”inthebackyardvibe.

Anobstacleincreatingtheseuniquespaces was that all rentals and every piece of equipmenthadtobebroughtinthrougha small arched main gate and work around publicaccesshours,withmuchofthework beingdoneovernight.Addingtothelogistics was the event requiring Parks Canada to approveusingadditionaloutdooreventspace thathadneverbeenusedbeforeforanything, soeverydecisionandplanneededdiscussion, presentation,andapproval.Theteamhadto getcreativeindeliveryandproblem-solveona case-by-case basis with the suppliers to overcome each design challenge as it presenteditself.

ThelogisticsoftheF&Bwereoneofthemost challengingelementstobringtogetheratthe Citadel.Oneoftheirbiggesthurdleswasabout 4monthsintoplanningwhenthecatererdidn't feeltheycouldexecutethevision,soanew F&Bteamhadtobebroughtinquicklywithout impactingtimelines.Thenewcatererwasnew toHalifaxandhadneverworkedinthevenue.

FREE PEOPLE found them a commercial kitchen,andtheywenttoworkrebuildingthe designofthefoodstation'kitchens'tobetter servicethemenuandtheon-sitepreparation required and address a myriad of other logistics,includingthetransportationofthe food and ice to the venue, location of equipment,andloadinginandout.

The venue has very little on-site refrigeration available, so after exploring many options for food safety, the decision was clear that the only viable solution was to use a 40' refrigerated trailer and a large trailer full of ice. On the afternoon of the event, all the food and ice from the trailers had to be hand-carried up the back stone staircase into the venue and then put into a vast amount of coolers until the event was ready to execute. Most of the food stations required final cooking on-site with induction burners and a 20' x 40' catering tent with a generous set up of cooking facilities, warmingovens,andapreparea.

Theresultwasepic.Theycreated6custombuiltkitchenstoserveasfoodstations,3BBQ stations,andagrab-and-gomasonjarsalad station,900'feetofbarspaceover2large bars,oneinsidethemaintent,oneout,aswell as4local'activation'stationswhichoffered localbeer,wine,spirits,andcidertoguests. Theservicealsoincludedpassedappetizers anddessertsthroughouttheentireeventarea. Sustainabilitywasakeycomponentofthe eventmandatefromtheclient.Nosingle-use plasticsorpaperwasusedforanyelement, and all signage was on chalkboards. All glassware was washable, and all cutlery, dishware, and napkins were compostable. Decorsupplieswerepurchasedfromresale retailerswheneverpossibleandthendonated.

Topulloffthisfeatofanevent,FREEPEOPLE meticulouslycalculatedthelogisticsforevery squareinchofthespace,consideringeventhe mostminordetails.Thisincludedaddressing majorobstaclesfromthesiteissuestothe turnaroundtimesforapprovals,theload-in time frames, overnight installs, changing caterers,andredesigningentiredesignplans8 weeksout.

Thiseventwasnothingshortofclimbinga logisticalmountain.Ittook5daystobuild,4 hourstoexecuteandwastorndownand loaded out in 48 hours. FREE PEOPLE’s dedicationtothoroughcommunicationwith vendors and prioritization of safety and securitywereessentialfactorsinthesuccessof this unique event. The team's ability to navigateobstaclesandfindcreativesolutions toensureeverythingfitperfectlyandworked seamlesslywasremarkable.Theoutstanding achievementofthisprojectwasthededication tothoroughcommunicationwithvendorsand prioritization of safety and security, which ensuredthesuccessofthisuniqueevent.
