Welcome Dear Carlthorp Parents, As we settle into August and the start of school approaches, I write to share Carlthorp School’s Fall 2020 Return to School plan that has been many months in the making. Special thanks to the faculty, staff, administration, Board Members and parent volunteers who all contributed their expertise in developing the plans behind our distance learning curriculum as well as our return to campus plan. The nature of the pandemic continues to be unpredictable and the government and local responses to it have required that our school be flexible and thorough as we develop multiple comprehensive plans to address every scenario. Flexibility has been a key factor in developing our scheduling and ensuring that we have the best possible plans to accommodate the different needs of our younger and older students, to allow for alignment when we switch from distance learning to in-person instruction, and to ensure a safe return to campus when circumstances permit. As I reflect on my time as Interim Head of School and my vision for the coming year, one theme stands out -- the strength of our community. Carlthorp School is a special place because of the people, our long standing traditions, the collective belief in our mission and the continued dedication and enthusiasm of our teachers to provide the best education and opportunities to our students. This transition and these uncertain times aren’t easy. The core values of our school, embodied in our Code of Conduct, bring our diverse community together. New Teacher Bios Bryn McCarthy -- Fifth Grade Homeroom Teacher Bryn graduated from Connecticut College, where she studied Human Development and Elementary Education. She continued her education at Bank Street College of Education in New York, where she earned her M.S. in Childhood Special and General Education. Bryn started her career in teaching at Marymount School of New York, where she taught kindergarten and second-grade. For the past three years, Bryn taught third-grade at Saint David’s School on the Upper East Side. After living in New York for ten years, she is thrilled to join the Carlthorp family and to return home to Los Angeles, where she was born and raised. Outside of school, Bryn enjoys hiking, volunteering, and cooking.
Ariana Wiegmann – Learning Specialist Ariana will be joining the Carlthorp team as our new Learning Specialist. Originally from the south suburbs of Chicago, Ariana graduated from the University of Illinois in Urbana-Champaign (UIUC) with a degree in elementary education. She then continued at UIUC to earn her master’s of education in Special Education and attended the Susan Barton Dyslexia Consultant Seminar directly after completion of her degrees. She taught for 3 years in Illinois as a Learning Behavior Specialist before moving to the Los Angeles area. She has taught for 3 years in the Culver City and Santa Monica school districts as a Specialized Academic Instructor, as well as serving as the Student Study Team (SST) coordinator for 1 year. Ariana has worked closely with general education teachers to create inclusive environments through individualized interventions and accommodations, as well as performing classroom observations to determine appropriate assessments and data collection tools. Ariana specializes in Orton-Gillingham curriculums that address characteristics of dyslexia in students struggling with reading. She has also provided small group instruction to students in kindergarten through 5th grade needing additional support in social/emotional development, reading, writing, and math. Ariana advocates for all students with learning needs, leading her to design and implement the Learning Center model currently being used in Culver City. She has provided community, district, and grade level professional development in relation to evidence-based curriculums and inclusive practices. In her free time, Ariana is very involved in her Scottish heritage, being a certified Highland dance teacher and a Grade 1 Scottish Snare drummer.

New Faculty Assignments Nicky Meyer – Librarian & Program Integration Director
In her 22nd year at Carlthorp School, Nicky is working closely with the COVID Task Force, the DEI Team, as well as planning and executing Parent Education Workshops and Town Hall meetings. She will continue to support the library alongside Sarah DeFrance and Yvette Vasquez. Nicky holds an Administrative Credential, a Masters of Art in Elementary Education, a Clear Credential in Elementary Education, and a B.A. in Sociology with a minor in Family Studies. Nicky’s organizational skills and knowledge of many facets of the student experience will serve the school well.
Amanda Sasso – Director of Teacher, Student, and Parent Affairs The 2020-21 academic year marks Amanda’s 19th year at Carlthorp School. In her new role, she supports the day-to-day operations of the school by serving as a resource for our faculty and staff, our students, and you, our parents. In addition, she is working closely with Marcelline Cattani, Director of Curriculum and Instruction, to collaborate on our curriculum. Amanda will also assist with our academic student support and referral process and is available to speak with parents about all aspects of the student experience should you desire her counsel. Amanda will continue to be involved in our math program alongside Ashley Greenberg and Izzy King. Amanda is a Marlborough School alumna and a Southern Methodist University graduate where she earned her Bachelor of Business Administration in marketing and a Bachelor of Arts in Spanish. She also holds her multiple subject teaching credential from Cal State University, Northridge.

New Faculty Assignments Derrick Williamson - 6th Grade Teacher and Admissions
Derrick Williamson will remain in the classroom with his primary role as a 6th Grade teacher and will also join the Admissions Committee. Derrick assisted with the admissions process during the 2019-2020 school year and we are thrilled to welcome him back in an expanded role. Derrick earned his undergraduate degree in Business Administration from Howard University. After graduating, he moved to Los Angeles and earned his master’s degree in African-American Studies at UCLA.

Diversity, Equity and Inclusion
Stephanie Harris - Diversity, Equity & Inclusion and Student Services Consultant
Stephanie Harris will continue to consult and provide guidance surrounding student services and as a thought partner as it relates to Diversity, Equity and Inclusion. Stephanie has relocated to Virginia to be closer to family, and has stepped down from her role as Assistant Principal, but will provide us with her expertise throughout the 2020-21 school year.
Tasha Johnson - Diversity, Equity and Inclusion Advisor
Tasha Johnson has joined Carlthorp School to guide our community in re-examining and refining our social justice initiatives. Tasha has worked in the education field for over 20 years and will work closely with our faculty, staff, and Board of Trustees to serve as a coach and provide guidance as it relates to curriculum. She will conduct faculty and staff Professional Development sessions, parent workshops, and guide our school community in developing a strategic and sustainable DEI program. She is a three time presenter at the California Association of Teachers of English on critical pedagogy and incorporating a social justice lens into curriculum, served on the steering committee for the CREWS program through the Southern California College Access Network, developed and facilitated professional developments for Loyola Marymount University, holds a certificate in conflict resolution as a certified facilitator from the California Conference for Equality and Justice (CCEJ), and is trained in cross-cultural facilitation techniques.

Distance Learning Plan (DLP) Distance Learning Structure
Our distance learning plan closely mirrors the traditional school day by allowing students to connect through the Zoom online platform with teachers and classmates. The day will begin for all students with a virtual Flag Line meeting celebrating birthdays, making important school announcements, reciting the Pledge of Allegiance, and sharing the Thought of the Day. Homeroom classrooms will have daily meetings to connect with students. After morning announcements and activities, students will participate in small group differentiated instruction in the core subject areas of reading, writing, and mathematics while incorporating social studies, grammar and spelling lessons into weekly instruction. Passing periods and a recess break will be built into the morning schedule as well. Next, students will have a midday independent work session to complete class work and begin on homework, as well as have lunch and recess. Students will then resume online instruction each afternoon in art, music, Spanish, science, PE, and library. All homeroom and specialty teachers will have office hours built into their daily schedules to offer support to students as needed. Carlthorp will continue to offer virtual clubs and after school programs.

Social/ Emotional Learning
• The school recognizes the importance of social-emotional learning and will prioritize human connections by creating opportunities for students to interact with their classmates and teachers in whole group and small group settings daily. • Sensitive to extended screen time, our teachers will use approximately half of each learning block to explicitly teach, and the second half will be teacher-monitored independent work allowing teachers to check for understanding and answer assignment questions in real time. • Lower grades will have a shorter school day than upper grades to create an age-appropriate schedule. • The creative outlets provided through movement, music and art in our specialty subjects will help support the overall wellness of our students.

Create a daily routine. Find a quiet, well-lit work area to attend classes. Sit at a table or desk to attend classes. Check Seesaw or Google Classroom each morning and afternoon to stay on top of assignments. Complete and turn in schoolwork on time and with care. Follow the Carlthorp School Code of Conduct. Follow the Distance Learning Code of Conduct. Dress appropriately for school – uniforms are not required. Communicate to your classroom teachers if support is needed.

Online Expectations Behave online as you would face to face – follow the Code of Conduct. Follow teacher guidelines regarding screen share, background image and annotation features on Zoom. Mute yourself in Zoom unless you are speaking to eliminate background noise.
Grades 3-6 will follow proper email protocols when communicating with teachers and classmates. Refrain from outside of class communication while in a Zoom meeting.

Zoom Classroom Meetings GRADES K-2 • Each classroom will have a Zoom meeting link that will remain consistent throughout the day. Homeroom links will be sent out in the teacher welcome letters. • All teachers will be able to access and co-host meetings through student homeroom links, limiting the amount of logins a student will need to navigate daily. • Separate Zoom links will be provided for mixed grade-level differentiated instruction as needed and all links will be accessible on the Parent Portal.

Instructional Setting

Teachers will provide instruction from an appropriate, well-lit, distraction-free setting at home or from campus. Their classrooms will be accessible to them while we are remotelearning and cameras have been installed in all classrooms. Digital teaching resources such as document cameras and iPads have been provided to support remote teaching practices.

Devices are available on an as-needed basis for families who require them. Please complete the form available on the Parent Portal to request a device.
Grades K-2 may use a laptop computer or iPad for Zoom sessions. Grades 3-6 may use a laptop or PC to attend Zoom sessions. These devices interface better with Google Classroom, and are therefore recommended.

At Home “Bubbles�
If hiring an adult to supervise your bubble, they should not replace the CS teacher or contact CS faculty about curriculum. Rather, they should support students as they tune-in to CS Zoom sessions and support independent work.
Students need to log in on separate devices spaced far enough apart so there is no audio feedback on Zoom.
While grade levels will be aligned in the overall curriculum, teachers have the autonomy to determine how they present each lesson. To that end, there may be some nuanced differences between each classroom.
Please make sure your at-home wifi is equipped to handle the bandwidth of multiple devices on Zoom sessions.
It is difficult for teachers to behavior-manage occurrences at home. Please be mindful of this when there are multiple children in an at-home learning space.

After School Clubs & Athletics

After School Clubs • Clubs will be made available daily from 3:15 – 4:00pm, virtually. • Parents will sign up for clubs through the Parent Portal. • Clubs will be free of charge as a courtesy to Carlthorp families for the 2020-2021 academic year.
Athletics • After school athletics will remain suspended until our peer schools and the Coastal Canyon League resume group activities.

The COVID Task Force has been working around the clock to examine all aspects of our educational, health & safety practices. Given the state guidelines mandated by Governor Newsom, public and private schools are not permitted to resume in-person instruction until our county has been off the statewide monitoring list for more than 14 days. Elementary school waivers will not be considered by the Los Angeles Department of Public Health until caseloads are at least 200 per 100K. As of Monday, August 10, Los Angeles county was at 335 per 100K new cases in the last 14 days. When we meet requirements for a return to campus, the school will create students pods and make needed adjustments to pivot to our on campus model.

! Student “pods” or cohorts will be designed when LA County is off the statewide monitoring list or an early return waiver is granted. ! Pod formation will take into account multiple factors including but not limited to siblings, social dynamics, child care needs and academics. It is possible that mixed homeroom pods will be formed. ! Pods will consist of ten to twelve students to reduce the risk of viral transmission, one teacher and one teaching assistant. ! The movement of students between classrooms will be limited throughout the school day. ! Smaller, discrete pods minimize the number of students who need to be quarantined in the event of infection and eliminate the need for a complete campus closure and all-school shift to distance learning.

Parents are encouraged to pick up their children after core academic blocks daily to minimize eating on campus, allow children periods of time to be mask-free, and to be physically active. Families with siblings will have the option to drop off and pick up their children with the eldest child. Homeroom teachers will be on campus daily beginning at 7:45am to receive children in their pods. Extended care will be made available to families in need each afternoon. Distance learning will be an option for any family that does not feel safe to return to on-campus instruction.

Health & Safety Measures Face Coverings
Physical Distancing Health Questionnaires Hand Hygiene
Students and teachers will be expected to wear face coverings throughout the day. Desks will be spaced 6 feet apart and forward facing. Student movement will be closely monitored to maintain appropriate distance. Daily health questionnaires may be required for all students, faculty, and staff members prior to entering campus. Students will be asked to regularly wash and sanitize their hands throughout the school day. Hands-free faucets for all bathroom sinks have been installed.
Hospital-grade cleaning will continue to occur throughout the Enhanced Cleaning/ school day as well as an evening deep clean. Disinfection Schedule Health Screening Hand Sanitizing Stations
Daily temperature checks will be administered upon arrival to campus – if a temperature is greater than 100°F, your child will be sent home. Hand sanitizing stations have been installed in all classrooms and increased throughout other areas of campus.

All classroom filters have been replaced with an increased Merv 13 rating.

Airflow within confined areas has been updated to eliminate recirculation.
Doors & Windows UVC Lights Air Purifiers
All doors and windows will be propped open at all times for maximum ventilation and to provide for touch-free entry and exit in classrooms. Special UVC lighting has been installed in all bathrooms. Portable HEPA air purifiers are being added to all classrooms.

Classroom Configurations • Adjustments of classroom configurations and outdoor common areas have been clearly mapped out to allow for physical distancing of 6 feet between desks and during outdoor activities. • Maximum room occupancies in classrooms have been established based on physical distancing measures. • All desks are front-facing. • Teaching protocols are being adjusted to minimize shared equipment and materials. • Increased hygiene procedure and education have been developed.

Illness Protocol ! Student temperatures will be taken upon entry to campus. If a temperature is over 100°F, the student will be sent home. Athome students may tune in to class through Zoom if they are feeling well enough to do so. ! Should a student in a POD have a meaningful exposure of more than 15 minutes in a closed space with someone who has tested positive for COVID-19, that student will be expected to quarantine at home for 14 days. This student may attend classes at home through Zoom. ! If an immediate family member or student tests positive for COVID-19, the entire POD will be asked to quarantine at home for 14 days and will resume school through distance learning. Siblings of the quarantined POD may opt to stay home as an extra precaution and tune in to classes via Zoom. ! If a teacher tests positive for COVID-19, their POD will be sent home to quarantine for 14 days. A substitute Zoom teacher will support learning as long as it is necessary.
