Technical terms are helpful when communication within the profession, but they may confuse readers who do not have your kind of background. Use legitimate technical terms when they communicate your ideas precisely, but avoid using jargon just because the words sound impressive. Write in plain, ordinary English and your reader will surely love to read your article. Be specific whenever possible because technical readers are interested in reading detailed information. Breaking your writing up into short paragraphs also makes it easy to read. Use visuals such as drawings and info graph to reinforce your text. Take note that pictures often communicate better with words so visuals can make your technical communications more effective. In writing a business letter that gets better results, you need to get the reader’s attention first with a hardhitting lead paragraph that goes straight to the point. Then, hook the reader’s interest by giving a clear statement of their problems, needs or wants. Acknowledge the problem and offer a solution. Next, create a demand. Offer something to your reader such as service, product, agreement, contract or consultation. Tell the reader how he or she will benefit from your offering. That creates a demand of your product. Finally, call for action. Ask for the order, signature, donation or assignment. Remember, get attention, hook the reader’s interest, create a desire, ask for action and your letters will get better results. Make an outline because it can be a great help in organizing longer documents. Once you gather the facts and organize the piece, the next step is to sit down and write. Your sales letter must have a humor, understanding and the eagerness to help. Good letter writers know that the word “you” is important in their vocabulary. It means that you are thinking about the reader’s needs, wants and desires because you are addressing them as “you”. Brevity also makes writing easy to read. So use small words and sentences and break the writing into many short paragraphs. It’s best to get to the point in the fewest words possible. What constitutes a good print advertisement is actually how you well you are in writing it. It stresses a benefit since it is made clear and simple. It addresses strongest interest and concerns of your target audience. Prospects today seek specific and helpful information on highly specialized topics. The ads that provide information the reader gets higher readership and response. Successful ad copy reflects a high level of knowledge and understanding of the product and the problem it solves. In order to get good results in your business publication advertising, you should put a benefit in the headline, ask a provocative question and be direct in writing ad to generate sales for the client. One way to increase readership is to promise the reader useful information in your headline, then deliver it in your ad copy. Offering something tangible such as brochure, booklet, information kit and other material will increase response of your ad writing. Improving your technical writing skills is a journey. The point here is to start to make the choice of becoming better at something and never let your learning stagnate. Just keep it simple. Write to express and not to impress. A relaxed, conversational style can add vigor and clarity to your work.
