Folders for apps Do you have scores of apps cluttering up your iPhone? Folders make it easier to organise these and places them into folders based on category. This leaves room for a grand total of 2160 apps organised on your iPhone at any one time.

Email Unified inbox You can now switch between multiple email accounts or have all your email come into one unified inbox. There is also the addition of threaded messaging to make following the conversation easier.

Multitasking The latest iPhone OS brings multitasking, which not only means that you can have several applications open at once but also makes for quick switching between these apps. Apple has designed the multitasking technology so that it doesn’t effect application performance or drain the battery.

Microsoft Exchange support This works with Microsoft Exchange Server 2007 as well as most IMAP-based accounts. It communicates directly with your Microsoft Exchange Server via Microsoft Exchange ActiveSync (EAS). Microsoft Direct Push The exchange server automatically pushes email, contacts and calendar events to iPhone and iPad Wi-Fi + 3G if a cellular or Wi-Fi data connection is available.

The most useful business application is the ability to make cost-effective VoIP calls on a client such as Skype while still having the ability to check email or access documents.

Apple’s next-generation smartphone is as powerful in the enterprise environment as it is as a consumer device. There are key features that make it an ideal handset for deployment across your organisation in terms of security, flexibility and compatibility, including powerful email integration and VPN support.

Deployment Configuration You can set up each iPhone manually or alternatively manage an entire fleet with the iPhone Configuration Utility, a desktop application for PCs and Macs to allow IT admin to easily create, maintain and sign configuration profiles for employee iPhones. Wireless authentication

High-definition video Regular businesses are beginning to use more video, whether they are recording footage at a conference, putting together some ideas for a presentation or perhaps making a video to upload online for customers. With HD video on the iPhone 4 you can record and edit your footage onboard and upload straight to YouTube or send via email. The iMovie app gives the option of adding polish in the form of themes, titles, soundtracks and more.

Security Passcode protection Apple recommends that passcodes be set on all devices for companies whose networks, systems, or applications don’t require a password or an authentication token. and the iPhone 4 supports many passcode policies including alphanumeric values, minimum passcode length, auto-lock and max number of failed attempts. Remote Wipe Central control of all iPhone devices allows for remote wiping of all data and configuration information. This means the device is securely erased and returns to factory setting – perfect in case of loss or theft.

Control Restrictions As organisations use smartphones for business purposes they may want to restrict what the individual user can and cannot access on any given device. There are several restrictions available to the IT administrator: • Access to iTunes Music Store • Access to explicit media and content ratings in iTunes Store • Use of Safari and security preferences • Use of YouTube • Use of App Store and in-app purchase • Installing apps • Ability to screen capture • Automatic sync while roaming • Use of voice dialling • Enforce encrypted iTunes backups • Use of the camera. VPN (Virtual Private Network) Your company can provide secure access to the private network on the iPhone 4, and if it uses Cisco IPSec, L2TP over IPSec or PPTP no additional network configuration of third-party apps are required in order to use company iPhones with your VPN.

Top smartphone security tips While deployment of smartphones creates a flexible and mobile workforce, it also creates a new target for hackers so the corporate user should be securing these devices. Update and enforce your IT policy Identify who in your organisation is using smartphones. Some employees could be using their personal handsets to access company information and if they are stolen you could lose sensitive data. Update your IT policy to include smartphone usage guidelines and make sure newly purchased devices comply with security requirements, eg all smartphones must be encrypted and password enabled. Engage ‘Kill Switch’ Should one of your smartphones go missing it is a good idea to have measures in place to counteract the risk of data loss. ‘Kill Switch’ options such as remote lock, wipe or deactivation are recommended. GPS can be used to track a lost or stolen device. Apple has a Find My iPhone feature that displays your handset on a map, while YouGetItBack.com offers a tracking app for several handsets including Nokia, LG and BlackBerry.

Mobile operating systems There are myriad mobile operating systems out there, including BlackBerry, Symbian, Windows Mobile, Android, iPhone and WebOS.

Treat smartphones as if they were desktops or laptops, ie with the same level of security including firewalls and antivirus software. Appropriate apps

The corporate administrator must be aware of these and keep up to date with patching, password security, data encryption, antivirus and firewalls for all these systems.

The temptation for employees with smartphones is to download every app possible, but beware that some apps could bypass security controls or act as a backdoor for unauthorised access.

These days smartphones can hold almost as much business-critical information as desktops in the form of emails, documents and SMS exchanges. This information should be managed as part of a data classi fication strategy so that Level 1 data is never allowed onto a phone to begin with and subsequent levels are encrypted appropriately.

Smartphones are constantly evolving and it’s a sure bet that every couple of years your organisation will get upgrades. Ensure that all enterprise smartphones are completely wiped before disposal lest potentially sensitive information is left behind.

Wi-Fi and Bluetooth security Wi-Fi is great for accessing the web and Bluetooth serves as a reliable data-transfer protocol, but remember that these channels can be compromised by hackers monitoring sensitive data sent over the network.

Some smartphone users have gotten used to the look, feel and interaction that comes with a touchscreen phone, while others find the speed and convenience of the physical QWERTY keypad gives them the freedom they require.

Down and QWERTY Here are four solid performers when it comes to businessoriented QWERTY handsets.

Outstanding features: Reliable push email and unified inbox. BlackBerry Bold 9700 The BlackBerry device is where it all began. RIM were the first to bring out a mobile device dedicated to managing email and some would say they are still the best at what they do. For ease of use, straightforward push email and syncing of data and contacts between your handset and desktop/ laptop this is a great device, but a lot has happened since BlackBerry started, the biggest change being apps. Check out BlackBerry World to add extra functionality to the Bold 9700. The 2.36-inch-wide full QWERTY keyboard won’t have you mistyping or scrambling to find the appropriate letter and navigation couldn’t be easier with the optical keypad. This is the closest you will get to the keyboard-andmouse desktop experience.

Nokia E63 Another great QWERTY with a 2.36-inch screen and full physical keypad, the E63 is a solid business phone that allows for two customisable homescreens. This is something you might deploy across a workforce that may split the phone between business and personal use, allowing them to switch to more multimedia friendly uses at weekends. There is no optical keypad here but the home button and dedicated email, calendar and address book buttons make for very speedy, no-nonsense use for any mobile workforce. Those looking for call options will find plenty: there is an integrated hands-free speakerphone, automatic answer with headset or car kit and handy ‘any key answer’, plus voice dialling and conference calling.

Samsung Galaxy S On the surface the Samsung Galaxy S is a slick, web-ready and social media savvy phone with apps and multimedia galore, but what lies beneath makes it a robust and flexible enterprise handset. Visuals The first thing you’ll notice about the Galaxy S is the generously sized 4-inch screen. With Samsung’s ultrabright Super AMOLED display this is one of the best screens you’ll see on a smartphone this year. The crisp visuals marry well with the 720p high-definition (HD) video recording and an impressive 5-megapixel camera with autofocus and blink, face and smile detection. Using a HDMI adapter you can hook up the Galaxy S to your TV to play back HD video. Alternatively the AllShare application allows you to wirelessly play multimedia files via Wi-Fi on your desktop. Very clever. User interface Although this touch-enabled phone defaults to a virtual QWERTY keyboard you can switch to alphanumeric if it is what you are used to and text can be inputted via handwriting recognition using your finger to trace the letters. User experience Customising this phone is both easy and fun so no two Galaxy S handsets need look alike with the combination of widgets and apps.

Apps Layar This augmented reality app superimposes a virtual grid of the earth over what you see through your phone’s camera. Different ‘layers’ can be added, including Dublin Bus Stops, which displays the nearest stops and also gives the distance plus links to the timetable. Google Goggles This is a visual search engine. Take a picture and Google will find a corresponding link on the web. Google Maps Navigation This free sat nav application provides voice-guided turn-byturn directions , and it runs in the background so should you wish to check email or have a document open it will continue to calculate your route, alerting you when you need to change direction.

Connectivity The Wi-Fi connection makes for cost-effective VoIP (voice over internet protocol) calls through applications like Skype or Fring. Aside from accessing the web via

3G or Wi-Fi there is also the option to use the Galaxy S as a tethering device so that it shares internet access. You can share your internet connectivity with more than one device by creating your own password-protected WAN network using the handset as a wireless hub. Hardware specs The Samsung Galaxy S is quite powerful due to its 1GHz processor, and multitasking doesn’t pose a problem due to the 512MB of RAM. To complement this it comes loaded with 8GB or 16GB of storage. Should you require more the MicroSD slot will take cards from 1GB to 32GB in size. Productivity The pre-loaded ThinkFree Office suite is Microsoft Office compatible and provides a place to read and edit documents from your mobile both on and offline. Simply load documents into the ‘My Docs’ folder or access others from your ThinkFree Online account (free to sign up for). There is also a Memo app for making notes; they are tacked on to a virtual noticeboard where they can be shared via email or Bluetooth.

Battery Life If battery life is your ultimate priority then find out the various talktimes and standby times in hours. There are, however, many ways of managing your power usage. Smartphones have push alerts, Wi-Fi, auto-syncing of applications and 3G for streaming audio and video, all of which drain the battery. You may want to switch from 3G to EDGE when you’re not on the web and turn off Bluetooth and Wi-Fi when not needed. Don’t forget that multitasking handsets will leave the applications running in the background unless you shut them down.

Email The quickest way to turn your phone into a business tool is to get enterprise email up and running so that you can access your company mail in a convenient and secure manner. Many organisations use Microsoft

Exchange to host their email. Most smartphones support this.

Unified Communications When a business is getting a unified communications (UC) solution installed they now automatically consider the mobile phone as part of this. Presence technology can include your phone because clients and colleagues can reach you on one device through voice, email or instant messaging (IM).

Storage Today’s phones carry around more information than most laptops did in the Nineties.

Multimedia capabilities Smartphone multimedia can have great business benefits. Video, slideshows and notes can be shared and displayed on your handset to help illustrate your business presentation, while great audio means that you can easily switch between speakerphone and regular phone calls.

Apps There are plenty of productivity, budget, communications and enterprise apps, and an organisation can have its own proprietary apps deployed across its workforce’s handsets.

Most handsets such as the Nokia E71 or the HTC Desire come with on-board memory but also have a MicroSD slot. This means that you can buy extra memory in units from 1GB to 16GB with 32GB available but more difficult to come by.

Quick Tips • Don’t overcharge your phone – it weakens the battery. • Try to play streaming audio/video over Wi-Fi connections to avoid using monthly data allowance. • Try out the ‘Lite’ versions of apps before buying the paid version. • Back up your contacts, emails and other data both online and offline.

Get moving with mobile broadband Depending on your business needs there are a few different options to get online while on the go.

USB modems All four mobile operators – O2, Vodafone, 3 and Meteor – have their own USB modem offerings. These are plug and play USB units that provide 3G broadband connectivity for your laptop. Depending on the operator you can get up to 30GB of a monthly download allowance and there is the option to chose from pay-as-you-go or pay monthly packages.

Mobile Wi-Fi routers Mobile Wi-Fi routers are similar to USB modems but with two big differences. Firstly, you do not need to physically connect one to your laptop because it transmits the connection wirelessly. Secondly, Wi-Fi connection means that you can have more than one wirelessly enabled device on the same mobile router. Up to five devices including smartphones and laptops can use this at once.

Random Access Memory or RAM is a type of data storage. It is where your operating system and applications in use are stored for quick access, so it is your working memory. The more RAM your laptop has, the zippier your operating system is.

This is measured in GHz. While 1GHz is adequate for a netbook you’re going to need a bit more for a laptop. If you’re on a budget sacrifice RAM over processing power because it is very easy to upgrade RAM but to upgrade the processor will require someone with computer know-how.

The hard disk drive is where your data is stored. You can always bump up your storage easily with the addition of an external hard drive such as the iomega external hard drive (up to 1TB).
