For first time readers a quick intro, I am Cathy Love an Occupational Therapist, Coach, Author and Speaker.

I am the founding director of Nacre Consulting and I work with parents and disability service providers to achieve brilliant outcomes for children with special needs. I provide a range of services: • Family Service Coaching for parents to help them manage their child’s team and services • Clinical supervision to individuals and allied health professional teams • Service delivery consultation to disability service providers • Private practice coaching to business owners More to be read about all that over on my website www.nacre.com.au. Each month I write up news, useful information and pearls of wisdom for those working with children and families in the disability sector. Given that it is a rapidly changing landscape and one that is increasingly privatised there is typically lots of news to be shared.

Thank you so much for your fantastic suggestions for the name of our e -Magazine. We had fun reading them all and trying to decide. Our final decision took us back to the future, we re-worked a suggestion made by a ‘please don’t print my name’ colleague and have happily landed with “PAEDS BIZ...How to improve your private practice”.

February was epic. Schools are now in full flight, family routines mostly sorted, children more settled and business owners have a sense of task and pace. Valentine’s Day flew past in a flurry of pink roses delivered from my partner who was overseas on the day, lovely to have them perched on the edge of my over flowing desk. Way back when I managed my big practice, I used to buy myself flowers for my desk every Monday. Do you every buy yourself flowers, just ‘cos you can?

I hope so.

I have participated in a seven day Facebook challenge, hmm I got a bit behind with the amazing program but learned so much along the way.

Facebook is a mind-blowing and critical tool. I have also been at the keyboard writing up new content for my website. Never an easy task but an essential part of maintaining your online profile.

My business continues to flourish.

I am thrilled to have new private practice coaching clients. I look forwarding to working with them to enhance their management and leadership skills, find solutions and get them effectively driving their business into the direction they dream of. I have gathered a couple more international clients, time zone challenges aside, it’s fascinating to learn about the services and structures in other countries. The initiative of my clients is incredible, let’s go push those limits and make a difference in our client’s lives. Whatever did we do before Skype?

I have delivered the first of four webinars for Speech Pathology Australia. Turns out the technology is not so scary after all. The topic is Private Practice Unpacked, I gather that it’s not too late to join and all the calls are recorded. I was a bit chuffed to receive some lovely feedback afterwards.

My clinical coaching services are in demand, I have arrangements with several businesses to coach their teams on all things clinical and service delivery. PS. I am not a fan of the idea of clinical “supervision”, it’s so medical and old fashioned, for me the learning process is always a dynamic two way process. Other agencies engage me for a short block of clinical coaching, which may also include a review of evaluation processes, report writing, clinical governance. Clinical coaching needs to be so much more than chatting about tricky kids.

The inbox is pining away with registrations for Team Talk Teleconference 2016. Megan Ingram and I are very excited about our topics and the upcoming conversations. Megan and I will be packing our bags and heading to the airport, we have been engaged to present some workshops for Pearson Academy. I also have a speaking gig with Critical Agenda and some parent support group information sessions. February has seen me guest blogging for a national publication, a colleagues private practice and a couple of other agencies. Tap, tap tap, the pen is mightier than the sword. I adore building these partnerships.

Time to turn the pages on the March e-mag. We have two guest speakers, James Crook from Choc Chip Digital and Karen Hollenbach from Think Bespoke. I am sure you’ll enjoy their practical and achievable wisdom. Happy reading.

THE VALUE OF NEWSLETTERS

Your newsletters can reach far and wide. To parents, teachers, practices you cross refer to, GP’s, Paediatricians. Everybody needs to know about what your business offers and what makes it so memorable and unique. I am a big fan of newsletters.

I am sure that you have noticed the increase in newsletters, updates, specials, bulletins and heaven help us, e-mags, arriving in our inbox’s nowadays. The vast majority of them I find incredibly interesting and I do schedule time in my week to read them. They come from all walks of life, business management, personal development, social media, self-care, IT trends, social commentary and the like, fair to say an eclectic array. I am interested in the content, the layout, the style of images and the general engagement - it inspires in me. I often squirrel away the ideas and links for future reference. Regardless of the source of these newsletters, the authors and business owners are all keen to share one thing with me as the end reader. They want me to know more about why they do what they do and the potential solutions they may have to the problems I experience.

As private practice owners it’s time to take a leaf out of the mainstream business book.

A regular newsletter has many benefits.

It keeps you and your business front of mind, a regular reminder about your services, where you and your team work, the nature of your services and the outcomes you achieve.

It reminds clients about pesky housekeeping issues such as your cancellation policy, a pending fee increase or departure of a team member.

It provides the opportunity to gently promote new services you are offering. How else would they hear about pre-school screenings, get it right handwriting groups, social thinking groups or Lego Club. Your clients are the ideal voice to share with schools the 90 minute in-service you provide on language development, organisational skills, anxiety management or sensory processing.

Your clients and referrers learn a bit more about you, what you stand for and this helps build brand, reputation and trust.

They need to be regular, monthly is ideal, once per term also works.

The paragraphs in your newsletters could be re-purposed into social media posts or expanded to form blogs.

For years and years we wrote a monthly newsletter. It was a simple two sided affair with a couple of columns, clip art and all out contact details. Typically I spent about one hour writing it, at times team mates wrote up a couple of paragraphs to help me out. The content was a higgledy piggledy mix of staff news, new training, PD attended, holiday groups on offer, new products in the store (we had a physical and online store at the time), upcoming workshop topics and dates, book reviews and any other tips we thought maybe interesting. We even announced our regular colouring and drawing competitions.

They were light and fun yet served a serious purpose. I wanted people to know what we were doing and why.

The newsletters were printed on different coloured paper each month, to help them stand out from the white paper trail. We sent the newsletter out with all our invoices and store orders. They were posted to Paediatricians and GP’s.

Therapists headed off on their school runs to leave one on teacher’s desks, including the special education teacher and the schools leadership team as appropriate.

When I sold the business the newsletters stopped, phew one less thing to do. But what I heard down the track was how much they were missed. Clients and stakeholders enjoyed being able to take a glance and see what the business was up to.

They liked the sense of connection the newsletter offered to me as the business owner.

Given my story, what value do you think a newsletter would provide to your business?

Grab a pen and jot down five things you could include in your first, or maybe your next newsletter.

Will your first newsletter be on tried and trusted paper, or will you jump straight into a product like Mailchimp. Both options have their merits. Pick what suits you. A newsletter in some format is better than no newsletter at all.

Who can help write your newsletter, how can your team help you?

Have you got a data base of clients and stakeholders to send the newsletter out to? If you haven’t, how can you start to build this?

Perhaps you could get a sign up to our newsletter added to your website? May be you could promote your new newsletter on social media.

James has kindly provided us with some information about why we need to have a FAQ page on our website. More of James’s digestible and practical content can be found on his website www.chocchip.com.au We’ve all been to a website and seen an FAQ section (for Frequently Asked Questions), and maybe your own website even has one.

Having an FAQ is common, but is it worthwhile?

What’s it even for?

Firstly, to establish some context here, I’m a digital marketer so I consider the goals for any website to be: 1. Build your reputation, and 2. Gain you new clients.

So let’s look at some advantages to having an FAQ on your site.

Can it help you reach these goals?

Content marketing

Creating and publishing articles, videos or other content is a great way to show people who you are, what you do, and your level of expertise. This is a pillar of building your reputation online: show people that you are the expert rather than simply tell them.

Having an FAQ page is a very simple way to show your expertise to your audience.

Firstly, by having questions on there that really are commonly asked, they can see that you have a deep understanding of who they are and the challenges you’re helping them overcome. You want them to look at your FAQ page and think “My goodness, you’re reading my mind!”

Secondly, the answers you give to these questions shows that you know how to solve their problems. Show insight and share your unique abilities so that the reader understands more about you than just your title.

Simply Useful

You want to develop a reputation as the go-to professional in your area, and the more people you can help, the more quickly that reputation is built.

This is a fabulous place to create a connection.

Having a really useful FAQ area becomes a resource that is shared among potential clients and colleagues (or even So when you’re creating the content for your FAQ page, competitors!) and it allows you to help many more people include as many high-level, professional questions as you can, than you could one-to-one. rather than the “what hours are you open” kind.

Having your most useful advice here also saves you from answering the same questions again and again. This saves time for you and your clients.

The Gotcha’s

BOOKSHELF Paul Downs - “Boss Life, surviving my own small business”.

When columnist Paul Downs was approached by The New York Times to write for their ‘You’re the Boss’ blog, he had been running his custom furniture business for twenty-four years strong or mostly strong. Now, in his first book, Downs paints an honest portrait of a real business, with a real boss, a real set of employees, and the real challenges they face.

I found this book via a blog about the best business books of 2015.

Gosh, I sure found the title enticing.

This is an unusual business book. Paul Downs makes bespoke furniture, he founded his business straight out of college, passionate about furniture, ignorant about business. His personal ‘warts and all’ diary tracks across the days, weeks and months of 2012. He discloses his finances, his fears, his deals and his hopes, it is raw and real and just how business is. I have never read a book like it, perhaps because it is unique in its style and bold and brave in its content. Such a great read.

Andrew Griffiths - “Big book of Small Business” Andrew Griffiths welcomes the ‘age of the entrepreneur’, the most exciting time for business owners - ever. In his down to earth, street smart style, he identifies new opportunities for smaller business operators to grow their business fast.

I am a huge fan of Andrew Griffiths work, and was lucky enough to have him as my book writing mentor during 2015. His books are seriously fun, written with humour but cut straight to the core of what small business owners should be thinking about and more importantly doing.

His words are effortless to read, practical and have the storytellers’ lightness of touch. If you ever get the chance to hear him speak anywhere and on any topic I wholeheartedly recommend that you shuffle along to listen. I sincerely hope that you get the chance to hear him tell his Pretty Woman experience, as it is both poignant and priceless. See page 169 in the book for the story. I will give you a hint – “ I have always advocated the importance of looking the part in whatever sales role you are in” Andrews sales figures improved after a serious grooming and garment shopping spree!. Critical for business owners who are managing a diverse team and who are mindful of overall brand and reputation management.

His Ted X 2015 talk about being 33% less angry is equally passionate and interesting.

ARE YOU ACTIVE ON FACEBOOK? Where Facebook comes into its own is when you use it to bring people who are curious about your services back to your website.

Your awesome website should explain all the services that you offer. You can then write up a couple of sentences about a particular program you offer say a pre-school SOS mealtimes group, find a royalty free image (several sites provide these) and then you are ready to post. Settle in, hit publish and tap in a couple of sentences about your program, it’s good to end with a call to action such as, ‘give us a call’, ‘phone the office to find out more’ and so on.

Some of you will have heard me tell this story before, apologies in advance. I have always been fascinated and actively engaged with social media, but only recently have I started to appreciate its power.

For a while there I used to review all the referrals coming into the business, my business was highly systematised, admin excelled at welcoming new clients, issuing the required paperwork and allocating the child to the appropriate clinical. I ran surveillance over the smooth process to pick trends in client type and referral sources.

I started to get déjà vu and was sure I had seen the parents’ names before. It finally twigged, some parents had been liking my business Facebook page, monitoring my posts and then, when they were ready picking up the phone to make an appointment.

Fast track to today and I now know about content marketing, how google loves original content, how people need to get to know you, trust you and hear your voice before investing their resources in engaging you for their child.

A Facebook business page is akin to your shop front display, a visual display of your business beliefs, current trends and accessible to the entire planet. I urge all my private practice coaching clients to set up a business page for their practice. It is easy to do and it is easy to start liking and following other businesses in order to gather ideas for how it is all done. To share their posts is a way to fill your own time line, nothing wrong with sharing good content.

Get a great cover image, with your logo and tag line.

Don’t be shy to pop a picture of yourself in the square profile image, it makes the engagement more personable.

Click the camera icon and attached the image. You may need to run it through a product called Canva beforehand, to make sure it is the correct size for Facebook. Finally open up your website in a new window, click to the page with your services, and then copy the URL for the page. Then this is the good bit.

Mouse back to the Facebook page and paste the URL into the end of your sentences. Voila. The page of your website should load.

What you have done is write original information about your service, found a killer image and formatted and attached it, encouraged your readers to take action and get in touch and provide a link that takes them straight to your awesome website.

I hope I have explained it adequately.

There is so much more Facebook can do. For a few dollars you can advertise your events, or boost your posts to more targeted people, you may even be able to drop them into other groups or onto other pages.

Analytics help you time your posts for when your followers are using Facebook, they also profile your likers and sharers. And there is loads more.

For starters the rule is, your awesome website is the mothership and the reason you use social media is to entice your ideal clients to land on your website, read and make contact.

HOW TO BOOST YOUR LINKED IN PROFILE TO ALL STAR STATUS Introducing Karen Hollenbach. Karen and I have spent time together and I valued her input in developing my LinkedIn Profile enormously.

The topic of our online profile comes up all the time during my private practice coaching conversations. For some reason we don’t always get back to fixing up our photos, updating our experience and writing an engaging summary. Our daily business lives take over don’t they! For those that have invested in their online profiles, it has been terrific to witness private practitioners re-visit their LinkedIn profiles, change profile pictures and rewrite their summary.

4 Ways to Leverage LinkedIn for Your Business Some business owners are currently feeling a little overwhelmed with where to start online. It’s important to remember that LinkedIn is a professional networking tool and has higher conversion than other platforms, because it is for business, not a chat. What this means for you as a busy business owner, is once your LinkedIn Profile is updated and representing you and your business well, LinkedIn is a handy and cost effective tool to expand your networks, conduct research and learn from others.

If you can only dedicate 5-10 minutes a day on LinkedIn, that’s okay! But first, let’s better understand how it can help you and what you may need to do to get the most from this platform for your business goals.

Here are 4 key ways to help you better understand and use LinkedIn.

1. Increasing your Confidence & Comfort with using LinkedIn When I ask people what their experience is with using LinkedIn, some confess they are not exactly sure what the rules are for LinkedIn. Many professionals are keen to know more about the do’s and dont’s for LinkedIn in terms of posting, sharing, liking and commenting on this platform.

If I am describing you, my first suggestion is to learn how to navigate two key privacy settings on LinkedIn to help you feel more comfortable when you are first finding your feet on this platform.

Once I show people how to manage this setting, I immediately see an increase in confidence to develop a more complete LinkedIn Profile that presents a much better version of a professional’s skills, experience and background.

The new LinkedIn App also allows you to make these changes from your phone!

Privacy settings on LinkedIn (from website) From the website, these settings are found by clicking on your small headshot photo on the right hand side of your LinkedIn home screen, and will give you the option to ensure: 1. Your contacts are not notified when you make changes to your profile (this option is now also available when you are in edit mode on your profile) 2. You can choose to be anonymous when you view other people’s profile

2. How To Optimise Your LinkedIn Profile

The common mistakes I see made on LinkedIn Profiles are due to a general misunderstanding by some people about how to use LinkedIn. While you probably know you ‘should’ be on this platform, you may not have worked out how to leverage LinkedIn’s power to help you get found online.

After evaluating your LinkedIn Profile photo, the key areas I look at when I review how healthy a LinkedIn Profile is are whether your information is relevant to whom you’d like to influence on LinkedIn. Please remember! You should write your profile for the people who don’t know you yet.

If your profile is well optimised (e.g. the key areas provide enough details about you) you are more likely to get found and be relevant on LinkedIn.

Background (Summary) – you need to provide a Linke-

dIn Summary that is personable and speaks directly to the reader. It should clearly represent your style and philosophy and state who you are, what you do, and suggest a call to action as a result of people reading it.

Recommendations - the best LinkedIn recommendations

are ones that offer specific results or tell a story of transformation. They are just like a written reference and can be a very powerful way to reinforce that you are the professional who people need to meet.

Experience - this section has two roles. The first is search

optimisation and the second is the provision of evidence that you can do what you say you can in the summary. You need to be able to clearly articulate the problems you solve and demonstrate key achievements in this area via your experience and key achievement statements.

3. Using LinkedIn for Research

LinkedIn is an amazing resource for researching individuals, organisations and industry information. You can use LinkedIn to find a great deal of useful information via the advanced Search feature to look for people by name, location, keyword, title, school and company.

While in research mode, you have the option to browse LinkedIn Profiles anonymously so that your connections or the LinkedIn profiles you are viewing cannot see that you are viewing their profile. While they will be notified someone is looking at their profile, if you change your settings to be completely anonymous when viewing other people’s profiles, then they will not be able to identify you.

However, there may be times when you do want people to know you are looking at them. One of the many things I love about using LinkedIn as a networking tool is the ability to change features within my settings, depending on my goals for leveraging this platform. The default when you set up your LinkedIn Profile means when you have viewed people’s profiles (when logged in via your profile), they can then see (via their own LinkedIn updates) that you are looking at them.

This is a very useful tool if you are: 1. Just starting to find your way on LinkedIn 2. You are researching competitors 3. Your profile needs an update and you don’t want people to view you 4. You are researching potential clients (as a side note – if your profile is looking good – you may want them to see you!)

With the option to browse profiles anonymously, when you view a profile, you’ll appear in that person’s Who’s Viewed Your Profile section as “LinkedIn Member – This person chose to be shown as anonymous”.

4. Professional Networking from your Computer or Device

While the end goal of networking on LinkedIn is a face-toface conversation, it is a very powerful way to collaborate with colleagues and potential clients.

Wow. Nearly the end of term already, here in Victoria our terms ends before Easter, this short term makes for a fast and furious start to the year. I hope that you have achieved all that you set out to do during February and March.

What are your plans for the Easter holiday break? Do I hear the words – ‘review my business plan for the final quarter’, or, ‘present a professional development day for my team’? OR perhaps ‘check in with my private practice coach’? May be time will be used to complete performance reviews and tweak the associated policy and procedure around this.

My diary is forward booked with coaching sessions, writing, business meet ups and half day business consults to deep dive into private practice nitty gritty. Understandable that when chocolate is involved it is more about spending time with family and friends. Whatever your holiday options include I wish you well over the break.
