Acceptance of a place at Churcher’s College implies that parents and pupils appreciate that Churcher’s College is a private community, with specific rules and regulations to which all pupils must conform.

COLLEGE RULES & INFORMATION

SCHOOL RULES AND INFORMATION

INTRODUCTION

Churcher’s College is a co-educational independent day school with a high reputation. Its good name depends on the conduct and appearance of its pupils, who must always behave in a responsible manner, both in school and outside.

SCHOOL HOURS

School begins at 8.30am and finishes at 4.00pm.

Under normal circumstances, pupils should not be on the school premises before 8.00am.

Unless pupils are involved in an activity supervised by a member of staff, they should be out of the school buildings by 4.15pm and be off site by 4.45pm. Duty staff are available during this time to monitor pupils leaving and to try to ensure a safe departure. Pupils waiting to be collected should remain behind the bollards at the front of Old College. Only pupils who are attending an after school activity or working in the library may remain on the school premises until 5.30pm. The exception to this is Sixth Form students who may remain in the Ramshill Sixth Form Centre until 6.00pm.

The school is aware that occasionally transport arrangements break down. In such circumstances pupils should come to the School Office in order that they may contact parents.

Pupils who cannot be collected at the end of school may work in a supervised environment in the library until 5.30pm.

ABSENCE

Absence due to illness: When your child is absent from school due to ill health, you should inform the school by 9.00am on each day of absence. This can be done by telephoning and leaving a message at the School Office or by emailing absence@churcherscollege.com. If this communication is not received, the school will endeavour to contact you at home, by 10.30am at the latest, to ascertain the reason for absence.

If the absence persists for a five day period, you should email absence@churcherscollege.com or your child’s Form Tutor giving more details.

Absence requests: Absences for normal medical and dental appointments should also be notified to the School Office by email to absence@churcherscollege.com and copied to the Form Tutor. Requests for non-medical or longer absences should be submitted to the Headmaster in writing. School policy is to grant such leave only in exceptional circumstances in order to avoid a detrimental effect upon the education of the pupil concerned.

CONCERNS AND COMPLAINTS

In all cases we wish to encourage a close rapport between school staff and families. This relationship can often resolve issues at first hand and assist in the development of our sense of community.

All members of the school wish to be informed if there are any matters about which pupils and parents are unhappy.

In the 1st to 5th Year, the normal lines of communication for pastoral issues will be through the Form Tutor, Head of House, Senior Teacher (Pastoral), Deputy Head (Pastoral) and then to the Headmaster. Academic issues should be raised with the Form Tutor, subject teachers, or Heads of Department or Head of Faculty. Also the Deputy Head (Academic) and Headmaster can be contacted if appropriate.

All students have a Personal Tutor throughout their two years in the Sixth Form. The tutor will generally act as an adviser over academic and other matters. The Head of Sixth Form and Deputy Heads of Sixth Form are also available for advice, in conjunction with the Heads of House.

Parents who wish to make a formal complaint, should write directly to the Headmaster except when the complaint is against the Headmaster when they should write to the Chair of Governors at the school address (c/o The Clerk to the Governors at bursar@churcherscollege.com). For further details, please see the school’s Complaints Policy and Procedures, which is published on the school’s website and available in hard copy on request from the School Office.

Any complaint that involves an allegation of abuse will be dealt with according to the school’s Child Protection and Safeguarding Policy and Procedures, which will normally involve referral to Children’s Services and, where appropriate, the Police in line with Hampshire Safeguarding Children Partnership procedures.

SAFEGUARDING AND CHILD PROTECTION

Churcher’s College is committed to safeguarding and promoting the welfare of children and young people and expects all staff and volunteers to share this commitment. The following members of staff have specific responsibility for child protection in the Senior School:

The School has an online reporting system, Confide, through which pupils can raise concerns, including the option to do so anonymously. The Confide app appears on the desktop of school computers, irrespective of whether the pupil is logged on to the network or not.

POLICIES

The latest versions of the school’s key regulatory policies are published on the school’s website at www.churcherscollege.com and are available in hard copy on request from the School Office.

ASSEMBLIES

Assemblies commence at 8.35am following morning registration. There is a Whole School Assembly every Thursday in the Sports Hall.

House Assemblies usually take place once every two weeks, and are as follows:

Monday: Collingwood & Grenville

Tuesday: Nelson

Wednesday: Drake & Rodney

Section Assemblies (for a year group(s)) generally take place on Friday.

The venues for House and Section Assemblies vary between the Donald Brooks Auditorium, Lecture Theatre and Sports Hall. Pupils will be directed to the correct venue by their Form Tutor.

THE HEALTH & WELLBEING CENTRE

Mr Hoe, the Senior Teacher (Wellbeing, Inclusion and Safeguarding) has overall responsibility for the Health & Wellbeing Centre, which is located opposite the MUGA (Multi-Use Games Area).

The School Nurses are based in the Health & Wellbeing Centre. Unless there is an emergency, pupils must first get the permission of a member of staff before visiting the Nurses.

The School Counsellor, Mrs Wakeland, is available to meet with pupils in the Health & Wellbeing Centre.

Pupils can make an appointment to see Mrs Wakeland by emailing her directly (counsellor@churchersollege.com) or by making an appointment in confidence through the School Nurses or via the online booking system.

GENERAL RULES

(1) Travel

All pupils must wear the school uniform on the way to and from school and must observe the common rules of courtesy when using public transport. No pupils may hitch hike.

All pupils who wish to drive to school or be driven by other pupils must read the Driving to School Policy and return the form signed by their parents, as appropriate. The Policy may be obtained from the Sixth Form area of Firefly and completed forms should be returned to the Head of Sixth Form.

Pupils cycling to school must dismount outside the school gates and wheel their cycles. Cycling round the school site is forbidden.

Vehicles and bicycles are kept at school at the owner’s risk, and pupils are advised to keep them locked/padlocked.

(2) Punctuality

All pupils are expected to be punctual at all times. Pupils who arrive late must sign in at the School Office.

(3) Behaviour

Silence must be observed by pupils when entering and leaving assembly and in the library.

Pupils are expected to stand up when a member of staff or visitor enters a classroom and to allow visitors to leave a room first.

In New College, Goodfield and the Science Building, pupils must observe the one direction rule, up and down stairs and through entrances.

(4) Break and Lunch Hour

Packed lunches must be eaten in the Dining Hall. Only students in the Sixth Form have permission to leave the school grounds during the lunch hour (in accordance with the rules contained in the Sixth Form Handbook).

The library is open during break and lunchtime, when pupils may borrow books, play board games or use the computers for school work. Lower Sixth Peer Mentors are based in the library and provide support to younger pupils.

The Tuck Shop is situated in the Dining Hall and is open at morning break time (from the second week of the Autumn Term). It operates on a cash basis. Pupils may also purchase hot breakfast items from the Dining Hall between 8.00am and 8.30am.

(5) Access to school buildings and wet weather routine

Pupils are not allowed into New College, the upstairs of Old College, the Science Building and Goodfield until 8.20am. In wet or very cold weather, pupils will be allowed in from 8.10am. Pupils have access to the Dining Hall from 8.00am.

During wet weather breaks or lunchtimes, pupils below the 5th Year should go to the rooms in New College that they have been assigned to; these rooms are allocated according to year groups. 5th Year pupils can use their Common Room, and the Sixth Form can use Ramshill.

New College will normally be open during cold and wet weather. It is expected that pupils will remain outside when the weather is fine. The library is open for pupils to sit quietly and read or do work.

Pupils are not allowed in the Sports Hall unless a member of staff is present. Other rules concerning its use will be explained by members of the PE staff.

Access to the Computer/Art building is limited to lesson times, except under the supervision of a member of the teaching staff.

(6) Prohibited in School

The following items are prohibited and must not be brought into school:

• knives or weapons (including toy weapons and catapults)

• alcohol

• illegal drugs

• stolen items

• smoking related materials including tobacco and cigarette papers, lighters and matches, e-cigarettes

• fireworks

• pornographic images

• chewing gum

• laser pens

• any article that a member of staff reasonably suspects has been, or is likely to be, used to commit an offence, or

• to cause personal injury to, or damage to the property of, any person (including the pupil)

Medication

No medication should be brought into school except named emergency adrenaline pens and/or inhalers. If your child requires medication during the school day, please contact the School Nurse to discuss on schoolnurses@churcherscollege.com.

(8) Valuables and Property

Pupils are advised to bring the absolute minimum of valuables or money to school. No electronic equipment is to be brought to school, with the exception of mobile phones (see 12) and laptops (for 1st to 5th Years, prior authorisation from the Head of Curriculum Support is required).

No valuables or money must be left in the changing rooms during PE/Games or after school activities, but must be handed in to the teacher in charge for safe-keeping.

Property lost or found and all breakages must immediately be reported to a member of staff.

Please make sure that pupils’ possessions are properly named. It is a parental responsibility to insure against loss or damage of personal effects.

School property and other pupils’ property must be treated with respect at all times. No pupil shall be in possession of other pupils’ property or books without the permission of a member of the staff.

(9) Games Equipment

All kit must be clearly marked with names. After PE/Games, kit and sports bags should be taken home and not left in school. Kit should be washed regularly. Parents should check kit weekly. Hockey sticks, cricket bats and tennis racquets must be named and should only be brought to school on days when there is an official practice, Games lesson or match.

(10) Signing In/Out

Written parental permission must be given to the Form Tutor, Head of House, Deputy Head(s) or Headmaster (or School Nurse in the case of illness) for any pupil who has to leave the premises before the end of the school day (apart from Sixth Form, who are permitted to leave the premises during the school day in accordance with the rules contained in the Sixth Form Handbook). Pupils must sign out at the School Office. If they return before the end of the school day, they must sign back in. Prior written notification, in the form of an email from parents to absence@churcherscollege.com, copied to the Form Tutor, must be received for doctor’s appointments, etc.

(11) Telephone

In an emergency, pupils can come to the School Office to use the telephone.

(12) Mobile Devices

Mobile phones (including smartphones) may be brought into school but must be switched off, not just on silent mode and, for 1st to 5th Year pupils, kept in pouches between 8.30am and 4.00pm. If a pupil forgets to bring their pouch to school, they will be required to leave their mobile phone at the School Office, for collection at the end of the school day. Pupils who contravene the school rules with regard to mobile devices will be sanctioned. In case of emergency, parents should contact the School Office.

Sixth Form students can use their mobile devices in the social areas of the Ramshill Sixth Form Centre, which is supervised by teaching staff during the hours of the school day.

(13) Messages for Pupils

To avoid interrupting lessons, messages can be given during registration at 8.30am or 1.10pm.

(14) Contact details

The school must be informed of any change of address, telephone numbers or email addresses at work or home. Contact details can be updated through the My Account area of My School Portal or notified to the School Office in writing. Please also notify the School Office, in writing, of any changes to family circumstances.

(15) Staff Briefing

Pupils should not enter the Donald Brooks Auditorium during staff briefing, which is held between 10.20am and 10.40am on Wednesday.

(16) Classroom Equipment

Pupils must not touch or tamper with any computer related equipment in the classrooms, or any other technical or scientific equipment in the classrooms.

(17) Attendance

All pupils must attend all scheduled lessons and/or activities unless permission is given otherwise. Pupils must attend Open Day on the final Saturday of the Summer Term.

SCHOOL UNIFORM

School uniform is to be worn by all pupils travelling to and from school, when representing the school and at formal school functions.

General rules and expectations for all pupils:

• Pupils should dress tidily and all clothing should be clean and in good repair

• All items of uniform and equipment must be clearly named

• For Games and PE, all pupils must wear the appropriate kit

APPEARANCE AND ACCESSORIES

Hair

• Hair must be neat and tidy at all times

• Length – hair must be no shorter than No. 4 and hair that is longer than on the collar at the back must be held securely off the face at all times

• Colour – artificial colouring is permitted but only if it is of a natural (and consistent) colour.

• Pupils must be clean shaven

Jewellery

• Wrist watches are permitted for all pupils

• Pupils may wear one pair of plain stud earrings in the conventional place on the earlobe

• For health and safety reasons, all jewellery and watches should be removed for Games/ PE. As such, we would suggest that pupils having their ears pierced only do so at the beginning of long holidays

Make-up

1st - 3rd Years: No make-up, including nail polish, is allowed.

4th– 5th Years: Discreet make-up, excluding nail polish, is allowed.

SIXTH FORM DRESS CODE

The Sixth Form at Churcher’s does not have a uniform as such, but there is a dress code with which Sixth Form students are required to comply.

The Sixth Form dress code requires a conservative, business-like appearance which will provide an appropriate role model for younger pupils. Extremes of fashion should be avoided.

LOST PROPERTY: THE POUND

This is situated opposite the side entrance to the Sports Hall. The Pound is open Monday to Friday between 12.15pm and 12.45pm. All items of clothing and possessions should be named to help with the safe and quick return of lost property.

FIREFLY AND FILES ACCESS FROM HOME

HOW TO LOGIN TO FIREFLY AND ACCESS YOUR FILES FROM HOME.

In your browser type in https://my.churcherscollege.com

You will see our Intranet page, the same that you see at school. Click on the Firefly Senior icon to log in to Firefly, then click on the Staff and Students link. You will need to sign in using your school email address (firstname.lastname@churcherscollege.com) and the password that you use to log onto the school computers.

The Firefly website will also be accessible via the web browser app on mobile devices, but for convenience you may wish to download the mobile app for Microsoft Teams and the Firefly Learning Student app from both the Apple and Google Play stores. You will be asked to sign in to both using your school email address and password. You will need a school code of CHURCHERSCOLLEGE for the Firefly mobile app

To access your files, select the One Drive icon.

The Folder called ‘Documents’ is your school ‘My Documents’ folder and under that you will see all your files. You can edit them and save them and any changes will be seen when you log in at school.

To access your Email, click on the Outlook icon.

To use Office tools like Word or Excel or PowerPoint, select Office 365.

BULLYING - WHAT YOU CAN DO?

Treat those around you with respect and consideration.

If you are bullied don’t over react and don’t let the bully see you are upset; but you must tell someone.

Tell anyone you can trust – a friend, an older pupil in the school, your parents, your Form Tutor or any member of staff.

Trust the school to deal with the matter sympathetically once you have reported it. Never be afraid that something will happen to you if you seek help.

Never be embarrassed to tell someone if you are being ‘got at’ in any way. Always remember it is the bully who is inadequate and he or she needs help as much as you do.

Tell someone if you know of anyone who is being made miserable by bullying.

Remember that bullies continue if they get away with it. If you do nothing when you know about bullying, you are condoning it and allowing it to carry on.
