We have had such a great response to this guide over the last four years that we are proud to bring you this resource once again. Whether you’re organising a festival, county show, product launch, exhibition or private party in the great outdoors then this guide will provide you with you all you need to know – the names and numbers of some of the best suppliers in the business, and the know-how so that you can make an informed choice when choosing a temporary structure for your next event. The last 12 months have been an interesting time for the temporary structure market. Personally, it’s been encouraging to see so many new structures entering the events arena – over the last few months, I have travelled across the UK to see new events spaces in situ. Jon Parr, president of MUTA, the trade association for the marquee and temporary structures industry, looks at the challenges facing the events industry, organisers and marquee hirers over the next 12 months
i
f someone had come up to me when I first started out in the events industry more than 10 years ago and said that I would go on to become president of an industry trade association, shouldering the responsibility of ensuring that we as an industry are committed to the highest standards of safety and professionalism, I would have given them a quizzical glance to say the very least! However, that was then and I am delighted to be in this position at what is now an important and exciting time for MUTA, the trade association for the marquee and temporary structure industry, as we seek to promote better practice and the highest standards amongst those within the industry and the wider public. With 2014 well underway what do I see as the biggest challenges in the industry for the next 12 months? One of the biggest challenges facing our industry is the Health and Safety Executive’s (HSE) proposal to replace the Construction (Design and Management) Regulations 2007 (CDM 2007) with CDM 2015. The events industry was originally exempt from the regulations, but the HSE has proposed that CDM 2015 removes this exemption. This has generated significant concern within the events industry. We believe the proposed changes to CDM will put increased responsibilities on event organisers, which will in many cases be delegated to their contractors, adding to the administrative burden and driving up costs. This is despite the HSE’s intention that the new regulations should drive costs down. A consultation into the proposed changes closed in June and MUTA has responded, raising concerns on behalf of our members and the industry more widely. The HSE has yet to respond to the consultation so nothing is set in stone yet and new legislation can only be introduced
in April or October, which means we still have some time to go. We will be watching this issue closely and looking at what we can do to support the industry and reduce the burden on organisers, in advance of its implementation in 2015.

For more than a decade, TRO has been tasked by BMW to create a bespoke BMW Owners’ environment located within the Championship village at the BMW PGA Championship at Wentworth. This year, TRO commissioned Specialist Structures to construct the 20 x 25m BMW Owners’ Lounge using bespoke designed cladding. This exclusive area was available to all BMW and Mini drivers to enjoy complimentary beverages and the opportunity to book a table at Jason Atherton’s restaurant, located on the upper floor. TRO also worked with Freeman to create the lounge, which welcomed more than 20,000 people over the four-day event.

Going under cover
Best practice GL events UK provided Timebased Events with a large temporary structure, which was transformed twice in one week to create two magnificent events. The structure played host to the Glamour Woman of the Year Awards 2014 and also the London Real Estate Forum – both took place in the same temporary structure in Berkeley Square, Mayfair. Timebased Events made a number of structural and design amends to the structure between the two events to create two very different end results.
Temporary structure specialist, De Boer has collaborated with HR Owen Rolls Royce, Getty Images and Wormsley Cricket Ground to deliver a photographic exhibition highlighting A Century of British Icons Sponsored by Rolls Royce, the photographic exhibition presents the prestige of British automotive engineering and a display of British photographic art of the last century. Housing this gallery is De Boer’s Alu Hall, a clear-span aluminium structure covering 300 square metres at Wormsley Cricket Ground. With a construction and dismantling time of just one day, the Alu Hall was chosen for this project for its combination of speed and strength, demonstrating the flexibility of temporary structures. The gallery will remain at Wormsley Cricket Ground throughout the summer until late September during which time the ground will host a variety of high-profile sporting events and competitions including the England vs India women’s test match and the Red Bull Campus Cricket World Finals. John Cochrane, sales director-events, De Boer UK, commented: “The partnership between all four organisations is something we are very proud to be part of. “The De Boer Pavilion used in this project highlights the speed, adaptability and strength of temporary structures, in this case going up in a day and remaining in place for three months.”
trO recently designed, built and delivered a football sporting experience for Lucozade sports – the conditions Zone, located at canary Wharf, comprised a specially created five-a-side venue, which mirrored the same heat and humidity that the england team faced in Brazil at the World cup. Lucozade sport, the official sports drink of the england football team, commissioned trO to manage the activity, which saw two predominantly glass-walled structures joined together. Fews Marquees provided the structures that housed the heated football pitch, changing rooms, “science lab” and registration area. trO and Fews Marquees also worked with acorn to design and build a scaffolding surround for the structures, which were then clad with branding.

Nuffield Health, a presenting partner of the Tour de France, contracted Evolution Dome to provide a fully-branded and customised 10m dome, which it used to promote its services and involvement in the major sporting event. The dome visited the tour’s official fan parks in Harrogate and Green Park in London. rPM was present at Goodwood Festival of speed – the experiential agency delivered an activation for sky sports, which promoted the media giant’s dedicated Formula 1 channel – sky sports F1. The activity was housed within a two-floor, 5m x 8m halo structure and featured a viewing platform and interactive screen experience. rPM’s MD, Dom robertson, said: “Goodwood Festival of speed is dominated by auto brands, so it can be hard to stand-out. But by integrating engaging elements like a viewing platform, sky’s stand proved a popular place to be.”

Accio Group demonstrated its expertise in event structure production with a stand for the VW motor group at Goodwood Festival of Speed. The 20m x 25m glazed structure, standing at 7.8m high, was installed in just over two weeks. VW chose Goodwood to launch new versions of key models, reveal a GTi concept car and unveil its new electric car technology. The fully covered space, complete with merchandise store, simulators, video wall and raised VIP hospitality area gave VW owners and motor enthusiasts unlimited access to all the vehicles on the stand – and plenty of opportunity for the VW sales teams to engage where appropriate.
Temporary structure specialists Neptunus created a three-storey exhibition, business and hospitality centre for leading aerospace and defence technology company Thales Group for the 2014 Farnborough International Airshow. Guests of Thales had some of the best views of the runway and flying displays from a bespoke facility that took Neptunus’ technicians just three weeks to construct. The 1,600 square metre Evolution building, erected on 13.6 metre tall legs, provided unobstructed views across the airfield. Working very closely with Thales Group and its exhibitions and events team, Neptunus was responsible for the entire project including the internal fit-out which involved ground-floor exhibition space, press accommodation, meeting rooms; a dining area for VIP guests on the first floor and a second floor bistro and bar where guests could enjoy views from the external balcony.

Putting safety first
it’s important to ensure that your contractors’ health and safety standards are up to scratch
Adrian Dann, a member of the MUTA Executive Committee and managing director at Danco, offers best practice advice to organisers with regards to health and safety and choosing a marquee or temporary structure
F
or those involved in the organisation of outdoor events, it is important to ensure that contractors’ health and safety standards are up to scratch. With regards to temporary structures, here are some points that are particularly worth highlighting in order to help you ensure that your event is as successful as it should be from a health and safety point of view: Ask to see evidence that the contractor complies with nationally-recognised standards for the safe building of structures – MUTA, the trade association for the marquee and temporary structure industry, requires its members to follow MUTA’s Best Practice Guide, which is recognised by the Health and Safety Executive (HSE). This guidance sets out essential health and safety requirements when erecting, using and dismantling temporary structures and is designed to help event organisers, contractors, managers and
others improve health and safety standards. While MUTA membership and compliance are not a legal requirement, they do help ensure that contractors are adhering to the law on health and safety standards within the marquee industry. This means it can be seen as a stamp of approval, when it comes to choosing your contractor. MUTA members are all issued with an annual MUTA Compliance Certificate – which is proof that they continue to commit to keeping up with required health and safety standards. Ask your contractors for documentation – this may seem obvious but ask to see your contractors’ health and safety documentation – including a copy of their health and safety policy, risk assessments, compliance certificates, and proof of competence of staff, for example. Besides reassuring you that they are compliant, contractors that are readily able
to provide health and safety documentation demonstrate that they are on top of health and safety issues – and this is likely to carry through into action on-site. Checking all the relevant insurance documentation is also worthwhile. Again, this should be made readily available by all reputable contractors. Anchorages – one of the most critical aspects to the stability and safety of fabric structures is the anchorage. This can either be in the form of ground anchors, where particular attention should be paid to the pull out force that the anchor can withstand, or where ground penetration is not possible, ballast weights. Ballast weights (known as kentledge) are often underestimated, and can be a major cause for concern especially for smaller lightweight structures. Integrated floors do assist with the ballast of a fabric structure but it is very unlikely to meet the full load requirements without additional weight.

Whatever the weather, conditions can change rapidly and it is worth checking with your contractor to make sure that they monitor the situation and have prepared

for this in advance so that you, they – and everyone in between – don’t get caught out! Inspection and sign off of a completed structure – all completed structures should be subjected to a thorough inspection by the contractor before being signed off and handed over to the client. An appropriate checklist should be completed detailing this inspection, which should be undertaken by a competent person with appropriate skill and training relating to the particular structure type and size. This competency should be in writing and evidenced by a MUTA skills card or equivalent.
Make sure that everyone is aware of emergency procedures – while following the points in this article will help minimise the likelihood of an emergency situation arising, you can’t prepare for everything. The key is to ensure that everyone knows exactly what they are doing in an emergency situation, should this arise. Take a few minutes to talk through emergency procedures with your contractor – and ensure that everyone on your event or festival site is aware of these – beforehand. This will help ensure that should a situation arise, it is handled as efficiently – and safely – as possible.

How much consideration do you give to risk analysis and health and safety? Stephen Casey, managing director of Accio Group, addresses the issue of health and safety in relation to temporary structures, and warns of making it a tick-box exercise
i
have only been in this industry for 12 years and to date, it’s been one hell of a ride. Change is constant and this is the central tenet which we all, in this game, embrace. Our industry is bursting with hugely adaptable and innovative people whose creative talents seem to know no bounds. I marvelled at London 2012 and the sheer brilliance of the delivery of the temporary overlay capped by stunning opening and closing ceremonies. More than this however, what really impressed me were the tales of pain emanating from the venues regarding the very strict adherence to health and safety, and the toe in the water exposure to CDM Regulations. Finally, I thought, we are to have some real pressure on our Industry to adhere to all the risk analysis and management systems that are requested and produced for every event: Instead of the cut and paste exercise and passive submission of documents to feed the data monsters, temporary structure firms will be forced to think safety, practice safety and inculcate their businesses with a culture of safety. How wrong I was and remain so. Let me expand… I recently supplied a structure at a major outdoor event. Blue chip clients were present and the event saw world brands engaging with each other. The event demanded we register online our health and safety portfolio and demanded a raft of documents. Rightly so. This suggested a robust attitude to health and safety. But, would this finally be the one that actually ensured that we complied with our risk analysis? I hoped so. Not so… Whilst walking around the site, I was staggered by the lapse attitude to safe working practices. From the “just cutting corner” approaches right through to the “complete disregard for employees safety” approach. It was rife and I have many pictures. Why?
Health and safety... at what cost?
Safety costs. Not just in terms of equipment but in terms of training, induction and inculcating an ethos and culture. It’s a cost that demands investment in time, procedures, kit and the right people to drive it through an organisation. We, at Accio Group, have all the corporate screech marks, the ISO 9000:1, 1400:1, CHAS, Safe Contractor, CSCS. We have all the tickets to operate safely. We have invested the time and cash because we actually believe in it. We also believe (hope) that the client believes in it. Winning work is fiercely competitive, more often than not, the client buys on price assured by the sales pitch. Recognise this scenario? It starts with the salesman’s Churchillstyle nodding dog response when asked if his company takes health and safety seriously. “Oh yes,” he says. “Why would he not?” Satisfied, contract awarded, risk analysis submitted, he arrives at site. “Right team – we won this on price, let’s not spend money on fall arrest, lifelines, correct access equipment, the right level of supervision by knowledgeable and authoritative
management. Let’s just get it up, handed over to the client and get it down. Oh, and pray we don’t have an accident.” Sadly, this is all too pervasive in our industry. What does a life cost? I leave you with this to continue your solo mastication: Stelios Haji- Ioannou, founder of EasyJet, had a shipping disaster in 1991. There were six deaths due to a lapse approach to health and safety. He said of it afterwards: “If you think a culture of safety is expensive, try having an accident.” Now, take a look at the picture above – it was taken last month at a major outdoor event, and it screams at me. What does it do for you?

Crazy and creative The events industry is asking for more creative and design-led temporary structures and Berry Marquees is stepping up to the plate, so says the Surrey-based firm

fter a year in which Surreybased temporary structures firm Berry Marquees has had its marquees appearing anywhere from EastEnders to the Goffs Horse Auction at Kensington Palace and from Westminster Abbey to the Tour de France, not to mention some of the most beautiful back gardens of England, it seems fair to say that this mid-size luxury marquee company can turn its telehandlers to anything. A recent call saw them construct what looked, at least to the banking world of Canary Wharf just like the exterior of a Vermont barn. The structure for King (makers of global phenomenon Candy Crush Saga) was for the UK launch of Farm Hero Saga. Not content with going down the obvious route of printed PVC walls, designer Simon Sinclair – who has spent some time in
Vermont – found a way to simulate cladding with bespoke wooden panels fitted onto the sides of the tent structure. He then worked through no less than 21 samples of red paint before he was happy he had exactly the right weather beaten hue. Stephen Hulme, director of sales and marketing, said: “This has been a crazy year. Every time the phone rings we wonder whether this request will be more bizarre than the last. We have just completed a beautiful country wedding working with one of London’s finest catering and event concierge service providers; Event Oracle. One of the several marquees involved, required a 20-metre wide structure on four-metre legs to incorporate a swimming pool and walled garden, but the undulating ground meant every leg on one side of the marquee had to be a different height, graduating from four metres above ground Organisers are seeking creative and bespoke temporary structures

at one end to 20 cms below ground level at the other!” It is a very intensive way to do business for the Surrey-based, though nationally servicing firm. he first event that Instant Marquees ever supplied, way back in 2002, was the Queen’s Golden Jubilee at Buckingham Palace. Not a bad opener for a new company that had only opened two weeks before! That event set the pattern for Instant Marquees’ modus operandi for subsequent events over the years – namely solving an event organiser’s problem at the very last minute, having only been asked two days before the event when another supplier let the organiser down. The organiser was so impressed with the service that they asked Instant Marquees to supply up to 50 pop ups for Tea in the Park the following weekend, and some for Paul McCartney’s wedding the weekend after that. Instant Marquees supplied two 8m x 8m Crossover Domes with a gutter to form an 16m x 8m area for Ryobi’s new products to be launched in – five of the area’s eight walls were fully branded to create an impact inside and outside the tents. In addition, for all the smaller workstations around the grounds, each with a different Ryobi product to promote, Instant Marquees used pairs of its new 6m x 6m Idome inflatable domes, again
with temporary Ryobi branding in every case. The client was delighted by the effect the dome tents created for this important event in their calendar, and reported that their international dealers responded well to the product launch.
