News: Case Management Services Documents: When to Shred, When to Keep, What You Need to Know
No one likes the piles of papers that we all accumulate over the course of a lifetime, but it’s hard to know how long you should hang onto certain documents and when it’s safe to destroy them. Following is a good rule of thumb for managing your personal documents: Tax Information and Returns: Generally there is a three-year statute of limitations for the IRS auditing a tax return. This means the IRS has a period of three years from the time you file your tax return to complete an audit. However, there is no limit for fraudulent returns and the IRS has six years to challenge your return if it thinks you failed to report income that amounts to more than a quarter of your total income. Therefore, you should keep your documentation for at least six years.
statements. The annual summaries should be kept until you retire or the account is closed. Pay Stubs: You should keep your pay stubs until you receive your W-2 form. Once you receive this form, ensure that the information matches. If it does, you can shred your pay stubs. Note that you may need to have at least three months of pay stubs if applying for a loan. Permanent Files: You should keep wills, powers of attorney, birth certificates, marriage license/ documents, military records, and social security cards forever.
Credit Card Receipts: If the credit card receipts serve as evidence for tax-related purposes, refer to the tax information and returns paragraph above. If not, it is recommended that you keep your credit card receipts until you have received your credit card statement and are able to compare the two. Insurance: Policy and claim information should be kept for as long as the policy is in place. Bills: In most instances, bills can be shredded once the canceled check from a paid bill has been returned. However, bills will need to be kept longer if claiming household expenses as a tax deduction. Also, one may want to keep bills for larger items for proof of value in the event of loss or damage. Retirement/Savings Plan Statements: Statements from plans should be kept until you receive your annual summary. Once you verify the numbers, you can shred the quarterly
FRIENDSHIP FUND FOR ACTIVITIES AT THE CENTER If you are in need of financial assistance to participate in activities at the Senior Center, there is a fund available to help you. For more information please contact Cindy McGlynn/Director 873-8585.

Steps to Take When a Loved One Dies
Managing the affairs of a spouse or loved one who dies can be very confusing – especially at such an emotional time. The following is a non-exclusive list of things a family can do in preparation for finalizing the decedent’s affairs:
Look for a will in the person’s home, a safe deposit box, or filed at the county Register in Probate office. Consult an attorney about the need for probate and payment of outstanding debts. A Transfer by Affidavit may be an option for estates of less than $50,000. Consult the preferred funeral home and find out if the person had advance burial planning in place. Notify a landlord in writing that the person has passed away. This limits the rental liability to two months of rent past the month of notification. Notify utility companies if cable or phone can be stopped. Notify the Social Security Administration so benefits are not overpaid and the widow’s benefits can be properly paid. Notify a life insurance policy. Usually a death certificate is needed to pay out the beneficiary of record. Notify a POA agent or guardian that his/her authority has ended. Close out credit cards.
4
If there is a surviving spouse and property is jointly titled, complete an HT-110 form to notify the county Register of Deeds office that one spouse has passed away. A death certificate must accompany this request. Notify Medicaid estate recovery if the person received Medicaid benefits.
Note that many of these actions will require a person who has authority to act on behalf of the decedent; meaning the executor or personal representative of the estate. This is a very important role and we recommend that a personal representative consult an elder law or probate attorney to ensure the estate is handled properly according to state statutes. Paying creditors in the wrong order could cause personal liability on the part of the personal representative.
Consumer Alert—Non Emergency Transportation for Medical Assistance People with non-emergency medical transportation problems with the new company (MTM) should complain first to the company directly if they experience a problem. Then, secondly, to the Legislative Audit Bureau’s Fraud, Waste and Mismanagement’s confidential hotline at (877) FRAUD-17 (877-372-8317) if you feel your complaint fits the definition of fraud, waste or mismanagement. If excessive complaints are noted, an audit will be done. Published with permission from the Legal Services Team at the Greater Wisconsin Agency on Aging Resources’ Elder Law & Advocacy Center.

Vitamin D -How does vitamin D work? Vitamin D is required for the regulation of the minerals calcium and phosphorus found in the body. It also plays an important role in maintaining proper bone structure. Sun exposure is an easy, reliable way for most people to get vitamin D. Exposure of the hands, face, arms, and legs to sunlight two to three times a week for about one-fourth of the time it would take to develop a mild sunburn will cause the skin to produce enough vitamin D. The necessary exposure time varies with age, skin type, season, time of day, etc. It’s amazing how quickly adequate levels of vitamin D can be restored by sunlight. Just 6 days of casual sunlight exposure without sunscreen can make up for 49 days of no sunlight exposure. Body fat acts like a kind of storage battery for vitamin D. During periods of sunlight, vitamin D is stored in fat and then released when sunlight is gone. Nevertheless, vitamin D deficiency is more common than you might expect. People who don’t get enough sun, especially people living in Canada and the northern half of the US, are especially at risk. Vitamin D deficiency also occurs even in sunny climates, possibly because people are staying indoors more, covering up when outside, or using sunscreens consistently these days to reduce skin cancer risk. Article from Web-MD. See your physician for questions.
Vanilla Bean Pudding Packed with Vitamin D 2 1/2 cups 2% reduced-fat milk 1 vanilla bean, split lengthwise or 1 tsp. Real Vanilla Extract (stir in with butter) 3/4 cup sugar 3 tablespoons cornstarch 1/8 teaspoon salt 1/4 cup half-and-half 2 large egg yolks 4 teaspoons butter Place milk in a medium, heavy saucepan. Scrape seeds from vanilla bean; add seeds and bean to milk. Bring to a boil. Combine sugar, cornstarch, and salt in a large bowl, stirring well. Combine half-andhalf and egg yolks, stirring well. Stir egg yolk mixture into sugar mixture. Gradually add half of hot milk to sugar mixture, stirring constantly with a whisk. Return hot milk mixture to pan; bring to a boil. Cook 1 minute, stirring constantly with a whisk. Remove from heat. Add butter, stirring until melted. Remove vanilla bean; discard. Spoon pudding into a bowl. Place bowl in a large ice-filled bowl for 15 minutes or until pudding cools, stirring occasionally. Cover surface of pudding with plastic wrap; Chill.

News: COA & Community Commission on Aging Meeting Highlights for December 3, 2013 Director Comments: Center received new phones in November. Discussed considerations to change the room rental cost; COA will take a closer look at the City’s Building Use Policy in Dec. Beginning in January, a non-profit group will be using the Center to offer The Gathering Table, two free meals a month to the general public. While Cindy has agreed to a 6-month trial, she does have reservations over the misinformed publicity it’s received, the security implications, wear and tear of the building and the impact on Center staff time on a non-City program. 2014 City Budget: Approved. It was decided to hire an HR Director and to combine the Clerk’s Office with Finance. Fundraising Letter: Reviewed and made recommendations for the photo choice and wording for the fundraising letter to be mailed next week. Friendship Fund: After review of the policy’s latest revision, a motion was passed to approve the policy. Change Project: H. Camacho attended a Change Leader Academy training in October. The principles learned reinforce our Evaluation Plan and Accreditation Action Plans. Staff will choose one change to focus on next year.
