In the event of cancellations at any time that have been paid for with childcare vouchers, Clifton College can only offer a credit for future bookings which should be made within 6 months of the cancelled date(s). Changing your booking If you give us at least 14 days’ notice before the date(s) you would like to amend, then you will be able to change your dates within the same holiday programme, subject to availability, free of charge. If you give us less than 14 days’ notice before your booking date, we will endeavour to change your dates within the same holiday programme, subject to availability and a £10 administration charge. However, we are unable to make any changes with less than 24 hours’ notice.

A credit for future bookings cannot be given unless the Holiday Club Administrator has been given at least 1 working days’ notice of non-attendance, due to sickness or any other acceptable reason. Notification must be received by 1000 (10am) for cancellation of any booking the following day. Arrival and Departure Arrangements Morning Registration for Holiday Clubs is at 10.00am and we return to the Registration Points at 4.00pm. Morning only sessions conclude at 1.00pm unless otherwise stated/agreed. Afternoon only bookers can arrive from 1.00pm. Afternoon Registration takes place at 1.30pm. Activity course times are detailed in our brochure but generally they Register at 9.45am. Our early service (8.00– 10.00am) and our late service (4.00–6.00pm) is included in the daily price for all age groups.

Quality & Safety All our Holiday Clubs and Activity Courses operate in safe and secure environments. With over 10 years experience, we have an exemplary health and safety history and child safety is our priority. In the event of an accident, first aid will be administered to children by our qualified staff and the emergency services will be called if necessary UNLESS WE ARE TOLD OTHERWISE. Our staff, tutors and coaches are all suitably qualified for the roles they undertake. Swimming Please be aware our 25m indoor swimming pool has a depth of 0.9m-2.0m. It is not a walk in style leisure pool and entry/exit is via steps at each corner. If you require further information, please do not hesitate to ask. We have a very comprehensive swimming policy. Each child’s swimming ability is assessed on their first day of each holiday.

The latest time for pick up is 6.00pm. We cannot guarantee staffing levels beyond this finish time and pick up after this will incur an additional charge of £20 regardless of reason. If any child has not been collected two hours after this time and we have been unable to contact anyone by telephone, we will call the local social services department who will make arrangements for a social worker to collect the child. Children must be signed in/out by the accompanying adult. We will not allow any child to return home unaccompanied or with another adult unless we have authorisation. Parents/guardians must provide us with written permission indicating if their child is permitted to go home unaccompanied.

Sickness

Clothing and Belongings We cannot take responsibility for damage to clothing and we cannot guarantee the return of lost property. We recommend that children do not bring valuables or mobile phones, as we cannot be held responsible if they go missing.

Concerns and Complaints All complaints, however serious, should always be referred to the Holiday Club and Activity Course Manager. If this route of communication is not appropriate then please contact the General Manager on 0117 315 7664.

Additional Support We recognise that the needs of individual children vary and will endeavour to accommodate children with additional needs within our environment where we can offer appropriate care within our staffing ratio. We are realistic about the limitations of our site for children with additional needs and attendance is considered on an individual basis. Please contact us to discuss any requirements further and to consider what arrangements can and need to be put in place.

Sun Cream We recommend that children bring a sun hat/cap for protection against the sun during the warmer holidays. Sun cream, in a named plastic bag, can also be brought and handed in on arrival. We will help to apply sun cream as required, UNLESS WE ARE TOLD OTHERWISE.

Behaviour We set ourselves high standards and we expect certain standards of behaviour from children. Please support action taken by staff to encourage good behaviour. We should be informed of any potential behaviour issues that would help us to deal with situations in a positive manner. We will not tolerate any form of bullying. If a child feels that they are being subjected to bullying then they are encouraged to report this to staff. All reported cases will be dealt with sensitively and fairly and appropriate decisions will be taken.

No child will be admitted if they are showing any signs of illness or infection on arrival. No child should return for a minimum of 24 hours after going sick. If you are unsure whether a child may attend please call us on 0117 315 7666 to discuss and check our Sickness Policy. Equal Opportunities Clifton College Holiday Club and Activity Courses is an equal opportunities employer and welcomes all children, regardless of their gender, ability, race or religion. Each child attending is of equal value and is entitled to equal access of opportunity. Discriminating behaviour, attitudes and comments will be challenged.

Photography Please be aware that we occasionally take photographs/videos of children for our promotional material including our website and publication in future brochures. Children may also like to take photographs of each other to remember their time with us. Please advise a senior member of staff if you have any objections.
