Dear Member, The work on this issue of Service Bulletin has been produced by our talented interns. These interns volunteer their time to assist on Clubs WA projects in return for some hands on work experience, which is a win-win for both parties. I trust you will agree they have done a great job on this issue. Thank you to Bronte, Fiona and Jacinta for your combined efforts in creating this publication. This month we also welcome back our Marketing and Communications Officer, Holly Hazel, who will be working on a number of marketing initiatives for our industry. We are very excited to have Holly come back to us after gaining strong exposure to media relations and grant applications during her time away. Clubs WA will be seeking the expertise of an Events contractor to produce our Awards for Excellence event next year. Is your website doing right by your Club?

I

n 1993, the first ever website was launched. Now, in 2015, there are over 14.3 trillion webpages across the internet. There has never been a better time and more of a need to set up and cherish your Club webpage. Very few people still resort to phone books and newspapers for phone numbers and information; it all comes from a click and a search into Google. Although it is becoming increasingly easier to build a website, simply creating the website is not enough anymore. In order to generate traffic, your website must be great; it must stand out from the other trillions of webpages out there. For most businesses, your website is the first thing people will see, that’s your first impression. Even if people are just going onto your website to get your address and phone number, their eyes will wander all over your website. People will see the quality of your website as the quality of your Club. Many Clubs and smaller businesses maintain that they do not need a website as they are a local business that appeals to the community. However, reports have shown that 97% of consumers search online for what they’re looking for and over half of them are local searches. Firstly, your web design has to be simple and easy to look at. Nobody wants to spend hours trying to understand what’s going on and where everything is on your website. Simplicity has a wonderful way of easing up things for people and taking some stresses out of their hectic lives. For a Club website, all you really need are a few select pages of information and what’s going on within

your Club. As Leonardo Da Vinci once said “simplicity is the ultimate sophistication”. If you bombard your website with pointless information, your website then begins to look crowded and people don’t know where to find what they’re looking for and what to read. In the information section of your Clubs website, you should include what your Club is all about. Every business needs a story of how you got there, what it took, what you’re all about and your goals and aspirations. A story always makes your customers relate to your Club on a more personal level, it creates a bond and trust between your customers and your club. People throughout the internet are infamously low on patience so make sure your website is speedy. Reports have shown that if a webpage does not load within 3 seconds of clicking, 40% of users will leave the page. If your customers leave your Club webpage due to a slow website, it is unlikely that they will ever return to that site. In recent years, the internet has become so competent at giving us what we want instantaneously that we have developed an even shorter attention span. Try to minimise pop-up menus and advertisements on your web-page, they’ll make your Club website progressively slower. Although having a good looking website is important, it’s no good if your website is not user friendly and cannot be found.

Getting your website out there and generating traffic is the key to success. There are plenty of companies out there that can advertise your website online for a small fee. You need people to know about your website before they’ll go onto it. Keeping your website fresh and interesting is another key element to adding value to your Club through your website. Keep updating your website regularly with events happening in your Club and different promotions. If your website is not going to have any new content, it is unlikely people will return to your website. Link your social media feeds to your website by adding a social media widget. Social media widgets provide a live feed of your Twitter, Facebook, Instagram and other accounts. This is also a great way to enhance your social media reach. It is clear that by not having a website for your Club you are passing by potential customers and new opportunities. However, a bad website is in fact worse than no website. While not having a website for your Club does limit the possibilities for your Club, having a bad website can reflect extremely badly on the Club. On the contrary, there is no reason to have a bad website as there are hundreds of amazing websites out there which makes creating and designing your Club website as easy as 1,2,3. In the words of Paul Cookson; “websites promote you 24/7: no employee will do that”.

Mandurah Boat Show Written by Jacinta Houzer

’s most popular boat show - the Mandurah Boat Show - takes place annually across three days in October. This year, the event took place from the 9th to the 11th of October, and was held at the award winning Mandurah Ocean Marina. Run by the Mandurah Offshore Fishing and Sailing Club, the event first began in 2001 and has grown exponentially since. Today, it is the third largest boat show in Australia, and attracts well known boat makers from around the world. The aim of the show is to ‘explore, promote and celebrate Western Australia’s unique boating lifestyle’. Displays range from big boats on water to trailer boats, jet skis, tinnies and kayaks, as well as fishing tackle and accessories, the latest electronics, outdoor gear, tourist and travel information, lifestyle products and more. Each year, the show hosts a number of events which provide entertainment for the whole family. Such events included; free boat and kayak rides, cooking demos, fishing demos, fashion parades, pirate shows for the kids, a kid’s casting competition, safety information sessions, and more. This year Yachting WA with the assistance of Mandurah Offshore Fishing and Sailing Club ran a ‘tackers introductory to sailing course’, which gave children the opportunity to trial sailing over the weekend. Over 400 children participated in the course. New to this year’s show was the Fishing Forum. The Fishing Forum was a great success, designed to provide more interactive and informal information to patrons. The Forum included a casual stage area where a number of discussion topics were presented along with a Q&A session. It was a great way for visitors to gather information about fishing, and created a platform for which they could speak to experts

in a one-on-one scenario. Another highlight from the show included an appearance from Paul Worsteling. Paul is well known for hosting the TV show IFish which airs on Network Ten. This year, The Mandurah Boat Show attracted over 20 000 patrons. Andrew Henshaw, the General Manager of the Mandurah Offshore Fishing and Sailing Club (MOFSC) says “the event provides enormous benefit for the community, the club and its members. The Mandurah Boat Show attracts many tourists and visitors to the Mandurah area, by giving Mandurah global exposure through advertising nationally and internationally. Local businesses benefit also, as it provides an opportunity in which they can promote their products and services to a larger audience.” “Holding such an event is a great benefit to the club as it creates exposure and the opportunity to showcase the clubs facilities. It also creates an opportunity to bring in new members to the club, and brings the community together,” he said. “It provides a great advantage to members as it is an opportunity for them to showcase their club with pride. They get involved in the boat show through volunteering, which builds member comradery,” said Andrew. AGM & Club Industry Forum Written by Jacinta Houzer

T

he 2015 AGM and Club Industry Forum took place at Ascot Racecourse on the 27th of October. Each year, the event focuses on bringing the clubs community together, networking, and discussing topical issues in the industry. This year, the event hosted more than 100 attendees. The event began with a mini expo, then attendees later split into two groups, attending a training workshop of their choice; either a Customer Service Workshop hosted by our very own Michelle Hall or a Social Media Workshop hosted by Sherryn McBride from Marketing Talk. Providing excellent customer service is essential for the success of any business. As such, the Customer Service Workshop provided attendees with an outline of the best customer service practices to implement at their club. These included a summary of the skills that assist in providing great customer service, how best to manage complaints and how to communicate effectively, both face-toface and over the phone. The Social Media Workshop on the other hand gave attendees a rundown of the current social media landscape, and how best to implement social media skills to create a better online presence.

Social Media is an increasingly popular method of communication and advertising so it is very important for clubs to keep on top of this and have the skills to utilise social media to their advantage. Some of these advantages include; increased exposure, growing business partnerships and reducing marketing expenses. Following on from the workshops was the AGM, Clubs WA CEO Karen Giles gave a brief outline of changes to the Associations Incorporation Act for members (please refer to page 14 for more information.) We also had guest speaker, Mr Barry Sargeant from RGL run a Q&A session. Some of the questions included liquor licencing, specifically different types of licences available. The AGM was then followed by a delicious lunch and drink selection at the Ascot Member’s Lounge, with a scenic view of the racecourse where we were able to witness the races from a superior view. Should you invest more into super or property? With current interest rates at the lowest they have ever been and expected to stay low in the short term, it may be tempting to borrow more and buy an investment property. On the other hand, super provides a number of tax effective advantages, which cannot be ignored as an essential component of your overall wealth accumulation strategy. Before you make the decision to invest, it may be worthwhile revisiting some of the core principles of investing. Of course, all of our personal situations are unique, and deciding on an effective strategy for long-term investing requires careful consideration. Without trying to cover every possible scenario, we’ve included an overview of THREE main issues you could consider.

1. Your investment timeframe and level of risk Like super, property is also a long-term investment and this should be taken into account if you’re planning to retire in the next few years. While you may be able to comfortably meet your mortgage requirements at current levels, starting a new mortgage is usually a 25 to 30 year commitment and rates can vary significantly over that time. Coincidently, if your investment property is not rented for a period of time, or there may be maintenance and repair issues, then you need to ensure you have sufficient cash reserves to cover these unexpected expenses. Super on the other hand will allow you to reduce your contributions when your cash flow is running low. However, once you contribute to super, your funds are generally not available until early retirement age (currently 56 years) and there are also restrictions as to how much you can put into super.

Within each of the investment options, there are a number of different investment managers that select assets across a broad range of sectors. In addition, each asset class is diversified within because of the mix of investment managers selected with different styles to complement each other.

3. Select tax-effective investing, but beware of super contributions caps Investment earnings on super are subject to a maximum tax rate of 15% (rather than your marginal tax rate) and any withdrawals you receive after age 60 and retired are tax free. As super provides a number of tax advantages, the government restricts the amount you can pay into super and receive concessional tax benefits. For most people, the current annual limit for pre-tax contributions (called a concessional contributions cap) is $30,000. Pre-tax contributions include ‘salary sacrifice’ arrangements and the employer superannuation guarantee payment (currently 9.5%). After you reach age 50, you can contribute an additional $5,000 per financial year. The main advantage of a salary sacrifice arrangement is that your contributions are taxed at 15% when it is received by the superannuation fund, instead of at your marginal tax. However, if you exceed the concessional contributions cap, these excess contributions are taxed at your actual marginal tax rate, plus an interest charge. Property also has a number of tax advantages, such as allowing deductions to be claimed for expenses incurred (for example interest debt, costs for repairs) on an investment property. 2. The importance of diversification Your home and your super are probably the two biggest investments you will ever have. The basic rule of successful investing is not to have all your eggs in the one basket. Like any asset class, property experiences price movements and periods of negative growth. With your home taking up a significant proportion of your total investment portfolio, adding an investment property to your portfolio may tip the balance of overexposure in one particular asset class. To achieve more consistent long-term returns, you need to invest across a range of different types of investments. Most super funds provide members with investment choice which means you can vary your investment allocation across all assets classes.

Get advice Both super and property are long-term investments and can certainly provide you with a comfortable lifestyle at retirement. As there are tax implications with either approach, it is recommended you get financial advice to see which strategy works best for your circumstances. Associations Incorporation Act

Changes to Associations Incorporation Act take place next year. As you may be aware, licensed clubs must adhere to two main governing Acts – the Liquor Control Act and the Associations Incorporation Act. Both Acts have been under review and now the Associations Incorporation Act [AI Act] is being finalised.

What does this mean for your club? The AI Act will be supported with regulations and revised model rules, and all will need to be included in your constitution. Although the AI Act comes into force on 1st July 2016, clubs will still have up to 3 years to transition to the new Act. However, if your club has moved premises since you last lodged your constitution, you only have 90 days from the Act commencing to notify the Department of Commerce, Associations Branch, of the change in address to your club premises. This can be done via Associations Online. In addition, the accounting and financial reporting requirements will apply from the first financial year of a club that commences on or after 1 July 2016. For example: A club with a financial year that runs from 1 July to 30 June must comply with the requirements from 1 July 2016. A club with a financial year that runs from 1 January to 31 December must comply from 1 January 2017*. *Please also see Page 22 regarding Auditing Requirements.

An important change to the AI Act will be that, after the transition period, where your constitution is silent on aspects of the Act, the model rules will apply. This means for example, that if you do not have a dispute resolution clause in your constitution, then you must refer to the model rules for disputes between members and also between members and your club. Clubs WA has been receiving enquiries on the changes to the members register. We have put forth the view to the Department of Commerce that there needs to be a clear understanding of when members can access the register and have asked them to clarify if there can be any safe guarding of the register from members who haven’t followed the club rules for dispute resolution first. The Department of Commerce is currently preparing fact sheets and other information to assist with the transition period. The Associations and Charities Branch will also be running an education and awareness program and have committed to a specific meeting for Clubs WA member clubs.

In order to protect the privacy of members, the register may now include a members’ email address as an alternative to a residential or postal address.

• Members have the right to inspect the register of members for association business only. Silent on reason for inspection.

• No specific power to appoint a statutory manager.

The Commissioner may apply to the State Administrative Tribunal (SAT) for the appointment of a statutory manager to temporarily administer the affairs of an incorporated association.

Sharks raise $100,000 for the Cancer Council Written by Fiona Hickey

Last month, the East Fremantle Football Club and the East Fremantle Women’s Football Club both set out to walk and run around the 328m oval at ATOM Stadium for 24 hours. This event was all part of the Relay for Life Fremantle to raise much needed funds for the Cancer Council. Along with twenty six other teams, the East Fremantle Football Club raised a massive $100,000 for the fund. Members of the participating teams gladly walked until the early hours of the morning to support the Cancer Council. The East Fremantle Football Club collectively decided to do the Relay for their much loved Club stalwart Maureen Gathercole who is currently undergoing chemotherapy for Non Hodgkins Lynphoma. Maureen has been known as the “mummy” figure throughout her 35 years volunteering at the club. Since being diagnosed in January 2014, Maureen has never let her support for the Club slide. Everyone at the East Fremantle Football Club and here at Clubs WA wishes Maureen a very speedy recovery.

Do you have some questions regarding training? Well look no further. Recently, we sat down with Clubs WA’s own Bob Shanks to discuss some frequently asked questions regarding industry training.

Why is training important? The main reason why club staff should undergo training is because it is a requirement by law to have certain certifications. For example, if you are a licenced venue, then it is a requirement by law that staff serving alcohol must undergo Responsible Service of Alcohol training. The other reason training is important is because it assists employees in being better able to perform their job, which can then improve the overall performance of the club.

Why train with Clubs WA? Clubs WA is your industry representative and we are consistently looking out for the wellbeing of your club. Our courses are specifically designed with the club industry in mind. Members also receive discounts on all our courses.

What courses are on offer? We offer a number of different courses to suit a wide variety of qualifications. Our courses include: •RSA •Approved Managers (MLP) •Food Handler (FH) •Food Supervisor (FSS); and •Governance Training, which is important training for management committees and specifically intends to assist in ensuring the strategic long-term financial viability of the club.

How do you take part in the courses? All our courses are available online via our website: www. hospitalityalliancetraining.edu.au. We also offer classroom based learning for interested clubs. How long does it take to complete each course? Each online course is self-paced. There is no minimum completion time for the courses. Generally, courses can be completed in as little as 3-4 hours, however participants are more than welcome to pause the training and return to it at a later time. Your Long Term Employees May Be Your Most Valuable Asset Written by Fiona Hickey

As a club owner, having long term employees should be one of your top priorities. Although finding good employees can be challenging, if you can hold onto the good ones they will prove to be valuable assets to your business. Employees who have been with your business for a considerable length of time carry an incredible amount of knowledge. They have most likely experienced a lot of changes and watched a lot of staff come and go throughout the workplace. They know what works and what does not. Knowledge that comes from years of experience is invaluable. Good long-term staff members have built relationships with your customers. Many patrons will return to your club year after year if they get along with a staff member. Having a friendly, loyal staff base can make the world of difference to your club, your customers want to feel welcome and at home as they enter your doors. There’s no better way to make your club members feel content than having good, reliable staff. Not only does having long term employees make your customers happy, it also shows them that your club is a happy, stable environment. Staff would not stay with your club for a long period of time if they did not feel as if they were treated properly and valued. Employers tend to take their long-term employees for granted, not realising how much time and effort they put into their jobs. If you watch your long term employees

you’ll soon begin to see that they usually go far beyond their job description. After being with your club for so long, their job is no longer just about their paycheque, it’s a major part of their lives. When a problem arises in your club, your long term employees will be the first to dart straight in and search for the solution. Having long term employees is far more cost effective in the long run. Long term employees tend to be much more productive and thus need less supervision. Recruiting new employees for your club can become a very expensive process when you consider looking for people, interviewing people and training the correct candidate. With retaining your long term employees, you are reducing these costs significantly for your club. Long term employees can also be an invaluable support system for new employees and play a major role in their training. Make sure to appreciate your long term employees. Staff thrive when they are praised. Having someone acknowledge their job well done only makes them work harder. Publically acknowledging the achievements of your staff has a knock on effect for all your employees. Everyone wants that recognition. An employee of the month scheme works perfectly, every month it gives your employees new goals and incentives to try and be the best. Here’s one club it makes sense to join Written by Daniel Papaphotis of Francis A Jones In Western Australia, the legislation surrounding club finance administration is due for an overhaul. At present, different rules apply for things like auditing, depending on the nature of the club or association and its constitution. Your constitution may require an annual audit of the club’s finances, and in some cases the law will require it. Some clubs call in professional auditors to complete their year-end audits, while others choose a cheaper but less reliable option; “I’ll get my wife’s cousin to do it, she seems to know a bit about this stuff.” The truth is, regardless of the regulatory requirement (or lack thereof) for your club, having a competent professional conduct an audit into the club’s finances every year makes good sense on a number of levels. Some of the reasons an audit is good practice include: • It identifies weaknesses in Internal Control. An audit determines whether the process used to report and compile financial information has enough internal controls in place to reduce the chance of misstatement and fraud. • Financial statements that have been audited and verified by an external auditor are considered more reliable than those that have not. An audited set of financial statements gives the club security that the financial statements are free of error. • It provides members with a comprehensive picture of their club’s finances so they know they are building something worthwhile and can plan new facilities and events. • It gives members the peace of mind of knowing that their club is being conscientiously run. Most clubs with a constitutional or legal requirement for an audit usually have an end of financial year at 30 June, so September/October is the ideal time to conduct an audit. This allows the auditors to examine the entire previous year’s accounts. It also gives the board and members time to prepare for the end of the coming financial year, making plans for fund-raising, new projects and new ventures.

If your club has previously relied on auditors who are not properly qualified or are unable to provide a Registered Company Auditor to sign off on the audits conducted, now is a good time to consider a change. Legislative change requiring many clubs to engage professional auditors may be enacted soon, and it’s a good idea to be ahead of the curve when that happens. By retaining a Registered and experienced Company Auditor now you can be sure that if and when the law changes, your club, its board and its financial system are all ready to accept the new way of doing things. What originally inspired you to begin Surf Life Saving? As a kid growing up in Australia, I spent the majority of my weekends down at the beach. Eventually, I thought I should join up to Surf Life Saving and give it a go. Surf Life Saving was such a good starter for me, or any kid, to learn about the importance of beach safety. What do you enjoy most about Surf Life Saving? I would have to say the relaxed environment that comes with being down at the beach both racing and training. I also love how you can travel around the country and world with Surf Life Saving. It’s an amazing feeling being able to travel whilst doing something you love. What challenges have you overcome with Surf Life Saving? The biggest challenges I’ve had to overcome are the few injuries which I have obtained over the last few years. As with any sports person, it’s tough to be out of your sport with an injury. It’s hard to watch everyone else competing and training whilst you physically cannot. What are your biggest achievements with Surf Life Saving? My biggest achievements would have to be winning my first Open Australian Gold medal. I also get an overwhelming sense of pride to say that I have competed for my country. What’s your most memorable lifesaving moment? My most memorable moment would have to be when I travelled over to France with my girlfriend to compete at the World Championships. It was the first time I had ever competed overseas so it’s definitely a memory I’ll hold onto forever. When you’re young, it’s hard to think about travelling the world with your hobby, it’s an unbelievable feeling when you actually get to do that. What does the future have in store for you and Surf Life Saving? I’m not too sure what the future holds for me at the moment, I really hope that I can get the opportunity to race for my country again. Racing for your country is something not many people ever get a chance to do so if I was given the chance again I would definitely jump at it.
