The importance of tabling can not be underestimated in the slightest. It is the perfect opportunity for current members and officers to market and advertise for their club and show students across campuses why CKI and their club specifically make a difference. This tabling manual was made to give clear steps, directions, and tips on being successful during tabling. The manual is a great resource for better results and more sign-ups during tabling!

LIST OF MATERIALS to bring in advance
Posters • •
Make your posters POP! Add color to text you want to emphasize. Include Circle K on your posters; remember what you’re marketing. (BONUS: If space allows it, put Circle K International)

Promote the tenets; share what we’re all about. Make sure text is LARGE and legible. OVERALL BE CREATIVE! Posters are created to draw people in, it doesn’t have to be intricate and/or artistic. As long as it gets the job done.

Tri-Fold • • • • •
Use lots of pictures with minimal text. It should be the main focal point of your table. Be creative and decorate it, but keep it professional. You want to decorate it enough so that it catches people’s attention but you don’t want to crowd the board. Tri-folds are a great way to show off your club and its events, especially if you don’t have a scrapbook or newsletter. Most clubs use the tri-fold to display the Circle K tenets: service, leadership, and fellowship.

Most important thing is for people to have your club’s information. • The more creative the hand outs are, the less likely it will end up being forgotten, lost in other flyers, or thrown away. • If you don’t have the resources for this, a regular hand out will do; let your interaction speak for itself. • Don’t spend your whole budget on a fancy hand out, see if there are resources available for cheaper printing. • Sometimes you can stand out by creating a hand out in a unique shape, printing in color, or having nicer paper. • Underlying message of a professional hand out is that your club is prepared and serious about recruitment. • Fun ways to spice up you handout: Bookmark formated flyers, flyers with items attached (candy, pens, etc.), or attach a spoon (some clubs use treats to entice students to go to their meetings, so they’ll give them a spoon and if they bring it to the meeting they’ll get a treat after the meeting). • Information to include on the hand outs: • Meeting room, date, and time • Club contact information • CNH Circle K’s District Masthead • *Optional* Upcoming events • *Optional* Club’s social media • *Optional* Information about your division • *Optional* Information about our district • *Optional* Fun facts

Sign-Up Sheet • Digital
Pro - All sign up information is legible and easy to transfer. Con - Need to have an outlet to keep your digital sign up sheet working, or have multiple laptops.
• Physical
Pro - Don’t need to worry about electricity and easy to set up. Con - Not everyone writes neatly, so you may be losing some sign ups due to poor penmanship and/or it can take longer to transfer information.
Awards* • Avoid cluttering your table. Prioritize only the awards that someone who has no knowledge of CKI will find relevant.
Tabling Decor/Props* • I.e. Social Media Cutouts
Interactive Activities* • I.e. Guess how many ______, wheels, etc.
Food/Candy* • If you’re going to sell food, then be knowledgeable of your school’s food policy to avoid any conflict. You don’t want food or money to go to waste.
Music* • Some schools allow it while others don’t, so check with the school or tabling event coordinator to see if it’s acceptable.
Club Banner, Bell, Gavel* • The bell and gavel are optional, but there is a club that allows prospective members to have the chance to ring their bell.

CREATING A TABLING SCHEDULE Make sure members sign up for tabling shifts in a clear schedule: 1.

GETTING MEMBERS EXCITED for club tabling events

DEVELOP A 30 SECOND PITCH 1. Create a concise summary of Circle K itself. 2. Mention core strengths of CKI (events, opportunities, etc.). 3. Relate Circle K to the person you’re talking to specifically. [EX] If someone is looking for leadership opportunities, mention what CKI has to offer (board, workshops, etc.)

Example: Circle K International is a wonderful organization to get you involved in the local community. It’s the largest student led service organization and provides you with many opportunities! We offer different service, fellowship, and leadership events for members to attend that not only allow them to bond with the organization but also the community around them. Whether you’re looking to improve upon your leadership skills, serve the community, or simply gain some amazing friends, Circle K International is the perfect place to get involved!

TABLING WORKSHOP Workshops should be held at the beginning and end of each quarter/semester, if possible. Hosting at the beginning helps refresh members on how to table after a break, it also gives newer members the opportunity to learn more about tabling and what to do. It’s also a great opportunity to update members on what has been happening in the club. At the end of the semester, the workshop will help members reflect on what they learned from the tabling since the last workshop. It helps the club learn from mistakes and improve on what they thought the club did well.

Avoid eating while you’re tabling. You don’t want to be stuck in that awkward moment where someone comes up to your table and you’re in mid-bite. Avoid crowding the table. This can cause your club to look intimidating to approach and for students to be unable to see what club you are in the first place. Avoid sounding robotic and repetitive with your elevator pitch. Try to see what that person is looking for in a club.

Act as a potential member while someone else goes over their Circle K pitch. Provide feedback, and practice having a conversation about Circle K rather than listening to them regurgitate information. The elevator pitch should help you create an outline of topics to cover rather than a set script.

Make sure it’s okay with your campus before going through with chalking, if it’s not allowed, go back to flyers. Creative idea for an interesting new medium to promote your club. RECRUITING MEMBERS Day of Preparations 1. Arrive early to set up your supplies so you’re up and running right when the event starts. 2. Create a checklist so you remember what you need to bring. - Before the event you should know who is bringing what and when they can drop it off to avoid any confusion at tabling. 3. Help prepare your members for tabling, give them any information regarding events coming up to promote and get them excited!
During Tabling 1. Interact with potential members in a friendly manner without overwhelming them with information. 2. Use your 30-second Pitch. 3. Mention exciting upcoming events, bonus points if it’s related to something they’re personally interested in! 4. If they seem interested, simply ask them to sign-up with their email. 5. Before they leave, briefly remind them to come out to the first meeting or event.

IMPORTANT: Don’t feel discouraged if the person you’re talking to ends up not being interested in CKI after your pitch. CKI isn’t for everyone, but remember to thank them for taking time out of their day to speak with you. Also, try to turn it into a learning experience. See what aspects you could improve on and apply it to your next pitch to help improve your tabling skills.
Get Interactive 1. Have some members hold up posters and catch the interest of students passing by. If you’re low on members tabling you can also simply tape the posters to table. 2. Interact with members through cut-outs by showing them specific information from the cut-outs if they’re interested. You can include your club’s meeting and social media information. 3. Invite them to interact with any games available.

TABLING DO’S 1. Arrive early to prepare the table and your members. Remember to wear your Circle K apparel! 2. Have friendly conversations that can leave an impression, remember to be genuine. 3. Hand out flyers to interested students and mention upcoming events or meetings. 4. Quickly educate them on Circle K International (remember your 30 second pitch). 5. Reach out to people looking at your booth or glancing as they go by. 6. Listen to the person you’re talking to, remember their name and then explain how they can personally benefit from Circle K based on what they’re looking for in a club. 7. Share your personal Circle K stories to connect with students, but avoid sharing to the point the information is overwhelming.
Tabling Stories An experience was when someone walked up genuinely asked what we did. I told them how we’re a service organization and some of the certain service projects we do. In particular, I told them about our monthly Operation Gratitude and then they’ve done that before and we kind of started talking about how fun it was. It just successful because we related on a single topic off the bat. 19
One time, a prospective member happened to stumble upon our table asking if I knew any organizations that did service on campus. It was a good chance for me to market CKI and talk about all of the service we’re able to do both in our local communities and across state borders. I was then able to tie doing service in with developing deeper friendships within the club and how my passion for service inspired me to pursue leadership positions. I invited the prospective member to our general meeting that week, and when they showed up, I was able to get to know them more. They continuously came back week after week, and eventually, that member became my Little.

TABLING DO NOT’S 1. Avoid mentioning excessive information about Circle K and talking too long, keep it brief. • Explain Circle K through sharing your own experiences – make it more personal and relatable. Try to introduce our three core tenets. Avoid using too many acronyms (DSI, DCON, DFI, etc). • Abstain from bring up topics such as dues, drama, and inside jokes into your conversation. Dues will leave a person thinking more about financial obligation instead of what our club really is. Drama will debilitate the strength of our fellowship tenet. Inside jokes only help to alienate others. 2. Don’t have a bad attitude or be aggressive when towards other people. • Do not yell at people passing by your booth to try and get their attention, and do not drag them to the booth. Be respectful and mindful and do not bother people with ear phones in or people that look like they are rushing somewhere. • If people are rushing but want information, quickly tell them how long you’ll be out tabling and hand them a flyer, then let them go on their way. • If someone is being rude, let them go and don’t dwell on it! Remember to always be polite and respectful, even if they aren’t. 3. Refrain from focusing entirely on Circle K. • Do not ignore them and their interests and only talk about Circle K. Make an effort to connect with people and genuinely talk to them about Circle K. When speaking, do not sound dull and monotone. Try not to be repetitive and give everyone the same speech. 4. Try not to overwhelm people with spirit, you can be excited but cheering scares people away.

When I went to the college I ended up attending for a Senior Day event, the Circle K club was tabling in the main quad of the campus! Since I knew a few people from the club, one of them called me over and introduced me to other members. The environment was super welcoming, and everyone seems genuinely happy to be at the table. There were a lot of members at the table, and I was somewhat overwhelmed. The reason I ended up signing up for e-mail updates is because I was able to speak one on one with some of the members from the club and understand what Circle K was, and why they individually joined Circle K(as well as what made them stay). Since I learned more about each person individually, I was able to know a familiar face at the next CKI event I would be attending, rather than being alone and confused about what was going on! :) 20

FOLLOWING UP & EVALUATION Following Up With Prospective Members 1. Reach out to the members through social media, e-mails, and personal messages. • Be sure to transfer the sign up information over to your digital database as soon as you can to avoid losing any information. •
Don’t wait too long to send out emails about first meetings and events. 2. Make them feel welcomed at their first meetings/events. • Welcome new members when they come into the meeting, nothing too crazy but just a simple hello and thank you for taking time to come out. [Bonus points if you remember their name!] •
At meetings and events have board members spread out and interact new members, don’t let them feel lonely.
3. PACE YOURSELF AND KNOW YOUR BOUNDARIES. Know the balance between being friendly and being pushy.
Evaluation & Improving On Tabling 1. Rehash the positives and negatives of first tabling event, work with members and officers who participated to create better experience for the next tabling event. • Keep your comments constructive, avoid attacking any individual members or officers. •
Don’t be scared to insert your own input and voice your opinions, you’re working to help your club improve.
• Start with a positive before saying a negative. 2. Host another workshop based around the most difficult aspects of first tabling event.
