WORKPLACE STRATEGY AN INTRODUCTION

Workplace Strategy - “the dynamic alignment of an organization’s work patterns with the work environment to enable peak performance and reduced cost” (Schriefer, 2005).  Workplace Strategy involves a Learning Phase and a Strategy Phase:

• The Learning Phase comes first. In this phase, we work to deeply understand the way in which your company operates: We explore the needs and desires of your executives and employees, discuss your company’s goals and vision for the future, and study your current real estate footprint and office design(s).   • The Strategy Phase comes next. Here, we review the collected information, and determine what workplace elements are needed to support your organization’s way of doing work and vision for the future. We then work together to prioritize their implementation.


THE IMPORTANCE OF WORKPLACE STRATEGY At a high level, engaging in Workplace Strategy before the design process, allows you to ensure that your leadership’s vision, company goals, and HR policy are aligned, prior to making physical changes to your space. On a more granular level, Workplace Strategy ensures a smoother dayto-day experience for all employees. It guarantees that you design appropriately sized meeting rooms, that you enroll the correct staff in your desk-hoteling system, and so much more.

This means that securing a Workplace Strategist to assist your team is more relevant than ever. The pandemic has changed so much about the way that we operate as businesses, and most companies plan to adopt a hybrid work model, postCOVID. 1 LEARNING PHASE In the Learning Phase, we gather qualitative and quantitative data about your organization. This phase is comprised of a survey and a variety of workshops, all of which are described below.

STRATEGY PHASE In the Strategy Phase, we review the collected data and produce a comprehensive report that sets you up for a successful design phase.


OUR PROCESS

STAFF SURVEY  The Staff Survey is anonymous and is sent out to each and every one of your employees. It serves as a relatively low-touch way to gain in-depth data from across your organization. Through the survey, we can uncover your staff’s comfortability with a post-COVID return-to-office, get a sense for how many days per week employees hope to spend in-office, learn about what draws people into your workplace, and more.

LEADERSHIP WORKSHOPS   Leadership workshops are 1 to 2-hour long sessions that take place once at the beginning of the Workplace Strategy process and once towards the end. The Leadership Workshops are led by a Sr. Workplace Strategist and involve a handful of members from your Leadership Team. This can be the C-Suite, VPs, or Managers - what matters is that the people involved are the company’s decisionsmakers and visionaries. They should have a clear understanding of the direction in which the company is headed, its growth projection, and desired brand evolution.  • The 1st Leadership Workshop is designed to ensure that all company leaders align around a single vision. During these meetings, we share current workplace trends and findings from the staff survey to help drive the conversation.

• The 2nd Leadership Workshop comes towards the end of the Workplace Strategy process. Participants are updated on important findings and next steps. They are also given the opportunity to provide additional input, share concerns, and ask questions.

FOCUS GROUPS  Focus groups are 90-minute sessions. Participants dive into a particular theme, with the purpose being to solve a specific issue or challenge that your company is facing. For some companies, it makes sense to conduct multiple focus groups on the same topic, but for others, it is best to center each session around a different theme. Topics can include, but are not limited to, needed amenities, workplace mobility, brand, IT, and community engagement.

OUR PROCESS

DEPARTMENT INTERVIEWS I.E. PROGRAMMING INTERVIEWS Department Interviews are 45-minute sessions that include employees from within a single department. In these sessions, we gather qualitative and quantitative data. We uncover the innerworkings of the group, as well as their workplace needs and wants. The purpose of these sessions is to collect information for the program. We ensure that everyone’s needs are understood, so that they can be accounted for in your future space.

DATA ANALYSIS   Data analysis involves studying the data that your company has already collected – for example, badge swipe and conference room booking data. Oftentimes, this information reveals that the way in which your space is being used, differs from the way that you thought you were using it.

SPACE-TYPES INVENTORY  During a space-type inventory session, your existing space is measured in numbers. We count, for example, how many seats, conference rooms, and collaborative spaces you have. This allows us to, at the end of a project, express in numbers, the changes that will be made to your space.

SITE SURVEY  For the Site Survey, our team (Workplace Strategist, Designer, and Project Manager) visits your site and takes note of current features. We examine your desks, conference rooms, and collaborative spaces, and evaluate your building systems (HVAC, electrical) and code compliance (ADA, Title-24). The site survey is the last step in the Learning Phase of Workplace Strategy. This phase comes last, because we do not want your current workplace conditions to constrain your company’s vision for the future. Rather, we first want to learn what your company’s needs and desires are, and then find ways to shape your physical environment to better support them.

An overview of the Workplace Strategy process and an explanation of how data was gathered.

A summary of key themes/findings from workshops with leadership and employees .

A program and strategy (i.e. recommendations for changes to be made to the physical workplace and a strategy for implementing these changes)

A cost estimate (various options at different price points) .

With Workplace Strategy complete, you can now move forward confidently with design, knowing that you are headed in the right direction.
