You sit bolt upright in bed, and look around Stan Sias - National Manager Plated Truss Industry at Simpson Strong-Tie the room. You have never been so grateful to be in your own bedroom… to realize it was only a bad dream. You didn’t really just get that dreaded call that a set of your trusses had just fallen during erection and someone was seriously injured. Some of you may already have had the hair-raising experience, and work hard not to repeat it. Others of you hope and pray the day never comes. The fact of the matter is that there are things you can do to help educate the installation/erection crews, and protect your company’s interest in the process. The best place to start your defensive practice sessions is on the industry website (http://sbcindustry.com/content/1/truss_collapse_resources ).The Structural Building Components Association (SBCA) offers a number of tremendous resources to help draft a truss collapse response plan, customized to your business. My best advice to you is that you take the time to read all of the articles and review the different checklists. It will take just a few minutes, but in doing so it will put you in the proper mindset to do what must come next. After you’ve completed the reading assignment, I would strongly suggest that you call a meeting of your insurance agent and attorney, along with your key production, sales and delivery managers. (Yes, this is probably going to cost a few dollars, but it will be well worth it if you ever do experience a “gravity storm.”) It is important that everyone in the organization is aware of the crisis management plan and process. When you meet with your team and the insurance and legal folks, walk through the disaster response plan in a worst case scenario (personal injury/death). It will be much easier to address the needs, and formalize the steps and your company’s checklist, when not under the stress of an actual event. Don’t take for granted that your collaborators are going to understand all of your fears and concerns. It may be wise to share the SBCA resources with them prior to your meeting. Also, share with them the contents of your jobsite delivery package and be prepared to show them the quality control process that assures that the protocol is the same no matter what size trusses are being delivered. Do you have documentation that the jobsite packages are being delivered? Do you submit the jobsite delivery documentation along with your sealed truss design drawings at the time of the Building Designer and/or building department review? That is another great way to show the Building Designer and building official that you are concerned and have an interest in how the trusses are handled and erected on their jobsite. Like preparing a will, or estate, retirement or healthcare planning, getting it done is a wonderful feeling. Getting your team to the top of its defensive game will also pay huge dividends. Now that most regions are stabilized and sales have returned to a somewhat healthy level, most companies are thinking about company growth again. Of course, everyone wants to gain better net profits with some modest or faster growth strategies. And if this is indeed your plan, it may very well falter because of common traits that cause roadblocks. Yes, I know, your company is special, and you are better than everyone else, but please see if you have some of these problems in your company. There are two very important tasks or functions that must be done properly as a company grows in sales. •

Communication – Communication is the act of conveying information through any form, such as verbal, written, or any other means.

•

Delegation – Proper delegation entails empowering others with authority to carry out employee management tasks.

Everyone understands that a group of people must be able to effectively communicate all of the information about the daily activities of the company. But we often do not understand why some of this communication becomes a problem. Some things fail to be conveyed to the proper individuals or departments. The excuse, “I was not told about that” or “No one informed me that it was changed” becomes a greater problem as the volume of sales increases. But what about delegation? How does this become a problem as the volume in sales increases? I will explain each of these critical traits in 3 different examples. Small companies with sales fewer than 5 million – Small companies normally have a predisposition of being very effective with good communication. Everyone understands who to talk to resolve all the issues and who needs to be aware of anything critical. But the needed trait of delegation is normally very poor in practice. The owner or general manager makes all of the decisions for all of the given areas. Very little delegation and empowering of other people within the company are allowed in order to make any kind of critical decisions. The owner/GM feels that he or she must stay on top of everything, and because of the size of the company, this is usually not a problem. Large companies with sales greater than 15 million – Delegation is certainly not an issue for the larger companies. Departments are formed, and managers have clearly defined roles and responsibilities. It is impossible to keep track of every task being completed by one person, so all larger companies must learn to delegate and assign supervisors and managers to make critical decisions within their defined roles. What often does become a problem and must effectively be resolved is communication. Systems of communications are implemented to convey all of the daily activities of the company to handle the critical daily needs of all communication. However, whenever something falls outside of the normal communication needs, very often, large companies fail miserably with communication. Mid-size companies with sales from about 5 to 15 million – Very often, when companies are transitioning from smaller to mid-size, their net profits suffer for years until they learn hard lessons. Too many owners/GMs fail to understand why they are struggling as they grow from a smaller company to a larger one. They feel that they should be healthier because the sales volume is at a rate that should denote stability. Yet why are they having the problems that are accruing? Too often, what is common is that they are buying more equipment and increasing staff. Yet all of this investment does not seem to be paying off like they had expected it to. Why is this? First, smaller companies that are growing to a larger size normally do not understand how to implement an effective communication system. Here is a simple exercise to perform in your company. What are the defined company quality standards for design and production within your company? Now, go and ask at least three different people within those departments. Did they give you exactly the same answers you stated, or did they vary quite a bit? Why is this? If you are having problems, it is because the communication has always been verbal and was never clearly defined within your company. Quality standards, which should be very easy to define, are only one small example of effective communication. Here is another exercise to try: without asking anyone via phone or email, you have a new work order, and it needs to be processed in the design room. What does the design schedule display for any new work order process time showing you? Do you have to ask someone else because there is no design schedule? Are they Continued on page 24

Trading Strategy

â&#x20AC;˘ Prices, historically high, begin this week in a sea of red, collectively pivoting lower at last week's Forecasted Decision Point reversal high. ALL mills are accumulating excess inventory and buyers are beginning inventory liquidation. This will shift inventory back to producers, weakening prices. â&#x20AC;˘ Winter's pent up demand is still backed up across the northern states and spotty cold rain, still popping up in the south, is making for a slow spring start. â&#x20AC;˘ At market tops, the trading strategy is inventory liquidation, anticipating lower prices. If you have a design schedule is it displayed so that anyone can easily access via the network? Now, how much time and money do you think your company is wasting on poor communications? More than likely, whatever number you can come up with, multiply that by ten to come close to understanding the real cost of communication failures. My studies have shown on average most salespeople waste at least two hours every day because of poor communication systems. Effective communication is much easier than most people think if you know how to do it right. People are shocked at how easy it can be after I have trained them in how to do this properly. And to answer your question, no, I am not talking about always implementing a software communication fix. Effective communication takes many forms, and most do not cost you a dime, except a little bit of time. Second, delegation within your company may be causing you headaches. If you cannot get people to take ownership of problems, and they will not make decisions, even though you have put them in charge of their given departments. Why is this? How effective was your management training before you put them in charge? How clear are the job duties and responsibilities defined? How often did you step into their area and make the decision for them after putting them in charge? If you are the primary decision maker, then the problem is staring you in the mirror each morning. You were unable to properly train, define responsibilities, and allow them to make decisions with your delegated authority effectively. Here is a dirty secret you may be unaware of. These same people who are unwilling to make decisions and take responsibility know all about the many problems that are causing your company wasted money. They feel powerless to fix them.
