The protocol procedure for Ministerial visits we practice at CPUT is as follows:
The hosting department/faculty must:
• Write to the VC’s office informing him of the intended visit and include the date and time of arrival. Also request the VC to meet/receive the minister.
• Contact the CPS Department - Mr Saaiman on Bellville and Mr Jooste/Mr Fisher on Cape Town - at CPUT informing them about the intended visit. Provide the contact details of the CPS Officer to the protocol officials/security of the minister to arrange for the sweeping/viewing of the building and other security logistics. The CPS Officer will also arrange special parking for the minister and/or delegation.
• Senior staff from the hosting department/faculty must be available to also receive the minister together with the VC.
• NOTE: The VC’s office MUST be informed of all ministerial visits to CPUT.
The day of the minister’s arrival:
• The CPS Officer must know the exact time of arrival and accompany them from the parking to the venue or senior person from the hosting faculty can accompany the minster from the parking to the venue.
• The VC and Senior Staff will then meet/receive the minister in private holding room before they transfer to the dedicated venue.
• Note – please have refreshments in the private holding room.
