IPS – Incoming Preparation Seminar IPS is a two-day induction conference that is organised for the incoming interns, within 10 days of their arrival in the country. The purpose of the conference is to prepare interns for their leadership development experience and to align expectations about their projects. It is also an opportunity for the interns to get to know each other and to become aware of the cultural diversity they will experience here. During the Winter Peak, there will be two IPSs: one between 1 and 11 December and one between 16 and 29 January (exact dates to be decided).


IPS Manager – Technical details Duration: •18 October 2016 – 12 February 2017

Workload: •~15 hours/week, full time during the conference Process:

IPS Manager – Role description Is responsible with organising the IPS for IFM, Mzumbe and UDSM, taking care of the logistics (location, materials, projector) and keeping in touch with all the participants. KPIs: • # of Participants • Sustainability of the conference • Feedback from participants Will develop: Project Management Problem solving Time Management

Requirements: • Participation at weekly meetings with Agenda Manager and/or FACIs • Good knowledge of AIESEC, S&S, CF • At least 1 experience in an OC


IPS Manager - JD • Find a suitable location to host all attendees (interns, FACIs, MC members, externals – if any) • Communicate with all stakeholders involved the details of the conference • Make sure the Agenda Manager, the FACIs and the participants are aligned in their expectations • Take care of the logistics needed, a list of which (s)he will get from the FACIs 5 days before the conference • Be at the venue at least 1 day before the conference starts, so as to check all the details are set • Manage the accommodation and meal arrangements for all the participants • Ensure the conference is 100%sustainable

Global Village Global Village is a multi-cultural event, in which incoming interns represent their culture by showcasing specific foods, music, items, traditional dress and artistic performances. It is open to the public and it is also an opportunity for externals to get to know AIESEC. The Global Village for the Winter Peak will be on January 22nd 2017. OCP Global Village - Role description Coordinates the activities of the Global Village in order to achieve the objectives of the project and also to maintain the quality standards. KPIs:

Will develop: Project Management Problem solving Team Management

• # of Participants (interns, externals, AIESECers) • Sustainability of the event • Feedback from participants Requirements: • Participation at weekly meetings/check-in with MCVP iGV • Good knowledge of AIESEC, S&S, CF •At least 1 experience in an OC


OCP Global Village - JD • Attends the MC – OCP meetings or any other monitoring activity • Creates project plan together with his team • Tracks and evaluates team’s activity on a weekly basis • Is responsible to submit the evaluation report in two weeks from the project end to the MCVP iGV • Creates together with his team members the identity of his team including vision, principles and way of working • Acknowledges and appreciates each team member's contributions • Encourages a feedback culture within the team • Makes sure that the OC members have the overview of the project • Is final responsible for the achievement of all objectives of the project (financialwise, number of participants, reach in the online and offline media, any other)

OCVP Finance & Logistics- Role description Manages and is responsible to acquire and distribute all logistics necessary for the event. KPIs: • % of logistics acquired • Sustainability of the event • Feedback from participants Will develop: Organizing skills Problem solving Time Management

Requirements: • Participation at weekly OC meetings, regular check-in with MCVP iGV • Good knowledge of AIESEC, S&S, CF


OCVP Finance & Logistics - JD • Attends the MC – OCP meetings, weekly OC meetings or any other monitoring activity • Creates budget and logistics requirements list for the event • Is responsible to procure all the necessary logistics and also to clean it up after the event • Works together with the OCVP Marketing and Sales to align costs for marketing (if any) and with the OCVP Customer Experience to get the requirements from the interns • Is in charge of finding and negotiating a suitable location for the event • Is in charge of any contracts (if any) for location and all other legal administration issues


OCVP Finance & Logistics – Application Form Questions 1. Why do you want to become OCVP Finance and Logistics for Global Village? 2. Please describe your previous AIESEC experiences (or previous team experiences, if you are a new member) that you consider will help you the most in this role. 3. Come up with a list, as complete as possible, for all the logistics that you will need during the day of the event. Keep in mind that the event will also host artistic performances. 4. What do you think will be your biggest challenges both before and during the event? Come up with at least one solution for each.


OCVP Marketing & Sales- Role description Is responsible for promoting the event, both online and offline, and for finding partners for it. KPIs: • # of participants • Reach in online media • Feedback from participants Will develop: Design skills Problem solving Negotiation Skills

OCVP Marketing & Sales- JD • Attends the MC – OCP meetings, weekly OC meetings or any other monitoring activity • Creates a marketing promotion plan, for both online and offline channels • Is responsible for creating and distributing the promotional materials of the event • Works together with OCVP Finance & Logistics to align costs for marketing (if any) and with the OCVP Customer Experience to get promotional videos or other form of promotion from interns • Is responsible for the agenda of the event • Finds a chair for the event

OCVP Customer Experience- JD • Attends the MC – OCP meetings, weekly OC meetings or any other monitoring activity • Communicates constantly with the interns and keeps them informed about the event • Works together with the OCVP Finance and Logistics to get the requirements from the interns and with the OCVP Marketing and Sales to get promotional videos or other form of promotion from interns • Sets clear expectations with the interns as to what they should bring, how they should organize themselves for the event • Brings any feedback from the interns’ side to the OC and is responsible for solving it
