What are Google Apps? “Google Apps is a suite of Google applications that brings together essential services to help your business. This is a hosted service that lets businesses, schools, and institutions use a variety of Google products -- including Email, Google Docs, Google Calendar, and Google Talk -on a unique domain.� (e.g., www.gulliverschools.org)


How Google Apps Work


Common browsers: Chrome (Google’s browser) Firefox Safari (on Macs) Internet Explorer (on PCs)


Chrome is the browser of choice!! (Google Apps works best with Chrome or Firefox. Both are available as a free download.) ● Once installed Chrome can be set to be the default browser in the settings menu ● Click on the “hamburger” in the upper right of the screen to access settings in the Chrome menu list


Find “Settings” in the Chrome menu


Set Chrome as your default browser On the settings page, scroll down to the bottom where it says “Default Browser� and click on the button. *Note: this must be done on each computer for which you want Chrome to be the default.


Creating “Start Up Pages� This is a really useful feature! Chrome will automatically open up pages you tell it to every time you open the browser.


Enter in your most necessary sites


Logging in to Google Chrome Browser â—? Saves bookmarks, history, stored passwords and settings to the cloud â—? Bookmarks can be accessed anywhere


Creating and Managing Bookmarks ● Go to the site you’d wish to bookmark. Then click on the star on the right side of the Omnibox (address field)

● Enter the information into the pop up window and click “Done”


Logging in to Google Apps ● Logging in to Google Apps can be done from any Google search page ● Click on Sign In at the upper right of the search page


Accessing Apps (what we’re here for!!)

â—? Go to Google and click on the icon with the 9 small squares in the upper right hand corner of the screen


Google Drive ● Store any file - Drive starts you with 15 GB of free Google storage, so you can keep pictures, stories, designs, drawings, recordings, videos – anything. ● See your stuff anywhere - Your files in Drive can be reached from any smartphone, tablet, or computer. So wherever you go, your files follow. ● Share files and folders - You can quickly invite others to view, download, and collaborate on all the files you want–no email attachment needed.


Organizing Google Drive Use folders!!

Create and organize folders ● From within Google Drive, select New > Folder ● Name the folder that now appears Right click on folder to: ● Change folder color ● Change folder name ● Star folders ● Move folders


Sharing folders ● Folders can be shared in the same way that docs are shared. ● Anything created from within a shared folder will inherit the same sharing permissions ● Material stored in Drive can be stored in multiple folders ● Link to additional info re: folder sharing: ○ https://support.google.com/a/answer/2789107? hl=en


Creating a New Google Document ● New documents, spreadsheets, presentations, forms can all be created in Drive or from within an existing document ○ From Drive: New > select type of document ■ allows choice of 3rd party apps and templates ○ From within an existing document: ■ File> New> choose type of document (cannot choose from 3rd party apps in this view)


Sharing a Google Document Setting sharing permissions ● Sharing permissions ○ Can edit ○ Can comment ○ Can view

Note: Only the owner of the document can completely delete a document


Someone shared with me...where is it? Anything shared with you will be found in your “Incoming” folder. Just add to “My Drive” for easy access


Doing more with your work ● Downloading a document - you can edit Microsoft docs in their native format ○ Multiple formats for downloading--including docx and pdf ○ File>Download as>Choose format ● Printing a document ○ File> Print


Google Spreadsheets ● Function like Excel spreadsheets ○ Can be downloaded as Excel file ○ Set up notification to receive email when changes are made to a particular spreadsheet ■ Tools>Notification Rules>set rules for receiving notification when something in spreadsheet is modified ○ Can enter data directly or set up a Google form to collect data


Google Apps and Extensions Google allows third party vendors to connect applications to Google Drive. These allow a single sign-on through Google Drive, and most store the “products” in Drive. ● To add 3rd party applications through Drive ○ New> More> Connect more apps
