WELCOME We would like to welcome you to the College and hope your time with us will be an enjoyable and rewarding experience. This handbook is designed to help you access your course. YOUR PERSONAL TUTOR: All full-time and some part-time learners have a Personal Tutor. Your tutor will welcome you to the College, help you to settle in and be there to give you help and information. Your tutor is usually your first point of contact with the College and your main source of help. You will meet your tutor every week, as part of a group session or for a one-to-one discussion and review of your progress. It is important that you attend your tutorials as they will support you and make sure you get the most out of College. You will meet your tutor at Induction. The Induction programme introduces you to staff, other learners, your course and the College.

QUALIFICATION AIM The Beauty Therapy course you will be completing is City & Guilds NVQ (National Vocational Qualification) Level 2 - which will take one College year on a full time basis. Upon completion of Level 2 you will progress to City & Guilds Diploma in Beauty or NVQ Level 3 - which will take one College year on a full-time basis.

What classes will I have? In September you will be commencing the NVQ Level 2 Beauty course. Your timetable will be given to you together with the location of the classes. Your work will cover both the practical and theoretical sides of all units set down in the contents list. A more detailed description of the contents is contained in your learner logbook which you will receive on registration with City & Guilds. 4


Individual Tutorial Once your course has started, your course tutor will teach you for part of your timetable and will arrange regular tutorial sessions with you individually so that your ongoing progress can be discussed together with any problems that may arise as the course continues. Your course tutor is very willing to help you in any way - DO NOT BE AFRAID TO ASK. Tutorial record sheets are at the back of this booklet. TEACHING AND ASSESSMENT Assessment is ongoing throughout the course Practical Assessment The practical skills will be taught in a class situation during the first term of the course and the learner will be given ample time to practice and perfect these skills using fellow learners or outside clients. During the second term and with discussion between the learner and tutor, the learner will undergo assessment by the Assessor (usually her tutor). The assessor will pass or fail the learner based on the competence of the performance. If the assessment is failed, the learner will be told on what grounds she/he failed and given ample opportunity to attempt the assessment again. In the final term, assessments will make up most of the course. Each skill is usually assessed on several separate occasions and passes are recorded in the learners’ own log books. This form of assessment means that each learner can pace him/herself and work at his/her own speed. Learners may bring their own clients in for assessment purposes, in this instance clients are still required to pay for treatments as listed in the College price list. Written Assessment Theoretical knowledge will be covered in a class situation throughout the duration of the course. Each unit has a number of written papers which have to be completed by the learners. These will be done either in class or on-line. Periods to complete these written assessments are incorporated within the timetable. The learners will complete these papers on their own without the aid of reference material and require a 100% pass mark. If the pass mark is not attained the learner may attempt the paper again after a period of two weeks. This may be repeated up to three times and should a pass mark still not be attained, a new and similar paper will be given. If at any time you disagree with an assessment decision, there is an appeals procedure detailed in your assessment book and also in the College Learner Handbook. Oral Assessment Oral assessment will be carried out at an appropriate time - in order to back up your written knowledge. Portfolios The learner will keep a portfolio (file) of evidence on the work she has completed, evidence of assessment, work diary, client records and write-ups of treatments, photographs etc. Periods to complete and help with portfolios are incorporated into the timetable.

HOW WILL I LEARN THE SKILLS? Practical The practical skills will be taught within classes held in the beauty rooms. All equipment is available and each skill will be demonstrated to you by your tutor on several occasions. The learner will be given ample time to practise and perfect these skills. In the first instance learners will work on each other and learners must be prepared to co-operate in this. Later, as skills are perfected, outside clients will be available. Theory Theoretical knowledge will be taught with the aid of lectures, videos, learning packs, reference books (as per books list). Functional Skills Key skills are an integral part of your Beauty course. Areas such as communication, application of number and information technology are covered by this subject area and evidence for this qualification which is considered a vital part of your course can be collected through normal class work. Learner Support At the beginning of the course all learners undergo a diagnostic test to assess their literacy and numeracy skills and determine whether assistance in learning is needed. If so, learner support services are available for the learner to attend and receive assistance with any aspect of their course work which may be causing problems in order that progress on the course is not hindered. External Verification During your course there will be a minimum of two verifier visits from the Awarding body. The verifier looks at our systems and paperwork and may attend at any time. All learners are expected to be available on these days together with their portfolios, diaries and any other work the verifier may request. The verifier may wish to talk to individual learners about their work and discuss their portfolios and diaries with them. PLAGIARISM The use of other people’s work and the submission of it as though it was your own is known as plagiarism (plagiarism means theft of other people’s ideas). Any work forming part of an assignment, project, test or other assessment must be your own and must not contain any plagiarised material. Evidence of plagiarism will result in failure of the assessment. Any new assessment arrangement will be given with a strict completion date. You will also be subject to the College’s disciplinary proceedings. If you wish to quote material from a textbook or other source then this should be referenced in your assignment. Your subject lecturer or Personal Tutor will show you how to do this.

Appeals Procedures As part of C & G/HBTTB Awards Centres running the NVQ in Beauty Therapy we are required to implement an appeals procedure to assist in the event of any individual candidate who should wish to challenge an assessment decision. The Appeals Panel are as follows: Course Tutors = Vocational Assessors (established to assess the individual) Internal Verifiers =

Internal Verifiers are the first Contact of Appeal if the individual candidate should wish to challenge an assessment decision carried out by one of the Vocational Assessors (course tutors). The course tutors don’t have to be your own private course tutor but any of the tutors responsible for carrying out your assessments. Copies of the Appeals Procedure can be obtained from all members of the Beauty Therapy staff on request and additional copies can be found hung up in the large Salon (Room 216). Attendance Monitoring We want you to be successful on your course and to achieve your qualifications. It is therefore important that you attend all classes as good attendance is the key to being successful. The Attendance Monitor will work with you and your Tutors to promote good attendance. What will they do?  offer support if you are having problems which affect your attendance  refer you to Learner Services who can help with a range of personal problems and barriers to learning and attendance  refer you to your Tutor who will discuss your attendance and take action where appropriate What can you do?  Avoid unnecessary absences, for example, by making appointments outside College hours  Inform the Attendance Monitor if you are going to be absent for any reason  Telephone (01205) 365701, option 2, or e-mail absent@boston.ac.uk, or text “BCABSENT” to 88020. Texts are charged at standard network rate. This information is also on the back of your ID badge  Please remember to give your name, ID number and reason for absence The Attendance Monitor is: Gail Bevan Requirement Punctuality is vitally important. Learners are expected to attend classes and salon sessions on time and should be appropriately dressed (see Clothing section). Our expected attendance for the course should be 94%. Learners who habitually turn up late to practical classes may be asked to sit and make notes, write them up and hand them in at the next practical class. Absence Procedure If you are unable to attend College because of illness you need to telephone to let us know before 9.15am, as you would in a job. You will also be required to fill in an Approval of Absence form which can be obtained from your tutor. Extended absences require a doctor’s certificate. 7


PROGRESS REPORTING Parents Evenings Parents are invited to visit the College regularly to find out more about your course, how you are progressing, options after your course has finished routes and any other details. There will be an opportunity to speak to key staff as well as your Personal Tutor. Progress Parents are encouraged to visit the College with or without their son/daughter to discuss progress with your Personal Tutor and teaching staff. Reports All College learners are assessed by the course team at the end of November to confirm continuation onto the full programme. If there is any doubt as to suitability to continue, learners and parents will be consulted in December. On completion learners can progress to NVQ Level 3 in Beauty and then to the HNC/HND in Beauty Therapy or any of the Holistic Therapies - reflexology, aromatherapy, Indian Head massage, stress management or specialist qualifications such as nail art, sports massage and sugaring.

Note Any learner taking holidays outside of holiday periods will be considered absent from the course. Learners receiving support from the College Bursary Fund need to be aware that they will not be paid for holiday periods taken outside the academic breaks. Section 4

EQUIPMENT AND CLOTHING In order to participate fully on the course and complete assessments you will need your own kit to work with as well as clean white overalls. You should by now have already received order forms for both of these, however, if not please ask your tutor for kit order forms and she will be happy to supply them. Order forms for overalls are available from Beauty staff.

VISITS, WORK EXPERIENCE AND OTHER ACTIVITIES Visits are arranged for learners to give emphasis to course content. These vary from year to year but include: BEAUTY EXHIBITIONS If there is sufficient demand the College organises a trip to a national Beauty Exhibition (Beauty UK Birmingham in May). The learner will have the opportunity to attend lectures from prominent beauty therapists, familiarise themselves will all products available on the market, new treatments, suppliers etc. ADDITIONAL COURSES Throughout the year learners are given the opportunity to take part in various beauty related workshops at an additional charge. A Dermalogica training workshop will be mandatory – but it is free of charge.

FINANCIAL ASSISTANCE If you have financial difficulties you can apply for help from the College Bursary Fund, 19+ Learner Support Fund or 24+ Advanced Learning Loans Bursary Fund. This may help to meet the costs of: 1 2 3 4 5 6

Some learners aged 16-18 are guaranteed help from the Bursary Fund – this includes:  learners living in care  recent care leavers  learners receiving Income Support or Universal Credit in their own right  learners receiving Employment Support Allowance and Disability Living Allowance or Personal Independence Payment in their own right. For further details please check with Learner Services staff. Childcare If you are under 20, you may qualify for Care to Learn payments for childcare costs. SUPPORT SERVICES The College Mission Statement The College Mission Statement describes the type of College we provide for all our learners and staff. ‘to be a brilliant college that transforms people’s lives and makes an outstanding contribution to the economic, social and cultural life of Lincolnshire’. All learners at the College attend voluntarily so there is not a set of ‘College Rules’. We do however have a range of policies which describe the standards we expect and what we offer in return. To access all the learner related policies and procedures please look on Moodle, or ask your Personal Tutor for details.

COLLEGE FACILITIES Learner Support Any learner who feels the need for assistance with any aspects of academic work may join the above sessions for help in e.g. assignment writing. College Counsellors You will find the above people within the Learner Services section. They will be able to help with a variety of problems including acquiring money if needed from the hardship fund to help you with course aspect i.e. travel (obviously only if you fit the appropriate criteria). Resource Centre Loan of books – After joining the library you will be entitled to borrow books, but “be warned” there is always a fine issued on late returns. Computer Area Found next to the library, acquire a login number from Michael Hall, the I.T. technician and then you are able to use the facilities to produce comprehensive-looking projects during library opening hours. Food There is a large variety of food available to you throughout the day, starting at basic snack, coffee and cream cakes to 3 course meals. The choice is yours.

POLICIES YOUR CONDUCT It is the intention of the Hairdressing section to promote a professional code of behaviour. Your are expected to: * wear black tunic, black trousers and full shoes during practical sessions * treat other learners and staff with respect and in a courteous manner * deal with clients in a professional manner * no smoking within the College * no chewing or eating during lessons * maintain client confidentiality * work as a team (be helpful) * clean away own working areas and assist in the general running of a salon * be punctual to all classes * mobile phones are prohibited in Salons and classrooms and must be handed in to your tutor at the beginning of every session. Health and Safety Codes Conform to the College smoking and parking restrictions Conform to workshop and laboratory codes of practice Maintain client health and safety at all times Clear away spillages/breakages immediately Cover all cuts with a plaster Support hygiene regulations Do not work on contra-indicated clients 11


Evacuation/Fire Practice In the event of the fire alarm sounding, the building must be evacuated. In each room there is a notice displayed outlining the action that should be taken if a fire is detected and also the evacuation procedure along with designated fire assembly points. During the course of the year there will be a number of fire evacuation practices. These are designed to monitor the speed at which the building can be safely evacuated. HAIRDRESSING AND BEAUTY THERAPY SECTION ATTENDANCE POLICY Attendance should be your main priority, it is most important in your chosen profession that you attend all sessions and gain 94% attendance. Schemes of Work are designed to cover all aspects of the course, each day a different topic will be covered, if you fail to attend this topic is unlikely to be repeated which could result in you being semi-skilled. Hairdressing and Beauty Therapy are careers which rely heavily on high attendance levels. Poor attendance can cause major problems when working on clients, as failure to attend can lead to clients being let down or inconvenienced. Also when you do not attend you let down your colleagues as they have to cover your work load. The College has a set Attendance Policy (included in this Handbook) which all learners must follow, failure to do so would result in disciplinary action being taken on a Report card system. We cannot and do not tolerate poor attendance, we need to set professional standards in line with industry. WE ARE TRAINING YOU FOR WORK!

SAFEGUARDING STATEMENT Boston College places a high priority on the safety and wellbeing of our learners. We are committed to creating and maintaining a friendly, welcoming and safe working environment for all young people and vulnerable adults, whether learning is taking place on or off College premises. We have a duty to safeguard all learners, and we will respond immediately if there is a concern that a learner might be the victim of bullying, harassment, abuse or neglect. An important part of safeguarding is making sure only authorised people are on our College premises. Please help us with this by carrying your ID badge at all times and showing it if asked by a member of College staff. At Boston College we respect everyone within the College community. We also emphasise respect for personal property and for the facilities of the College. We therefore, expect learners to work with us to create an environment where everyone feels safe and valued and can work to achieve their full potential. Social Media Learners are prohibited from hosting comments on any social media site i.e. Facebook, Twitter, instant messaging and texts with regard to staff or other learners. Failure to comply will result in disciplinary procedure leading to possible prosecution.

BEAUTY & HOLISTIC THERAPIES RULES OF PROFESSIONAL CONDUCT AND DRESS 1. All learners are required to wear a clean, ironed, short-sleeved overall (cotton/Polyester) for all practical work. Outdoor clothes may NOT be worn underneath overalls. You must wear the overall designated for your course. 2. Female learners are advised that their underwear should not be visible. Tights or socks of the same colour as trousers must be worn at all times. 3. Male learners and learners studying aromatherapy, reflexology, sports massage and Indian head massage may wear black or navy trousers (not jeans or leggings) with a short overall. 4. Female learners must wear low heeled white clogs or white, black or navy court shoes. Open toes, platforms, slingbacks, high-heels or other colours will not be acceptable. Male learners must wear low-heeled black shoes either lace-up or slip on. 5. Hair must be well secured off the face and shoulders at all times. 6. No Jewellery should be worn on the hands or arms except a wedding ring (smooth) if appropriate. Necklaces may not be worn and no more than one pair of discreet earrings will be allowed. Facial piercing will not be allowed under any circumstances. 7. A light daytime make-up must be worn by all female learners. 8. Please remember that you are working in close proximity with fellow learners/clients and personal hygiene must be of a very high standard. Avoid being told that you have body odour or bad breath and do not wear heavy perfumes, colognes or after-shave. Smokers need to be especially diligent. 9. The chewing of gum or sweets during practical classes is strictly forbidden. Under no circumstances should any food or drink be brought into the beauty salon or reception area. A bottle of plain water may be taken to class if necessary (not fruit juice or pop). 10. Learners may not sit around in the reception area or gather around the reception desk as this is unprofessional and prevents clients from making appointments. 11. Mobile phones must be switched off during all class contact time. Learners will only be allowed to have their mobile phone switched on if this has been pre-arranged with the tutor and there is good reason. Any mobile phone ringing during class contact time will result in the learner being asked to leave the room and the mobile phone confiscated for the duration of the session. 12. Since the majority of work is ‘hands on’ please look after your hands. Nails must be kept short and well filed. Nail varnish cannot be worn for practical work.

13. Outdoor clothing and baggage may not be brought into the beauty rooms but should be stored in your locker or the appropriate storage area not outside the beauty rooms where clients hang their coats. 14. Remember to bring whatever kit is required and writing materials to every class – we do not provide these and you will need them. 15. Professional standards of behaviour must be maintained at all times within the Beauty Salon. 16. ‘Love Bites’ must not be visible when working in the beauty salon. Any learner with visible marks will be required to cover these with a plaster during practical sessions and is unlikely to be assessed. 17. Personal stereos should not be brought into classes at any time and will be confiscated for the duration of class if they are brought in. 18. You are responsible for your working area. All tools, materials and equipment must be cleaned and returned neatly to their place at the end of each session. The Beauty Salon must be left as you would wish to find it. No learner leaves the working area until everything is tidy. 19. It is your responsibility to contact your course tutor if you are unable to attend class for any reason. Since your time at College is treated as training for work then it is only polite as well as necessary that you contact us or leave a message on each and every day that you are unable to attend, in order that classes can be organised in advance. All of these rules need to be adhered to in order for you to gain a qualification. You are on continuous assessment and personal hygiene and presentation as well as professional attitude and conduct are part of each and every assessment you do. Failure to maintain these standards will jeopardise your future qualification.
