COACH HOLIDAYS BOOKING CONDITIONS Your Holiday With David Urquhart (Travel) Limited These conditions set out the terms of the contract, which you (the person(s) named on the confirmation of booking) enter into by booking a holiday with us, David Urquhart (Travel) Limited, the terms of which become effective on you paying your deposit and us issuing a confirmation of booking to you. The contract does not start until the confirmation of booking is posted or handed to you.
Payment The balance of your account must be paid to us, at the address stated on the confirmation of booking, at least Four weeks prior to the scheduled date of the start of your holiday otherwise your booking will be cancelled and your deposit will not be refunded. Payment is normally required in full should the scheduled date of the start of your holiday be within Four weeks of the date your booking is received by us. Once made, you may change certain aspects of your booking (for example the names of the passengers travelling) or subject to availability of arrangements departure dates, pick up points, room types on payment of an administration fee of up to £20 per person to cover our administration costs. Cheques, Debit Cards and Credit Cards are all acceptable forms of payment unless booked within Ten days of the scheduled date of the start of your holiday when we reserve the right to require payment by debit or credit card or some other form of cleared funds. A 2% credit card fee will be applied to all balances paid by credit card. There are no credit card fees on deposits/initial payment. There are no fees charged for any payments made by debit card.
Cancellation/Changes by you In the event of you having to cancel your booking you should contact us immediately to avoid incurring any unnecessary charges. Any verbal cancellation of your booking must be followed up in writing within 24 hours. Unfortunately our bookings are arranged with service providers many weeks in advance of the date of travel and as a result we require to impose cancellation charges. These cancellation charges may be recovered through travel insurance, subject to the terms of the insurance company policy and we would therefore encourage you to obtain cancellation cover. We accept your booking in good faith and you agree that there are no reasons which have not been disclosed to us in writing before booking (e.g. severe infirmity or incapability) which may make it unwise for you or your party to embark on the tour. The safety and well being of all passengers on the coach is the responsibility of the coach driver whose directions providing they are reasonable must be respected by you. We are responsible for the acts and omissions of our staff and suppliers of services with whom we contract. We are not able to accept responsibility for unexpected or unforeseen circumstances beyond our control where we have taken all due care to avoid them.
Changes by us We may require to cancel your holiday in certain unusual, unforeseen circumstances beyond our control or in the event that the number of people booked on a tour does not reach our minimum (normally 25). In the event of cancellation you are entitled and we will offer you either (a) a substitute package of equivalent or superior quality, if space permits or (b) a substitute package of a lower quality, if space permits together with the difference in price between the price of the holiday you have purchased and that of the substitute or (c) to repay you as soon as possible all the monies you have paid us. In the event of cancellation we will notify you at the earliest opportunity and give you a reasonable time to enable you to take a decision on which option you wish to follow. The new arrangement will, where possible, be confirmed to you in writing. If a tour is cancelled where the number of people booked on a tour does not reach our minimum, you will be notified at least 14 days prior to the date of departure. We sometimes make changes to journeys and excursions in response to adverse weather conditions, road repairs, road congestion and other local factors. In these circumstances the driver will exercise his discretion reasonably having all due consideration to the relevant factors and as a result there may be changes to the planned journey. In the event that the principal destination of your holiday is no longer available for reasons beyond our control, the consequences of which could not have been avoided even if all due care had been exercised, then we will attempt to make alternative arrangements at no extra cost and will refund any difference in the cost between the original arrangements and the alternative arrangements supplied. Where we are unable to agree to make appropriate alternative arrangements, with both parties acting reasonably, we will either return you to the original departure point or to another mutually agreed place. Advertised pick up points and timings are only indicative and are not finalised until shortly before departure. A change to either the pickup point, pick up time or number of pick up points is not considered to be a significant alteration to the terms of the contract.

The price of your holiday is guaranteed and will not be subject to any variations, either upwards or downwards except for those resulting from variations in (a) transportation costs, including the cost of fuel; or (b) dues, taxes or fees chargeable for services; or (c) the exchange rates applied to a particular package. We will not vary the price within 30 days before the date of departure. In the event of the alterations in price being less than 2% then no variation will be made. Should the price change be such that it amounts to a major alteration of the terms of the contract, or there is any other significant change to the contract, then you will be entitled to the three options noted in paragraph one of the “Changes by us” section (above) and, where appropriate, seek compensation.
Complaints All complaints we receive are thoroughly investigated and customers are kept informed at each stage of the investigation. Sometimes investigations can take time as we await response from our service providers. In order to bring matters to the attention of the service providers at the earliest possible opportunity you should raise any matter that relates directly to the Hotel or Holiday Centre with a Senior Manager or Owner as it arises so that matters can be dealt with there and then. Any complaint associated with transport should be intimated to the driver as soon as possible to give him the opportunity to correct any deficiency. Should the matter remain unresolved after a reasonable time has been allowed for action, you should report the matter to us without delay and confirm the same in writing as soon as possible thereafter. We would consider 28 days to be a reasonable time to confirm the complaint to us and in the event of the complaint not being intimated in time, this may impede the future investigation and could affect your entitlement to compensation.
Behaviour If you or any member of your party is considered likely to cause offence, danger, damage or distress to others we reserve the right at all times to cancel or terminate your holiday completely. If this situation arises our responsibility under the contract will cease and we will be under no obligation to cover expenses incurred nor shall we consider any claims for compensation or refunds. Smoking and the consumption of alcohol are not permitted on our coaches.
Compensation Where you are entitled to receive compensation from us in terms of this Agreement or in terms of the Package Travel, Package Holidays and Package Tour Regulations 1992 the minimum level of compensation payable by us shall be either £10 where the cancellation (or significant change to the contract) is made 14 to 28 days prior to departure or £15 where the cancellation (or significant change to the contract) is made within 0 to 13 days of departure. Where the cancellation (or significant change to the contract) occurs prior to 28 days before departure, compensation may be payable where there is a provable loss. If following upon the date of departure we are unable to provide a significant proportion of the contracted services the level of Compensation payable by us shall be a minimum of £15. Compensation is not payable (a) in the event of us cancelling a tour in the event that the number of people on the tour does not reach the required minimum or (b) for unusual and unforeseeable circumstances outwith our control, the consequences of which could not have been avoided even if all due care had been exercised by us.
General Conditions While at the time of going to print the details contained in this brochure are correct to the best of our knowledge, we will where possible inform you of any inaccuracies or changes to the brochure details at the time of booking. On holidays wholly based in the United Kingdom, Isle of Man, Channel Islands and the Republic of Ireland passports are not required, however, a full British Passport is required for all continental breaks and UK holidays featuring excursions to the continent. If you are not a holder of a full British Passport you should request further advice before booking any holiday involving travel outwith the United Kingdom As a package holiday provider we are bound by the Package Travel, Package Holidays and Package Tour Regulations 1992. Regulation 20 of these Regulations requires us to protect all customer prepayments and therefore all monies received by us prior to the date of the holiday will be deposited in a Secure Trustee Account controlled by Independent Trustees who are professional people accepting the obligation for controlling this Account in our customers’ interest. For tours outwith the United Kingdom the Trustees will have funds available to cover repatriation of clients to the United Kingdom should we cease to trade for any reason. These terms and conditions shall be governed by the law of Scotland.

Meals en-route
Your ticket giving exact time and place of departure will be sent to you approximately one week prior to departure. At the same time you will receive your luggage labels. To help your holiday planning, proposed pick up times are indicated in this brochure but please ensure you check the final details as stated on your ticket.
Whilst we do not include meals en-route, when appropriate we will make stops where snacks/meals can be purchased.
Seat allocation When you book you will be advised in which areas of the coach space is available (see diagram). From this information, you will be able to select the area from which your seat(s) will be allocated. Your exact seat number will be advised by your driver as you join the coach. There is a supplement to confirm booking of the front seats, subject to availability. Driver Side

Return Journey Exact time of arrival home can vary owing to weather, traffic conditions etc. If you are arranging for someone to collect you on return, we suggest you ask the driver at the last comfort stop on the way back, and telephone ahead.
Hotels The hotel gradings used in this brochure are taken from the respective organisations’ handbook available at the time of going to print. For hotels on the Continent, we use local ratings, which can vary from country to country. Generally meals on the Continent will reflect local cuisine. Continental breakfast is usually a croissant or roll and coffee, whilst buffet breakfast includes a selection of meats and cheeses. Dinner at hotels on the Continent may include a set menu or limited choice.
Entertainment Whilst we encourage hotels to provide some entertainment, the type and amount of entertainment is at the discretion of the management, will vary from hotel to hotel and may be dependent on numbers staying at the hotel.

Please ensure that your luggage is sturdy and waterproof - suitable for the normal handling and conditions on a coach tour. Approximately one week before departure, we will send you your luggage label. Please ensure that it is completed and prominently displayed on your luggage.
When we send your tickets we include a satisfaction card which we hope you will complete and return to us at the end of your holiday. There is no postage charge for the sender. Whilst all cards are carefully scrutinised and help us a great deal in maintaining and improving standards we do not send acknowledgement of receipt of your card.
Personal Belongings Please, please, double check you have all your personal belongings gathered together before you vacate the hotel and before you leave the coach as returning items to customers is, at best, both difficult and expensive and, at worst, sadly some items are ‘lost forever’.
Smoking / Alcohol on board
What to do if you have a problem If you have any problem on tour your driver will do his/her best to help. Within the hotel the proprietor/manager/senior staff will do their best to handle requests or resolve problems. But please remember that if you do not tell the proprietor/manager about the problem there is little he/she can do. Equally, if any problem is not resolved and the first time you contact us is after the holiday is over, then it is too late for us to take action. (This does not negate your right under our booking conditions.)
Smoking and the consumption of alcohol is not permitted on coaches. There will be regular comfort stops when those wishing to smoke can do so.

It is a condition of the David Urquhart Travel Insurance that at the time of taking out this policy and between that time and your departure date, you are not travelling against Medical Advice or for the purpose of receiving medical treatment. • INSURANCE POLICY. This contains full details of the cover provided plus the conditions and exclusions which apply to it. You must read the Insurance Policy carefully. • CONDITIONS, EXCLUSIONS AND WARRANTIES. There are conditions and exclusions which apply to individual sections and general conditions, exclusions and warranties which apply to the whole Policy. • FRAUDULENT CLAIMS. The making of fraudulent claims is a criminal offence. • HEALTH. Refer to Medical Health Requirements as shown above. • PREGNANCY. The Policy will not cover any claim arising from Pregnancy for travel within four (4) weeks of the estimated date of delivery. • PERSONAL PROPERTY. If you are planning on taking items valued in excess of £200 such as photographic equipment, jewellery and other valuables with you, then you should make sure that you have adequate personal possessions cover under a Home Contents Insurance. Personal Property claims are paid based on the value of the goods at the time of loss and not on a ‘New for Old basis’ or replacement cost basis. A deduction will therefore be made for wear and tear and depreciation. • DATE CHANGE EXCLUSION. Certain sections of your policy (refer to General Exclusions item 17) contain exclusions for losses arising from failure of equipment to correctly recognise the calendar date, such as the change to the year 2000. • POLICY LIMITS. Most sections of the Policy have limits on the amount the Insurer will pay under that section. Some sections also have inner limits e.g. for one item, or for valuables in total. • POLICY EXCESS. Claims under most sections of the Policy will be subject to an excess. Where there is an excess, you will be responsible for paying the first part of the claim. • REASONABLE CARE. You are required to take all reasonable care to protect yourself and your property and to act as though you are not insured. • COMPLAINTS. The Insurance Policy includes a complaints procedure which tells you what steps you can take if you wish to make a complaint. Please refer to the Policy Wording for full details. • COOLING OFF PERIOD. The Policy contains a ‘cooling off period’ which allows you to return the Policy within 14 days of purchasing cover for a full refund if the cover is not suitable for your needs. • HAZARDOUS ACTIVITIES. The Policy will not cover you when you are taking part in certain activities. Please refer to the Policy Wording for details of any particular exclusion. • GOVERNING LAW. Your Policy is governed by English law. David Urquhart Travel are an Appointed Representative of ITC Compliance Limited, who are authorised and regulated by the Financial Services Authority.

EXCURSIONS Island Rambler - Full Day - visiting Bonchurch, Ventnor, Alum Bay and the bustling town of Yarmouth. Come with us for an enchanting tour around this picturesque island, beginning with the delightful village of Bonchurch. Next we’re on to Ventnor, famed for its micro climate and wide variety of flora and fauna. Then along past the coastal village of Brighstone to Alum Bay, with a chance to see the world famous coloured sand cliffs that overlook the famous landmark - The Needles Rocks. Finally we'll stop at the town of Yarmouth with its natural harbour and historic castle. Bembridge & Ryde - Full Day - wending our way along the Isle of Wight coast, we’ll discover the delights of these beautiful island towns. Delight in a scenic drive along the coast to Bembridge, a small seaside town full of beautiful houses and a busy little harbour. Afterwards it’s on to Ryde, the second largest town on the island with its miles of glorious golden sand, shallow coastal waters, bustling marina and beautiful gardens.
