Bringing the Bling Back to Texas! September 2, 2013 Dear Vendor, We would like to invite you to participate as a vendor March 10-16 at the 2014 Diamonds & Dirt Barrel Horse Classic. With over 2000 contestants from three countries expected to compete in the Futurity, Derby, Open 5D, Sweepstakes and Slot races, Diamonds & Dirt 2014 is shaping up to be an exciting event. In 2013, Diamonds & Dirt was featured on HRTV on May 26th and our marketing team is working hard to increase the media exposure for 2014. Held at the Brazos County Expo Complex in Bryan, Texas, Diamonds & Dirt 2014 vendors will receive booth space, listing on the DDBHC website and admission to the Night of Diamonds party, benefitting K9s4COPs on Saturday March 15. Booth options include space in the exhibit hall, trailer booths and equine needs booths. Food and wine tastings will be held in the exhibit hall during the week. Not only will your company receive great exposure and heavy foot traffic, you are guaranteed to have a great time! The Brazos County Expo Complex is a state-of-the-art indoor facility that offers heating and cooling, with electricity and Wi-Fi billed separately by the facility. Booths are 10x10 for $400, 10x20 for $600 and 10x30 for $800. We will also offer a limited number of larger spaces (prices available upon request). Trailer booths are $500, equine needs booths are $400 and space is limited for both. Booth prices are for the entire week. Vendor Guidelines Diamonds & Dirt Barrel Horse Classic Vendor Guidelines Diamonds & Dirt will approve vendor merchandise based on the application’s description. Diamonds & Dirt reserves the right to decline applications, should an application be denied, payment will be refunded in full. Cancelations will not be refunded and are non-transferable. Space assignments are made by Diamonds & Dirt management and will be clearly marked. Vendor booths may not be moved or sublet once assigned. Move in begins Tuesday March 11, booths must be set up by 10 p.m. and then remain intact until the show’s conclusion on March 16, 2014. Upon show conclusion, all merchandise must be removed from the space promptly and completely, and left in the same condition as was found at check-in. Diamonds & Dirt and Brazos County Expo Complex are expressly released and discharged from any and all liabilities, loss, injury or damage to persons or property. Vendors must adhere to all guidelines of both Diamonds & Dirt and Brazos County Expo Complex; no exceptions will be made.
Brazos County Expo Complex Guidelines Use of Space: Show management reserves the right to decline or prohibit any exhibit, part of an exhibit, exhibitor or exhibitor representative that Show Management or Facility Management deems inappropriate, unsuitable or not in keeping with the character of the exposition. No subletting of space will be permitted. Vendors are not permitted to sell alcoholic beverages, soft tobacco products, confections or food for on-premises consumption. Vendor Arrangement: All booths must be arranged so that all merchandise and signage are within the assigned space. Ample space must be provided within the booth for vendor staff and visitors. Maximum height of displays is 8 feet in the back and 4 feet in the front, and must not obstruct the view of or interfere with other vendor booths. Displays with unfinished or unsightly exposures at the rear or sides must be covered, at the vendor’s expense, and must meet the satisfaction of Diamonds & Dirt and Brazos County Expo Complex. Vendors may enter one hour prior to opening. The use of microphones, recordings, movies, slides or other audio-visual equipment is allowed, however the volume must not exceed the level of normal conversation or be objectionable by neighboring vendors. Wi-Fi and electricity are purchased through Brazos County Expo Complex and will be billed separately. Show management reserves the right to rule on all matters pertaining to the exposition whether or not expressly mentioned. By executing the application process, vendors agree that all rulings shall be binding.
