Assignment Folder Teachers often provide assignments for students to work on during class or for homework. An assignment folder can be easily created in Google Drive to distribute these assignments. This folder is shared with students and students can access assignments placed here at any time. An assignment folder can only be accessed by those with permission.
To create your assignment folder go to Drive and click the create button.

Select the option to create a folder.
Provide a descriptive name.

After typing the folder name, click the create button.
The folder will be created and appear in your Drive.

Select the folder by clicking the check box next to the folder. Click the share button.
A share module will open. Enter the email address of a student with a Gmail account.

When you begin entering the name or email of a person, an option to add a note will appear. Provide any information about the shared folder with the recipients if appropriate.
Add more names or emails as needed.

The invited person is automatically given permission to edit. This is an assignment folder and we don't want students to accidentally change or remove any of the documents.
Click on the permission pull down menu and select can view. This will allow students to view the contents of the folder but not to be able to change anything.

Click the send button to send each student and invitation.
In the enterprise version of Google Drive, you will see a warning about sharing this folder with non-enterprise accounts. Click yes if you are sharing this folder with a student that does not have a district account.

The assignment folder will be shared with the students. This folder will also appear in your My Drive list on the sidebar. Click on the folder to open it.
Upload an assignment into the folder.

A warning message will display to inform you that the document will have the same permission as the folder. That's what we want. We don't want students to be able to edit this document. We only want them to see the contents of the folder and the contents of the document.
The document will display in the folder and automatically shared with the students. The students don't need to do anything else and neither do you.

On the student's side, they will receive an email inviting them to the shared folder. Students will click on the folder name or the open button.
A window will open to display the contents of the folder. Students need to add this folder to their drive so they can easily find it next time. Students will click the add to Drive button.

They will see a message letting them know the folder has been added to their drive.
The button will also change to read, Open in Drive. The students will click this button to verify.

The folder will appear in the sidebar below their My Drive main folder.
Documents you place in this folder will automatically be available to students. In this example I uploaded a Word document with quiz questions. Students will click this document to view the contents.

To view the document, double click the document title.
Students will only be able to see the contents of the document.

When working with a document, students have several options, but working with a Word document, the options are limited. Let’s see what they can do with a Word document.
Students can click the Open menu option to open the document with Google Docs.

Next to the Open button is an option to open the document with another application.
Either of these choices will probably result in an error message. This is because Google Drive cannot work with Word documents directly. They need to be converted to the Google document format.

The only option available to students with a Word document is the option to download a copy to their computer.
When students have access to a document in the Google docs format, they will have more options than they do with a Word document. Students can double click the document to get a preview.

A preview of the document will be displayed with some menu options for the document. The document is in view mode and to edit this document, the student needs to make and editable copy. This editable copy will be placed into their My Drive.
Click on File in the menu and select make a copy.

The student can leave the name of the copy the same or change it as needed. Click OK to save the copy.
The copy will be made and opened to begin editing. The menu will have all the familiar tools to edit the document. To see the document in the My Drive folder, click the Drive button.

An icon view of the documents will display. The most recently opened documents will be listed first.
To see a list view of the documents, click the drive menu button again.

This time a menu opens with several options. The option to return to the My Drive folder is listed last.
The document will be listed in the My Drive folder. Students can use this copy to work on the assignment. This is a much better solution than downloading a copy. It keeps the document in Google Drive and accessible from a variety of devices.
