L ESSON 1

Create Folders

To create a new folder right click anywhere below your home folder name. A contextual menu will display. The first choice in the menu is to create a new folder. Outlook automatically creates several folders on the left pane. These folders include your inbox, sent items and drafts. Creating your own folders provides an easy way to help organize large groups of emails. Creating folders is also the first step in the process for creating mail rules.

When you click create new folder, a text box will display to enter a name for the folder.

Type a descriptive name for the folder and press enter on your keyboard.

Now that we've created a folder, let's move email to that folder.

Right click on an email message to display a contextual menu.

We’re going through the manual process here, but you could create mail rules to automate this process.

Select move from the contextual menu choices.

A list of folders similar to the left pane will display. The folder is created as a subfolder in the Inbox. There is a disclosure triangle to the left of the inbox. Click once on this triangle to display the subfolders.

The folder I created will display.

Click once on the folder and click the move button at the bottom.

The email will be moved into the folder and the folder will indicate the number of messages in the folder. You can also drag and drop messages into a folder.

Place Messages In Folders

The folder needs to be visible. If you don't see the folder, click the disclosure triangle next to the inbox.

Placing messages into a folder can be done manually or they can be done with mail rules. In this lesson we will learn how to manually place messages into folders.

Click on a message then drag and drop it onto the destination folder.

You can drag multiple messages into a folder. Hold the option key and click on each message you want to move.

Click and hold on one message, then drag it to the folder.

The messages will be removed from the main inbox as they are moved into folders.

Using the option key is one way to select multiple messages.

Click once on the check box to select the message.

Outlook provides a way to select multiple messages. Hover over the senders name and a check box will display.

Go to another message and repeat the process.

Select all messages you want to move. When you're done, click and hold on one message then drag onto the folder.
