Project Background The Eservices application is designed for the use of OPLA employees as well as individuals representing an alien with a case being processed by the OCC. These two users play radically different roles in the process of this application. The individual representing the alien has access to a single page in which they are able to send and receive documents that are meant to support their case. The OPLA employees are able to review and approve files that are submitted to the branch. Individuals can access these through a group email that will allow each member to access any item or document submitted.

Business Goals The Business goals for Eservices are set to create and understanding of why modification to the UX of the product will benefit OCC. • Create a clear and modern interface to expedite completion of user tasks • Modify Nomenclature so that it is consistent and clear in order to prevent users from straying along the process. • Increase the ability for user review as to minimize the need for multiple submissions or rejections.

User Goals explain the experiences that users of Eservices require in order to create the most efficient application. • Be able to view all information before and after submission • See a progress report on home page of site to understand the status of each document that was submitted. • Be given instructions on which type of documents will be rejected • Buttons that are clearly marked and clearly named to understand the process better.

Home Page In applications such as this the home page can be a more beneficial tool. Currently the blank slate with two actions limits the ability of users to verify the progress of their submissions. Suggestions - Change the background to a lighter color to improve readability, add a feature to view all active and recent submissions, and make the action buttons more highlighted.

Ensure that navigation/ buttons are properly name and stand out as action items. This space becomes wasted and a status section could greatly improve the usability of this application. Additional information and suggestions for approval of documents would be a great addition to this page.

Send Document pg1 The send page seems to be the most valuable for non OPLA users, this is the first of two pages that allows for individuals to submit documentation. Unfortunately this page can confuse users as they do not know they are continuing to a second page nor is there any information confirming that they have clicked the send button. Suggestions - Make the page that they have landed on more clear by either highlighting the item in the navigation bar or by including bread crumbs/page tittle. Moving the spell check text closer to the message and subject area. Changing the button from save to a more appropriate word or phrase. Highlight the selected section that the user has entered/ page name.

Move spell-check here or remove it completely.

Change the button from send to something like “create folder�.

Do not pre populate the location. Allow user to select by typing or through the highlighted menu.

Send Document pg2 The second send page is used to attach documents to the folder that was created on the first page. This page however is very blank and doesn’t include all the details that were entered on the previous page. Suggestions - Make sure that it is easy to see the add button, put the submit button bellow the list not above it as the hierchy causes confusion, include all the details from previous send page.

Add subject and message so user can verify that it is attached to this doc.

Move “Send� button to the bottom of the page

Make the add button more clear.

Add Document Pop-Ups The pop-ups featured below allow for Eservices users to add, edit, and delete documents. In order to do this it requires very few options however there seems to be several instances where users are provided the ability to modify things that are not truly editable. Suggestions - Remove the destination folder input form, change the style of the ANumber display, change the cancel button as it does not cancel the action, minimize the number of options on the edit screen to edit and delete. Screen 1 Users only have one option for folder destination. Remove this. The cancel button still creates the document.

The A number seems like it can be edited here. No need for input form.

There are more options here than the user needs to preform. Limit to edit and delete.

Send Document pg3 After you have sent the document in you are returned to the home page. Which makes sense however the fact that you have not received any confirmation is a huge flaw in the ux. There needs to be a notification of sorts to provide verification that the documents have been sent. Suggestions - Add a confirmation message to allow users to know that they have been successful in submitting the documentation.

Receive Document pg1 The receive page has a list of all the different documents that a user has received from OPLA. Each set of documents is separated into groups based on the folder created by the OPLA user. Documents for the same alien may be grouped in different folders. Suggestions - Remove the add documents. If possible link all documents with the same alien number to one another or put them in an individual folder.
