How to select a wedding concierge

Photos courtesy Dimples and Cheeks Photography You just said yes and your head is spinning. You’re thinking, where do I start? Who do I call? Lions and tigers and bears, oh my. As an established wedding planner, my advice is to first determine the best date for your big day or maybe two potential dates. I recommend an alternate date just in case you find your dream venue and it’s not available on that specific day. Once you have a firm date, consider hiring a planner or coordinator. No one’s wedding goes off without a hitch or two. Life happens, and there are things that don’t always go the way you anticipated. That’s when a planner wearing a Super Woman cape comes to the rescue.
Why should I hire a wedding planner?
Planning a wedding takes a village, but hiring a planner is most certainly the best way to lighten your load and focus on getting married. Your mom may think she wants to handle the details but, especially on the day of the wedding, she deserves to celebrate along with you. Aunt Sue or your best friend (who got married last year) are eager to step in and help and you might be thinking that’s a good option and it would certainly save money. It’s not and it won’t. Why? While I’m sure your bestie can get the group down the aisle just fine, what happens if the night before your wedding the officiant calls to say he can’t make it because a tree fell onto his home? True story. Or what if a vendor backs out, there’s a venue change or if the cake gets destroyed during delivery? How will your bestie or Aunt Sue handle these situations and make sure the wedding goes off without you even knowing about this stuff? A planner has the expertise and resources to make sure these random but very real events don’t spoil your day. The real reason you hire a planner is not to spend money unwisely but to 10
ensure you don’t have to deal with the problems that arise throughout the process. There are several different types of wedding planners, so we’ve created this list of what sets them apart to help you make the best choice based upon your budget and needs. Full-service or all-inclusive planning
A full-service planner is best for the couple who want guidance and a professional opinion from A-Z. If you don’t have a lot of free time to dedicate to wedding planning or live out of town you may want to seriously consider this option. These professionals can help with every SUMMER 2017
detail like helping you create and stick to a budget, choosing linen colors, flowers, mailing the invitations, arranging guest hotel room blocks, creating the perfect gift bags for guests, pre-ceremony parties, post wedding day brunch, etc. You might prefer to leave many of these decisions to an expert.
Month-of Planner
Couples who want to do most of the planning themselves should still consider hiring a month-of planner. This can be a very stressful time and there is a value to be placed on not having to worry or stress over the details. Your vendors need a point person and a detailed timeline so they know where to be and when. You don’t want your cake person showing up before the table is ready to place it on. Month-of planners are pros at stepping in to handle all the details in the weeks and days leading up to a wedding. They can also help with miscellaneous, last-minute things that need to be taken care of, such as final contract negotiations, setting up dÊcor and even dispersing vendor payments or tips.
Day-of coordinator
A day-of coordinator usually meets with clients a handful of times before the wedding to create a schedule for the big day, but their main responsibility is to orchestrate the activities on the actual wedding day. This usually entails directing vendors, managing decoration set-up and break-down, and helping the wedding party as needed. The most important function of the day of coordinator is to keep the day running on-schedule.

How to choose a wedding photographer

After three months of the bride trying to find out when she was getting the photos, the “friend of a friend” I’m a professional photographer, photographer blocked the bride’s but I don’t shoot weddings. didn’t do my homework. Here are a few tips to help you select a professional wedding photographer and receive good service. The rules I didn’t follow: Initial Meeting and Portfolio Review. Make sure you are comfortable with the photographer because you will be allowing this person backstage access to your most special day. When viewing the photographer’s portfolio, make sure you see a large, representative group of photos over several jobs. Look at photos that cover several WHOLE weddings. Don’t be dazzled by just a few cherry-picked photos. Cost. Shooting weddings is hard work. A good photographer has the right equipment and knows how
to shoot in any lighting situation. You need a professional for this job. You should budget at least $1500-$2000 for a small/medium wedding. Generally, the photographer will require half of the payment at the time of booking and the rest when you get the images. If you hire the $400-dollar photographer from Craig’s list, you will get what you pay for. Photography is not the place to cut corners in your wedding. Contract. A contract will lay out the amount of time the photographer will be at the wedding, the price, the terms of payment, what kind of products will be delivered and the delivery date. A professional photographer has excellent, quick editing skills and should turn all your images over to you no more than 4-6 weeks after your wedding. This is your wedding. You should have photos that you will treasure forever. This is not the time to hire a “friend of a friend.” Do not take a chance on having bad photos, or worse, never getting any images of your wedding at all.

Creating a centerpiece at home can be simple and fun. Here are step-by-step instructions to guide you through making a beautiful arrangement for your wedding or any special occasion.

Purchase a small glass candle stick holder, E6000 glue, absorbent floral foam, waterproof floral tape, and scissors at any craft store. Dig out that funny little glass bowl you’ve never had any use for until now. We’re going to use it as a compote dish for your arrangement.

Add glue to the top of the candlestick and the base of the bowl. Press together and allow to set with the bowl on top for 24-36 hours until dry.

Selecting flowers can be daunting so pick three colors or less. You can pick from your garden or buy from your local store. You will want a larger focal flower (for example a peony, garden rose, or lily) some filler florals (stock, tulips) and greens to add texture and interest to your design. Cut stems at an angle but not too short, then place in water. Add the packet of Floral Life, setting aside a little bit for use in Step 4.

Clean flower stems of any leaves or thorns, and clean the lower stems of your greens, too. Place greens into the foam at the center, and then to the sides at a slight left or right angle, working your way around the dish. This forms your structure. A little flow is more natural and helps to cover the floral foam, so imperfect placement is ok. Once you begin to see shape forming, add focal flowers in a triangle shape into the middle sides of the arrangement (see peony), then add the SUMMER 2017
Continue to add your filler flowers and any extra greens you may have. Don’t be afraid to drape the greens by inserting them at an angle closer to the lip of the bowl. Continue to add until you are satisfied with the look and have filled in any open spaces.

By now you should have a beautiful arrangement. Place it where you would like it and enjoy the pretty! 15

But keep in mind that some projects are more difficult and time-consuming than others which is why I always urge couples to pick their DIY endeavors carefully and start early. If you dream of a having a hands-on wedding of your own, here’s a little guidance to help you pull it off without any major DIY disasters.
Favors:
Wedding favors are a great way to say “thank you” while you share and showcase your personalities, and another easy way to get your DIY on. Whether you’re sending guests home with a sweet treat or a sentimental jar of honey, keep it personal. Be creative – think about how you can make your guests feel appreciated when they enjoy the gift you give. Remember, this is a small token of your special day, so make your favors memorable.
Ceremony Décor:
I’m big believer in keeping your ceremony décor simple and elegant. Keep the focus on the ceremony itself and take advantage of any existing décor or the landscape and view that surrounds you. Ceremonies typically last less than an hour so I don’t recommend investing a ton of money for such a short period of time. Some great DIY ceremony décor suggestions are hanging baskets, large ferns, lanterns, candles and ribbons/sashes. Avoid spending your entire décor budget on ceremony flowers; instead get creative and keep it portable. Repurposing your ceremony decorations is a frugal way to stretch your budget and provide continuity with your reception décor.

Photo booths are fun for everyone and capture some candid moments that your photographer may miss. Photo props seem to bring out the silly, funny and wild side of your guests. If you don’t want to invest money in a photo booth, consider a DIY approach. Design a fun backdrop, cut out your own photo booth props and add a few selfie sticks for your guests to use. Paper and Printing:
Design your own DIY map when getting married in your back yard.
Custom programs designed using the morning paper as inspiration were the perfect complement for an early morning vow exchange.
Paper design, printing and calligraphy can get pretty expensive. If you plan ahead, I suggest taking a DIY approach to your stationary and printing needs. There are many websites (think Etsy) that can help you with the design work so all you have to do is print at home. If you or your significant other possess artistic ability, you might even want to consider designing your own save-the-dates, invitations, maps and signage. And, if you have really neat handwriting, consider addressing your envelopes yourself. Just remember to tackle as much of your printing needs as early as possible. Items like escort cards and place cards are dependent on your RSVP timeline; start early to ensure you don’t fall behind schedule and stress out.
Signature Drinks:
I am a huge fan of signature drinks. They’re an affordable way to add liquor to your bar without springing for a full bar. They also bring a bit of personality to your cocktail hour. Add a little DIY flair with a “His and Hers” menu, custom drink stirrers and garnish.

Thirteen years ago, the YWCA of Central Virginia established Church Street Bridal in Lynchburg. Why would a YWCA get into the bridal business? The answer is both incredibly creative and deceptively simple: to find a way to raise funds for the programs it offers for women and children, as well as provide a service to the community. By quite literally marrying the two ideas together, Church Street Bridal was formed, offering designer wedding gowns at off-the-rack prices.

No appointment necessary to find your dream dress for less. The walls of Church Street Bridal are lined with racks and racks of designer gowns and you don’t need an appointment to come in and discover your dream wedding gown in a sea of beautiful options that will leave you breathless. There are beaded gowns, sequined gowns, lace covered gowns, and simply elegant gowns with little to no detail. Many are hand-stitched runway dresses from names such as Pnina Tornai, Demetrios, Monique Lhuillier, and countless others. Most of the gowns at Church Street Bridal are priced at 10% of the original retail cost and even better? All of them are new. None of the gowns have ever been worn other than being tried on or used as a floor sample. For $200-$900 you can purchase a bridal gown that retailed anywhere from $800 into the thousands. On occasion the shop receives dresses
valued at $10,000-$30,000. These are priced a little higher but still nowhere near what you’d pay at retail. Church Street Bridal, Too (located on the second floor) houses bridesmaid, prom, mother-of-the bride and cocktail gowns. Between the two shops there are extras such as flower girl dresses, veils, tiaras and shoes. There’s even a clearance room where one can find dresses for $25 to $100 and formal gowns for $10 to $250. Proceeds from purchases at Church Street Bridal go to: Domestic violence prevention and intervention services This includes sheltering victims, connecting them with legal counsel, and training to get them back on their feet. All of these programs are operated by the YWCA of Central Virginia. Lynchburg and many of its surrounding areas The efforts of the YWCA of Central Virginia extend to city residents and rural residents alike. They reach as far as Danville and as close as a neighbor. Every CSB purchase funds the programs of the YWCA of Central Virginia.

#4 Look for companies that carry insurance Liability is usually the minimum required for entertainment companies to carry and more and more venues are requiring the entertainment to have insurance. Ask also if the DJ you’re considering carries equipment insurance. This is important as it relieves you of responsibility in case there’s any damage to equipment at your wedding. #5 Quiz the DJs you decide to interview Ask the following questions: How versed are they in multiple styles of weddings? Are they familiar with international music? Do they play different genres of music? Are there any songs or artists they refuse to play? Will you be able to create a playlist of songs that you want played or not played? Remember, it’s your wedding and you need a DJ/MC who is open to helping you bring your vision to life.

Planning a low-cost wedding can be daunting. We’re all entitled to our dream day as we’ve always envisioned it, so why let a prime rib dream on a burger budget stop you? Get creative, and it won’t. Here’s how we managed to have the day we dreamt of while keeping costs to the bare minimum. Choosing the Wedding & Reception Venues - There’s no need to pay for a wedding location, particularly if you plan to wed outside. Our beautiful country is chock full of gorgeous locations that will provide the loveliest of backdrops for your special day. In our case, a beautiful botanical garden is next to our house. We’re regulars there, so I worked out free space in the garden for our ceremony (rather than utilizing the wedding amphitheater), which saved us $250. For our reception, I visited a good friend who owns a very unique furniture shop. Inside the shop is a
wine bar and attached is a beer garden. The furniture – imported from India, Thailand and Southeast Asia – is beautiful, so no decorations were necessary. Sitting areas are set up all around and automatically lent themselves to mingling in small groups. Our friend “gifted” us the space since our reception was after normal business hours. Guest List - If you’re social beings like we are, keeping this list tight is a difficult task. But just do it. Be really selective. Leave the list to parents, siblings, immediate family and the friends you call and count on for everything. You can always have a covered dish picnic and invite the larger crowds to celebrate with you sometime later. Keep your guest list organized electronically (I used WeddingWire.com). Gather emails and postal mailing addresses early so you’re fully prepared for the next step. Tracking your RSVPs, gifts

Save the Date & Invitations– My husband is British and he’s never heard of a Save the Date, but trust me…here in America, it’s a thing. Just remember, you can send them via email. I designed ours and came up with our “branding” using a whimsical caricature we’d had made at a previous event. If creativity isn’t your thing, ask your creative designer friend to lend a hand. Once the colors and theme are set, the invitation will simply become a two-sided version of the Save the Date. Some text changes to the front, the wedding & reception location, time details and RSVP information on the back, and voila! They’re ready to be ordered at VistaPrint and mailed.
Food & Drink – This is a big expenditure, but also a big opportunity to cut costs. Where we live, food trucks are incredibly popular. My husband and I visited the food truck extravaganzas for a time leading up to the wedding and chose our favorites. I negotiated a special menu of two entrée choices that worked with our theme and that of the furniture store and our guests loved it! For bar drinks, we worked out several beer and wine options, set the limit SUMMER 2017
and was alerted when that limit was reached. We did bring in our own bubbly and that was helpful. And for the cake, again luck struck. Another long-time friend has a cake business and she charged us just $50 and called the rest of her expenses our gift. The Dress & Flowers - We got lucky here, too. I wasn’t too bothered with having an over-the-top wedding dress, but I did want white and floor-length. Crazy but true – I found something at Ross and with a few alterations and dry cleaning, bam. Wedding dress. Total? $50. Other than my bouquet, which was a gift from a best friend, we put some potted begonias around the ceremony site and called it done. The natural beauty of the garden was more than sufficient. Groom’s Attire – Are tuxes really required? Since ours was a garden wedding, we thought black dress pants, sleeved shirts in the color of our branding and black dress shoes would be just fine. We only needed to nip over to Kohl’s for the shirts. The rest was already in the closet. Officiant – Hire a friend who’s a notary. Know anyone with a good speaking voice and an enigmatic character? We did. You probably do too. Give them a call. Give some thought to who you know and who your good friends know and see where the possibilities are for getting a deal. Then reach out. Something might be right under your nose and you’ve just not considered it yet. Best of luck and have a happy wedding!

This versatility is something unique to Eastwood, said manager Dona Rodgers. “We’re able to offer incredibly individualized events,” she said. “Couples come in with their vision and we are able to accommodate them.” The facility has been under a five-year restoration plan and many of the buildings on the property
have been carefully restored, with history in mind, Rodgers said. The restoration was completed while keeping “the historical nature of all the buildings” in mind and all of the buildings sit on their original footprints, Rogers continued. Eastwood Retreat includes three formal gardens with capacity for between 150 and 250 people and a recently restored barn with capacity for up to 150 guests. On its website, Greenfield Inn Bed & Breakfast is described as offering “classic southern hospitality at its best.” And the 83-acre property, where cows and horses graze in the fields and a friendly black Lab named Mosby greets visitors fits the description perfectly. The bed and breakfast has not hosted a wedding yet, but it is ready to, said Audrey Regnery, who purchased and lovingly restored the Inn, which is one of the oldest homes in Rappahannock County, built between 1767 and 1769. Regnery has a passion for gardening and has planted several
gardens with the goal that the house will be surrounded with beautiful colors throughout the year, making it the perfect backdrop for photos. Since it is a bed and breakfast, it has potential as a destination wedding venue, offering guests rooms to stay on the property. The largest room in the main house is furnished with what Regnery calls the “honeymoon bed.” It was originally two individual beds, pieced together as one, with a headboard designed to look like it is held together by two hands. At one of the entrances to the home there is a replica of the original carriage stop where guests would disembark form carriages to attend parties there in the 18th century. “It was known for its parties and we hope it will be known for its weddings in years to come,” Regnery concluded. The distinctive stone house built in the late 1920s and now serving as the Manor House Restaurant, is just one of the things that sets Poplar Springs Inn & Spa apart. “There’s a lot of history here,” said Ellen Christie, Poplar Springs Inn & Spa’s director of sales and marketing. “A lot of people fall in love with the location and the history of it.” Poplar Springs’ origins date back to the days before the American Revolution, according to the venue’s website. The building that now serves as the Manor House Restaurant was built in the late
1920s by Robert Randolph Hicks, a well-known lawyer, and his wife, Rose Beatrice Sutton. It was built in the style of 16th- and17th-century European architecture. In 2002, the inn and spa were added to the property. Today, Poplar Springs can offer couples a site with everything they need for their wedding, Christie said. “It becomes a great location for not only a wedding, but a getaway,” she said. “You can do everything here.” In addition to offering space for weddings, Poplar Springs boasts a 24-room inn, a spa fit for pampering the bridal party, catering services, including cakes baked by pastry chef Maggie Suge and more. “We really have everything in one place, a complete venue,” Christie said.
