Preface I have been reviving an old project that started a while ago and has started up a new project blog to track the progress. Being a lifelong fan of Dungeons & Dragons, with the unfortunate problem that I cannot find anyone to play with I have decided to create a test implementation Dynamics 365 in the AD&D format just to see how it would work and if I can find some creative ways to use Dynamics 365 and chose to implement the Waterdeep Trading Company as an example where I can track their many legal (and not so legal) entities within FaerĂťn.

Introduction Now that the Waterdeep Trading Company is getting some inventory into the Waterdeep Store we can start selling it and tracking all of our customers and orders. In this module, we will configure the ordering profiles, create customers and best of all we will sell the products to the Waterdeep clientele. Before long we will be making so much coinage that we won’t know what to do with it.

Configuring the Sales Controls and Profiles Before we start selling any products though, there are some small configurations that we need to make to the sales system that we will need to do to ensure that the inventory is tracked correctly within the system and that all of the postings to the ledger are correct.

Updating the Item Groups with default Posting Accounts Just like we did within the Purchasing module, we will want to update the Item Groups that we configured earlier to have some default accounts that we will post to when we ship and invoice our inventory through the sales system. If we don’t have these configured, then the system will balk a little. So let’s set these up now and save a little heartburn later on.

Opening the Item Groups form To do this we will need to return to the Item groups maintenance form.

How to do itâ&#x20AC;Ś Step 1: Open the Item groups form through the menu search

Then you will be able to select the Item groups form from the dropdown list.

We can find the Item groups form through the menu search feature.

This will open up the Item groups maintenance form with the item groups that we have already configured and linked to the products in the system, and we will also see all of the purchasing defaults that we set up in the prior module.

We can do this by clicking on the search icon in the header of the form (or by pressing ALT+G) and then type in item gr into the search box.

Updating the default posting accounts Now we will want to update a few of the default sales order posting accounts in the Item groups.

How to do itâ&#x20AC;Ś Step 1: Click on the Edit button

Step 4: Select the Cost of goods sold delivered

To start off, we will want to switch to the edit mode within the record view.

Next, we will want to assign a default account for the cost of goods sold of the shipped products.

To do this just click on the Edit button. This will allow us to change the default Main accounts associated with the account types. Step 2: Expand Sales order tab

To do this we will just need to pick the Cost of goods sold delivered option from the dropdown list.

We will want to change the Sales order accounts right now, so we will want to focus on those posting defaults.

This time, we will want to click on the Cost of goods sold delivered dropdown list and pick 5010 (COGS - PRODUCT 1).

To do this just expand the Sales order tab.

Step 5: Choose the Deferred revenue on delivery

Next, we will want to specify the default account for the revenue deferral on the shipped products.

We will start by assigning a main account to the Cost of the products that we ship to the customer main account.

To do this just select the Deferred revenue on delivery value from the dropdown list.

To do this we will just need to pick the Cost of unit delivered value from the dropdown list.

For this example, we will want to click on the Deferred revenue on delivery dropdown list and pick 4010 (REVENUE - PRODUCT 1).

For this example, we will want to click on the Cost of unit delivered dropdown list and pick 1130 (INV - Finished Goods).

Creating a General Customer Posting Profile Now that we are in the right place we can move on and set up a General posting profile.

How to do itâ&#x20AC;Ś Step 1: Click on the New button

Step 5: Select the Account code

We will start off by creating a new Customer posting profile record.

Since this will apply to all of the customers, we want to change the select to be all customers.

To do this just click on the New button.

To do this just select the Account code option from the dropdown list.

Step 2: Update the Posting profile

This time, we will want to click on the Account code dropdown list and select All.

We will now want to assign the new Posting profile a code that we will use to reference it.

Step 6: Select the Summary account

To do this just change the Posting profile value.

Now we will specify that the summary account for the customers will be the A/R Trade account.

For this example, we will want to set the Posting profile to GENERAL. Step 3: Update the Description

To do this just pick the Summary account value from the dropdown list.

And then we will want to give the posting profile a better description to accompany the code.

For this example, we will want to click on the Summary account dropdown list and select 1210 (R/REC Trade).

To do this, we will just need to change the Description value.

Step 7: Select the Liquidity account for payments

This time, we will want to set the Description to General Posting Profile.

And then we will want to specify that the payments received will be posted to the cash account in the ledger.

Step 4: Click on the Add button Now we will want to add a posting profile that is to be used for all customers.

To do this we will just need to pick the Liquidity account for payments option from the dropdown list.

To do this just click on the Add button.

Updating the Default order type Since we are in the Accounts receivable parameters form we will make a quick change to the order defaults to say that the typical order is a sales order and not a journal.

To do this just pick the Order type value from the dropdown list.

We can do that by updating the order type within the Sales default values.

All we need to do is create a new Customer group records. We will start by adding a customer group for our retail customers.

Adding a new Customer We will start off by creating our very first customer record in the system.

How to do it… Step 1: Click on the New button

Step 3: Update the First name and update the Last name prefix

We will start by creating a new customer record.

We will start by entering in the first name of Aurora, and also her last name prefix.

To do this just click on the New button.

To do this, we will just need to change the First name value and change the Last name prefix value.

This will Open up the Create customer panel where we will be able to quickly enter in the key information for the customer before we create it.

For this example, we will want to set the First name to Aurora and set the Last name prefix to of.

Step 4: Update the Last name

Since Aurora is a person rather than an organization, then we will want to change the type of customer to a person.

For this example, we will want to set the Last name to Waterdeep.

To do this just select the Type value from the dropdown list.

Next, we will associate Aurora with a customer group.

This time, we will want to click on the Type dropdown list and pick Person.

To do this just select the Customer group option from the dropdown list.

Notice that this changes the naming format from the organization name to the personal name fields.

To make sure that we are shipping Auroraâ&#x20AC;&#x2122;s orders to the right location we will add some address information for her.

This will automatically populate the State for us based on our address configurations, and we can create the customer record.

To do this we will just need to pick the City value from the dropdown list.

To do this just click on the Save button. This will take us to the new customer record, and we will see that all of our information from the setup form has been populated for us and also there is a lot more information that we can maintain on the customer record.

Updating the Customer Order Defaults Before we leave the customer we will want to add some defaults to the customer record to save us time later on.

Creating a Sales Order pick list The first thing that we will do is create a pick list for the order that we can use to find the products that the customer wants and stage the inventory for shipment.

Posting the Packing Slip Now that we have picked all of the products for the sales order, we can create a Packing slip and ship the products off to the customer.

How to do it… Step 1: Expand PICK AND PACK action bar and click on the Post packing slip button

To do this, we will just need to switch the Print packing slip option and click on the OK button.

To confirm the shipment, all we need to do is post the packing slip.

This time, we will want to click on the Print packing slip toggle switch and update it to the Yes value.

To do this, all we need to do is expand the PICK AND PACK action bar and click on the Post packing slip button.

Again, a warning will be displayed telling us that we are just printing to the screen and that’s OK for now.

This will open up the Packing slip posting dialog panel, and we will see that the lines from the sales order are showing up to be confirmed.

This will start of the posting process for the packing slip. And a couple of seconds later we will see the packing slip with all of the delivery information to accompany the shipment.

If we want to drill into the inventory transactions and see how we got to the 9 units of inventory, then we can use the related information option.

We can filter out the inventory that we are looking for, although since we should only have one product in the store right now, we don’t have to filter the results and can just inquire on everything.

To do this, all we need to do is click on the RELATED INVENTORY button. This will show us all of the transactions that are associated with the BACKPACK product, and we will see our product receipt and also the shipment that we just created.
